1. Purpose
‘The Purpose of the Sharif Group (Power Division) Leave policy is to provide all the employees of the
power division of the company a work-life balance in their routine and also to help them cater any
unusual incidents like sickness, travelling, religious duties as and whenever required may be. However,
leave shall only be considered a privilege and shall not be claimed as a right.
2. Scope
This policy covers all permanent,|temporary, contract management & non-management employees of
the company in all Businesses Head Office and SITES across the Group.
2.1 Probationary employees:
Those employees, who are serving their probations, can avail sick & casual leaves on a prorate
basis by taking approval from their supervisors, in advance (before their confirmation) and their
leave balance shall be adjusted accordingly once they are confirmed. If such employees
‘exhaust their pro-rated balance & the reasons for leaves are genuine, special approval from the
BH & HR Head will have to be sought.

‘3.4. Every employee has three leave accounts viz., Casual Leave Account (C.L.A), Sick Leave
Account (S.LA) & Annual or Paid Leave Account (PLA).

4. Clauses
‘4.1 Causal Leaves account (C.L.A) Clauses:
i) Amaximum of ten (10) Casual Leaves are entitled to all permanent employees in one
fiscal year.
ii) This leave is utilized for any personal work, emergencies or family commitments that
cannot be dealt with on the weekly off days.
iii) Any permanent employee can avail Causal Leaves at any time during the year after
taking an approval from his/her immediate supervisor.
iv) A maximum of three Causal leaves are allowed to be availed at one time. If more than
three leaves are required, the approval of the Head of HR will be required after the
routine approvals of the concerned Department Head, etc. For the Technical Staff
Business Head at his sole discretion may decide to deduct double leave if leave is
availed without approval well in time.
v) Where an employee does not avail all the C.L.A up till 30" of June, the leave balances
stand expired and is not carried forward to the preceding year.
C.LA balance is not transferable to the next year or to any other employee.
C.L.A will be caloulated on the basis of working days.
C.LA should not be joined together with annual leave or sick leave,
4.2. Sick Leaves Account (S.L.A) Clauses
) A maximum of eight (08) Sick Leaves are entitled to all permanent employees in one
fiscal year.
i) Any permanent employee can avail Sick Leaves at any time during the year after taking

ii) An employee can avail leave against the accumulated balance in SLA for any period
but not more than 3 days at one time for a justifiable purpose with the approval of the
competent authority. Incase more than 3 days of leave is required in lieu of S.LA, a
medical certificate would be required from a qualified medical doctor.
iv) Ifany employee contracts an illness that extends beyond the prescribed limit, he / she
may avail the rest of the leave balance (casual / sick) subject to the approval of the
Head of HR
v) Where an employee does not avail all the S.L.A up till 30th of June, the leave balances
stand expired and is not carried forward to the preceding year.
vi) _S.LA balance is not transferable to the next year or to any other employee.
vil) S.LA will be calculated on the basis of working days.
vill) All leaves must be intimated through SMS or email to the HR. department & the
respective HOD & the leave form must be filed upon return as per the SOP.
4.3. Paid Leaves Account (P.L.A) Clauses
In continuation of our drive to encourage our employees to achieve a “work life balance” in their
lives, we would also like to encourage them to avail their Annual Leaves, a benefit extended by the
‘Company to give you an Annual break with your families.
Following are the salient features for the PLA
|. A maximum of fourteen (14) Annual/Paid Leaves are entited to all permanent
employees in one fiscal year.
|. Annual/Paid leaves shall be calculated on working days.
Il. Subject to statutory exceptions & approval by the Head of HR, no P.L.A balance shall be
carried forward to the next year after 30th June every year. Un-availed PLA balance for
July 2013-June 2014 shall stand lapsed by June 302014.
IV. _ Only in special cases a carry forward to the next year shall be approved by the HR Head
on the recommendation of the BH / FH.
V. _Amaximum of seven (7) ALs will be cashed within a fiscal year, if not already availed by
the employee.
VI. Employees who had not completed one year of service as of 30th June will not be
entitled to receive any encashment, such employees will be paid for their PLA balance
on June 30, next year but Clause No. 4.3 (IV) will be applicable in this case also.
VII. In case of special circumstances such as marriage, birth, death, etc., employees with
less than one year of service may avail Annual leave on pro-rated basis. Employees on
probation will not be eligible for Annual Leave.
5. Facility to perform Hajj / Ummrah.
The Hajj & Ummrah leaves would be catered as special leaves up till a maximum period of 20 days
once in the career of an employee. It would belapplicable'to all permianenit employees aftericompletion
of their probation.
6. Maternity Leav
A 12-week maternity leave is allowed to female employees thrice in their careers with Sharif Group
(Power Division). These leaves may also be clubbed with any P.L.A balance
7. Paternity leave:
The male employees may also avail Paternity leaves. Paternity leaves of seven working days, thrice in
their careers with the Sharif Group (Power Division) may be allowed on the birth of their child
8. Facility for contract employee:
All the above mentioned conditions would be applicable for a contractual employee except for any
discussion between the concerned BH & the Head of HR & the decision by the Head of HR coming out

‘8. Compensatory leave (CPL):
‘A compensatory leave account will consist of duties performed during weekendloff-day/rest
days/gazzetted holidays. For each compensatory duty performed, employee would be eligible to avail a
day leave for duties.
8.1 Compensatory Leave(Operations team in Shift Rotation)
() Compensatory Leaves will only be allowed for coming & working for and twelve (12)
hours or more for shift duty on a rest day or gazzetted holiday (other than Eid Holidays)
by Shift Manager of Grade 5 and Deputy Shift Managers (acting as Shift Manager) of
Grade 6. Only on Gazetted Eid Holidays Overtime would be applicable.
(i) Compensatory Leaves are entitled to Shift Managers of grade 5 and Deputy Shift
Managers (acting as Shift Manager) of Grade 6 whenever Sth shift Manager is available
Whenever 5" shift Manager is not available, overtime shall be applicable.
(ii) For shift persons of Grade 7 and above, compensatory leave is not applicable, and
overtime would be applicable
(iv) 5® Shift Manager has to perform equivalent to general duty hours during the month. His
assignments would be rotated in general shift and shift operation depending on
requirement. On Performance of 2 shift duties (12 hours), he would be entitled to one
day rest other than his weekend rest.
9.2 Compensatory Leave(General Shift)
Compensatory leaves are entitled to Grade 2 and below.
Compensatory Leaves will only be allowed for coming & working for eight (08) hours or
more for weekend/rest day/gazzetted holiday.
9.3 For Grade 5 and below, compensatory leaves up to a maximum of 10 leaves can be enchased at
same rate of gross salary at the end of the year, if leave in lieu of these CPLs are not allowed by
the management.
9.4 Maximum of 5 un-availed or un-cashed CPLs can be carried over to the next year, to be availed
during first 6 months of the next year.
9.5 For/Head Office Employees

(i Compensatory Leaves will only be paid for coming’& Working for eight (8) hours'during a
gazzetted holiday!
10. Extra Payment for Overtime
10.4 Extra Payment for Overtime(Operations team in Shift Rotation)
Where a permanent employee of Grade 5 and above works in shift duty works for more than Twelve
(12) hours in a day or for more than Forty-eight (48) hours in a week, , he shall be entitled in respect of
the overtime worked at the rate of twice of his basic pay.
i) For employees of Grade 5 (Shift Managers) and 6 (Deputy Shift Mangers, acting as Shift
Manager), overtime would be paid in case of either EID gazzetted holidays, or in case of duties
performed on rest, on non-availability of 5" Shift Manager.
ii) For employees of Grade 7 and below only overtime would be paid for any duty performed on
restigazzetted holiday.
10.2 Extra Payment for Overtime(General Shift)
Where a permanent employee of Grade 7 and below works in general duty works for more than Eight

the overtime worked at the rate of twice of his basic pay.
10.3 For emergency call out in odd hours (7 P.M to 7 A.M), minimum two hours overtime would be
applicable.
10.4 For working hours in holy month of Ramzan, overtime would be applicable to working exceeding,
monthly working hours defined in general shift. It would be applicable to Grade 5 and below.
14. Short Leave
A Short Leave of 3 hours is permissible, twice a month, for all permanent employees stationed at the
Lahore offices. Please note that Short Leave and Late Arrival cannot be claimed together.
12. Half Day Leave
If an employee is absent for more than 3 hours, a half-day’s leave will be deducted if he joins office
within the fourth hour. If an employee is absent for more than four hours, not including lunchtime, a full
day's leave shall be deducted.
If an employee is travelling for business purposes and arrives at their location after midnight, they are
eligible to claim an additional short leave in the first half on the next day.
43. Shift Rota:
Shift Rota is the schedule applicable to people working in shifts. The Shift Rota is divided in two
categories.
13.1 Eight (08) hours shift:
Eight hours shift consists of morning, evening and night duties. All shifts of eight (08) hours
each. For eight hours shift, employee has to perform two consecutive Morning duties, two
consecutive Evening duties and two consecutive Night duties. After the completion of this six
(08) day cycle two (02) duties would be provided as rest. Shift Rota is to be followed
irrespective of weekly or gazzetted holidays. For gazzetted holidays, compensation shall be
provided.
13.2 Twelve (12) Hours shift:
Twelve (12) hours shift consists of Day duties and night duties only. The employee has to
perform two (02) day duties and then two (02) night duties. After the completion of these four
duties four rest-days would be provided. For all calculations, each leave shall be considered as
‘one and half (1.5) leave for employees performing 12-Hour shift duty.
14, Mutual Change over
For Operation employees working in shifts, if any employee is not able to perform his duty due to any
justified reasons, and relieving employees could not be arranged, He will be allowed to exchange his
duty with his reliever/competent person of the same department with the approval for the HOD. Mutual
changeover could be done for maximum two duties in one calendar month. In case of mutual change-
‘over in night shift, Night allowance would be paid to person performing night shift duty.
415. Night Duty Allowance
Employees performing shift duty (operation and maintenance) shall be entitled to avail Night Duty
Allowance on performing duty in Night Shift as per following rates:
Grade 5: Rs. 1500
Grade 6: Rs. 1250
Grade 7: Rs. 1000
Grade 8: Rs. 750
Grade 9: Rs. 500
Grade 10: Rs. 250

Note:
From the date of issuance of this Leave Policy, all previous leave policies and practices being followed
at different Sharif Group (Power Division) locations will be declared null and void. Henceforth, the
above mentioned Leave policy will be uniformly applicable across Sharif Group (Power Division) in all
its business at all locations, for all its permanent employees at all Grades.
