MIF 2015 What"s new-highlights.pptx
Importance: High
Hello Craig,
Hope you had a great weekend.
Here is written confirmation of our Math in Focus K-5 discussions from last week.
1. The 2013 Math in Focus materials in the attached Quotation Form are guaranteed by Houghton Mifflin Harcourt and Northwest Textbook Depository to be
available to Seattle Public Schools for the entire 7 year SPS K-5 math adoption period.
2. The 2013 Math in Focus materials in the attached quotation form will be available to Seattle Public Schools at the listed prices and the prices are fixed for the
entire 7 years.
3. Seattle Public Schools can purchase the Math in Focus program under the attached terms for this coming school year (2014/2015) or next school year
(2015/2016).
4. The cost per student for Math in Focus will be the same regardless of the number of students or the number of schools that choose the program. You can use a
linear calculation of $228 per student. The only thing that might be lower (but not higher) is if a school has had previous Math in Focus professional
development, in which case we can save them some money on the PD portion of the cost.
5. The new 2015 copyright of the Math in Focus K-5 materials will be available for implementation this August for the 2014/2015 school year.
6. By special arrangement, the new 2015 copyright of the Math in Focus K-5 materials will be available to SPS at the same prices and on the same terms as the
2013 copyright and as detailed in the attached quotation form. The 2013 matching prices for the 2015 copyright are also fixed for the 7 years RFP period.
There will be no price increase for the 2015 Math in Focus copyright for Seattle Public Schools.
7. What are the differences between the 2013 MIF and the just released 2015?
They are the same program the differences are minor. Attached is a slide detailing the differences. Marshall Cavendish has created an outline that shows a
pathway to follow if you want to stay true to the Singapore curriculum or follow the exact content that matches CCSS. The practices in Math in Focus have always
matched the CCSS and been in depth, but there were a few places where the CCSS content aligns better in the 2015. Many school districts that adopted the 2013
Math in Focus are rolling into the 2015 copyright this August.
Please call me with any additional questions.
Thank you!

Hello Susan,

Below is a dropbox link for the Math in Focus K-5 video presentation for the Seattle Public Schools.

1. This file is quite large at 65.7 MB. Please down load and save the file to the desk top of the computer
that you will be using to display the video before playing it for the curriculum committee. The file
could take between 3 and 10 minutes to down load.

2. The name of the file on the desk top will be: Seattle 4-24-14, 9.26 PM.mov

3. Please have your tech team play the video testing sound, etc - and make certain it is working on your
display system before showing to the committee.

4. The video is 29 minutes long.

5. The presenter is Carrie Robeson she is a former Math in Focus teacher from the Highline School
District and she is now the Northwest Math in Focus Consultant for HMH.

We will also be dropping by a thumb drive with the file on it at the John Stanford Center for Educational
Excellence. We will deliver it to the front desk in an envelope with your name on it. Please have the
thumb drive ready in case there is a problem with the dropbox down loaded file.

Thank you.

Hello Susan,

Thank you for asking.

We expect to have a video link to you for both Go Math! and Math in Focus by 8:30 am tomorrow Friday
4/25/14.

If the other publishers are not going to do this, please let us know so that we are not producing these
videos in vain.

Thank you.

Hi James,

It was nice speaking with you this morning.

I asked the Committee if they would agree to a Consultant for Math in Focus or Go Math, and their
reply is below.

We will take a video or audio only. And we will only present to the committee if we have one from
each of the publishers so the playing field will be even.

Our meeting starts at 8:30 AM.

Sorry to put such a tight time line on this request.

Hi James,

Our Committee has another request for a meeting they are having tomorrow.

Our Math Adoption Committee has agreed that it would be helpful to see/hear any video input the publisher would be willing to send us for our April
25th meeting. They would like to see a short, concise overview detailing the program's key attributes, particularly in respect to common core and our
ease of implementation concerns. Key elements from the program.
Is this possible? If so, will you please send me the link?

Hi James and Jenna,

We need clarification for the Request for Quote Form, you submitted on RFP02440 for Math in Focus, dated March 27, 2014.
We have three different totals for this curriculum.

You attached a proposal dated 11/25/13 to this answered RFP on March 27

and this proposal shows a total of $6,512,937.50.

The Request for Quotation form you submitted did not have a grand total, due to No Charge inserted in a numeric field instead of a zero. (attached)

I took out the No Charge on your attached form (dated 4/2/14) and I get a price of $9,446,266.01

Jamess email below states the total price being $6,851,166.60

Which one of these prices are correct?

Hello Susan,
We hope your Texas trip went well.
Here is additional information regarding the questions that Adam Dysart and his team asked regarding
Implementation and Professional Development for Go Math! and Math in Focus.
Successful implementation of a new Common Core K-5 Math program in a large school district is
challenging.
There is a big difference between implementation in a few schools, and successful implementation in 68
schools with 1500 teachers and 30,000 students.
Below is NW contact information references if you will for large districts where HMH has recently
successfully implemented a new Common Core K-5 math program:
Go Math! With 1700 teachers and 30,000 students: Anchorage School District
Bobbi Jo Erb
Executive Director of Curriculum & Instruction
Anchorage School District
907-748-5480
Erb_BobbiJo@asdk12.org
Math in Focus with 500 teachers and 10,000 students: Highline School District
Carmen Gonzales
Director of STEM
206.631.3154
Carmen.gonzales@highlineschools.org
Please allow us to suggest that you also contact the following district regarding the recent implementation
of Envisions in a large WA district 500 teachers, 11000 students and 21 schools:
Vancouver Public Schools
Layne Curtis
Curriculum Director

These districts and educators have agreed to talk with you in depth and will provide significant data for
your decision making process.
Thank you.

Hello Susan,
Here are answers to the additional three Math in Focus Questions:
1. What does the Professional Development entail in terms of number of days, materials, etc?

Attached is a Math in Focus Two year Professional Development Plan for SPS.
The PD Plan is an overview of the training plan and pricing designed to meet the needs of a K-
5 Math in Focus implementation for SPS.
The two year Professional Development Plan includes:
Total GRATIS Professional Development = $216,983.50
Total PAID Professional Development = $391,250.00
The Paid Professional development is included in the annual costs detailed in the Math in Focus RFP
submission.
A Two Year Implementation Calendar is included in the PD Plan.
2. Is there an option for HM to train our staff (train-the-trainer)and have us train our teachers, thus
saving some expense?
There is both direct to teachers PD and train-the-trainer PD included in the attached PD Plan.
This is the minimum PD for a successful Math in Focus Implementation.
3. What is the purpose of the year 2 PD? Is this for the same first-year-trained teachers or just for
new teachers to the program?

As detailed in the attached plan, the Math in Focus year 2 PD goes well beyond new teacher training.
Math in Focus is an excellent program. To be successful, it does require implementation and PD training
at the attached level in years 1 and 2.
I will answer these same questions regarding Go Math! In a separate email.
Thank you,
James

Subject: Re: Math In Focus RFP02440 clarification
Importance: High

Hello Susan,

Thank you for your email and questions. We are assuming that these questions are regarding Math in
Focus.

Here are detailed answers for Adam Dysart:

1. What makes the Math in Focus program so expensive?

Houghton Mifflin Harcourt (HMH) does not own the Math in Focus Program. HMH distributes Math in
Focus for the owners/authors of the program . Under the terms of that distribution agreement, the
owners of the program set pricing. They approved a 5% discount for SPS.

HMH is unable, for example, to offer the special promotions that were offered SPS on the Go Math!
Program (buy four SEs, get one free and buy one classroom manipulative kit get one free). Northwest
Pricing on Go Math! also benefits from the fact that so many Northwest school districts have adopted Go
Math! - including Anchorage School District with 30,000 students.

In addition, Math in Focus requires a significant amount of professional development. This is a significant
additional cost ($391,250 total years 1 and 2).

We are able to offer the five-year payment terms for Math in Focus as detailed in the RFP documents.

2. What was finally negotiated in terms of access/free updates?

Free updates are not included as part of the Math in Focus submission.

3. Is this their final Math in Focus number?

Yes.

Please let us know if there are any additional questions regarding either Math in Focus or Go Math!

Thank you.

We ask the Grand Total price of years one through seven. On both Go Math! And Math in Focus
you have years two through five filled out, but no cost associated for years six and seven. Is this a
typo, or are years six and seven free for both Go Math and Math in Focus?

Importance: High

Hello Susan,

Thank you for your email and questions. We are assuming that these questions are regarding Math in
Focus.

Here are detailed answers for Adam Dysart:

1. What makes the Math in Focus program so expensive?

Houghton Mifflin Harcourt (HMH) does not own the Math in Focus Program. HMH distributes Math in
Focus for the owners/authors of the program . Under the terms of that distribution agreement, the
owners of the program set pricing. They approved a 5% discount for SPS.

HMH is unable, for example, to offer the special promotions that were offered SPS on the Go
Math! Program (buy four SEs, get one free and buy one classroom manipulative kit get one free).
Northwest Pricing on Go Math! also benefits from the fact that so many Northwest school districts have
adopted Go Math!

Thank you.

James

Hi Jenna,

I am looking over both offers and I would like clarification on the Request for Quote Form, last
page.
We ask the Grand Total price of years one through seven. On both Go Math! And Math in Focus
you have years two through five filled out, but no cost associated for years six and seven. Is this a
typo, or are years six and seven free for both Go Math and Math in Focus?

Susan,

Thank you for allowing us to come in and organize the materials for for Go Math! and Math in
Focus.

We apologize the materials did not arrived as requested. James, Chris and I appreciated the chance
to put the resources together in an orderly fashion.

Hopefully the clearly marked pallets of product made life a little easier for the warehouse staff to
deliver to the school sites and Shawn Sipe is able to power through all the groupings of English and
Spanish materials with ease.

I discovered a missing box of materials for Kindergarten going to Anne Aliverti at Bryant Elementary
and have ordered a replacement box to arrive overnight.

You will receive the requested RFP paperwork tomorrow before the deadline. James and I are
reviewing it now.

Please let us know if there is anything else you need or anything we have missed in the process.

Hi James and Kari,

Our Warehouse recently received 19 pallets, for what I can tell, Go Math materials.

We asked in the RFP for each box to be addressed to the location that was provided in
the RFP-attachments #2.

All pallets are shrink-wrapped and it appears there are mixed destinations on each
pallet. The only identifying thing is a teacher name in tiny print on the mailing label.
We need to get these items moved out of our warehouse and into the schools
locations for review as soon as possible.

Would either of you, or both, please help by sorting these boxes? Please contact
Penny Guarin in our warehouse to schedule a time? pguarin@seattleschools.org or
call 206-252-0582 to schedule an appointment to come by.

We would also like to know how many boxes/envelopes equal one set? How many
boxes for each location?

There were quite a few boxes I noticed, having my name on them. Who do these
belong to?

Below are the names of the schools and contact for each. Shawn Snipes name was to
receive one set for the Library here at JSCEE, one for the Public Library(Douglas Truth)
and both sets of Chinese/Spanish to distribute. The other five locations should have
been marked for:

Wing Luke Elementary-Wendy Walker-Bell

West Seattle Elementary-Heidi Porter

Catherine Blaine- Barb Barden

Northgate Elementary-Carolyn Burns

Bryant Elementary-Anne Aliverti

Please let me know as soon as possible if, and when you plan to stop by.

Greetings Mr. James Generaux,

Congratulations on being selected as a finalist to proceed from the RFI stage to the RFP stage for the
Districts above referenced curriculum adoption.

Seattle Public Schools (the District) is planning a Comprehensive K-5 Core Mathematics Program Adoption
aligned to Common Core State Standards for Mathematics
( http://www.corestandards.org/Math ) with tools, components and resources, which enable the teacher
to address all learners needs. This Adoption is to primarily serve our elementary school students in
grades Kindergarten through Grade 5. First year implementation is planned for the 2014/2015 school
year.

The District will require two years of in-service training by a qualified math trainer. These costs shall be
included within the Quotation Form of this RFP package.

The Technology components of this adoption must be on a platform that easily adapts to current
District Technology platforms but also provides no extra cost upgrades to future Technology
Standards adopted by the District. Any costs associated with technology shall be included within the
Quotation Form of this RFP package.

ESTIMATED ADOPTION DURATION AND POPULATION
ESTIMATED DURATION OF ADOPTION 7 YEARS

COUNT(MATERIALS
ORDERED)
ESTIMATED TEACHER COUNT 1500-1800
ESTIMATED SCHOOL BUILDING PROGRAM COUNT 65

The District is inviting finalists from the RFI process to participate in this RFP process where additional
information and samples will be requested. Sample materials will be extensively distributed throughout
the District for increased exposure to, and feedback from curriculum adoption stakeholders.

RFP respondents should thoroughly review all RPF documents, fill out/return all forms (complete all
yellow shaded areas) and provide any supplemental information/materials important to your offer within
indicated timelines/deadlines. Instructions will include information on how/where to transmit the RFP
response itself (this will be different from how the physical book/supplemental materials will be sent).

RFP Response/Submittal shall as a minimum include the following:

Response to the Vendor/Publisher Questionnaire (Attachment 3)
Request for Quotation Form-(Attachment 4)
Request for Quotation Form Part A (Attachment 5)
Request for Quotation Form Part B (Attachment 6)

Provide any supplemental information/materials important to your offer

In addition to responding to the RFP itself, the District will instruct finalists on how/where to send
additional sample books, supplemental and other tangible items. The RFP will also instruct finalists on
how to transmit electronic access/password instructions so that Adoption Committee members and
stakeholder can easily access electronic/on-line resources.

Following School Board Policies and Superintendent Procedures, the Adoption Committee will use
established criteria to make curriculum recommendations that will be presented to the School Board for
further consideration and possible adoption.

Incomplete submissions of the questionnaire or quotation forms may disqualify vendors from
consideration for this project.

Using the attached RFP questionnaire/forms etc. as the vehicle to gather information, we hope to better
understand the features, benefits and estimated direct/indirect costs to procure, implement and support
this adoption into the future.

Estimated price range for the first year adoption and implementation is $1,200,000.00 - $1,700,000.00.

Evaluation criteria are listed in Attachment 8. The District has elected to coordinate with the National
Instructional Materials Access Center (NIMAC) to ensure student access to the educational curriculum.
See Attachment 9 for information and Attachment 10 for the associated contract requirement.

The funding has been identified.

Please note that the District will select the successful firm based on the best interests of the District, all
factors considered. The District reserves the right to reject any or all proposals, waive minor
informalities, and make the award in its best interest. Please note that the District reserves the right to
seek clarifications about the proposals, to request post-proposal modifications, including best and final
offers and considerations, and to engage in negotiations with a selected short list of vendors. In addition,
the District reserves the right to reject any firm that is not willing to accept the Districts Standard terms
and conditions.

During this Adoption process, do not contact any District personnel (outside of the
Procurement/Purchasing Services staff mentioned below).
No sales, marketing, sample/product access/delivery to District staff or other RFI/RFP/Adoption
participants shall occur during the Adoption process.
Failure to comply with these requirements may result in disqualification of your company for the
review and adoption process.

Please Note: The District reserves the right to reject any firm that is not willing to accept the Districts
Standard Terms and Conditions.

Hi James,

There is no total price on your submittal and I wanted to make sure I was clear when presenting the total cost to the
committee.
Does the pricing for years 2-5 ($558,954.00) include tax and any shipping charges? Year 1?
PD is $202,850.000 for the first year in addition to $3,175,815.00 for 30,000 students and $1,048,285.60 for
Teachers materials. I add this up to be $4,426,950.60 for the first year amount plus tax and shipping?

Year two would be $558,954.00 plus the PD $188,400.00 equaling $747,354.00 plus tax and shipping charge?

QUESTIONS FOR GO MATH

1. Will there be no-cost updates to the materials as we
gain experience using the Common Core Standards?
Go Math! 2012 was developed as a brand new CCSS Math Program. It is NOT a RETROFITTED pre-common core
program. As a result, Go Math! is 100% aligned to the CCSS for mathematics. The Student Edition in our proposal is a
seven year bundle. The online student and teacher resources are provided with a 7 year subscription at no charge for the
duration of the adoption. There will be the addition of Smarter Balanced Assessment teacher and student resources to
Go Math! in the future and at no cost.
2. Provide pricing for Spanish texts and teacher materials.
The pricing for the Spanish Go Math! student resources and the gratis teacher resources are the same as the English
version. In addition, the same special Seattle School District pricing applies: Spanish Student Edition Bundle - Buy Four,
get One Free - Classroom Manipulative Kits - Buy One, Get One Free.

Question re RF110318 - SENT 11/20/13 BY EMAIL- HMH Question #1
Hello Susan and Procurement Services,
After submission of a program with RFI response and Samples by the December 6, 2013 deadline, is it
possible to make a copyright substitution during the RFI and RFP process. This would be the substitution
of the same program under the exact same terms of the RFI response but with a newer copyright.
Thank you for your help with this question.

Hello Susan,
Thank you for your email. We did not know that communications after the RFI is released should take
place via email. We will not call again during the RFI process.
Upon the release of the SPS Math K-5 RFI, we have done the following:
1. Cancelled a December 3 author event in the Seattle area that would have included SPS educators.
2. Stopped and placed a hold all shipments of samples/virtual products information to SPS.
3. Arranged an exclusion for SPS from all HMH email campaigns.
4. Begun preparation of our response to the RFI in order to make all deadlines.
We appreciate your consideration of our request that Seattle schools be allowed access to the
samples/virtual products information that was sent out prior to the RFI release. If there is a retroactive
exclusive for materials sent, there is a question as to how far back that restriction would go and how it
would be applied equitably to all publishers. It would be difficult for instance for publishers to remove the
math pilots that are in the schools. We hope that schools will have access to all publishers materials sent
out prior to the RFI release.
Thank you.
James

Good Morning James and Kari,

During this RFI process, I request that any communication we have, should take place via email.
I understand Kari passed my request to you yesterday, asking her to pick up the samples that are
now arriving at our schools. I believe your recent calls to me are in reference to the request I
made.

Hi Kari,

Our Curriculum Department contacted me again today, with concerns regarding the materials that
were sent to multiple schools.
Their first thought (yesterday) was to ask the schools involved to send them here to our building.
Since more schools are calling today, the Curriculum Department is having second thoughts as to
where they are going to store these boxes when they arrive.
With that said, I would like to ask if it would be possible for you to pick these up, or send call tags to
have these items returned to you? We cannot have them setting out in the schools and keep
hands from reaching in the pile for free items.

Your thoughts?

SUSAN JOHNSTON, BUYER
SEATTLE SCHOOL DISTRICT NO. 1

Hello Susan,

Houghton Mifflin Harcourt had previously scheduled one of our national authors to do a Principals
Workshop in the Seattle area on December 3, 2013.

With the release today of the Seattle Public Schools RFI for Math K-5, we do not want the timing of this
workshop event to be in violation of the RFI or have any appearance of impropriety.

Therefore, we are canceling the Workshop on December 3, 2013.

We will reschedule the event after Seattle Public Schools has completed the adoption process.

Below is the email that we will send to all Seattle Area Principals that we invited.

Thank you,

James

Big APOLOGIES!

This Cost Proposal took two weeks longer than it should have and I am so embarrassed to say that
it was sitting on hold to go through a different channel of approval than I submitted. As a pilot
evidently it goes through a different chain of command and this has recently changed so it was not
a procedure I was aware of. SOOOOOO SORRY!

I want to thank you for your forgiveness and grace with this matter.

I have been on the road a lot the past two weeks since the weeks prior to that I was focused on the
Math conference. I have had my computer with me however and I have been checking every day
for approval- I also sent several HELP requests to my boss who was the one who finally pushed
this along and figured out who would be able to make the necessary changes/approvals to get it in
final form for you.

I promise you this process isnt normally so frustrating and again I apologize profusely for any
frustrations you have encountered.

I know your teachers are eager to get going with Math In Focus and hopefully they are finding their
way through the first few lessons of the Teachers Editions I gave them. I also hope the training
they received at McDonald International School was helpful. I missed them at Alki last Wednesday
but I do understand your reasoning for not sending them.

I know there is a year-end offer of some on-line training for a fraction of the cost of a live
trainer please let me know if this is something you would like more details on.

Please let me know how I can facilitate your order. I have ccd Holly ONeil who has also assured me
she is on the look-out for your order and will be sure it is processed without delay.

Thank you again for your forgiveness and please let me know how I can be of future help to you or
your staff.
KM
