SAP PS (Project Systems)

Product Life Cycle Management Process Cycle: The PLM is as a part of new product development introduction process. If any company want to launch or introduced a new product into the company this can be based on extensive research development basing on customer tastes and references the companies will develop a product. For development and introduction we need to have appropriate design phase, the design engineering, document implementation, product structures will be located by the PDM (Product Data Management). It is integrate with Document Management System (DMS). This design is the base for planning of the materials. This planning will be done by the MRP process. As we know that MRP is supported by the bill of materials and the latest stocks MRP will plan right quantity of material at right time. Hence MRP has become one of the components in PLM area. In order to introduce the QOP and also follow ISO Principles the QM has becomes one of the component in the PLM area. Every customer will treat the product has an assert and would like to and maintain subsequently in the assert in order to take care of assert maintenance, acquisition, warranty, depreciation and retirement the enterprise assert management (fixed asserts) are (assert accounting) has become one of the component in the PLM Area. In support of EAM client maintenance module also becomes a PLM Component. In order to take care of the chemical environment impact and safety SAP has introduced environmental health safety (EHS) which is called Chemical Manufacturing, Pharmaceutical Companies. In order to drive, integrate and plan different components of PLM SAP has introduced project and portfolio management program project manages and PS. As such PS has having which of planning functionalities, execution functionalities and Controlling functionalities. In SAP we are having two sections: 1. The SAP Easy Access Section. 2. Reference implementation section

The SAP Easy Access section is called user section or end user section, core team member section. The section can be used by employees for the regular routine business transactions. The second section is a configuration section. This section can be used by consultants for configuring, developing a solution from non-SAP to SAP prospective. SAP starts with client. The client is highest level of the SAP Enterprise and the client 800 which is delivered by a SAP for learning purposes is called 800 client and it is known as IDES Client Internet Demonstration Education Structure. When the SAP implementation starts the basis consults will establish landscape management out of which 3-tier landscape system is extinguish. In 3-tier system landscape we have 3 boxes each box is called an instance or system or environment. Each box will have 3 partitions 1. Development box will have 3 partitions. First box stands as sand box client which is nothing but a play ground used for different iterations. Second partition is golden client used to stimulate certain business requirements and where it contains meaning full configuration data. If needed this data can be copied to the other client called testing client by client copying functionality. 2. The next box is quality box here the end users will do extensive testing of the configured process in the development instances. If needed for transportation use STMS transaction. 3. The third box is production box or live box where the business run the actual business transactions on live/production servers.

Defining enterprising structure in SAP

Define Company: Menu Path: SAP Reference IMG->Enterprise Structure->Definition->Financial Accounting>Define Company Now Defining Company: Go to New Entries and define new Company Table Company Code: Menu Path: SAP Reference IMG -> Enterprise Structure -> Definition->Financial Accounting -> Define, copy, delete, check Company Code. Go to new entries and maintain company code table

A company code legal entity where usual report a probability and balance figures hence we must define the company code with physical address of the company code without you cannot save. Now Defining Plant: As we know that the component of plant as it comes to production planning module and it is linked to logistics. Hence the plant can be defined from logistics section plant is nothing but a manufacturing facility. A physical building, a service centre etc. hence define the plant using logistics. Menu Path: SAP Reference IMG -> Enterprise Structure -> Definition->Logistics-General -> Define, copy, delete, check Plant. For establishment of plant for manufacturing inventory, MRP, Valuation, Plant also must be created with physical address. Now define Storage Location: Department is for storing inventory and also movement of materials hence define location. Menu Path: SAP Reference IMG -> Enterprise Structure -> Definition->Logistics-General -> Define location New entries and maintain location table As the storage location also needs physical entrance for movement of materials. Hence maintain physical address of each location attaining to plant. Defining Sales Organization: Menu Path: SAP Reference IMG -> Enterprise Structure -> Definition->Sales and Distribution -> Define, copy, delete, check Sales Organization. New Entries or copying functionality ---> Select the source and Click the copy as change the source Defining Distribution Channel: Menu Path: SAP Reference IMG -> Enterprise Structure -> Definition->Sales and Distribution -> Define, copy, delete, check Distribution Channel. New Entries or copying functionality ---> maintain distribution channel Defining Division Channel: Menu Path: SAP Reference IMG -> Enterprise Structure -> Definition->Logistics-General -> Define, copy, delete, check division. New Entries or copying functionality ---> maintain division table. Defining Purchasing Organization: This purchasing organization is a component of M.M. and it is used in procurement for generating purchasing requisitions, purchasing orders etc. Menu Path: SAP Reference IMG -> Enterprise Structure -> Definition->Materials management -> maintains purchasing organization. New Entries ---> maintain purchasing organization Now the definition of enterprise structure components has been done and start assignment of organizational structural elements defined in our earlier case. This assignment leads to hierarchical enterprise. Menu Path: SAP Reference IMG -> Enterprise Structure -> Assignment->Financial Accounting -> Assign Company Code to Company

Menu Path: SAP Reference IMG -> Enterprise Structure -> Assignment->Logistics-General -> Assign Plant to Company Code Menu Path: SAP Reference IMG -> Enterprise Structure -> Assignment->Sales and Distribution -> Assign Sales Organization to Company Code Menu Path: SAP Reference IMG -> Enterprise Structure -> Assignment->Sales and Distribution -> Assign distribution channel to Sales Organization Menu Path: SAP Reference IMG -> Enterprise Structure -> Assignment->Sales and Distribution -> Assign division channel to Sales Organization Menu Path: SAP Reference IMG -> Enterprise Structure -> Assignment->Material management -> Assign purchasing organization to Company Code Menu Path: SAP Reference IMG -> Enterprise Structure -> Assignment->Material management -> Assign purchasing organization to Plant Viewing of the defined enterprise structure (Hierarchal and enterprise structure) if you want to see directly go to EC01 Menu Path: SAP Reference IMG -> Enterprise Structure -> Definition->Financial Accounting -> Edit, copy, delete, check company code This leads to blank screen. Click on the organization structure button. Now click on navigation button. This leads to appearance of help information and go on click on continue. Project: For order to create the definition of a project we are going to make use of the following configuration parameters. Menu Path: SAP Reference IMG -> Project System -> Structures->Operative Structures -> Work Breakdown Structure (WBS) -> Project Coding Mask -> Define Special Characteristics Project -> Define special characters for project-> Define project coding mask is base of project number mechanism -> Now take T-00000.x.x.x.x.x After checking the project checking mask ->define project type WBS -> create project type for the WBS element -> new entries (to maintain project type table) CN/CE -> Construct Project Type Create Project Type for the WBS Element Create Project Profile Menu Path: SAP Reference IMG -> Project System -> Structures->Operative Structures -> Work Breakdown Structure (WBS) -> Create Project Profile Now assign Project Type CE Now enter and save project Group Create Project Responsible Person Menu Path: SAP Reference IMG -> Project System -> Structures->Operative Structures -> Work Breakdown Structure (WBS) -> Specify Persons Responsible for WBS Elements New entries -> 90 sam -> save Easy access -> Logistics -> Project Systems -> Project ->CJ20N

Project: project is nothing but group of tasks, operations or activities which are well planned in nature and has unique special characteristics projects also can be considered as group of work packages. As we know that work packages in quantitative and qualitative description of activities that are performed in a project for every project do have certain time limits. Every project whole execution do consume resources, costs, capacities, budgets and while executing project every chance of facing risks constraints and delivery failures. These all are definitions coming from PMI when the projects when it comes to PS area could be terms as project definition. Which is nothing but a project but the framework for structuring a project. For every project deaning do have dates start date and finish date which are considered as time boundary limits of the project. For every project definition do have unique project numbering mechanism depends upon the special characters that a permitted in project numbering and the project coding mask. Ex: CP 000 xx xx xx xx 001 xx xx xx xx 999 xx xx xx xx For every project definition you have project type is the classification of the project, for every project type for ex: engineering project, investment management project, time and material project, real estate project etc. The reporting attributes keeps on changing. In order to accommodate or in order to group the changed KPI (Key Performance Indicators) we have to define the project profile. The project profile is the set of important default KPIs which are required for creation of the project. Using project builder CJ20N we will structure the project while creating the project you have define the project in project definition. i.e., at the time of creating project definition. You must mandatory provide the project profile. Then all the important attributes that are available in the project profile would get defaulted into project definition and get saved in the project definition. For creation of project definition. Work Breakdown Structure (WBS): The wbs structure is the space holder for holding the multiple departments. WBS stands for Work Breakdown Structure. This wbs structure will hold multiple departments (WBS elements) each department depending upon the extent of analysis or degree of analysis we are going to breakdown the departmental work into minute breakable elements. The wbs elements will consider as a model building blocks for structuring the project it helps the project management to have complete overview of the project and it is said to be having complete picture or snapshots of the project. Wbs element is consider as a functional base for subsequent planning tasks in the project systems area such as process planning, cost planning, date planning, scheduling and reporting. For every wbs element SAP has given the three operative indicators each indicator is having specific business function in projects also called as the characteristics of wbs elements or operative indicators. These are 1. Planning indicator or planning element: this is meant for planning like material planning, date planning, cost planning and budget planning etc. 2. Account Assignment element or indicator: this wbs element is expecting some finance posting or cost posting from finance and controlling. In addition to that the business may expect to raise the commitments against the wbs elements. This account assignment element is the wbs element for settlement as well. 3. Building indicator or element: this indicator is for revenue planning, generation of building documents etc. Structuring methods of project using WBS: Menu path: Easy access -> Logistics -> Project Systems -> Project ->CJ20N Creation of project from scratch. Put your cursor on the project definition, right click -> create -> WBS structure or element. or drag the WBS element from the template. Assembly processing: Prerequisite for Assembly Processing. Templates: 1. Standard WBS Element: the common list of departments to be identified and can be created as standard wbs elements. Using this standard wbs elements the business can create the most frequently and common used projects. The standard wb element is called non-

operational wbs element. The standard wbs elements can be created by 1. Creation of wbs element from scratch Menu path: Easy access -> Logistics -> Project Systems -> basic data ->Template -> Standard WBS -> Create CJ91 Here we are considering elevator lift assembly for assembling process scenario. Hence take the project coding mask as e-0000-x-x-x-x (IDES Elevator) For ex: e-9753 Take your project profile 1004 Press enter Proj def: e-9753 OTIS Elevator Assembly Go and Click on the WBS element Overview icon and start entering your department wbs element enter. e-9753 e-9753-1 e-9753-2 e-9753-3 Press enter OTIS Elevator Assembly OTIS Mechanical Engineering Dept OTIS Electrical Engineering Dept OTIS Final Assembly

Go and Select the wbs element E-9753-1,2,3 Go to edit ->object ->level down After activating the respective operative indicators of the WBS element or characteristics of the wbs element. Now go and check the status of the wbs element. Go and click on project definition icon and enter As the system status is CRES in order to make the project RELS Go to-> edit -> Status ->release ->enter ->save your standard WBS Element. 2. The standard creation of standard wbs element by copying functionality: Go to the CJ91 or create You are seen 2 sections The bottom section is called the sourc4e (from) and that top section is called target section (to) in order to convert that 9753 to 9754 Click on replace icon In order to include the changed keys go and click on include function. This includes wbs element function into the 9754. Create of project from template: Now go to CJ20N transaction Click on create copy project Second prerequisites for standard network: Standard network is the template containing list of sequences of operations or activities standard network can be called as template (task list). a. Creation of standard network from scratch: Menu path: easy access -> Project Systems -> basic data -> Templates -> Standard Network
