EXECUTIVE SUMMARY

The challenges facing warehouse management today has been greater than before due to globalization, shorter lead time, high customer service level and changing market trends. As a result, the role of warehouse has changed just from storing and issuing of goods to important strategic roles.

Today warehouse must operate with high efficiency to meet the

various requirements in a logistics system. As a result, many companies are investing in information technology tools such as warehouse management system (WMS), bar code, RFID and EDI in their operations to ensure the information flow is smooth to collect and plan the warehouse operations.

WHAT IS A WAREHOUSE?

A warehouse is a commercial building used for storage of goods. A warehouse is normally used by manufacturers, importers, exporters, wholesalers, transport businesses, customs and many other industries.

Typically a warehouse is a large building in industrial areas of cities and towns and usually has loading docks for loading and offloading purposes. Most of the goods stored are sent to a warehouse from railways, air freight and sea freight. Typically one can find equipments such as cranes and forklifts to move goods.

Traditionally warehouses are used for: receiving of goods from a source storing of the goods until they are required picking of the goods when they are required shipping the goods to the appropriate users

PURPOSE OF A WAREHOUSE

The primary role of a warehouse and distribution center is to facilitate the movement of goods from suppliers to the customers and by doing so while meeting to customers demand and in a cost effective manner.

In order to achieve efficiency in supply chain, stocks have to be kept, but this is not the main role of a warehouse. Stocks may be hold for contingencies, or to enable rapid customer service, or in preparation for a new product launch. But in the most basic purpose of a warehouse, it is the transshipment area from where all the goods received are dispatched as effectively and efficiently as possible.

Reasons for holding stock include the following. y As a buffer/consolidation point between two production processes y To cover demand during suppliers' lead-time y To enable savings to be made through bulk purchases or discounts y To cope with seasonal fluctuations y To provide a variety of product in a centralized location

Warehouse should be viewed as a place to transship goods to customers. Although this may involves some temporary storage but, essentially, it is a place where customer order completion is undertaken, combining individual items from various locations and possibly splitting bulk product.

Warehouses and distribution centers have become integral parts of the supply chain, and are increasingly pressured to do more with less. Therefore there is a pressure to perform better in warehouses.

In the near future, warehousing needs are predicted to be increased according to studies done. Customers in general wanted more for less,

because warehousing labor cost is generally lower than manufacturing cost, the warehouse can often perform light manufacturing tasks for less cost. As a result, many facilities are beginning to resemble light manufacturing plants.

Customers nowadays are smarter and they expect perfect orders, increasing speed, continuous improvement and greater selection and customization from their supplier at a lower cost. As the communication technologies are better and readily available anywhere nowadays, enabling accurate analysis. Global competition and pricing pressure forces companies to continue reduction of cost rather than increasing price.

With all this means that the role of warehouses are getting bigger in facing such challenges. Performing value-added services in the warehouse is given a greater priority today than ever before, as reflected in the fact that warehouses are beginning to be characterized by the activities they perform, rather than by their storage function.

Warehouses today are often referred as distribution centers, operation centers, or fulfillment warehouses. Today, a warehouse is no longer a

standalone part but an integral part of the supply chain. To achieve such level of efficiency and effectiveness, there are several solutions and assistance to this and they are called information technology systems such as Warehouse Management System (WMS), Electronic Data Interchange (EDI), Radio Frequency Identification (RFID), Enterprise Resource Planning (ERP), not to mention the internet and many more technologies which can enable the achievement of the goal of the warehouses.

WAREHOUSE MANAGEMENT SYSTEM (WMS)

Warehouse Management System (WMS) have been available since the earliest computer systems were introduced and it allowed simple storage location functionality. From then on, it kept on improving until what it is today. Today WMS systems can be either standalone or as a part of an Enterprise Resource Planning (ERP) system. WMS can be coupled together with other complex technologies such as Radio Frequency Identification (RFID) and voice recognition. However, the basic principle of the WMS has remained the same, to provide information which allows efficient control of the materials movement within the warehouse.

Implementation of WMS is often complicated. Project planning is critical to the success of WMS implementation. It requires warehouse

resources to collect data on the physical warehouse, materials, inventories as well as defining the strategies required to operate the warehouse. Adding to the challenge is to implementing the system while the warehouse is still in operation.

The complexity of WMS implementation varies with different businesses. Data on the physical dimensions and characteristics of each item in the warehouse are required to be collected and entered into the WMS system. The physical size and weight of the items are to be calculated, can the items be stored separately, can it be stacked, all this information are to be fed into the WMS system correctly. Hazardous material information needs to

be collected so that the item is not stored in certain areas. This information is only part of the requirements of the WMS implementation.

WMS system requires decisions or configuration to be made on how items are to be placed or removed from the system, in what order, for what types of materials and what methods of placement and removal should be used. The implementation requires significant input from the resources that operate the warehouse on a day to day basis and this can be a strain on warehouse operations. A successful project will recognize this fact and ensure that the key personnel required for the implementation are given adequate back up so that warehouse operations do not suffer.

After the successful launch of the WMS system, many businesses will find that the resources required to operate the system is greater than prior to the implementation. This is primarily due to the data intensive nature of the software and the fact that warehouses are in a state of flux; racks are moved, placement and removal strategies changed, new items added, new processes developed. Warehouse accuracy is paramount for the software to operate and to do this data will need to be entered accurately and in a timely fashion. Although most WMS implementations will reduce labor costs in the placement and removal of materials, there is often an added warehouse management function required just to operate the software.

BENEFITS OF USING WAREHOUSE MANAGEMENT SYSTEM

FASTER INVENTORY

A WMS can reduce lead times by limiting inventory movement and improving the accuracy of inventory records, thereby supporting a JIT environment. As a result, the need for safety stock is reduced, which increases inventory turnover and working capital utilization.

MORE EFFICIENT USE OF AVAILABLE WAREHOUSE SPACE

In addition to reducing safety-stock requirements, a WMS can often increase available warehouse space by more efficiently locating items in relation to receiving, assembly, packing, and shipping points. This increased efficiency can both improve productivity and lower inventory holding cost

REDUCTION IN INVENTORY PAPER WORK

Implementation of a real time WMS can significantly reduce the paperwork traditionally associated with warehouse operations, as well as ensure timely and accurate flow of inventory and information. Receiving reports pick tickets, move tickets, packing lists, etc., which are typically maintained as hard copies, can all be maintained electronically.

IMPROVED CYCLIC COUNTING

Companies can use WMS to capture relevant data (e.g., frequency of movement, specific locations, etc.) to systematically schedule personnel for cycle counts. Such cycle counts not only can improve the accuracy of inventory records for planning purposes, but also can eliminate or reduce the need for complete, costly physical inventories.

REDUCED DEPENDENCY ON WAREHOUSE PERSONNEL

Implementing a comprehensive WMS facilitates standardization of inventory movements, picking methods, and inventory locations. This standardization helps to minimize reliance on informal practices, resulting in reduced training costs and lower error rates.

ENHANCED CUSTOMER SERVICE

By streamlining processes from order to delivery, companies can more accurately determine product availability and realistic delivery dates. A WMS can automatically identify and release back-ordered inventory and also can reduce returns as a result of increased shipment accuracy.

IMPROVED LABOUR PRODUCTIVITY

A WMS helps optimize material flow, typically by incorporating several inventory picks into one or by "cross docking". Cross docking is a process that routes incoming shipments to the location closest to the outbound shipping dock, thereby reducing warehouse handling.

ELECTRONIC DATA INTERCHANGE (EDI)

Electronic Data Interchange (EDI) is the computer-to-computer exchange of structured information, by agreed message standards, from one computer application to another by electronic means and with a minimum of human intervention. In common usage, EDI is understood to mean specific interchange methods agreed upon by national or international standards bodies for the transfer of business transaction data, with one typical application being the automated purchase of goods and services.

Electronic data interchange (EDI) is the electronic exchange of business information such as purchase orders, invoices, bills of lading, inventory data and various types of confirmations between organizations or trading partners in standardized formats. EDI is used also within individual organizations to transfer data between different departments such as finance, purchasing and shipping.

Two characteristic which differentiate EDI from other ways of exchanging information is that, firstly, EDI only involves in business to business transaction, the individual consumers do not directly uses EDI to purchase goods or services. Secondly, transaction in EDI is between

computers or databases, not individuals. Therefore, individuals sending email messages or file sharing over a network does not represent to EDI.

EDI has been used by large companies since the 1960s, among them is the railroad industry which first adopt EDI, followed by other players in the transportation industry. By the early 1980s, EDI is being used by companies from many different industries. All this thanks to the emerging of telecommunication technologies which enables high transfer speed of data worldwide.

By the dawn of the new millennia, EDI was used widely in many industries, from manufacturing to retail. Some large retailers such as Sears and Target required their supplier to have EDI in order to deal business

transaction with them.

A company uses EDI to exchange information for varieties of reasons, mainly is for the increased efficiency and cost savings. This is because EDI allows transaction to occur in less time and with fewer errors than traditional paper based method. EDI also reduces the amount of inventory a company must invest in by closely communicating with manufacturer to actual demand thus allowing for Just in Time (JIT) delivery. EDI also promotes paperless documentation, thus dealing away with postage cost and space consideration usually involved in storage of paper-based record. With the implementation of EDI, some companies have seen dramatic shortening of delivery time from days to matter of hours. However, EDI does have fault of its own, sometimes one may encounter error in electronic orders but such cases are mainly due to human error while inputting of data into the system.

Although many organizations do not view EDI as a strategic tool, it can certainly be used as one. The capability to engage in EDI is itself a marketing tool, because it can make supplier attractive to retailer and to other organization that purchases goods and services. EDI can also be used to form cooperation between organization that provide advantages above other competitors in several ways such as the ability to offer the lowest market prices and the best customer service.

Reduce lead time and stockholding o Electronic trading documents can be delivered far more quickly than their paper counterparts, thus the turnaround time from order to delivery can be reduced. o By using EDI for forecasting and planning, companies are able to get forward warning of likely orders and plan their production and stock levels accordingly. o Companies receiving Advanced Shipping Notes or Acknowledgments know in advance what is actually going to be delivered and are made aware of shortages so alternate supplies can be sourced.

Increase the relationship qualities between organizations o Electronic trading documents, when printed, are much easier to read than copies faxed or generated on multi-part stationery by impact printers. o Accurate documents help to ensure accurate supplies. o Batches of electronic documents are usually sequentially numbered, therefore missing documents can easily be identified - saving companies trouble of wading through piles of paper.

Competitive edge o EDI makes a business attractive to deal with by customers point of view, because their reasoning is that a business which utilizes EDI would be cheaper and more efficient to deal with then a competitor without EDI. Cost can be lowered because less manpower will be required to process orders, deliveries or payments.

RADIO FREQUENCY INDENTIFICATION (RFID)

HOW RADIO FREQUENCY INDENTIFICATION WORKS

Basically, FRID is a means of uniquely identifying an object through wireless radio frequency identification. The identification is done by a

device called the reader receiving data in form of radio frequency with its own unique identification code from a device called a tag. This method may require no direct line of sight for transaction to occur. The tag will

broadcast the signal which is then received by the reader and the signal is then transferred to a computer. The computer then simply record the reading or to look up in its database to direct further action, or to add on additional information to the tag.

The latest generation of RFID devices allows dozens of individual object within a group to be uniquely identified at one time. Compared to barcodes, which can only read one object at a time thus RFID can be very advantageous in high speed reading, sorting and handling of material applications. Fast simultaneous processing and unattended reading are the main performance characteristics that set RFID apart from bar code.

This advance function however comes with a price, in the past, RFID system often are very expensive thus many organization are reluctant to switch over to this new and efficient technology. Today however, the cost of such system has gone down considerably, with new innovation on tagging devices which suits for warehouses and distribution operations costing less per RFID tags and are often reusable, durable to extreme condition, which helps to dampen the initial cost and also with the advantages which come with its implementation outweigh the reason not to implement it.

In order to improve productivity and control in warehouses, organizations are seriously considering the usage of RFID for day to day operations. This wireless technology help increase efficiency of warehouse management because, unlike bar codes which had to be scanned manually to feed information to computers, RFID tags broadcast signals with information of the product they are attached at to be read by a reader without the need to

directly see the product itself, speeding up data collecting in the warehouse operation.

The main purpose for organization to use RFID is to increase their warehouse efficiency by reducing labour and logistic cost which are otherwise always on the rise and provide ever increasing pressure on profit margins in todays competitive environment. For example, in a warehouse where staff receives boxes of stock together with paperwork detailing items in the delivery. Staffs have to then manually check all the boxes content against the document.

With RFID in place, just one staff would be sufficient to cross check all the content of the delivery without even opening a single box and cross checking with the paper document to verify them, saving huge amount of labour and time. This wireless technology in warehouses can help establish a simple paperless, on-line communication between operations and the staff's computer.

RFID system help employees to identify where to pick, put away, count or move products within a warehouse quickly. This translate to having better control over the movement of material within a warehouse by maximizing the efficiency of the receipt and shipment of goods, optimizing storage space by allowing JIT system and also allow employees to improve and maintain high customer service level.

RFID-based warehouse management brings several benefits that can eliminate current drawbacks with the help of advanced scanning that improves supply-chain visibility and agility for greater operational efficiency. Capabilities include:

o Improved efficiency by using RFID tags that facilitate automatic data entry rather than manually making entries of stock first on paper and then into computer terminals. This eliminates the time required for data entry.

o Wireless warehouse can provide timely information and integration of warehouse data into the ERP system. Integration of warehouse information and ERP system

o Ensures timely and accurate information for invoicing, purchase order payments and inventory tracking.

o Reduces inventory errors, ensuring that the inventory reported is indeed available. By tracking pieces more exactly, companies can more accurately detail what has sold in the last business day, and improve the accuracy of their forecasts about what inventory is actually needed.

ENTERPRISE RESOURCE PLANNING (ERP)

WHAT IS ENTERPRISE RESOURCE PLANNING?

ERP is about attempting to integrate all departments and functions across an organization to a computer system which can serve to all the needs and requirement of every different departments particular needs.

Although building a single system which can link up all the departments within an organization seems to be complicated and that is true. However, most of the department in any organization nowadays has their own computer system which caters to their own needs and the ERP system has to just combine them all together into a single, integrated system that run from a single database so that various other department can easily share information and communicate with each other. Instead of having to build the ERP system ground up, an organization can just use the existing system and connects them together to form an ERP system altogether.

This integrated approach can produce an enormous return of investment if an organization installs the ERP system correctly. Paper based business handling can be cumbersome, the documents maybe send from departments to departments, increasing risk of misplacement, then the document would be re-key, increasing chances of error. With ERP system, there will have no need for paper based business handling anymore, thus eliminating the risk of errors as information flows by.

o As the CEO tries to understand the companys overall performance, they may find many different versions of the truth. Finance department may have its own set while sales have another set. ERP can solve this by creating a single version of the true representation of the companys financial status which is unquestionable because everyone is using the same system.

The implementation of ERP system will nurture establishment of backbone data warehouses. ERP system offer better accessibility to data so the management can easily have the up to date and real time access to information in order for decision making and managerial control. ERP

Strategic planning is a set of steps to access the needs and resources, defining of target audiences and setting of goals and objectives, to plan and design coordinated strategies to success. ERP system has a role to play in supporting resource planning by having the information on available resources to achieve targeted goal.

THE INTERNET

Although the internet may have not changed everything, it certainly has certainly been changing a lot, including activities such as warehousing and distribution. As the internet has sped up the flow of information and increased the availability of data, it also changes the way retailers use warehouses and distribution centers to manage the flow of inventory. Among the most significant impact of internet usage would be the ability to improve the matching between demand and inventory.

Warehousing and distribution practices has changed since the beginning, both as a practical solution in an ever changing industry and as organizations increases their focus on direct marketing, relied more on the internet to drive sales. This evolution will continue to change how inventory is managed to meet the customer demand.

What the internet has done now is changing how we measure demand for inventory, where to store the inventory and how to move it to the point of demand. And because of the creation of the internet, the world now has become smaller, communication travels much faster and often at real time. This make competition much greater and organization can no longer manage on a single strategy to meet the needs of every customer.

BETTER MATCH BETWEEN DEMAND AND SUPPLY

Before the creation of internet technology, demand was often measured only by weeks or months. Today however, it is measured in day, by the hour and possibly minutes. the amount of data provided through the internet make it possible to move inventory more quickly to the point of demand.

The ability to create such match of inventory and demand is due to the visibility of inventory and demand across all channels and having the precise knowledge of the requirement of certain product and also its location at real time which will certainly assist in predicting number of supply needed to meet demand.

EXPECTATION OF MORE RAPID TURNAROUND ON ORDERS

It was just a few years ago where an order for item, whether for a single item shipped to a consumer or cases of product shipped to a store, might take days for the entire processes to run through. Today however, consumers whom order a product can expect to receive them on the same day itself. This is because with the help from the internet, data can travel much faster then traditional mail service. The order placement can be instantaneous can be process just as quickly. With this quicker respond time for order to be made, an organization can certainly expect greater turnaround and profits.
