Item 1 Enrolling in the Voice Mail System


If you have not previously
enrolled in the Voice Mail
system, please enroll at this
time.

Press the button


next to your
telephone extension.

Press the Messages


button.

Item 2 Enrollment Prompts


Enter your Voice Mail
password, followed by #.
The default password is
13579 #.
If you have previously
enrolled in the Voice Mail
system and dont remember
your password, call the
Customer Service Center on
x41300 to have your Voice
Mail password reset.

Please take a moment to personalize or update your settings. Follow the


voice prompts to complete steps 1 thru 4 below in order to complete the
enrollment process.
1. Recorded name Record your First Name and Last Name
2. Personal Greeting This encourages a caller to leave a message
3. Password Must be at least 3 digits long
4. Listing in Directory Assistance Do not change. Press #.

You have finished enrollment. You may now:


1. Press 1 to listen to messages
2. Hang up

Item 3 Checking Voice Messages From Your Phone


To check voice messages
from your telephone device.

1. Press the button next to your extension. This is required only if the
extension is not listed at the top of the telephone screen.)
2. Press the Messages button
3. Type in your password and press #
Note: If you delete a message from your phone the message is
immediately deleted from E-mail.)

Item 4 Checking Voice Messages Remotely


After you have enrolled in
the Voice Mail system you
may call from any telephone
and retrieve your Voice Mail
messages.

1. Call your telephone number


2. While your greeting is playing, press the star (*) button on your
telephone.
3. The prompt will instruct you to enter your ID number. Type your
five digit telephone extension and press #
4. Type in your Voice Mail password and press #.

Item 5 Record a New Standard Greeting


The Standard Greeting will
play as your telephone
greeting by default.
Start by logging into the
voice mail system. (Refer to
Item 3 or 4)

Press 4

Setup Options
Greetings
Your standard greeting plays. Press # to skip to next step.
To rerecord this greeting.
To save the new standard greeting.

Listen to the greeting and if you want to re-record press 1 to re-record


otherwise hang up.

Item 6 Record and Turn On The Alternate Greeting


The Standard Greeting will
play as your telephone
greeting unless you record
and turn on the Alternate
Greeting.
Start by logging into the
voice mail system. (Refer to
Item 3 or 4)

Edit other greetings
Edit alternate greeting
To skip listening to your alternate greeting
To re-record your alternate greeting
To end the recording. The greeting will play back.
To turn on the alternate greeting.

Listen to the greeting and if you want to re-record press 1 to re-record


otherwise hang up.

Item 7 Turn Off the Alternate Greeting


If your Alternate Greeting is
already recorded and turned
on, use this procedure to
turn it off.
Start by logging into the
voice mail system. (Refer to
Item 3 or 4).

Item 8 Turn On the Alternate Greeting with an End Time

If you have already recorded


an alternate greeting you
may use this procedure to
turn it on and configure a
time and day for it to turn off.
Start by logging into the
voice mail system. (Refer to
Item 3 or 4)

Press 4
Press 1
Press #

To skip listening to the standard greeting
To turn on the alternate greeting

Hang up unless you want to set an end date.


To set an end date continue on with this procedure:
Press 1

To set an end date when the system will automatically turn


on the standard greeting

Press the following keys as needed:


For later today
For tomorrow
For 2 days from now
For 3 days from now
For 4 days from now
Etc.
Enter the time to the minute
For 7:00
For A.M.
For P.M.
Hang up.

Press 0

The best way to check to see if you turned on the alternate greeting is to
call the extension and listen to the message.

Item 9 Change Voice Mail Password


To change your voice mail
password, start by logging
into the voice mail system.
(Refer to Item 3 or 4).

Item 10 Change Recorded Name


Your recorded name plays if
you do not have a greeting
recorded.
Start by logging into the voice
mail system. (Refer to Item 3

Item 11 Dialing Instructions Local, Long Distance and 911


1. Internal Calls dial the last five digits of the phone number
Dialing instructions.
Fort Bend ISD uses two
telephone exchanges:
281-634-xxxx
281-327-xxxx

2. Outside Calls dial 5 and the 10 digit telephone number


3. 911 Calls - Dial 911. 5911 or 9911
4. Long Distance Calls
a. Dial 5 followed by the 10 digit number
b. Listen for 2 beeps
c. Type in your 4 digit long distance code and press #. If you
do not have a long distance code please submit a
PeopleSoft CRM Case or call the Customer Service Center
at x41300 and ask them to open a PeopleSoft CRM Case for
you. The request will be evaluated and you will be notified
on the status of the case.
5. Telephone numbers beginning with 1xxxx reside on phones
designated for student use at locations such as a campus front
desk. This number cannot be directly dialed from outside the
district. Outside callers may be transferred to these extensions.
6. Telephone numbers beginning with 2xxxx reside on Extension
Mobility phones in the classrooms. Teachers must log into these
phones to gain full functionality, otherwise they may only dial 911,
5911, 9911 or the Customer Service Center on x41300. Extension
Mobility allows teachers to easily take their phone number with them
when they change classrooms or campuses. For Classroom

Item 12 Making a Conference Call


1.

During a call, press the more softkey on the phone device and
then press the Confrn softkey. This selects a new line and places
the other party (Caller 1) to whom you were speaking on hold.

2.

Place a call to another number by using the dial pad to enter the
digits of another party (Caller 2) to include on the conference call.

3.

When the call connects, press Confrn again to add the new caller
to the conference call.

Turn a call into a conference


call by performing the
following steps.
Up to 8 callers may
participate in a conference
call.

Conference Call Tips


When the conference call initiator disconnects, the conference call is
terminated.
To place a conference call on hold, press the Hold softkey. The other
parties cannot talk among themselves. To avoid disrupting the other
callers, consider muting the call instead. To mute the call, press the MUTE
button.

Item 13 Verify Voice Mail Destination and Caller ID


If are new to voice mail, you
may wish to verify that your
voice messages route to
your District E-mail account
successfully and verify your
telephone Caller ID.
Calls you make within the
district will display your
name and telephone
extension on the target
telephone device.
Calls you make to phone
numbers outside of the
district will display a generic
Fort Bend ISD text label on
the target phone.
Classroom telephones are
configured to not ring during
classroom hours. Callers
will automatically be
forwarded to voice mail.

1. Call your five digit telephone extension and leave yourself a


message.
2. If you are a teacher and you call your extension during classroom
hours, the phone will not ring. The call will route to your Voice Mail
account and you may leave a message.
3. If you are a teacher and you call your extension outside of
classroom hours your phone will ring. Check the incoming Caller
ID to verify that it is configured properly. Allow the call to route to
your Voice Mail account and leave a message.
4. Verify that the message is sent to your E-mail account
5. If the message does not appear in your E-mail, submit a
PeopleSoft CRM Case or call the Customer Service Center at
x41300 and ask them to open a Service Request Case.
6. You will also be able to check your messages from your telephone
device by pressing the Messages button and typing in your Voice
Mail password.
7. If you wish to check your Voice Mail messages from another
telephone refer to Item 4.

Item 14 Verify the Telephone Directory Entry


You may verify that your
extension is listed correctly
in the Corporate Directory on
the telephone.

1. Press the Directories button on your phone


2. Arrow down to Corporate Directory and press Select
3. Arrow down to Number and Type in your five digit extension
4. Select Search
5. Your name and number should appear on the screen.
6. If your name does not appear on the screen or if multiple names
appear, submit a PeopleSoft CRM Case or call the Customer Service
Center at x41300 and ask them to open a PeopleSoft CRM Case.

Item 15 Create A Campus Telephone Directory


To look up phone numbers
for staff at your campus or to
create a Campus Telephone
Directory in Microsoft Excel.

Select the link http://pipeline/peoplefinder/peoplefinder.cfm or go to


http://pipeline and select Campus Telephone Directory.
1. Type your campus initials in the Campus Abbreviation field:
2. Select Search
3. Place your cursor before Name, left click and drag the cursor down
to the end of the data you wish to select.
4. Right click and select Copy
5. Paste into an Excel document and save.
6. Ctrl-A to select all and select Wrap Text (to unwrap the text)
7. Save and adjust columns as needed.

Item 16 Classroom Telephone Configurations and Teacher Telephone Login


Classroom telephones are
configured to automatically
forward calls to voice mail
during classroom hours.
Classroom phones will not
ring during the time periods
listed.

1. Elementary Schools: 8:00 AM to 3:15 PM


2. Middle Schools: 8:45 AM to 4:00 PM
3. High Schools: 7:30 AM to 2:30 PM
4. Centers for Learning: 9:00 AM to 4:00 PM
Note: The time schedule in the telephone system only allows for 15
minute increments starting on the hour.

Classroom telephones
should never be move from
one classroom to another.

Classroom telephones are


configured with Log In
buttons to prompt teachers
to log into their phones.
