Campus Manual
New work environment
@ Vodafone
Page 2
Dear Colleagues,
The move to the Vodafone Campus is the start of a brand new chapter and a new
way of working for all of us. Communication with each other will be faster,
collaboration will be easier and there will be fewer hierarchies. Some of you may
encounter a few initial problems and feel unfamiliar in the new working
environment, yet the advantages far outweigh the disadvantages, so lets make
the most of this unique opportunity.
I urge you to embrace the campus concept and trust in the positive feedback
that weve received from the people who tested it out in a pilot project. Although
many of them were initially sceptical, they dont want to go back to their old
offices now. The modern campus environment is fun to work in and it promotes
creativity and collaboration.
Im particularly looking forward to being in an inspiring and motivating open
space workplace. I know that open space working can be a challenge to
concentration. In my case, Im not particularly bothered by the noise, but it is
strange that people are able to approach me directly.
Weve published a manual containing important information about the campus
to help you during the first few days and weeks.
I hope you get off to a great start at the campus!

Mobile Working
What exactly does it mean for us?
More independence and flexibility, but also the need to show more
consideration to others
Use the various workplaces and work options at the Campus, in your Home Office
or when travelling
Select the most suitable workplace for the activity you are performing
In a mobile working scenario, no desks are allocated to specific personnel. All
work areas are shared by everyone. They have standardised furniture and
equipment.
Clean Desk Policy
Maintain confidentiality by clearing your desk before you leave it
If youre going to be away for a while (e.g. a long meeting or end of the
workday) always clear your desk so that other colleagues can use it.
Short communication paths with new opportunities for fast and simple team
communication

The Office
Special areas on the office floors
In addition to the desks, the office areas have a range
of special areas for employees to use.
For example, there are meeting rooms for six to eight
people for formal communication, communication
zones for informal communication and meeting
points/kitchens for breaks/ the opportunity to chat
and make yourself a drink.
Meeting rooms Communication zones Meeting points
The think tanks provide an opportunity to think or
communicate in a quiet atmosphere and there are also
office technology rooms equipped with multifunction
printers, mailboxes and filing areas.

Each special area is described in detail on the following
pages.

Meals at the desk Consideration Openness
In the new work environment at the Campus many things are
different.
Mobile working in an open space concept demands
consideration to others. We have to avoid all the things that
could disturb out colleagues in the home base in all our
interests.
So how can we foster good working relationships at the
Campus?
Weve listed some of the main rules that have proven to be
effective so that you have an idea of good practices. Theyre
subject categorised. All you have to do is click the subject
button.

Remember
If something is bothering you, say something!
Take advantage of the opportunity to define rules for your
team with the other team members.

Please ensure that

you approach your colleagues if you want to discuss
something with them instead of shouting across the room
and drawing attention to yourself.

you want to talk to them about but make a list of topics to
discuss at one time.
you dont use PC loudspeakers at your desk in everyones

IT equipment
IT supports the mobile working concept at the new Campus. Every VF employee uses a notebook, a headset and a
mobile phone for flexible mobile working.
With the notebook you can connect to the Wi-Fi or network cable anywhere on the Campus to access the Group
drive and their e-mail account. Wi-Fi is available throughout the entire Campus. There are fixed network
connections at every desk. Active connections that can be used are marked with a red dot.
The paper-free office concept applies at the Campus. Thats why the virtual filing areas for each member of staff
have been enlarged. Group drives now have 5GB storage space and e-mail inboxes to 1GB.

The Campus has plenty of meeting rooms that can be
equipped with AV (audio visual) and VC (video conference)
technology if necessary.
You can connect your external media via analogue (VGA) and
digital (HDMI, display port) ports. Many of the think tanks also
have media technology.
All bookable rooms can be booked with the room booking
system, Outlook, the Campus App or on the display outside
the room. (Please refer to the section on booking meeting
rooms).
If you book a room with a VC system, all invited participants
are provided with all the relevant information about dial in and
connection establishment.
You can then also hold video conferences via the Lync client
on your laptop.

Technology
Printing, scanning, copying & faxing
The multifunction printers in the office technology rooms are
the place to go for printing, copying, scanning and faxing.
Print jobs can be collected from any multifunction printer in the
building after authentication with your employee ID card.
Print jobs which are not collected are automatically deleted after
24 hours.
Scanned documents are sent to your e-mail account, with the
option to have them sent to other e-mail addresses. You also
receive faxes in your e-mail inbox. Faxes are sent from the
multifunction printer.
A4 and A3 print formats are possible, in black and white or
colour, or duplex.
The standard setting is A4, black and white, duplex.

The TFM service provider provides printer support.
This service includes toner replacement, paper jam removal
and simple fault remedy.
There is a 24-hour helpdesk available 365 days a year for
printer support:

Technology
Campus App
The Campus App is a mobile application in English and German providing information about the Campus. You can use it to navigate
your way through the entire building. When you activate it, it tells you exactly where you are in the Campus and all the things that are
close to your location. You can also use the Campus App to navigate to a selected location, such as the next office technology room.
In addition to the indoor navigation function, the Campus App can also be used to book meeting rooms and obtain other information
such as emergency and service numbers, staff restaurant menus and Vodafone news.
The Campus App works on Apple iPhones, Android phones, WebPage for RIM (Blackberry) and other platforms such as Windows
Phone. Only staff with a Vodafone account can download the app from the internal app store.
Every employee will be sent the app download link by e-mail.

There is a customer experience route across several
floors of the high rise building. The areas on this route
are Vodafones calling card. They demonstrate our
innovative competence and allow people to
experience our brand.
The main and visitor entrance to the high rise building
leads into the inviting foyer on the ground floor where
visitors can announce their arrival at reception or
check-in at the terminal. From the foyer, the transition
to the open-plan Vodafone Shop and a coffee bar is
very smooth. From here there is direct access to the
conference zone in Section A. There is also a Deutsche
Bank cashpoint in this zone.
The tour of various theme rooms on the ground floor
showcases current products, technology and design
(e.g. in the Vodafone Shop). These, in conjunction with
the Campus design, enables the customer to
experience our innovative strength.

Food service concept staff restaurant
The staff restaurant and cafeteria are on the ground floor of
Section B. Some of the 1,200 seats are in an open plan area
while others are in differently designed zones.
The food products are collected from various theme-oriented
pavilions, each with two different freshly prepared dishes.
Pavilion 4 has fresh cooked meals based on celebrity chef
Nelson Mllers recipes. Once a month, Nelson will come
along to cook for restaurant guests himself.
The cafeteria and restaurant are also available to employees
outside the main meal times as a Work Caf. The different
zones provide space to work in different atmospheres. Wi-Fi
and electric plugs are available throughout the cafeteria and
restaurant.
The areas around Pavilions 5 can be separated from the
restaurant for special events.

Smoking is not permitted in the buildings or on the
roof terrace. In order to meet the sustainability
criteria for Leed certification, we cannot permit
smoking inside or in the immediate vicinity of the
building..
This is why we have installed two smoker pavilions in
the courtyard. They have steel and glass walls and
roofs to protect users from the elements.
The pavilions are integrated in the Berkshire Garden
design of the Campus grounds. They are part of a
distinctive linear pergola structure that runs
between the two underground car park emergency
exit stairwells and has an open steel frame and pillar
design.
The paths to the pavilions and the pergola itself are
illuminated. The pavilions can also be accessed from
the front side.

The accident hotline number is 1010
The emergency call is the first step in the emergency service
chain. Call the internal emergency number 1010 for
immediate assistance in medical emergencies or after
accidents at work.

You have to provide the following information:
Whos calling? (Callers name and phone number)
Where did the accident happen? (Building section, floor,
room)
How many people are involved?
When did the accident/emergency happen?
What is the injury/medical problem?
Wait for questions from the operator!
The operator ends the call.

The internal emergency services unit coordinates the
company emergency services teams and briefs the external
emergency services teams.

When the building has to be evacuated you will be notified by a speaker
announcement. Stop what you are doing, end your telephone call and leave
the building without delay along the signposted emergency exit routes (see
pictograms). Emergency exit doors open automatically when an alarm is
activated. If you find them closed, press the red button on the control panel
to open the door.

If you are not able to get outside by following the emergency exit routes or
via the stairwells, stay in the building and make sure people know you are
there e.g. by phone or at the window. Follow the evacuation officers
instructions (orange vest) and the fire service personnel's instructions and
help people who are not familiar with the building layout (e.g. visitors),
disabled and injured persons. Warn other people who are in danger and
provide the evacuation officers with information about people who are still
in the building. Go to the evacuation meeting points! Do not go back inside
evacuated buildings or building sections. The Vodafone duty manager
(yellow vest) will tell you when you can go back inside.
