What is SPX?
Simply put, FirstDoc SPX provides the ability to view, edit, and manage content stored in FirstDoc through a SharePoint user interface. Using individual Web Parts which are the building blocks of a SharePoint page, FirstDoc features and functions can be embedded in a SharePoint portal for a more flexible deployment. SPX is based on Wingspans DocWay Web Parts, which provide the basic Documentum to SharePoint connection. We chose DocWay because it is the most flexible product on the market and enables SharePoint to deliver the FirstDoc business rules our users have come to know and expect. Big News on the Collaboration Front
Ever since we started working with users on document management systems one area more than all the others has generated discussion during workshops what tools are available for collaborative authoring and review? As you know, the most widely deployed solution is the use of PDF based annotation tools. Many of our users find these difficult to manage and work with, particularly when many comments are attached or coauthoring is required. Give us track changes they proclaim well in 5.0 we went some of the way with the Track Changes Edit workflow, but of course, that needed people to work on the document one after another, not true collaborative working. Well now we are excited to announce that with FirstDoc 6.0 the capability for concurrent track change-based authoring will be available. The Collaborative Review Xperience or CRX add-on will allow multiple authors to make tracked changes to a document and share these changes using a SharePoint collaboration workspace. This functionality, originally deployed in FirstPoint, will be integrated into the Documentum Workflow enabling the automated setup of the workspace and notification of members and the management
of concurrent changes to the document. Upon completion the updated document will be brought back into the Docbase when the workflow task is concluded. See the diagram below for details of the process flow. This major development is a massive step forward for the authoring community. Suddenly collaborative authoring in a controlled environment becomes a reality. Users will be able to work on their documents without having to take them out of the system and into the uncontrolled world of the file-share and email. The FirstDoctor Is In: Jon Ominsky
Many of you have contacted me over the last several months with various technical questions. And be sure, your feedback makes FirstDoc a better product. Id like to take the opportunity to discuss the dominant issue in my first contribution to the Tech Corner. As of FirstDoc 4.3, field level validation for property screens is configurable and can be accomplished via the Property Validation Configuration objects. These can support validations such as enforcing a pattern for text entry, e.g., a social security number ###-##-####. They also support enforcing the dates fall before, after or between specified dates. In addition, as of FirstDoc 4.3, you can automatically assign a propertys value based on other property values. For example, you can automatically set the name and title of CRF Pages to the CRF Page ID and the CRF Page Name. This is useful when scanning in case report forms. Batch Creation Assign common property values to all documents in a batch Index Assign property values to individual documents from within InputAccel Derived Properties Automatically assign property values (such as object name or title) based on literal data and other properties Post Import Processing Automatically launch a workflow with a configurable set of selected users, initiate a status change and/or send a notification to users informing them the new document was imported With this tool set, a user can assign common properties for a batch of similar documents and have the system automatically assign unique properties and send the documents on review/approval workflows without ever logging into Webtop!
Notifications may include links to the associated documents. When you click the link, the PDF rendition opens, if available. If there is no PDF rendition, the document opens in its native format. Using Restricted Edit on dictionarybased properties. Restricted Edit can be particularly useful as a means for responding to real-world changes that affect values in the standard and product-related dictionaries. However, a number of the dictionaries are cached by the system and may not show newer values immediately. To solve this problem in the long term, caching can be disabled using the Document Definition SDLs. On an operational level, an administrator can use Tools->Flush Cache to force the system to revisit the dictionary.
