fulfillment of the requirements for graduation for the degree of Bachelor of Science in

INTRODUCTION



Inventory refers to the total amount of goods and materials held in stock by a
factory, store and other business. It is an itemized catalog or list of tangible goods or
property, or the intangible attributes or qualities. Inventory management is a science
primarily about specifying the shape and percentage of stocked goods. It is required at
different locations within a facility or within many locations of a supply network to
precede the regular and planned course of production and stock of materials. Inventory
management is primarily about specifying the size and placement of stocked goods. Sales
are the activities involved in selling products or services in returns for money or other
compensation. It is the business activity through the company that will make profit
through higher sales volume and is an act of completion of a commercial activity. It
enables cashiers to process transactions and serve customers efficiently, and allows
managers to maintain tight control.
Manual Inventory is the process of inputting data manually into a log book or
paper works that consumed more time in operation. It requires continuous monitoring to
ensure that each transaction is accounted for and that products are maintained at the
appropriate stocking levels.

Automated Inventory Systems are specialized software that allows businesses to
input their inventory and track the products that are delivered and sold. At the time of
arrival the products are registered into the database and are added to the list of current
inventory. With an automated inventory system, businesses can rely on computers to do
tasks that were once performed manually, such as inventory checks and product sales.

According to the owner, the main problem of Augusto A. Reyes Hardware and
Lumber is they have manual process on inventory of items and they didnt know if they
still have an available stock of items. To solve the owners problem, the developers will
create a Sales and Inventory System to make their work easier, faster and productive.
Through this system, the products can be monitored easily and the sales of the business is
updated and well maintained. Regardless of payment, it is easy and accurate in
computing the products/items.






Statement of the Problem

The general problem of Sales and Inventory system of Augusto A. Reyes
Hardware and Lumber is its poor performance in terms of generating and monitoring
report.
Specifically, this study sought to answer the following problems:
1. How to monitor the products/ items?
2. How to determine if the product is still available or not?
3. How to generate an accurate financial report?


Importance of the Study


Since the problem of Augusto A. Reyes Hardware and Lumber is the inventory
like they didnt know if they still have a stock of their some items or if their item is still
available or not. The benefits that will be gained by Augusto A. Reyes Hardware and
Lumber in using the developers proposed system the Sales and Inventory System.
In Inventory the Augusto A. Reyes Hardware and Lumber will be gained are first
they can update the inventory product/items and faster than in manual, second time
reduction of searching items when it comes in checking the daily stocks. Then if theres a
customer it become easy to find out if the product/items they need is still available and if
they have if they selling that kind of item and the last one is, they can easily tally all the
items according to the data inputted to the system. In Sales, it is regarding on payments,
quantity discounts, preferred price levels and daily report sales. In payments, it can
calculate correctly and faster all the items that customers bought, it can automatically less
the price of the product if it is on sale or if they have a senior citizen discounts or quantity
discounts it can also provide the reports of daily sales complete, and less time consuming
if they want to see their daily, weekly, monthly and yearly sales.


Objectives of the Study
The general objective of this study is to develop a Sales and Inventory System.
Specifically, it aims to:
1. design a Sales and Inventory System.
2. create the system using Visual Basic.NET and MySQL for the database.
3. test and improve the system; and
4. evaluate the performance of the system using ISO 9126.



Time and Place of the Study
This study is being conducted at Augusto A. Reyes Hardware and Lumber, Cavite
City, Cavite from March 2014 to March 2015.


Scope and Limitation

The proposed system is composed of functions and processes that includes record,
update, add, item void, return, price list, inventory, log-in and guest. The record function
is for recording daily sales. The update function is for updating products that is out of
stock. The add function involves additional new item for listing. Item void function is for
voiding an item and correct it when the user made a wrong punch. The return function is
for items returned for exchange or defective. The price list function is for the price of
each item. Inventory function is used to view their stocks and sales. Log-in function
composed of username and password can only be used by administrator or an authorized
person. Guest function is used when the owner is not around but it has a limitation in
using the system. It cannot view the daily sales of the business.

This Sales and Inventory System can be developed by using Visual Basic.NET
for the graphical user interface reasons of the system and to make sure that the system
will become user-friendly. And lastly, MySQL program is use for the storing of the data
that is encoded in the system and most important, it will serve as the database of the
system.

This system will be used by the client, the owner of Augusto A. Reyes hardware
and lumber located at P. Burgos St. Caridad, Dalahican, Cavite City. The developers
think that this system is so fit on the type of the hardware they have and will need it most
for the sales reasons.
The developers know that this system can monitor your product sales, and can
store the data in your database that is connected to it but with limitations. The system
limits to detect the generated report of the product automatically.

Operational Definition of Terms



Inventory - refers to the total amount of goods and materials held in stock by a factory,

Manual Inventory - is the process of inputting data manually into a log book or paper
works.
Automated systems - can replace the cost and time consuming processes that were once
completed by hand while providing companies with more accurate data.
Audit Trail - is a security and relevant sequential record and source of records that
provide documentary evidence of the sequence of activities that have affected at any time
a specific operation, procedure or event.
Inventory Management Software - is a computer-based system for tracking inventory
levels, orders, sales and deliveries.
Inventory Control Systems - Inventory Control System is a system the encompasses all
aspects of managing a company's inventories; purchasing, shipping, receiving, tracking,
warehousing and storage, turnover, and reordering.
