Executive Summary
This report is the successor to the initial strategic plan submitted to Labour Hire earlier this year. The following report contains documentation specific to the needs and requirements of Labour Hire a specialist firm which performs home renovations to facilitate and improve the security and well-being for people living at home with disabilities. The information provided within this report follows the structure of; providing an overview of the reports intentions with a concise background into the project being managed by BCNY Solutions within an introduction, title page inclusive. Following the introduction a scope of work is defined. This scope of work forms the foundations of the project and as such is presented in great detail. The scope of work seeks to identify the projects deliverables focussing largely on duration, cost, and quantity. Once these deliverables are identified the projects objective is then discussed in terms of the allowances for time and cost. In order to measure the projects progress and subsequently BCNY Solutions productivity, milestones are developed that consist only of major segments of work. From here the technical requirements are broken down into the Architectural requirements which discuss the options for both offices based on their geographical locations; Hardware requirements are addressed including input devices, processing devices, storage devices, output devices, networking devices/hardware, Networking applications such as e-mail, web browser, Instant Messaging (IM), collaboration and a database. Software requirements are also included within the technical requirements as is the connection to the Internet Service Provider (ISP). Non-functional requirements of security, tests and performance and reliability are also discussed as is the training requirements, all of which prove important when detailing technical requirements of a project. The next stage within the scope of work rests upon the limits and exclusions associated with Training and Support which cover areas of policies, helpdesk support, and training workshops and modules. Finally a client review which outlines the many ways BCNY Solutions will employ methods of measuring Labour Hires satisfaction and also communicating BCNY Solutions progress during the implementation of the project. The report seeks to identify the purchase insurance BCNY Solutions is providing Labour Hire; this is done so within the Warranty section of the report. During this section BCNY Solutions outlines the agreement of service they are providing in terms of system availability and downtime, acceptable data loss, recovery time and performance. The report continues to outline the need for the project solution through the inclusion of the Business Processes; these processes are provided using graphical representations to illustrate the changes BCNY Solutions propose to Labour Hire. It includes detailed screenshots of the prototype system, specifically, the customer details page, job details page, the subcontractor details page, and the reporting page essential to Labour Hire gaining increased funding from the government. BCNY Solutions provides a detailed Organisational Work Breakdown Structure (OWBS) also in order to present the business processes graphically. The policies included within the report certified in accordance with the project consist of an acceptable use policy, email policy, web policy, and password policy. Table 2 - Hardware/Network

As evident in the above list of deliverables, hardware and networking components are touched upon. Hardware is the underpinning foundation of which we are to build the proposed solution on and as a result the requirements of Labour Hire are analysed, proposed, acquired and sourced and then finally implemented. Once the user accounts have been set up on the secured network established by the hardware components the database can then be developed. Due to the nature of Labour Hires position of relying solely on paper based documents in the past, BCNY solutions has proposed the solution to their database management program to be built by BCNYs specialist software design team using Microsoft Access 2010, under the consideration of both time and budget. The following deliverables for Labour Hire to build a database using Microsoft Access are listed below and will be commenced following the testing of the network;

These deliverables require the completion of all previous deliverables listed above and therefore will provide Labour Hire with a holistic solution that meets their needs and requirements. By doing so, BCNY Solutions will firstly analyse Labour Hires requirements and draft forms for reporting statistics. Illustrated in the table below shows two deliverables that are highlighted in red, Labour Hires administration staff are required to complete these tasks, although if administration staff need to focus on other business tasks, BCNY Solutions can complete these deliverables at the price listed. BCNY Solutions will further determine the database relations and rules in order to optimise the new solution. After all the preparations above have been completed, previous data will be integrated, sourced from the previous paper based documents, and a back-up of the database will be set up to systematically sync and restore any anomalies and redundancies which will enable BCNY to insure the new solution is manageable and will uphold its warranty.

BCNY Solutions throughout the implementation of the database will work alongside Labour Hire to ensure that all relevant documentation is created, some of these include; Policies, Procedures, Training Modules, Disaster Recovery/Business Continuity and all elements contained within this report; Deliverables, Milestones, Limits and Exclusions, Warranty and Work Breakdown Structures. BCNY Solutions understands that the implemented system is not going to perform at its full capacity if users/employees are not familiar with the systems full functionality. Thus, BCNY Solutions are proposing the following deliverables listed in the diagram and table below to ensure Labour Hires employees are not only following strict policies and procedures but are also provided with training modules and step by step user manuals/guides.

Labour Hire managers need to ensure that all employees are to read and follow documents listed above. Training modules both professional development workshops and online tutorials should be compulsory for all of Labour Hire employees. Employees that do not read these documents or
Group 3 Brent Crowe, Claire Kubitzky, Nan Qiao, Yi Xie Page | 11

complete the recommended training should not be provided with a system username and password. Other disciplines and consequences will also be enforced to those employees who do not follow these strict policies and procedures.

Once the database has been implemented along with all forms of documentation and employees have been trained, BCNY Solutions as stated in the previous tender will provide Labour Hire with support and maintenance for a year after the project has been signed off and completed. Support and Maintenance consists of several deliverables these include; Maintenance of Hardware, Software and Network which will consist of BCNY Solutions fixing any faults or problems and replacing equipment BCNY Solutions initially put in place that may not be working as it was intended.

BCNY Solutions under Support and Maintenance will provide Help Desk Support online via a website where users can submit a request and an IT Technician will analyse and fix the problems logged, the Help Desk will also be accessible via phone calls, where users can call an IT Technician to ask any questions associated with the new system. A major requirement with the implementation of a new database rather than paper based documentation is that the data needs to be backed up in case the data is lost by data deletion or corruption. Backup procedures will be documented in the Disaster Recovery Plan to ensure data can be recovered/restored if a disaster occurs. Backups can be programmed to back up all data nightly, weekly, monthly. BCNY Solutions will provide this service and if a disaster occurs BCNY Solutions IT Technicians will be able to retrieve and restore data back to a previous date before it was corrupted/deleted. BCNY Solutions will be providing procedure documentation to provide guidance to Labour Hire on how to backup all data and how to restore data once a disaster occurs. These procedure documents will be crucial to Labour Hire once the 1 year of support has ended.

Depicted in the diagram below is a diagram illustrating all the deliverables for Support and Maintenance which BCNY Solutions are providing Labour Hire for an additional year after the proposed solution has been implemented, tested and signed off.

Project Objective
BCNY Solutions has one primary underpinning objective - to satisfy its customers and prove excellence. The proposed objective stems from these foundations and takes the form of a database management system that will dramatically enhance day-to-day business functions and core business processes for Labour Hire. Traditionally, as highlighted by Labour Hire, all documentation processes were conducted manually, by doing so Labour Hire was liable to increased risks ranging from a loss of; data integrity, accuracy and accountability (the loss of the data itself). As a result this created an atmosphere of stress, inefficiency and unproductively.

Thus, this project is vital to Labour Hire, as BCNY Solutions is implementing a database to improve Labour Hires initial process of selecting sub-contractors. Previously this process was achieved by Human Resources and Building Supervisors looking through the yellow pages and old paper documents, this was extremely inefficient and time consuming. It is for this primary reason that BCNY Solutions has sought to redefine Labour Hires process by implementing a centralised database system located at the Newcastle office. In order for the Wollongong office to operate on par with the Newcastle office new hardware is needed. The acquired hardware installed will consist of a router to access the database for interacting and storing data and information for their daily business among other components in order to successfully utilise the new database. Based on the estimated results of using the new database system, Labour Hires efficiency and productivity it will greatly improve which will result in optimised processes that reduce time and save resources. The main purpose of building this database to run over a secure VPN is to simplify and streamline business processes through the use of data and application sharing, therefore allowing Labour Hire to process data flow through the internal network.

BCNY Solutions focuses on software in order to build a new database by using Microsoft Access and generate an annual bulletin. This systematically generated bulletin consists of both qualitative and quantitative data that will provide an efficient and effective means of illustrating annual results that will enhance Labour Hires ability to convince the Government for additional funding when lobbying each year. So far Labour Hires process has not been successful. The initial phase in Labour Hires process was to acquire subcontractors by searching through extensive amounts of paper as everything is hard copy and through the Yellow Pages, which is immensely time consuming and often unproductive.

Group 3 Brent Crowe, Claire Kubitzky, Nan Qiao, Yi Xie

Page | 14

Instead of hard copy documents to record the information, building a database will reduce data redundancy as well as reduce updating errors and increase consistency for Labour Hire. Hard copy documents cannot be backed-up as easily as data stored in a database. The database built by BCNY Solutions utilises Microsoft Access which can easily store data by table objects, search data by query objects, examine data by form objects, and show data by report objects a much more efficient process. BCNY Solutions would request Labour Hires administration staff compile all previous jobs and go through and add all details into the new database including the client, clients location, whether client is disabled or elderly, modifications conducted on the home, subcontractor used and price for modifications. Adding all previous paper based jobs into the database, Labour Hire will be able to

reduce administration staff and allocate the additional funds towards clients that were previously unable to receive home renovations due to limited budget.

Once this has been completed it will enable Labour Hire to easily browser previous jobs and subcontractors. Therefore, selecting a subcontractor will be as easy as submitting a query into the database with several constraints for example: Subcontractor near clients location, by specific trade/profession and within a specific price range. If the Building Supervisor and Human Resources cannot find a well suited subcontractor they will still need to look for new subcontractors through several types of mediums: Internet, Yellow Pages, Billboard and Advertisements etc. Once these

new subcontractors have gone through several background checks they will also be added into the database for future jobs. As the database is storing all details on the project being completed, along with client and subcontractor details it will store the required 7 years worth of previous jobs the Government requires Labour Hire to have on hand. Databases can be tailored to the business needs and with small modifications to the database reports can be developed with a click of a button. The newly implemented database will also provide Labour Hire with an additional reporting mechanism, which will enable Labour Hire employees once trained, the ability to submit several constraints and keywords to generate reports on all jobs to include information on customers, jobs and subcontractors. The reporting mechanism will also allow Labour Hires employees to generate reports on jobs they were unable to complete due to the limited budget to lobby government to gain a budget increase. BCNY Solutions recommendation ensures that the government will recognise that

Group 3 Brent Crowe, Claire Kubitzky, Nan Qiao, Yi Xie

Page | 15

Labour Hire receives too many requests than the allocated budget can cater for, supporting future budget increases. This will therefore allow your business to grow and achieve your mission Our complete solution will provide access between Newcastle and Wollongong offices and ensure that both sites have the most up to date and consistent data for all jobs, customers and subcontractors. Another advantage of this newly shared database is data can be backed up

whereas hard copies cannot; data can be backed up at both locations therefore if a disaster occurs at one location data can be restored and there will be no down time for the business. As a result, less time spent selecting subcontractors and generating end of year reports, will enable Labour Hire employees to focus their time on other core business functions. Database has the functionality to search for cheapest and best suited subcontractors; this will allow Labour Hire to spend their budget wisely and get more jobs completed by the ability to sort subcontractors by price.

Page | 16

Milestones

Research User Requirements: The requirements of Labour Hire should be clearly defined prior to acquisition and implementation of any components for the new system. Acquire Hardware: The hardware required to meet the needs of Labour Hire should be acquired prior to any further work being conducted.

Connect Hardware: Once the hardware has been acquired it can then be connected to other components within the system. This milestone requires electricity and cabling in order to be completed. It is assumed that this has been established prior to this phase.

Connect Network: The hardware components also represent networking components and therefore in order to be useful must be connected to an ISP. It is assumed that the ISP has been acquired during the Acquire Hardware phase. Secure VPN: Once the hardware has been connected to the Network, a Virtual Private Network (VPN) can be setup. This phase needs to be completed prior to any subsequent phases commencement. Install Software: The software use to run on the hardware components must be installed prior to any further work on the implementation phase can be conducted.

Labour Hire Employee/User Training Training will be provided to all of Labour Hires employees and system users. This training will enable the employees/users to gain a better understanding of the functionality of the system and be able to

Group 3 Brent Crowe, Claire Kubitzky, Nan Qiao, Yi Xie

Page | 17

use the system at its highest potential. Labour Hire employees/users will be required to complete online modules and professional development workshops before they are able to sit the examination to provide them with a username and password. Periodic Examination of Labour Hire Employees/Users Once users are confident with the systems functionality and have completed all training modules. Labour Hire employees will sit an examination, this examination will test the employees skills, if the employee is successful the user will be setup with an account as outlined below. If employees are not successful with the examination they will need to attend further training workshops until the next examination is available for them to complete. Setup User Accounts: The user accounts must be set up and secured prior to the creation of a database management system in order to ensure security and data integrity.

Hard copy documents collected: The collection of hard copy documents that were previously stored in safes must be conducted prior to the commencement of the database management system. Without such data there would be no use to the proposed system. Forms and tables completed: After hard copy documents collected, draft forms and table objects should be determined as the basic element of the whole database. Forms are screens for displaying data and all data will store in tables. As a result, this must be completed prior to data inputs being completed.

Input Data: The Government requires Labour Hire to keep seven years worth of documents; hence heavy workloads will take place during this milestone. The input of data acts as a crucial milestone, it requires all hard copy data to be transformed into softcopy data in order to be accessed within the database. This phase should be completed prior to a backup of the data.

Group 3 Brent Crowe, Claire Kubitzky, Nan Qiao, Yi Xie

Page | 18

Back-Up Data: Labour Hire is advised to systematically back-up data every night to reduce the risks associated with a database management system. BCNY Solutions suggest Labour Hire back up data to an external medium. At the successful completion of this milestone Labour Hire can then complete the following phase; Generate Report. Generate Report: Microsoft Access can easily generate reports based on the stored data. Labour Hire will be able to clearly justify to government where are the allocated budget went and apply for budget increased for the following year. By choosing tables, selecting the fields and group levels, choosing sorting and formatting options, a report will be created in Microsoft Access. A new report will instantly be generated at the end of the year with up-to-data information from the database by users simply adding in constraints and keywords to be displayed.

Policies and Procedure Documentation Near the end of the project completion, after users are supplied with a username and password, Labour Hire will need to enforce all employees read policies and procedures to ensure users follow strict guidelines whilst using the system. Support and Maintenance Once the system has been implemented into Labour Hire and all of the previous milestones have been achieved, Labour Hire will also be provided with Support and Maintenance. This will ensure that if any further problems arise that BCNY Solutions can be contacted through a helpdesk website or via a call centre to lodge a problem and an IT Technician will solve the problem. This milestone is for a year after the completion of the project.

Technical Requirements
Architectural requirement:
The Newcastle office hosing the server acts as the Head Office and leading office at Labour Hire. The Newcastle firm boasts a medium size three story building on approximately 2000 square metres of land. The Wollongong branch boasts a smaller two story building situated on approximately 1400 square metres of land. In order to allow effective communications between branches it is important to understand the requirements that Labour Hires infrastructure has; Main office: The location of Labour Hires main office is situated in the heart of Newcastle, this main office must act as a primary site where everyone is connected via a network and where the bulk of corporate information is located within a server and stored in a NetworkAttached Storage (NAS) Device. Hundreds of employees rely on Labour Hires main office to provide consistent uninterrupted network access in order to do their jobs. A main office might use several connected networks, which can span many floors in an office building or cover a region that contains several buildings and as a result it needs to be planned for. II. Remote locations: A variety of remote access locations may, in the future, be using Labour Hires network to connect to the main office or to each other. III. Branch offices: In Labour Hires Wollongong Branch office, smaller groups of people work and communicate with each other via their network. Although some corporate information might be stored at a branch office, it is more likely that branch offices have local network resources, such as printers, but must access information directly from the main office, that being Newcastle. IV. Home offices: When individuals work from home, the location is called a home office. Home office workers often require on-demand connections to the main or branch offices to access information or to use network resources such as file servers, this too will be conducted via Labour Hires Virtual Private Network (VPN). V. Mobile users: Mobile users connect to the main office network while at the main office, at the branch office, or travelling. The network access needs of mobile users are based on where the mobile users are located.

I.

When analysing the architectural requirements of Labour Hire it is essential to be aware of the physical space available at each site, if this is not considered breaches of OH&S contracts may

Group 3 Brent Crowe, Claire Kubitzky, Nan Qiao, Yi Xie

Page | 20

result. Power, lighting, and cooling systems must also be in place in order for BCNY to effectively implement the proposed solution.

It is also important to note the geographical locations of each office could potentially pose a physical barrier due to the distance. That is why BCNY Solutions has chosen to implement a Virtual Private Network because it not only reduce costs but also increases and expands the network capabilities. Because of the functionalities of VPN, employees can connect from anywhere in the world, if needed, to the companys network and carry out important and sensitive task on time. It keeps the employees connected to the companys intranet.

The office layout will also determine the type of network topology and in turn cabling required, as a result of the analysis BCNY Solutions has conducted, an Ethernet network following a star topology for both office locations has been chosen. By doing so each device on the network can connect with its own cable to a hub or another device, due to the network spanning across two and three levels, BCNY will install a cabling system, and designate one or more wiring centres for Labour Hires network. Cables originate at the location of each device on the network and terminate in a wiring centre. On the user end, the cable will terminate with a wall plate and in the wiring centre the cable will terminate in a jack on a patch panel. To ensure that your network will work not only for your current needs, but in the future, BCNY Solutions has chosen to use high-quality cables that conform to well-established standards. Subsequently BCNY Solutions believes Fibre Optics will match Labour Hires needs and will work very well as a backbone infrastructure. Fibre offers exceptional performance for high-bandwidth applications, and is extremely reliable and secure. Fibre is not susceptible to many of the sources of interference that can play havoc with copper-based cabling systems. Fibre is also considered to be more secure since it cannot be tapped unless you cut and splice the fibre strands-a task that is virtually impossible to accomplish without detection.

Hardware requirements:
The technical requirements of hardware are comprised of input devices, processing devices, storage devices, output devices, and networking devices. All of these devices will work together and will provide Labour Hire with an unparalleled solution that boasts interoperability, ease of use, speed, accuracy and availability all year round. INPUT DEVICES: Are devices that can be used to insert data into a computer or other computational device. The input devices BCNY solutions have proposed include; Mouses, Keyboards,
Group 3 Brent Crowe, Claire Kubitzky, Nan Qiao, Yi Xie Page | 21

Microphones, Webcams built into LCD Monitors, Automatic Scanning Devices, and Fibre Optic Cabling,

PROCESSING DEVICES: These are computer hardware components that transform inputs into outputs. The processing requirements BCNY Solutions have proposed include; AMD Athlon II X3 Processor 450 (3.2GHz, 1.5M, 4C), 6GB DDR3 SDRAM - 4 DIMMS, 16X DVD+/-RW Drive. STORAGE DEVICES: Are any device upon which a computer may store data in permanent form. This means that data is not lost from a storage device when the electricity to a computer is turned off, as is the case with electronic memory. The storage devices BCNY Solutions have proposed include; B Serial ATA Hard Drive (7200RPM) w/DataBurst Cache, TS-809 Pro Network Attached Storage (NAS).

OUTPUT DEVICES: These are devices that allow output of information from a computer. The output devices BCNY Solutions has chosen include; Dell V715W Printer - WiFi, Print, Copy, Scan, Fax, ST2220L 21.5-inch Full HD Widescreen Monitor, Logitech X-140 Stereo Speaker System, The Sony VPLHW15 1080p Projector.

NETWORKING HARDWARE: Networking hardware typically refers to equipment facilitating the use of a computer network, the networking devices BCNY Solutions has chosen include; one RJ45 connector Network Adapter per PC, PCI Express WiFi card supporting 802.11a/b/g/n, Cisco Catalyst 3560-C Series Switches, Cisco ASR 1000 Series Aggregation Services Routers, Dell PowerEdge R710Dell next-generation Intel Xeon processor-based 2U Rack Server.

Networking Applications:
The key to utilizing multiple resources on a data network is having applications that are aware of these communication mechanisms, although many applications are available for users in a network environment, some applications are common to nearly all users, these applications that BCNY will implement include;

I.

E-mail: E-mail is a valuable application for most network users. Users can communicate information (messages and files) electronically in a timely manner, to not only other users in the same network but also other users outside the network (suppliers, information resources, and customers, for example). Examples of e-mail programs include Microsoft Outlook and Eudora by Qualcomm.

Group 3 Brent Crowe, Claire Kubitzky, Nan Qiao, Yi Xie

Page | 22

II.

Web browser: A web browser enables access to the Internet through a common interface. The Internet provides a wealth of information and has become vital to the productivity of both home and business users. Communicating with suppliers and customers, handling orders and fulfilment, and locating information are now routinely done electronically over the Internet, which saves time and increases overall productivity. The most commonly used browsers are Microsoft Internet Explorer, Netscape Navigator, Mozilla, and Firefox.

III.

Instant messaging: Instant messaging started in the personal user-to-user space; however, it soon provided considerable benefit in the corporate world. Now many instant messaging applications, such as those provided by AOL and Yahoo!, provide data encryption and logging, features essential for corporate use.

IV.

Collaboration: Working together as individuals or groups is greatly facilitated when the collaborators are on a network. Individuals creating separate parts of an annual report or a business plan, for example, can either transmit their data files to a central resource for compilation or use a workgroup software application to create and modify the entire document, without any exchange of paper. One of the best-known traditional collaboration software programs is Lotus Notes. A more modern web-based collaboration application is a wiki.

V.

Database: This type of application enables users on a network to store information in central locations (such as storage devices) so that others on the network can easily retrieve selected information in the formats that are most useful to them. Some of the most common databases used in enterprises today are Oracle and Microsoft SQL Server.

Software Requirements:
In order to develop a database by using Microsoft Access 2010, BCNY Solutions advises Labour Hire allocates computers which meet the previous Technical Requirements stated above. BCNY Solutions has decided upon the Dell Inspiron 570 running; I. II. Genuine Windows 7 Professional, 64Bit, English 3 year licence Microsoft Office Professional 2010 Includes: Word 2010, Excel 2010, PowerPoint 2010, Outlook 2010, OneNote 2010, Publisher 2010 and Access 2010. 3 year licence

III.

McAfee Total Protection 2012 Anti-Virus 3 year licence.

Connection to the Internet:

Another key component for most business users today is a connection to the Internet. An Internet connection is a WAN connection, but small- to medium-sized computer networks can use various methods and topologies to interconnect to the Internet. As discussed previously during Architectural requirement, the topology at both locations will consist of a star topology. The Internet Service Provider BCNY Solutions has chosen is Telstras Connect IP which is a fully integrated Wide Area Network (WAN) solution provided at a single, monthly price-per-site, with minimal upfront costs. Connect IP is ideal for small/medium businesses, plus smaller branch sites of enterprise and government organisations. The service features BCNY Solutions have chosen include the following; Network access (64kbps 60Mbps) IP virtual private network (VPN) 2Mbps secure Internet Gateway Connect IP Telephony option for converged voice and data networking

I. II. III. IV.

Connect IP operates over the Telstra Next IP network, offering unparalleled national reach, scalability and security. In addition to advanced features like Class of Service, the network core is targeted to deliver 99.999% reliability. BCNY Solutions will then develop a Virtual Private Network (VPN) that keeps the computers connected even if there are long distances or physical barriers such as geographical locations. The VPN is categorized as a form of a wide area network. The VPN supports functions like remote access for clients; it can network one LAN to another LAN, and also keeps the functions limited to the intranet.

Non-Functional Requirements
The database system also has the following non-functional requirements: Security - Ensure that all of Labour Hires equipment is kept secure and eliminates any potential threats and risks. Also used to ensure that Labour Hires data remains confidential, integral, available and access is controlled. Tests & Performance Tests need to be conducted throughout the implementation process to ensure that the system being implemented it stable and high performance is maintained.

Group 3 Brent Crowe, Claire Kubitzky, Nan Qiao, Yi Xie

Page | 24

Reliability Ensure that the system being implemented will remain reliable and function at optimal level using various tests. Backups at both locations will need to be performed each day.

Training Requirements
Implementing a new system into an organization that were previously paper based is a major project, therefore BCNY Solutions needs to briefly outline what equipment is needed to allow users to attend training workshops. As training is completed by using sitting in on a workshop and watching

demonstrations of the system functionality, or reading step-by-step user guides/manuals on how to complete several tasks; these requirements are non-functional requirements.

Labour Hire will need to have general equipment such as: A room capable to hold the training workshops. This room needs to have the following equipment: o o o o o Tables and Chairs Projector and Projector Screens/Monitor Laptops/Desktop computers Stable network and internet connection Email and Phone services

NOTE: For a detailed cost matrix for all technical equipment and requirements listed above please see Appendix 2 at the end of this document.

Limits and Exclusions

As a specialised IT solution company, BCNY Solutions lives by their commitment to provide exceptional customer service experiences and unparalleled results that seek to not only match your needs but propel your company into a future that they desire. BCNY Solutions wants their clients to be completely satisfied with the solutions proposed and as a result, BCNY Solutions believe you will not be let down.

The purposed solution for Labour Hire will allow your business to reach its strategic goals within unbelievable timeframes with returns that would seem almost impossible. BCNY Solutions can transform your company and enable efficient processes such as effectively selecting subcontractors, recording jobs, generating business reports and as a result drive Labour Hire further in order to gain increasing funding from the Government.

BCNY Solutions acknowledges that certain situations may occur and under the obligations of our contract we are unable to insure the physical security of the Hardware, Software and Networking components and services provided to Labour Hire in accordance with this contractual agreement. BCNY Solutions, therefore, will not be liable for any actions seen to be the result of, or failure to, effectively prevent theft, property damage or sabotage to the physical environment in which Labour Hire operates. Physical security involves protection from the elements and/or natural disasters.

Pipes can break; ceilings leak; lightning stops and power strikes; air conditioning fails; fires can start. BCNY Solutions holds no liability for the use of physical barriers including; locked cabinets, doors, rooms and buildings in order to secure servers, software, hardware and/or networking components.

Following the completion of the built solution, BCNY Solutions will not take responsibility for incorrect data entry or human error that may cause the system to cease and operate incorrectly. The below table outlines some of the disasters and risks that BCNY Solutions are not responsible for during the period of contract;

Group 3 Brent Crowe, Claire Kubitzky, Nan Qiao, Yi Xie

Page | 26

Figure 4 - Disaster

BCNY acknowledges that hardware, software and networking peripherals may become obsolete and/or be replaced by newer models and as a result, BCNY Solutions is not liable to renew any of the stated peripherals included in the proposed solution. However BCNY Solutions will continue to update drivers and firmware for the duration of the after sales warranty.

BCNY Solutions has estimated a length of duration for the proposed implementation. This time is an approximation of how long the process is intended to take. BCNY Solutions is not legally obligated to uphold this time frame; however it is a customer promise that they will do so at the best of their ability.

If at any time after the 6 month system warranty, should Labour Hire wish to make adjustments to the system, BCNY Solutions is not under any obligation to do so free of charge. However BCNY Solutions would gladly welcome the opportunity to assist at an independent charge.

Any service or additional task not specifically mentioned in the customer-approved order is not included in the project Management Service provided by BCNY Solutions.

BCNY Solutions employees are employed on their own contracts in accordance with the Australian Workplace Agreements (AWAs) and therefore are not obligated to work hours outside their contracted roster in accordance with the law.

Group 3 Brent Crowe, Claire Kubitzky, Nan Qiao, Yi Xie

Page | 27

Limitation of Business Processes BCNY Solutions are not obliged to complete day-to-day tasks and functions completed by Labour Hire employees. As a result the system will not replace the following tasks involved in the relevant business processes: The Building Supervisor and Human Resources will still need to interview newly selected subcontractors but once they have been interviewed and approved they will be entered straight into the database. Searching through old documentation and entering the

subcontractors into a database will be a time consuming task initially but once entered, it will enable Labour Hire to generate lists of subcontractors instantaneously.

Implementation of the new database will require administration staff to compile all previous documentation on jobs and subcontractors, the administration staff will then enter each subcontractor previously used into the new database with all relevant details (name, location and all forms of legal identification). projects. However this only needs to be done once for old

At first, it may be a time consuming task for the administration staff to enter all previous jobs into the database but in the long run it will benefit Labour Hire. It will not only free up office space (filing cabinets) but will also provide Labour Hire with the security of data being backed up in case of a disaster occurring. Once the database is up to date with all jobs, this process will be less time consuming and allow all staff members associated with recording documents and generating the annual reports extra time to focus on other core business activities. BCNY Solutions has also made it clear that after this has been completed Labour Hire will be able to reduce the administration staff as the Wollongong administration staffs role is made redundant. Limitations to Training and Support Policies - BCNY Solutions will work alongside Labour Hire to develop appropriate policies which will ensure that the newly implemented database is used in an acceptable manner. It is Labour Hires responsibility to ensure that all employees have read and are aware of the disciplines and consequences involved if a user does not follow these policies. Therefore, it is also Labour Hires responsibility to deal with those employees who abuse the policies put in place In the event that an

Group 3 Brent Crowe, Claire Kubitzky, Nan Qiao, Yi Xie

Page | 28

employee breaks on of the policies and it results in legal implications, we have no responsibility to rectify any issue of that nature. Helpdesk Support BCNY Solutions recognise that implementing a automated system into a paper based company can be extremely daunting to the new users. Therefore, BCNY Solutions realises that users will have numerous questions and face several problems due to the change. BCNY Solutions Helpdesk will be accessible in working hours (8am 5pm), support staff are not obliged to work hours outside their contracted roster in accordance with the law. BCNY Solutions support staff may not be able to solve and cater for all users problems and thus, support staff has the authorization to choose what problem they wish to complete first. BCNY Solutions if unable to solve the users problem are also obliged to send the users to other resources to gain help. BCNY

Solution support staff is available to Labour Hire employees facing problems or to answer questions on the system, but the support staff are not employed to complete Labour Hires day-to-day tasks. If the support staff are approached with a question and the support staff recognise that the user lodging the problem/question are not sufficiently trained, the support staff can advise the users to read over the training modules as the context of their question/problem are outlined in these documents. Training Workshops/Modules BCNY Solutions will be providing this service to Labour Hire once the system has been implemented. responsibility to maintain them. However, once we have set up the workshops, it is not our

BCNY Solutions will allocate the IT expertise to conduct the

workshops but it is not our requirement to keep running these workshops. Therefore, once our 1 year of support and maintenance has expired, it is up to Labour Hire to allocate personnel that are knowledgeable enough to take over the training workshops for existing and new employees. In our recommendation BCNY Solutions has proposed Labour Hire to employ and IT expert to maintain the software, hardware and network and to look after all users problems. This newly employed IT expert could be appointed to train all employees if Labour Hire considers this recommendation. Periodic Examinations BCNY Solutions will be providing Labour Hire with relevant training modules both online and in person, however BCNY Solutions will not be providing Labour Hire with examinations. BCNY Solutions will provide Labour Hire with guidance on the topics that should be

examined and how frequently users should be tested but will not provide or conduct the actual examination. BCNY Solutions recognises that some employees can adapt and learn quickly whilst

others may find it difficult to use the system to complete tasks more efficiently. By providing these examinations it will allow Labour Hire to tailor and change the training modules to provide an easier

Group 3 Brent Crowe, Claire Kubitzky, Nan Qiao, Yi Xie

Page | 29

solution to those who are finding it difficult, In saying that, BCNY Solutions are not liable if users keep failing the examinations as BCNY Solutions will just conclude that the employees/users did not go over the training modules and user manuals. After the completion of this project, it is not BCNY Solutions responsibility to provide guidance on examinations once the 1 year of support and maintenance has expired.

Client Review
Due to the complexity of the proposed project, BCNY Solutions needs to work in close accordance with Labour Hire and will require a minimum of 6 hours per week in order to address the issues of the project. By doing so BCNY Solutions believes that this will eliminate any chance of miscommunication and will reduce the number of anomalies that may arise once the proposed solution is completed.

During the weekly meetings BCNY Solutions will allow you to review, test and modify the proposed solution in order to attain a completely effective system that will match Labour Hires needs impeccably. Labour Hire will be giving access to our process and will have the tools available on hand to measure BCNY Solutions performance during the duration of the implementation. Labour Hire will be able to monitor our CFSs (Critical Success Factors), defined also by our milestones which will be tracked using a Gantt Chart enabling Labour Hire to cross-examine where BCNY Solutions progress sits at against the time we have proposed, in order to see if we are meeting both our own goals and the goals Labour Hire has entrusted us with. By tracking our milestones BCNY Solutions believes it provides Labour Hire with reassurance and specific, relevant, timed tasks that are sufficiently measurable and force accountability onto BCNY Solutions.

A helpful mechanism that BCNY Solutions will use to monitor their own progress is an Earned Value Management (EVM) plan. Specifically, the five steps of EVM can help project managers to correctly measure project progress in order to keep clients happy. These five measurements include;

I.

Clearly define each activity of the proposed project, including resources consumed and budget.

II. III. IV. V.

Group 3

Create a usage schedule for activities and resources. Develop a time-phased budget. Calculate the actual cost of doing each task. Calculate both budget variance and schedule variance.

Warranty
BCNY Solutions has established an exceptional reputation for superior customer service due to their honour to live by their culture commitments and to uphold their customer promise. BCNY Solutions promises that they will uphold their promise of providing Labour Hire with an exceptional database management system that will perform to their needs and requirements and propel their company into the market with force and unbeatable performance.

Below is a brief outline of the level of agreement BCNY Solutions will adhere to in accordance with the services offered to Labour Hire. The below statements provided are required in order to design a database management system to meet Labour Hires expectations; I. System Availability The database servers must be available 7 days a week, from 6am to midnight.

II.

Acceptable Data Loss No more than 15 minutes of data entry can be lost.

III.

Recovery Time In the event of a disaster, the systems should be backed up and running within one hour.

IV.

Performance Transaction response time should not exceed 2 seconds.

BCNY Solutions will measure System Availability in terms of the availability percentage target, representing 99.999% system availability. This translates to a 5 minute maintenance window, or allowed downtime, per year, or 0.8 seconds per day as the below table demonstrates:

Availability Target Downtime Per Year (Approx.) 90 percent 99 percent 99.9 percent 36 days 3.5 days 8 hours

Group 3 Brent Crowe, Claire Kubitzky, Nan Qiao, Yi Xie

Page | 31

Availability Target Downtime Per Year (Approx.) 99.99 percent 99.999 percent 52 minutes 5 minutes
Table 6 - Sys Availability

This table shows the sharp decrease in downtime for an increased availability target. 99% availability allows for about 3.5 days downtime per year. 99.999% allows 5 minutes. It is for this reason that BCNY Solutions has agreed upon building a system at this level, due to the nature of the data and the demand Labour Hire has from the Australian Government to provide optimal services to their clients.

The warranty BCNY Solutions is providing Labour Hire with, assures that the proposed solution of the database management system is as represented. BCNY Solutions warranty is in accordance with the Australian Federal Ministerial Council on Consumer Affairs. The Council consists of all commonwealths, state, territory and New Zealand ministers responsible for fair trading, consumer protection laws and credit laws.

The warranty provided to Labour Hire is of a pro-rata type, whereby BCNY Solutions provides an initial period of free replacement and alterations, followed by a period of pro-rata policy whereby the warranty on the replacement is at BCNY Solutions discretion depending on the age of the item at the time of replacement. The determining factor in deciding whether the product of interest is repairable or non-repairable is dependent on the ratio of the repair cost to the acquisition price subject to BCNY Solutions discretion.

The duration period for free replacement and alterations BCNY Solutions has provided Labour Hire with is for six (6) months. This ordinary free replacement warranty is to commence following the signed completion of the project by both Labour Hire and BCNY Solutions project leaders. The six (6) month ordinary free replacement warranty includes the physical properties of the system (Hardware and Software) only.

The Hardware warranty covers the duration of three (3) years in accordance with the manufactures warranty of the product of interest (Hardware Device). The product warranty is based upon the

Policies, Procedures and Business Processes

Implementing a system into an organization that previously conducted all day-to-day work by physically writing content down and filing these hard copy pages into a filing cabinet can be very challenging and overwhelming to all employees as it is out of business standards. Labour Hire came to the realisation that they needed expert help in the Information and Technology sector to analyze Labour Hires business processes and make suggestions what to change, or what system could be implemented to allow them to achieve the required budget increase to service more disabled and less fortunate customers. BCNY Solutions will also provide guidance to Labour Hire on relevant policies and procedures managers should enforce on all Labour Hire employees.

Business Processes
BCNY Solutions analysed Labour Hires major business processes; the subcontractor selection and request to increase budget process. Previously Labour Hires Building Supervisor and Human

Resources (HR) would search for subcontractors through previous jobs and the yellow pages, interview them to check licenses and suitability for the home renovation job required. This was a lengthy process, because each time a new job came through, both the Building Supervisor and Human Resources would look through extensive amounts of hard copy previous jobs and yellow pages until they found a suitable subcontractor. Illustrated below is the initial subcontractor selection process detailing the steps involved in selecting subcontractors for jobs.

Figure 5 - Contract Select

Group 3 Brent Crowe, Claire Kubitzky, Nan Qiao, Yi Xie

Page | 35

With this newly implemented database, administration staff will be required to gather all previous jobs and enter them into the database under the relevant sections (Customer Details, Job Details and Subcontractor Details). After administration has entered all details the database will store these details forever and with a click of a button Administration, Building Supervisors and Human Resources will be able to search all subcontractors stored by keywords, contact them to check availability and attach them to complete a home renovation for a specific client. The subcontractor process after the implementation of the database has changed slightly, depicted in the diagram below provides a illustration on the new process where Labour Hire employees (Building Supervisor, Human Resources and Administration) can easily look up all subcontractors and if required submit constraints to select a particular subcontractor (i.e. by location or by lowest price etc).

Figure 6 - DB Contract Select

The database will store all details about clients that received home renovations including; name, address, age, disability, previous jobs including cost, description, subcontractor used. It will also record information on the job; the job number, date, cost, description and subcontractor used. Therefore it is evident that using the database to store subcontractors can be easily attached to each job and customer for future reference. This is evident in the three screenshots from the newly implemented database below (Customer Details, Job Details and Subcontractor Details).

Figure 9 - Contract Detail Page

Another major business process of Labour Hire is the request to increase budget process. Labour Hire annually submits a report to lobby the Government to request the allocated budget be increased for the next financial year. Previously, Administration staff worked through all forms of paper based documentation on jobs completed throughout the year and prepared a report to submit to the government. This report contain specifications on jobs completed including for what client, their location, whether they were disabled or elderly, renovations made and the cost associated with the renovation. A section in the report will include jobs that Labour Hire was unable to complete due to the limited resources and budget. The business process map below illustrates the tasks involved in achieving the final report to lobby Government.

Figure 10 - Budget

Page | 38

With this newly implemented database as mentioned above, will store all details required and with the added reporting functionality BCNY Solutions has added to the database, administration staff with the click of a button will be able to generate the required report. Illustrated below is a screenshot from the implemented database demonstrating how easy and accurate this process is. Included in this report are user manuals to understand the full functionality of the new database. Labour Hire employees should view Database User Manual in Appendix 5 to see a step-by-step guide on how to generate reports with numerous constraints.

Labour Hire Organisational Breakdown Structure (OBS)

Labour Hire OBS before Implementation of Database

Figure 13 - Labour OBS Orig

BCNY Solutions has previously mentioned in this report and the initial business proposal, that after the implementation of the database, administration staff will be required to compile all previous paper based jobs and enter them into the new database system for better access. BCNY Solutions has also made it clear that after this has been completed Labour Hire will be able to reduce the administration staff as the Wollongong administration staffs role is made redundant. BCNY Solutions will be providing Labour Hire with support and maintenance for a year after it has completed the implementation although after this date Labour Hire may require to appoint an IT expert/employee to look after and maintain the current system. This role will include updating the system, ensuring there
Group 3 Brent Crowe, Claire Kubitzky, Nan Qiao, Yi Xie Page | 40

is no down time and helping users with problems. Therefore with these two modifications to the Organizational Breakdown Structure (OBS) we have modified the OBS and to add/remove the roles, which is shown in the diagram below. We have allocated the IT staff member at Newcastle due to the main system being implemented at that office, whereas Wollongong remotely connects to access.

Policies and Procedures

Successful companies have a set of well defined and efficient business processes that are necessary for the company to achieve it business goals. These business processes are described by a set of policies and procedures. A policy sets the overall direction by describing what is required from a process while procedures describe how this is achieved through the execution of a set of steps.

Group 3 Brent Crowe, Claire Kubitzky, Nan Qiao, Yi Xie

Page | 41

To achieve the benefits from the introduction of the centralised database system, there will be some impact to the companys business processes. BCNY Solutions recommends that in parallel with the implementation of the centralised database system, Labour Hire Solutions should undertake a review of their policies and procedures to identify those that need to be modified. In some cases new policies and procedures will need to be created to describe the new business processes associated with the new centralised database system.

BCNY Solutions assumes that Labour Hire Solutions would already have many policies and procedures in place that would require little or no modifications. Examples of these would be policies and procedures associated with OH&S, Evacuation of the building in an emergency, recruitment and induction of new employees.

If we consider the process for the induction of a new employee, most of the existing policies and procedures may be adequate with the exception that some additional considerations would be necessary for the new centralised database system. For example, if the new employee needs to have access to the new centralised database system then they will require training to use it correctly and they will need to have a login and password created so they can access the system. These additional considerations could be added to the existing employee induction process.

The new centralised database system will require several new policies and procedures to describe the processes associated with the following: -

Data Security Data Integrity Data Privacy Access management Backup/Restore Availability Maintenance

These are interrelated and could be grouped such that the policies and procedures form a hierarchy that maps to the desired implementation of the businesses processes in the company. For example, in the example above, Access Management needs to have links to the new employee induction process so that a login and password is created for a new employee. However Access Management

Group 3 Brent Crowe, Claire Kubitzky, Nan Qiao, Yi Xie

Page | 42

also needs to be part of the Business As Usual (BAU) processes as existing employees will need to have their passwords reset occasionally. Backup and Restore would likely be associated with Data Security and the Disaster Recovery and Business Continuity processes. The design of the structure of policies and procedures should consider both the business processes and the organisational structure of the company.

The following are some examples of what would be covered by the new policy and procedures for the new centralised database system.

Centralized Database Policies

The top level policy for the new centralised database system would describe the goal of the system for example it may state: To provide a robust, secure system for the storage of business critical information that is accessible by company employees to support Labour Hires business goals.

Possible additional policies that would support the above policy would include:

Policy Title Data Security Data Integrity Business Continuity System Maintenance Password Policy

Description To ensure the data is protected from unauthorised access or theft. To ensure that the data entered is valid. To ensure that processes are in place to ensure that in the event of a disaster, the company has the ability to restore operations within a specified period of time. To monitor the system operation and maximise up time. Password length, complexity and expiry time to achieve the desired level of security. To ensure that employees have appropriate level of access to the data they need to perform their jobs consistent with the Data Security and Data Integrity Policies.
Table 7 - Policies

Access control

Please see Appendix 6 & 7 for an example of an Acceptable Use Policy and Data Archiving and Retention Policy. These two policies will provide Labour Hire with sufficient information on what content and topics should be covered.

Group 3 Brent Crowe, Claire Kubitzky, Nan Qiao, Yi Xie

Page | 43

Centralized Database Procedures

Supporting the policies would be a set of procedures that describe the actions that are required to perform a particular function. Examples of procedures would include:

Procedure Title

Description The Data Backup Procedure would describe the steps necessary to perform a backup of the centralised database system, including backing up the data in the system as well as the software components that make up the system. The procedure would specify the frequency of the backups, the types of backups (incremental, full, etc) and the location of the backup set. Complementing the Backup Procedure would be the Restore Procedure to recreate the system and the data in the event of a system failure or disaster. The Disaster Recovery Procedure would describe the steps to be taken to restore the system in the event of a disaster. This would include the steps necessary to procure and install the hardware to rebuild the system. The Disaster Recovery Procedure would also make use of the Restore Procedure to restore the system software components and data. The New User Procedure creates a new login and password with the appropriate level of access to the system. The procedure includes steps to gain approval for the access level for the user before granting access. The procedure would also ensure the new user has completed any necessary training on the use of the system. The Password Reset Procedure is used when a user forgets their password or if their password has expired. The Training Procedure describes the steps required to ensure that employees gain the necessary skill and knowledge required to perform their role. This procedure would cover how often the training is required and recording the completion of the training.

As BCNY Solutions are implementing a centralized database into Labour Hires offices, BCNY Solutions deems it necessary to also provide you with database procedures such as: Subcontractor Selection Procedure Generate Reports Procedure Record New Jobs

Labour Hire can view all these procedures with step-by-step examples in the attached Database User Manual in Appendix 5.

User Guide
BCNY Solutions specializes in the implementation of software solutions like a centralized database and included in our solution are all forms of user documentation. Listed below under Generic User Manual Contents List is provided to Labour Hire to give guidance on what user manuals should contain. This demonstrates what topics, should be covered in the manual to ensure

employees/users get a complete understanding of the systems overall functionality.

As BCNY Solutions main proposed solution was the implementation of a centralized database, it is our role to provide you with a Database User Manual which is attached in Appendix 5. BCNY Solutions will provide 10 physical hard copies of each user guide to be used by Labour Hires employees. BCNY Solutions will also convert all these user guides into PDF format and upload Although, as Labour Hire

them onto your Intranet for easy access by users for future reference.

previously conducted day-to-day business by manually documenting the required information on paper and BCNY Solutions automated the entire process, we will provide user manuals for Hardware, Software and Networking to provide Labour Hires employees with knowledge on how these elements function and to give guidance on how to maintain or fix any future problems after the 1 year of support BCNY Solutions is offering ends.

The database management system BCNY Solutions selected is an off the shelf product called Microsoft Access 2010. Although, in purchasing this software it was more beneficial for Labour Hire for us to purchase the entire Microsoft Office 2010 suite which also includes; Word, Excel, Publisher, PowerPoint, Outlook, OneNote. All these additional applications within this software package will be beneficial for Labour Hire as they are applications which allow users one trained and understand their functionalities to produce word documents in Word, Publisher 2010, perform calculations and graphs in Excel 2010, presentations in PowerPoint, emailing application using Outlook, gather notes, drawings etc in One Note. Due to BCNY Solutions main purpose of implementing a database and using Microsoft Access 2010 as the software application, BCNY Solutions will not be providing user manuals on how to use the additional Microsoft Office products. BCNY Solutions recommends users who want to use these applications can learn using SAM (Skills Assessment Manager), which is an online training module for all Microsoft Office applications.

Training
Alongside the implementation stages of the system, training and maintenance will take place. Training will be provided to employees and those who will come in contact with the new system to ensure they are familiar with how it all works. Once the system has been fully integrated, the staff

will be advised of its operations and how to work with the new system. A training program will need to be scheduled in order to teach the employees how to interact with the system and the networking components. The Implementation of a fully automated system into a previously paper based

business can be extremely daunting on users as it is not their usual business functions.

Thus, BCNY Solutions as outlined in the previous section has completed several system user manuals for employees and new users to follow step-by-step examples to gain a better understanding of the systems functionality. In saying that, BCNY Solutions still deems it necessary to also provide online training modules and professional development workshops, these will be discussed in detail later in this section. BCNY Solutions has implemented various information

systems throughout numerous organizations, and therefore the training methods we found best suited to employees/users learning the functions of new systems were to conduct monthly workshops where users attend and learn about systems from an IT expert. Users are taught in three stages, these stages include: Equipment Training Users learn about the different hardware equipment and software applications that make up the majority of the system. Users will sit through a two hour workshop three times a week in the first week after implementation. Users will learn about how equipment and applications interact and how to fix/solve any problems that may arise. This is therefore beneficial to Labour Hire, as BCNY Solutions as part of our deliverables is providing support and maintenance of all software, hardware but once this one year ends Labour Hire will need to either appoint an employee that has enough knowledge on how to maintain the system or employ an IT professional to take over this role. Administration Training Once employees have attended the required six hours of equipment training (3 x 2 hour workshops) they then progress to learn the administration side of information systems. Employees once again will sit through three workshops consisting of two our lectures from an IT expert. Employees/Users in this stage learn about the current software applications installed and therefore learn the main tools, functions they can use to
Group 3 Brent Crowe, Claire Kubitzky, Nan Qiao, Yi Xie Page | 47

achieve or make their day-to-day work tasks more efficient and therefore saving extensive time. Database Functionality Training the final stage of the workshop training is the database functionality training, employees can only attend these workshops once they have completed both of the previous training stages. In this stage, employees learn about the main

functionality of the database and how employees will be able to store all information about jobs easier than writing it down manually. Employees will then be taught how to generate reports to lobby the government instead of the previous way of compiling all paper documents and writing it by hand.

Employees upon arriving at the workshops outlined above are given the relevant policies, procedures and user manuals. This is to ensure that employees are using the systems in an acceptable manner. At the conclusion of all workshops employees are required to sit an examination which tests the employees ability to apply the knowledge they learnt in the workshops. The examinations will test employees on all aspects of the information system, if employees are successful and pass the examination they are rewarded with a username and password. Although, if users fail the

examination, it is assumed that the employees were not focusing or learning in class and are requested to complete the training workshops all over again. BCNY Solutions realises that workshops may not be everyones best method for learning and understand that some can gain an understanding extremely faster than others. Therefore, as

another learning tool, BCNY Solutions has developed online learning tutorials where users can watch tutorials, and work through examples following a step-by-step guide. These online tutorials are for both new learners and those who want to extend their knowledge for the system and IT. Solutions are providing Labour Hire with beginner and advanced online tutorials. BCNY

Another additional feature of BCNY Solutions complete proposed solution is the purchase of Microsoft Office Professional 2010. The main reason for purchasing Microsoft Office Professional 2010 is for Access 2010 for database purposes, although included in the Office Suite is; Word, Excel, PowerPoint, Outlook, OneNote and Publisher. These applications will enable Labour Hire once

trained to produce Word documents, complete calculation in Excel, create professional presentations in PowerPoint etc. The only thing stopping Labour Hire employees from achieving all these As BCNY additional benefits is their lack of understanding of the Office Suites functionality.

Group 3 Brent Crowe, Claire Kubitzky, Nan Qiao, Yi Xie

Page | 48

Solutions was successful in this project to implement a centralized database system BCNY Solutions will not be providing user manuals or training workshops/tutorials. Although, BCNY Solutions

recommends users who want to use these applications can easily learn using Skills Assessment Manager (SAM), which is an online training module for all Microsoft Office applications. SAM has all levels of learning from beginners, to intermediate and advanced.

At the conclusion of this project, BCNY Solutions main goal in regards to training is to not only supply all employees with the required database username and password, but to hopefully leave knowing that Labour Hire can appoint any employee that has completed the training workshops we are recommending and can look after and maintain the implemented system. BCNY Solutions are

providing system maintenance and helpdesk support for one year once the system has been implemented and tested and we highly recommend any users that are facing any troubles or want additional help and training submit a request to our helpdesk department and we will try our best to cater for all employees situations.

Conclusion
The documentation provided within this report seeks to identify the objectives of BCNY Solutions to transform Labour Hires wants and desires into reality and allow them to gain an increase in clients and market value resulting from a holistic information and database management system.

As outlined within the documentation the fundamental underpinning issue that Labour Hire faces, that being, to rebuild the lives of disabled persons by rebuilding and renovating their homes has been dramatically impeded by the limited funding provided by the Australian Federal Government. It is for this reason that forced inevitable change onto Labour Hires current data processes. BCNY Solutions has incorporated Labour Hires needs into this solution from beginning to end and even further to ongoing support.

Throughout the project proposal BCNY Solutions has exercised due care and due diligence to protect Labour Hires information, and information systems, from unauthorised access, use, disclosure, destruction, modification, disruption and distribution. The never ending process of information security involves ongoing training, assessment, protection, monitoring & detection, incident response & repair, documentation, and review. This report seeks to equip Labour Hire with all the necessary tools in order to achieve the effective transformation.

This report makes a novel contribution to the literature provided by BCNY Solutions and will assist Labour Hire in ensuring ongoing support and training is provided to their employees through the inclusion of a pragmatic, step-by-step approach to implementing solutions that start with addressing key needs and building support for further initiatives. A focus on change management and adoption of the new Information and Database Management System ensures that the team at Labour Hire will use the system that BCNY Solutions have deployed to its utmost ability.
