Peer Ministry
Peer Ministry President The PM President is responsible for the operation of the Peer Ministry Team as a whole. He/she has power to effect operational policy (i.e. weekly meetings, reports, etc). The Peer Ministry President is responsible for keeping the PM Team organized and running efficiently, as well as helping all of the PM members to work to the best of their abilities. He/she is also the liaison between the PM and PC, thus the PM Chair must be a good organizer and communicator. The PM President is someone who has been involved with PM and knows the ins and outs of the running the day-today activities. This person should lead by example, and be a strong representative of the Catholic Center for all students, alumni, and the outside community. Outline of Responsibilities: Organize Monthly PM Meeting o Prepare agenda, notify PM Team, and keep meeting efficient and productive Make sure all members are able to voice an opinion, and the group works as a team, ensuring complex tasks or events are not tackled by one person Conduct monthly individual meetings or phone conversations with PM leaders

Calendars, Newsletter o o Coordinate scheduled events with Director and Campus Minister Work as a team with other leaders to develop the main PM events for the year preferably finalized before the summer begins Create monthly electronic and paper calendar with all upcoming events Create monthly newsletter with pictures and past events from past weeks Update monthly calendar bulletin board located in Catholic Center hall

Train and Develop Peer Ministry Leaders o Check in with all PM leaders periodically to see if they need any help and to evaluate their effort and performance Give advice based on past experience and encourage leaders to keep up the great work Work with Leadership Development Chair to help identify and train PM coordinators

Peer Ministry Vice President The Peer Ministry Vice President is responsible for all PM President duties, in their absence. The PM VP is an important position that is responsible not only for ongoing events, but also for helping to develop leaders in our community. The PM VP must be willing to reach out to strangers, work with all members of the current leadership, and be organized in planning leadership efforts. Outline of Responsibilities: Work with other senior members of the leadership team to develop workshops for leadership development o Spring training workshop for newly elected leadership team o Fall leadership retreat for leadership team Actively seek to place volunteers into fruitful roles in our ministry by interacting

Be the Peer Ministry Liaison to the Director and the Pastoral Council o Attend all PC meetings and present event recaps and future planned events Make monthly presentation to Director with details for all planned PM events People in charge of event Budget / financial needs Expected attendance Other needs

with students and placing them into areas that match their interests and talents Coordinate and lead Speaker events o Search and bring speakers relevant to our Catholic leadership development o Coordinate volunteers and ensure proper promotion to the community Work with the Peer Ministry President to identify and train PM coordinators Be in charge of Ministry sign-ups, involvement fair, discernment nights, and all getting involved reaching out efforts.

Train Volunteers: The Lectors, Eucharistic Ministers, and Sacristans need to be trained. Lector and Eucharistic Minister trainings are held on the first Sunday of every month after the 10:30 AM and 7:00 PM Masses. Fr. Lawrence and Anthony handle the main training while the Liturgy Chair assists them. However, it is the Liturgy Chairs responsibility to train the Sacristans.

Main Events: Fall & Spring Involvement Fairs, Fall & Spring Peer Ministry sign-ups, Fall & Spring Welcome Week socials, Leadership Training workshop, Leadership retreat, Freshman Retreat Liturgy Chair The Liturgy Chairs main responsibilities pertain to the Mass. This includes: recruiting, training, and scheduling volunteers for the various mass positions (Sacristan, Lector, Eucharistic Minister) and maintaining the liturgical environment (seasonal colors, flowers, candles, etc.). In addition, responsibilities include: the bread making committee (Eucharist bread), the hospitality committee (coffee and donuts after mass), the Liturgical Environment committee (decorations and setup for the chapel), and special masses such as Holy Week and Mass of the Holy Spirit in the Fall. The Liturgy Chair will also coordinate with choir and facilitate when possible. Outline of Responsibilities: The Mass

Schedule volunteers: The monthly volunteer schedule is organized by the Liturgy Chair and sent out to all volunteers via email.

Liturgical Environment Committee o This mainly consists of changing the colors of church decorations in accordance with the liturgical seasons. It also requires that fresh flowers be bought and arranged. These duties fall under the Environment Coordinator/Committee.

Bread Making Committee o This committee makes new bread to be used during the mass for Eucharist. This committee meets on an as needed basis.

Recruit volunteers: This mainly consists of letting people know that we need volunteers to help make the Mass functional. Volunteer positions include: Lector, Eucharistic Ministers, Sacristans, and Choir Members*. This is mainly done during the fall and spring welcome weeks.

Hospitality Committee o The members of this committee set out coffee and donuts after all the masses. The donuts are bought at Spudnuts on Figueroa and the coffee is brewed at the Catholic Center.

Spiritual Life Chair The main responsibility of the SL Chair is to provide students with opportunities for spiritual growth outside of the mass. These opportunities include, but are not limited to: Retreats, Small Christian Communities, Worship & Adoration nights, and Faith nights. The Freshman Retreat is in the fall semester, and the General Spring Retreat is in the spring semester. The Worship and Adoration nights are monthly, and the Small Christian Communities meet weekly. Several speakers should be arranged each semester, whether for Advent, Lent, or any spiritual topic. The position does not require the Chair to lead every event, but rather delegate and develop others to build the spirituality of the Center through creative events that appeal to the students. Outline of Responsibilities:

Delegate and develop others to lead Spiritual Life events, such as Worship and Adoration Attend all Peer Ministry meetings and coordinate event scheduling with PM President.

Social Justice Chair Chair of the Social Justice Committee has some leeway to bring a diverse set of programs and events in the pursuit of acting out the principles of good will, social justice, and community service. Yearly events include blood drives, toy drives, Relay for Life, Alternative Spring Break (Tijuana!), speakers from Catholic Relief Services, and the annual Serve Your Neighbor Day. Los Angeles is full of many opportunities to serve the needy and certainly provides a canvas to work Gods plan. Activities may change yearly depending on the issues important to the nation and to the world at the time. Should keep and open heart and a positive spirit. Outline of Responsibilities: Plan and execute two Social Justice events a month Form and lead a Social Justice team (meet monthly) Attend all Peer Ministry meetings and coordinate event scheduling with PM President Work with coordinators and committee members to come up with new creative ways to help those in need and create volunteer opportunities for students Work with coordinators to delegate specific responsibilities , especially for homeless ministry and alternative spring break

Form and lead a Spiritual Life team o Could be a formal committee or a more fluid group of people depending on your leadership style o Meet with the group monthly Organize a retreat team to plan the Catholic Center Spring Retreat o Plan and organize all aspects of the retreat: location, cost, transportation, activities, speakers, promotion, etc o Must secure location at least 3 months prior to retreat and being planning at least 4 weeks prior to retreat Work with Freshman Ambassador to plan Freshman Retreat o Same logistics as above, but on a smaller scale Organize Small Christian Community leaders, hold sign ups, and coordinate group members and meeting times o Act as the hub for all the groups, maintaining good communication o Provide resources to the different leaders and continuously strive to grow its network Ensure that the Spiritual Life team organizes one Worship & Adoration night

Communicate and promote social justice events through mass announcements and written flyers/banners Keep informed of social justice issues in the news and how they relate to Catholic social teaching

possible, make this something away from the USC area. It is a refreshing change. Past socials have included bowling, movies, and shopping, but feel free to get creative. Community Dinner o These dinners are a monthly tradition. Its a home-cooked meal on real china and silverware. Find a set-up crew and clean-up crew Find a shopping/cooking crew. Try to have one scheduled 2 weeks in advance Communicate with the marketing committee about advertising Make a Facebook event

Community Building Chair The Community Building Chair oversees all events that build up the social life at the Catholic Center. Your focus is bringing together the community to be more than just parishioners, but more like a family. Your duties include one Community Dinner per month and one other Catholic Center social event per month. As Community Building Chair, you need to be very organized and lead by example by being personable, helpful, and very welcoming to other parishioners. When you notice people feeling left out, it is your duty to make them feel welcome and help them find their niche at the Center. Consider yourself the bearer of good (clean) fun to all parishioners. Outline of Responsibilities: Form a committee o This may or may not be a formal committee; its dependent on your leadership style. But you WILL need to find a core group of people that can help you with your events or you will get burnt out. If there is one thing Ive learned as Chair, it is that God and your community never cease to surprise you with how they are willing to help. o o

End of the year banquet o Usually involves dinner and a touching slideshow at a creative venue. Other than that, feel out your community for the type of end of the year event that they would like best.

Freshman Ambassador Freshmen Ambassador is the primary facilitator of relations between the freshmen class and the Catholic Center. As an ambassador the FA familiarizes freshmen with the activities/programs the center offers; this person also lends support and advice during their first year of college life. Perhaps more than any other position, FA requires direct contact, coordination, and collaboration with students themselves to create an atmosphere of trust and friendship for their faith to flourish. Outline of Responsibilities: Organize Freshmen-specific events o Beginning of the Year Social Important to get the word out on campus, at the dorms, mail, and Facebook Past socials included ice cream social, game night, and BBQ

Attend all Peer Ministry meetings and coordinate event scheduling with PM President o It is very important to plan ahead for social events and they must be scheduled before the semester begins or several weeks in advance to ensure the best attendance and execution

Community Socials o This occurs typically on the 2nd Thursday of each month. If

someone that is very responsive (easy to reach on phone or email) to the needs of the team. Outline of Responsibilities: Attend all Peer Ministry meetings and maintain close communication with leaders in charge of upcoming events Form a Marketing team, it could be a formal committee or a more fluid group of people depending on your leadership style o Different skills will be needed such as poster making vs. video making vs. computer design; Find the people that can fill the skills you dont have Create advertising media for Peer Ministry events, with more emphasis on larger events o Make posters; must be clear and visible, originality a plus o Work with Tech Chair and event coordinator to design flyers o Produce videos or slide shows to attract student attention o Brainstorm ideas of catchy event names and logos Keep campaigns on schedule o Insure that campaigns go into effect at least 2 Sundays prior to the event date e.g. if the event is held on Thursday, the 20th, the campaign must begin before the 10:30 AM mass on Sunday, the 9th o Keep in touch with all members of the Marketing Committee for updates on their assigned tasks

Freshmen Scavenger Hunt (Spring Semester) Other events including dinners, LA trips, etc.

Keep close, often individual contact with freshmen via email/phone/in person o Inviting freshmen to events on Facebook Foster a collective spirit in the group o Advocating and preparing freshmen for future roles at the Catholic Center

Work with Leadership Development chair to coordinate volunteers

Marketing Chair This position works to publicize the events held by the Catholic Center. The Marketing Chair is responsible for coming up with creative media to spread the word about the Catholic Center and specific events. These media take the form of flyers, logos, posters, videos, and catchy names for events. This position requires a very creative person who is willing to work on a stream of different projects that come with the planning of events throughout the year. In addition, the Marketing Chair requires someone with dedication, a self-starter , and

Special Events Chair The special events coordinator is responsible for being the liaison between students and church staff to organize and plan the major events at the Catholic Center. This person must be extremely organized and be able to work with others in a fast paced environment with lots of pressure. Key events include:

Welcome Back Fiesta Alumni BBQ Tailgate during the Fall Football Season Major special celebrations such as the 50th Anniversary Guest Speakers for the Speaker Series - ie: Caruso, Orfalla

Form a fundraising team to achieve fundraising goals Plan and execute one fundraiser event per semester o Past events have included Community Dinner Person Auction, ASB Built on Rock concert, bake sales, and others Use the University funding system to apply for funding o Learn the application process and work with other leaders to obtain funding; funding sources used in the past include PALM and USG Leadership Board o Ensure proper timing, usually 4 to 5 weeks for USG funding and 2 weeks for PALM funding o Follow up with all requirements and documentation (invoices, receipts) Develop other creative ways of raising money

Outline of Responsibilities: Finding committees to help assist with the events Communicate effectively with the entire event team o must be able to keep volunteers updated with events by email, phone, etc

Oversee the execution of the special events and be able to direct volunteers to their respectable jobs Attend all planning sessions for the events with the Catholic Center staff and other Peer Ministry leaders

Technology Chair The Technology chair cooperates with marketing and the different ministries to promote events through the use of technology. Beyond the everyday activities of cooperating with the webmaster to have the site running, promoting events through Facebook, and some digital artwork for retreats and other events, it is encouraged that the technology chair take on a semester- or yearlong project. Past projects have included the redesign of the Catholic Centers website and the creation of a legacy database. A new project could include an expansion to the website or planning ahead for the new Catholic Center. Outline of Responsibilities: Attend all Peer Ministry meetings to be in touch with what the other leaders need

Fundraising Chair In its effort to offer the best possible events, the Peer Ministry team needs to effectively raise and manage money. The funding chair is responsible for overseeing the PM budget and raising money for its operation. This position requires organizing events as well as doing work behind the scenes. Additionally, it bears much responsibility since his/her work affects not only one area of the PM team, but the entire team. The Funding Chair must be reliable in handling money, and must be a good communicator since he/she needs to communicate with the director and other PM leaders to maximize the value of our funding. Outline of Responsibilities: Attend all PM meetings and coordinate fundraising event scheduling with PM President

Update website with current events once a week

Update the Facebook Catholic Center group every two weeks o Make sure that you take care of the little things (updating the calendar, facebook, etc)

Organize social events with the UCLA Catholic Center and possibly other schools o Catholic Cup (friendly competitive sports game with UCLAs Newman Center), mixers, social gatherings etc. o Reach out to other organizations such as Greek life, cultural organizations, LA archdiocese Young Adults or other religious groups in search of socials, speakers, volunteer opportunities, and ministry ideas

Be on the lookout for technology solutions that can save time or improve work o A lot of the projects are individual, which gives you great flexibility to work on them. However, make sure you set deadlines and schedules out for your work. You will have downtime in between project, use the extra free time to get involved and help out other ministries.

Graduate Student Ambassador The Graduate Student Ambassador is the liaison between the Graduate Student group and the Peer Ministry Team. In addition, the Graduate Student Ambassador works closely with the Graduate Student Representative on planning graduate student events and activities.

Outline of Responsibilities: Attend monthly Peer Ministry meetings o Report on minutes to Graduate Student Representative Help coordinate Graduate Student Group activities

External Relations Chair The main responsibilities of the External Relations Chair are to maintain contact/relations with outside organizations within the USC community and with other Catholic Center Organizations in the general LA area, in order to network and make other groups aware of the USC Catholic Center Community and its presence. The External Relations Chair must be an outgoing self-starter that is willing to reach into the unknown to develop opportunities, partnerships, and find information that will help improve our ministry at USC. Outline of Responsibilities: Organize Catholic Center involvement in non-USC Catholic Conferences o National Coalition of Catholic Students (NCSC) conference (December). o Other Catholic conferences Religious Education Chair Offers opportunities for Catholic formation, including Catholic speakers, Religious Education Congress, Catechism for College Students, Catholicism 101, also acts as liaison to the Institute for Advanced Catholic Studies.

Pastoral Council
Pastoral Council Chair The Pastoral Council Chair is the chief student leader at the Catholic Centerthis person directly manages the running of the Pastoral Council and remains integrally invested in the activity of the Peer Ministry Team. PC Chair makes sure members of the PC and PMT fulfill their duties,

and is also responsible for maintaining direct communication between the two branches. In addition PC Chair is also the direct liaison between the Pastoral Council and Director. Other responsibilities include: helping develop young leaders, providing guidance and support for all members, decisions, and events, and representing the Catholic Center to the rest of the Catholic community, university, and beyond. Outline of Responsibilities: Organize monthly Pastoral Council meeting o Create agenda of items to be discussed by gathering information from the Peer Ministry team, Director, and other Pastoral Council members prior to the meeting. Ensure a productive meeting by notifying the PC at least one week in advance, directing the meeting in an efficient way, and allowing all opinions to be heard

Represent the Catholic Center and promote its cause in front of alumni, donors, University faculty, Church clergy, among others

Be present and take an active role in Welcome Week activities o Fill out paperwork ensuring that the Catholic Center is recognized as an official religious organization of the University. The beginning of each semester is key to set the tone of the semester and leadership team

Finance Council Rep The student finance council representative sits in on meetings for both the Pastoral Council and the Finance Council. Because this representative will be meeting on a monthly basis with both of these groups, discussing a variety of key topics concerning the parish's well-being, it is important for the representative to have a good overall feel for the parish's strengths and weaknesses, as well as its long term goals and direction. While it is not essential, it is also helpful to have a solid understanding of financial statements, such as balance sheets and income statements. The bulk of the finance council meetings consists of analyzing these financial statements and discussing the capital campaign. Outline of Responsibilities: Attend all Finance Council meetings and relay information to PC team Work with PM President and other student leaders to develop Peer Ministry budget for the upcoming year (to be done in the Spring Semester) Keep track of PM expenses by working with staff accountant

Be the primary communication liaison between the Director and the student Leadership team o Meet with Director twice a month to communicate key issues Send out monthly email to both Pastoral Council and Peer Ministry to maintain team unity and emphasize the most important happenings at the CC

Demonstrate exceptional and continuous leadership internally and externally o Be actively engaged in the development of younger or less experienced team members Champion ideas and events at the Peer Ministry level that are judged to have the most future potential

Advisory Board Rep The advisory board representative is the key student to the parish advisory board established to

manage the building of the new Center. Duties include relaying back important information to the council as well as expressing student concerns/desires/opinions at the Advisory Board meetings. Outline of Responsibilities: Attend all Advisory Board Meetings (Thursdays at lunch, business attire) and present to Pastoral Council and the Parish at large as needed Be an active voice in the Advisory Board relaying the needs and wishes of the student body Coordinate logistic plans for the construction transition period Attend Advisory Board fundraising events

Graduate Student Rep The graduate student representative will serve as the primary contact of all graduate students to the Pastoral Council. This person will work directly with the Peer Ministry Graduate Student Ambassador to organize events. Responsibilities include relaying any particular concerns or issues of the graduate student population as it relates to the Catholic Center. Alumni Rep The alumni representative will serve as the primary contact for all Catholic Trojan Alumni to the Pastoral Council in conjunction with the newly forming Catholic Trojan Alumni Organization.

Interfaith Council Rep The Interfaith Council Rep will serve as the primary liaison between the USC Interfaith Council and the Catholic Center. Duties include attending weekly Interfaith Council meetings at the University Religious Center, and relaying information back to the Pastoral Council. This position should be filled by someone with a special interest in promoting interfaith dialogue as well as helping represent the Catholic Center as a religious organization to the University. Outline of Responsibilities: Attend all Interfaith Council meetings (Tuesdays 7pm) and relay information to the PC, Director, and Campus Minister Promote ecumenism and inter-religious events within our Catholic community

Faculty/Staff Rep The faculty representative will serve as the primary contact for USC Faculty and Staff to the Pastoral Council. Responsibilities include relaying any important and pertinent university information as it relates to the Catholic Center, and acting as a liaison between the two should the need arise. Parent Association Rep The Parent Association Rrepresentative is the key student to the Catholic Trojan Parent Association. Duties include relaying back important information to the council as well as expressing student concerns/desires/opinions at the Parent meetings. Outline of Responsibilities:

Attend all Parent Association Meetings and present to Pastoral Council and the Parish at large as needed.

Upper Class Rep The upperclassmen representative will serve as the primary contact of the Junior and Senior classes to the Pastoral Council. This position will be filled directly by a member of the Peer Ministry Team and must be of rising Jr. or Sr. standing. Lower Class Rep The lowerclassmen representative will serve as the primary contact of the Freshman and Sophomore
