1. Data verification checks Requirement: A function to help keep accurate and up to date information against a member to comply with the Data Protection Act and improve the ability to send marketing communications accurately. Proposal: For current members, we require an automatic prompt to appear on each member record, n months after the agreement start date and every subsequent configurable amount of months. We need to prompt the operator to check the accuracy and completeness of the personal data and record when this data was last checked: Title Gender Name Address Postcode DOB Email Mobile Home Phone number Work phone number Emergency contact details Medical Conditions Goals Implementation: To configure the applications to check against certain data for verification there is a new configuration form found in the Control Panel > Data > Data Verification. This form is only accessible if the user group has the security token CP_DATA_VERIFICATION_CONFIG. The form controls which set of data will need verification against which agreements in a set amount of time, shown in Fig 1.1 below.

Fig 1.1 Once the Data verification configuration is complete the functionality needs to be enabled, this can be completed via the Legend Control Panel > Global Settings > Additional (1) > Enable Data Verification tick box. Once Data verification is enabled the overnight processing on the data base will use the verification rules configured to raise events against members that require some verification of data. The default event is named Data_verif. Once a member requires validation this event is

raised against them and will be seen when a member checks into FOH. To resolve the event click to load the data verification form, shown below in Fig 1.2.

Fig 1.2 The form will highlight any fields that require validation before asking the user which fields have been validated, if all fields are validated then the event will be set to resolved along with another event explaining what has been changed. If the member still requires some additional validation the event will remain against their account until all fields are validated. It is possible to proactively search for a member and validate their records by clicking on the icon shown in Fig 1.3, this loads the same form as the event.

O NLINE S ERVICES
1. Enable members to renew to their existing agreement Requirement: For member to renew to their existing price type online even if that agreement is not set to show online. Proposal: A new configuration setting will be added to enable members to renew to their existing offline agreements. Implementation: A new configuration option which can be found in the Online Services Administration (OSA) section of the Legend Content Management System (See Note 7 below) named EnableNonOnlineAgreementRenewals. The default setting is On which will allow members to renew to their existing agreement weather it is online or offline. 2. Link to timetable on member landing page Requirement: To add an overview of all classes planned over the coming period. Proposal: To add the timetable view to the existing navigation of the members landing page, named class timetable. Implementation: A new link can now be added to the member navigation on their landing page. The link shows a default 7 day timetable view of the classes at a particular location. The classes are listed in time order, with the instructor name, duration, price and a book link. As shown in Fig 2.1. If a member clicks on book the item will be added directly to their basket ready for them to complete the transaction. There is a drop down option to view different locations that the member has access to. Fig 2.1 If Please note that this is not added by default to all navigation menus, if you would like this added to your Online Member Services please contact Legend Support or your Account Manager. 3. Social networking integration for online and mobile bookings Requirement: The ability to integrate the online (Web and Mobile) bookings process with ones social media accounts, Twitter and Facebook. During the booking process a member will be presented with the opportunity to Share or Tweet a particular activity. Through the plugin this will post to the members social media account that they like this activity or show a preconfigured tweet. These interactions will then show in the members timeline with links off to your desired websites.

Proposal: To add three tabs to the bookings confirmation page which will enable a user to use Facebook, Twitter or Email to share their booking. A predefined message will be included along with a URL and details of the booking. This will be added to both the mobile web application and the website. Implementation: Once a booking has been completed the member will be redirected to the confirmation page, this page will show the social media widgets. Please note that this functionality needs to be enabled by Legend, so please contact your account manager or Legend support to initiate a project to implement the widgets. If you don not yet have Legend Mobile bookings please contact James OBrien to enable this important feature > jobriend@legendware.co.uk Mobile: The first time a user gets to the booking confirmation screen on a mobile device they will be presented with a pop up explaining they may share their booking with friends on the social media widgets. As shown below in Fig 3.1;

Fig 3.1 Once a user registers that they have seen this message by closing the pop up, it will not appear again. A user may then select the application that they would like to use to share their booking on, Facebook, Twitter or Email. Upon clicking one of the social media tabs the user will be presented with the configurable default text, image, URL and a share button. In the case of Twitter and Facebook this will load the relevant site, ask for login details and then a share/tweet button will be presented. The email tab works slightly differently and gives the user the option to enter email addresses they wish to send the information to and then edit the message with the option to send a copy to themselves. Website: The website works in a very similar way but there is no pop up and the tabs are located at the bottom of the page, as shown in Fig 3.2.

4. Subscribe options for calendar on iOS and desktop Requirement: The ability for a member to add any booked activity added to their local calendar on local PC or mobile device. Proposal: To give the member the option upon making a booking to subscribe to the online bookings calendar, which will show the member each booking they have made. Implementation: When a member makes a booking on an iOS device such as an iPhone or windows desktop they will be presented with a link to Subscribe to My Calendar, upon clicking this option the member will get the option to confirm the subscription and from now on all the members booking will show on the relevant calendar. Please note that this link will only show on supported devices which are currently iOS, OSX and Windows desktop. 5. Timetable view added to mobile web app Requirement: To see a list of all classes in chronological order with a day selector drop down. This could be shown on the same screen as selecting activity type. This option will offer members a different view for those that dont know which activity they want to do but instead know the day and time they are available. Proposal: To add a timetable view to the mobile device which shows all classes on a particular day, with the appropriate Book links. Implementation: On the Legend Mobile web app a member can now select to view class by the Class Timetable view. This is found on the Choose your Activity category screen. The current default for this screen is Classes and Courts. The Class Timetable option can be added using the Online Services Administration section in the Legend CMS. There are three configuration items which control the three options which are; Class bookings (MobileEnableClasses) Sport hall booking (MobileEnableSportsHall) Class bookings timetable (MobileEnableTimetable) 6. Option to remember password on mobile web app login page Requirement: The ability for a member to have their login username and password remembered. A check box is required on the login screen, which if checked will remember the members username and password the next time the web app is visited and log them in automatically. Proposal: Add a check box to the login page which gives the user the option to remember their password upon logging in and returning to this site. Implementation: A new check box, Remember Login Details, has been added to the mobile login screen. If a member checks this box the web app will remember their username and password when they next return. The member will be logged in automatically the next time they load the application if they check the box. 7. Online Services Administration (OSA) Requirement: To increase self-administration and efficiency on administrative tasks through use of the Legend CMS.

Proposal: To restructure the CMS to include new areas for OSA. These new areas include configuration of online services and a member administration area to complete basic admin tasks on members, for example linking a member to their correct agreement or confirming an email address. Implementation: The implementation of the OSA involves changes and additions to multiple areas of the Legend CMS; Restructure of CMS The main navigation of CMS has been amended to group key areas together to enhance usability and offer an improved workflow, see Fig 7.1 below;

From the menu structure above there are some new items, mainly the config items for general, services, kiosk and mobile. All of these links point to the new OSA console which includes all configuration options that can be used within the online services, kiosk and mobile solutions. Each configuration item now has a set of tags applied to it and these links prepopulate the search with specific tags, for example clicking on Mobile Config will load all of the related mobile configuration options available. Some configuration items will have more than one tag. An example is the configuration item, Enable Booking Credit: Use is tagged in Mobile, Kiosk, Online Services, Payment and Cancellation. Each configuration item also has three different states Default, Active and Inherited which can be used as additional filters. For the OSA layout see Fig 7.2 below;

Fig 7.2 8. Redirect on logout Requirement: On logout from the online services the website redirects to a URL, for example www.yourwebsitehomepage.com. Proposal: A configuration option will be added to redirect to when a user logs out. Implementation: The new setting can be set in the Legend CMS OSA and is under the OnlineServices tag named webconfigLogoutRedirectURL (Logout Redirect URL). To enable simply enter the required URL into the setting and update. This will then redirect a member to that URL upon logging out of the online services. 9. Credit Note fix Issue: There was an issue with a select number of members whereby they would not receive credit notes or see any credit attached to their account. Solution: The fix enables all members to see and use credit notes as expected.

CRM
1. New home screen and interaction functionality Requirement: Following feedback from the February Retention and Marketing workshop, Legend has begun implementing a series of changes to CRM. Proposal: In this release these have centered on the CRM home page providing better retention based information regarding the selected member and a new quick interaction panel to record member interactions. In addition, Legend has also reworked the Email marketing engine to help align to direct marketing best practices and protect against domain blacklisting. Implementation: CRM can be accessed via the new CRM icon placed on the user desktop. As stated in the proposal the majority of amendments are found on the CRM home page, which loads as the default view. This is shown below in Fig 1.1.

Fig 1.1 The home page is now split into four separate areas offering a wider range of retention information and tools to help a user interact with a member. The top left panel simply shows member swipes (over a configurable risk score) through FOH in the last 2 hours. Against each swipe record is the members current risk score and the time they swiped in. Clicking a member in this list will populate the other three panels with usage and retention information about the member.

The top right panel shows general information about the member including how long they have been a member, goals, interests, balance, and any events of interest against their account. The panel also shows three graphs which show Risk Score, Usage and Bookings over a 12 week period. By default the Risk Score graph is maximized but all three interchange by clicking the maximize button. The bottom left panel shows the members photo (if one exists) and how many days it has been since their last visit and their last interaction (from CRM). There are also icons which flag various events the member has against them, as shown below in Fig 1.2. Fig 1.2 When active the icon becomes highlighted and shows events like debt, open interactions, warnings and member status, hovering over each icon will give a brief description of what the icon relates to. The bottom right panel is a quick interaction panel which allows a user to set a configurable interaction against a member and if that was successful and completed. To configure a new quick interactions click on the configuration menu item. This will load in a new tab and show a list of quick interactions already created and options to create new quick interactions. Simply type in the required values and select the duration and priority and click save. This new quick interaction will be available from the interaction type drop down on the CRM home panel. To initiate a project to configure and utilize CRM please contact your account manager or the Legend Support team.

C ONTROL P ANEL
1. Additions to passback rule Requirement: To ensure that only genuine paid members get to access the facilities so that the company can protect its members and facilities from fraudulent usage. Proposal: To be able to configure passback rules at enterprise, regional, club and workstation level. Implementation: A new tab has been added to Global Settings in the Legend Control Panel for passback control. This tab is named Passback. If passback is already enabled then this will be turned on across the enterprise, including all workstations upon release. It is now possible to set a passback timer and select where passback applies to, if it as a region, club, workstation or gate simply tick the corresponding box next to the relevant location and passback will be enabled. By default some workstations are hidden to make searching through them easier, the default view shows Kiosk, gate and workstations with a register attached. There is a tick box to show all additional workstations if needed. Please note that the existing functionality to allow certain agreements to override the passback functionality is still in place and can be set against the agreement in Control Panel.

G ENERAL M AINTENANCE
1. Database maintenance Maintenance carried out to the database structure to improve flexibility and efficiency across all customers. 2.
