Every information system is expected to have some specific
qualities that enable it to differ from other systems.
SPECIFIC:
Using online forms to easily view add, update records of
customers
Using validation rules, input masks and format checks to
ensure integrity of data and minimize data input error
Using combo box to enable the user to select one of the
options from the list instead of typing text. Bound combo box
can be used to store the selected value into the field
SECURITY
THIS SYSTEM IS MUCH MORE SECURE, THE DATA IS
KEPT IN FILES ANDCAN BE SECURED BY A SIMPLE
PASSWORD.IN THIS SYSTEM FIRE WALLS AND LOCKS
CAN BE INSERTED TO PREVENT INVASION OF
PRIVACY.AND DATA CAN BE EASILY SECURED.
BACKUP’S
THE FILES THAT ARE STORED CAN BE SAVED IN
DIFFERENT PLACES THIS WOULD BE VERY BENEFICIAL
FOR THE BUSINESS BECAUSE IF ACCIDENTALLY THE
DATA IN ERASED THE FIRM WOULD NOT HAVE MUCH
LOSS AND DATA CAN EASILY BE RECOVERED.
EFFICENCY
THE COMPUTERISED SYSTEM IS VERY EFFFICENT.IT
WORKS AT HIGH SPEED AND HANDLES FILES VERY
EASILY.THE RESULTS ARE ALWAYS ACCURATE
PROVIDED THAT THE INFORMATION IS CORRECT
Existing system:
To find out that how the Hyatt hotels existing system works, I
asked them questions through questionnaire. After asking
questions from the Hyatt hotels about their existing system, I
came to know, that how their existing system works.
Negative points:
Time consuming:
When data is written on the register, it took a lot of
time. When, the customer comes data entry took a lot of time
and the procedure is very slow. A lot of paperwork is being
done in it.
Duplication Of data:
The data is being written on so many register, it means
that duplication is being done and it took a lot of time and it is
also not saved.
Working environment:
The environment is not suitable and the furniture is too old
which need to be changed. There is no air-condition and that’s
why the employs can not work. The working process is too
slow. Many complaints have been come about this problem.
Positive points:
Cheap
Registers are cheap as compare to computer and data
entry through it is very easy as computer to data entry in Ms
Access, It is cheap because no skilled labour is required for
it.
Easy to operate
It is very easy to operate because there is no lengthy
process as compare to computer, we will only have to
Take out the registers and simply write the data in it.
Unskilled labour
There is no skilled labour required for it; unskilled
labour on very low wages can work for that organization.
Alternative solutions:
MS excel:
Through Ms excel the organization can easily enter their
data with their each and every information, By this it will be
easier for the employ to work on it and it will be also not
time consuming because data entry through ms excel takes
very little time.
Ms Access:
Using online forms to easily view add, update records of
customers
Using validation rules, input masks and format checks to
ensure integrity of data and minimize data input error
Using combo box to enable the user to select one of the
options from the list instead of typing text. Bound combo box
can be used to store the selected value into the field.
Ms excel
Advantages:
o Run sophisticated calculations to derive the information
you want.
o Use Microsoft PivotTable and Microsoft PivotChart views to
work with your data interactively.
o Create a Microsoft Word mail merge — for example, to mass-
produce address labels.
o Organizes data in columns, also called fields that store a
particular kind of information, or data type. At the top of each
column, the first cell is used to label the column.
o It is also user friendly.
Disadvantages:
o Can't export directly to PDF.
o Queries on data cannot be carried out as in Access Excel
macros sometimes have viruses. Data can only be displayed
in cells.
o Trained users can use it.
o You can not open, form or queries in it.
o Data is in cells form, so it is difficult to find the specific
data.
Ms Access
Advantages:
o you can: Run powerful queries to sort and filter your data
o Generate reports on your data and view them in multiple
formats.
o Use forms to add, change, delete, and navigate your data
easily
Disadvantages:
• Hardware requirements
LCD= we will use LCD because it occupies less space and it is also not
harmful for eyes and also it is the basic requirements.
Key board= It is the basic requirement and it is use to type the data.
Hard disk= Hard disk is the main requirement of the processor, through
which we can store our data
Ram= we will use 512Mb ram so that it could run faster and it is also the
basic requirement of processor.

there bio-data is inserted here.

description, service ID is here to find out about specific service.

This table contains the information of the bill of the customer; there are certain fields in it
such as room-ID, customer Check-out Date.
Customer Table
This table contains the information regarding customer, Its whole bio-data is inserted here,
His date of birth, age, address etc
Room Table
This table contains the information regarding rooms, Room details of the customer is inserted
here, It contains that a customer has booked which type of room and how much he has been
charged by the hotel.
This table contains the information of the services which has been used by the customer, It
contains the details of the services which has been used by the customer and how much he
ahs been charged.
Service Table
This table contains the information regarding services, Every service which is available at
hotel contains an ID and it will checked by this ID and through this table we will be able to
check the service description also.
Queries
Bill Check out date
This Query contains the information regarding bill check out date. The current view is of
design view; it contains the Room-ID, check out date, rent and service, by entering check out
date we will be able to get all this information
Bill Customer ID
This query contains the information regarding Customer ID ,when we enter any customer ID
we will be able to get all the information of the bill of that customer.
Bill Room ID
This query contains the information of the bills, means by entering the customer room-ID we
can find the details of bill of the customer.
Customer-ID
This Query contains the information regarding Customer bio data, If we enter any customer
ID we can get its whole Bio-Data, we will get his telephone no, address Etc.
Customer-NIC Number
This query contains the information regarding customer details by entering customer NIC
number we will get his whole Bio-Data, there are different fields in it e.g. address, Age
telephone no.
Room-ID
This query contains the information regarding rooms; by entering any specific room ID we
will be able to know that customer has booked which type of room and its Rent etc.
Room-Type
This query contains the information regarding rooms, here we will enter Room Type and we
will get the which type of room is it and how many no. of beds etc
Service Detail
This query contains the information regarding services, when we enter the room type we will
get the information of rooms
Service-Customer-ID
Service-Date of Service
This query contains the information regarding service, by entering specific data
Of service we can get all the data of the services.
Service- ID
This query contains the information regarding services when we enter specific service ID
which has been allotted to that service we will be able to get the description of that service.
Forms
Bill Table
This form can be used to enter the data of the customer regarding their bills; we save their
record and can also print it.
Customer form
This form can be used to enter the whole bio-data of a customer, His name, address, etc will
be entered here. We can save this record by clicking on next record and can also print it.
Room form
This form can be used to enter the data of the rooms which the customer has used we can
save this record and we can also print it.
Service Detail form
This form can be used to enter the data of the services which has been used by the customer ,
service date will also be recorded and its amount and rent will too be recorded , we can save
it and can print this record.
Service form
This form can be used to enter the data of the services which has been used by the customer,
we will also enter the description of that service,we can save this record and can print it.
Bill-check-out-date Form
This form can be used to enter the data of the customer regarding their checkout date, there
are four buttons in this record by which we print, go back, save and can close the form
Bill-room-ID Form
This form is used to enter the information regarding bill room ID, we will enter its room ID,
COD, ECOD, rent and service etc, the current view of this form is in design view, we can
save it and can also print it by using the buttons.
Customer-ID Form
This form is used to enter the whole bio-data of the customer, we have to record his/her
whole history in our records, and we can print or save this record.
Customer-NIC-Number Form
This form is used to search the customer data regarding his NIC number when we enter His
NIC number we will get his whole data.
Room-type Form
This form can be used to search the room details by the help of room type when we enter the
room type we will get the customer room details. we will also get how much he has been
charged.
Service-Customer-ID Form
This form is used to search the data of the services which the customer has used; we can
search it by entering the customer -ID
Service-Date of Service Form
This form can be used to search the data of the services but here we can search it through the
date of service, we will be able to get his services details as shown above.
Service ID Form
This form can be used to search the description of the service, used by the customer; by
entering service ID we will get the description of the service, we can also print that record.
Main Menu
This is the design view of the main menu ,there are three buttons a shown above, By clicking
the enter data button ,data entry menu will be displayed, by clicking on the search data , data
searching menu will be displayed/open, by clicking on the preview reports button, report
preview menu will be displayed and we can also this menu.
Entry Menu
This is the design view of the entry menu there are different forms, by clicking the button the
form will be opened and we can also close this menu.
Search menu
This is the deign view of the search data menu, by clicking the forms button , that form
would be opened and we can close this menu also by clicking the close button.

preview would be displayed on the screen, we can close this menu by clicking the close

Relationship
This is the view/screen shot of relationship, there are two primary keys, customer ID and
Room ID. All tables are interlinked because of linkage between them.
Evaluation of System
MINIMISE DATA DUPLICATE:
The files in the system data not duplicate data. Data
duplication is the main cause for difficulties in searching data
so this objective has been achieved and now data duplication
is not being done because of the software.
UP TO DATE:
The data available are up-to-date and in future it should
be updated on regularly bases.

EFFICENCY
Now this system is very efficient, it works at high speed and
handles files very easily. The result is always correct provided
that the information is correct.
Time Consuming
Now a lot of time is not consumed and the work can be done very
much faster, six hours work can be done in 1 hour and it will also be
more efficient.
Future extension
◊ In the future we can extend this project; we can launch
online hotel reservation system by which the hotel will
gain profit for the organisation and it will be used world
widely, more people will use it and the customers would
find it easy to book the rooms in the hotel and also in
future the staff could also use the website to work on it
every where, In future they could make their website so
that the staff can work on it.
