Product Description
Desktop Analyzer- Staffing Edition provides easy and efficient methods to achieve various
staffing requirements in Project & Portfolio Management module of SAP by leveraging the
strong features of Excel in the front end and SAP PPM in the backend. The familiar and simple
Excel user interface makes learning curve easy and smooth for user.
Key Features
Staffing Data download for single/multiple projects simultaneously.
Project Search feature available to search project based on project id and/or project
description.
Role Function Search feature available to search role function based on role function id
and/or description.
Monthly and weekly planning supported.
Navigate the data cells as you would with any spreadsheet arrow keys, page up and
down, etc.
Hourly & FTE based planning supported.
Manual Editing and Upload to SAP PPM supported. The Upload is optimized for
maximum performance.
Add Staffing feature supported where user can staff resource under a role from Excel UI.
Delete Staffing feature supported where user can delete resource under a role from
Excel UI.
Switch Staffing feature supported where user can switch resource under a role from
Excel UI.
Resource Search functions available to aid Add and Switch staffing features.
Resource Net Availability and demand values with indicators displayed to support
decision making.
Add and Switch staffing using Global ID (Business Partner ID) directly supported.
Uses SAP security and encrypted Web Services.
Respects SAP locking will not update the Item if another user has it open already.

User Guide
1. Setting Properties
Step 1:
Action: Open Excel application, click on DA-Staffing Edition tab on Excel.
Result: DA-Staffing Edition tab is displayed as given in screen below.
Step 2:
Action: Click on Properties button in Ribbon.
Result: Property window opens with all fields blank for first time.

Step 3:
Action: Fill in the properties and click OK.
Result: Property Window is closed.
Step 4:
Action: Click Properties window again.
Result: All the values entered are retained.

2. Download Data
Step 1:
Action: Click on Load Staffing button in the Ribbon.
Result: Login window pops up, with username populated as entered in Property Window earlier.
Step 2:
Action: Enter Password and click OK.
Result: Download Staffing window will open as below. For the first time all fields will be blank except
Unit set to default value Hours.

Step 3:
Action: Enter the projects and also other criteria as required and click OK.
Result: Staffing data for entered projects will be downloaded in format below.

Step 4:
Action: Click on search icon beside Project ID field in Download Staffing window.
Result: Project Search window opens.
Step 5:
Action: Enter search string in Project ID field and click Search button.
Result: Projects matching entered criteria will be listed.

Step 6:
Action: Select the project to be downloaded and click OK button.
Result: Selected project will be populated in Download Staffing. Click on OK button to download data.

Step 7:
Action: Click on search icon beside Role Function ID field in Download Staffing window.
Result: Role Function Search window opens.

Step 8:
Action: Enter search string in Role Function Description field and click Search button.
Result: Roles Functions matching entered criteria will be listed.
Step 9:
Action: Select the role function to be downloaded for selected project and click OK button.
Result: Selected Role function id will be populated in Download Staffing. Click on OK button to
download data.

Note: Check below that the data corresponding to Role function ID selected in above step is
downloaded.

Step 10:
Action: Select the project that has period type set to weekly in SAP PPM system and click OK button.
Result: Data will be downloaded in weekly format as below.

3. Upload Data
Step 1:
Action: Download staffing data as given above, edit the values as required. Then click the Update
Staffing button in ribbon.
Result: Update is complete message is displayed on successful update of changes made.
**Note: Confirm successful update by downloading data for same projects and verify.

4. Resource Search
In SAP PPM system following 3 resources has First Name starting with Ad. Please make a note of role
function ID associated with each resource.

Without Role Function ID in Download Staffing Window

Step 1:
Action: Download staffing data without Role Function ID as above
Step 3:. Select any cell in the role rows as marked below and click Add Staffing button.

Result: Resource Search Screen pops up.
Step 2:
Action: Enter the required search criteria for resource & click on Search button.
Result: List will be populated with resources matching search criteria.
With Role Function ID in Download Staffing Window

Step 1:
Action: Download staffing data with Role Function ID as above Step 9. Select any cell in the role rows as
marked below and click Add Staffing button.

Step 2:
Result: List will be populated with resources matching search criteria and matching role function (that
was/were entered while downloading data).

5. Add Staffing
Using Resource Search Function
Step 1:
Action: Download staffing data. Select any cell in the role rows as marked below and click Add Staffing
button.

Step 3:
Action: Select resource that has to be staffed for role by clicking on it.
Result: The details of resource availability and role demand, from current month to end are displayed
on the right for selected resource.

Step 4:
Action: After selecting the resource click on the Staff Resource button in the bottom of Resource
Search Screen.
Result: The selected resource appears below selected Role. The Total and Remaining for that Role is
recalculated.
**Note: Algorithm for staffing
FROM CURRENT MONTH TO END OF DATA DOWNLOAD:
If Role Demand <= Resource Availability
Staffed Value = Role Demand
If Role Demand > Resource Availability
Staffed Value = Resource Availability
If Role Demand < 0
Staffed Value = 0
If Resource Availability< 0
Staffed Value = 0
Step 5:
Action: Click on the Update Staffing button in the ribbon to save the newly staffed resource.
Result: Update is complete message is displayed.

Direct - Using Global ID (Business Partner Number)

Step 1:
Action: Download staffing data. Select Role to which staffing needs to be added. Enter Global ID (BP
Number) in the textbox as shown and click on Staff button.
Result: The resource with entered Global ID appears below selected Role. The Total and Remaining for
that Role is recalculated.
**Note: Algorithm for staffing
FROM CURRENT MONTH TO END OF DATA DOWNLOAD:
If Role Demand <= Resource Availability
Staffed Value = Role Demand
If Role Demand > Resource Availability
Staffed Value = Resource Availability
If Role Demand < 0
Staffed Value = 0
If Resource Availability< 0

Step 2:
Action: Click on the Update Staffing button in the ribbon to save the changes.
If Role Function ID was entered during staffing data download and if we enter Global ID of a
resource who has different Role function ID associated to it than system will give an error
message.

6. Switch Staffing
Using Resource Search Function
Step 1:
Action: Download staffing data. Select any cell in the staffing row that needs to be switched as marked
below and click Switch Staffing button.

Step 3:
Action: Select resource that has to be staffed for role by clicking on it.
Result: The details of resource availability and current staffing, from current month to end is displayed
on the right for selected resource.
Step 4:
Action: Click on the Switch Resource button.
Result: The new selected resource from the list replaces the current resource. The staffing values
remain unchanged.

Step 5:
Direct Using Global ID (Business Partner Number)

Step 1:
Action: Download staffing data. Select Resource which staffing needs to be switched. Enter Global ID in
the textbox as shown and click on Staff button.
Result: The resource with entered Global ID replaces the current one. The Staffing values remain
unchanged.

Step 2:
If Role Function ID was entered during staffing data download and if we enter Global ID of a
resource who has different Role function ID associated to it than system will give an error
message.

7. Delete Staffing
Step 1:
Action: Download staffing data. Select any cell in the staffing row that needs to be deleted as marked
below and click Delete Staffing button.
Result: Warning message pops up to confirm delete action.
Step 2:
Action: Confirm delete by clicking Yes on warning window.
Result: The selected staffing row is deleted and Total & Remaining for Role under which staffing is
deleted are recalculated.
