Overview
(A very short introduction)

What is Lotus Traveler?
Lotus Traveler is a push email offering providing quick access to
email (including attachments), calendar and address book for
Lotus Notes mobile users.
Lotus Traveler is installed on a server and to use it, you simply
need to follow a few steps on your phone to link your phone with
the server.

Data Plans vs. Lotus Traveler vs. Your Phone Bill
Given the fact that you your phone will be transmitting a bit more data
than before over-the-air, you should check your last bill or call your
carrier to check your current data usage.
If you are always near your current limit, it might be wise to upgrade
to a data plan with a higher capacity to avoid overcharges. Keep in
mind however that most Unlimited Data Plans arent really
Unlimited and that you should ask or check with your carrier exactly
how much data they really mean by Unlimited.
Also, when Traveling to another country, you should turn off your
phone data function to avoid incredibly high roaming data bills (see
your phone documentation for that).

What if you dont use an Android Phone?
This presentation is geared toward users of Android devices (Nexus
One, HTC, etc)
If you have a Windows Mobile or a Nokia phone the instructions are
very similar and you should not have any trouble getting your device
activated with the server with the examples in this presentation.
If you have an iPod Touch, an iPhone or an iPad, you can look at the
presentation that was made specifically for those devices (please

If you are moving from a BlackBerry to an Android Phone
There will be a learning curve if you are moving from a BlackBerry to
an Android Phone.
For example, most models of Android phones dont have the ability to
hold down a key to capitalize a letter when typing.
Also, there is currently no official Sametime Chat client available for
the Android.
And each and every Android phone manufacturer has a slightly
different user interface so with each new phone, you must re-learn
how to do certain tasks and where certain menu items are.

Part 1
How to Activate your Android Phone with our
Lotus Traveler Server

Activation - Introduction
Before we begin
Make sure that your device is fully charged.
Make sure that you are in an area with good cell phone reception.
Make sure that you can already surf the web on your Android
phone.

Step 1 Open the Web Browser on your Android Phone (note: the
icon might be somewhere else on your phone).

Step 2: In the address bar at the top, type traveler.uu.com/config and
press the arrow (in this example, I rotated the phone to have more
space to read and type).

Step 3 : Enter your Name and Lotus Notes password when prompted
and press on the I Agree to the Terms Below / Login button.

Step 4: If the web browser on your Android phone asks if you want it
to remember your password: click on Never (its a security
otherwise).

Step 5: If you get prompted to change your password, click on
Cancel now is not a good time to change it.

Step 6: If you have logged in successfully, you will see this page (with
your name on it of course). Scroll down (if need be and click on
Configure your Android.

Step 7: If you didnt put an SD card in your phone earlier you will
get this message and you cant continue. Otherwise you will see the
screen on step 8.

Step 8: And if you get this error simply wait 5 minutes and re-try
the previous step or turn off usb storage. If you dont have this
warning, youll see the screen on Step 9.

Step 9: After clicking the Configure your Android link, a pop-up
saying Starting download will appear quickly and the following icon
will appear in the upper left corner. Dont panic and move to the next
step

Step 10: Tap on the notification bar at the top and pull it down
your screen will look like this as you open the notification bar.

Step 11: Now click on LotusInstaller.apk.

Step 12: If your phone is brand new, you might see this warning. Click
on Settings to unblock installation of applications. If you dont see
this screen, simply skip to step 16.

Step 13: If you are in the Application Settings screen, enable the
Unknown sources option.

Step 14: If you enabled the downloads from Unknown sources, click
on OK.

Step 15: If you had to change your device Application Settings, click
on the back button of your phone to go back to the previous screen
and re-do step 11.

Step 16: After clicking on the LotusInstaller.apk file, the following
screen will appear.

Step 17: The installation will install itself fairly quickly. Once its done,
simply click on Open.

Step 18: As with most applications we install, you have to agree to
the terms and conditions. Click on Agree after reading the terms and
conditions.

Step 19: On this screen, it appears that it wants to download another

name in the User ID field.

password. When ready, click on Next.

correctly, it will start to download another application.

clicking on Activate.

account. Simply click on OK.

Step 31: Once the activation is completed, you will be taken back to
the traveler.uu.com web site. Simply click on the Home button on
your phone to go back to the main screen.

Step 32: Wait at least 10 minutes before opening the Mail,
Calendar or Contacts applications on your device after performing
these steps. If you open any of these applications, it will issue a slowsync request which will conflict with the initial sync request and delay
your activation so please go grab a coffee and dont touch your
Android phone for at least 10 minutes

Part 2
Accessing your eMails and Calendar on your
Android Phone.

Access - Introduction
Before we begin
This part assumes that you have waited long enough and that
your Android phone has had enough time to receive your eMails,
your Calendar entries and your Address Book.
Activating Traveler on your Android phone does not add the icons
to your home screen: this will be explained in the first few slides
of this section.

Step 1: From the home screen of your phone,
click on the launcher icon.

Step 2: In the application screen, find the icon
for the Mail application and press and hold it
for 2 or 3 seconds.
Note: all the Lotus Traveler icons have the
yellow same color so they are easy to spot.

Step 3: After you have held the icon for a few
seconds, you will be taken to the home screen
Simply drag the Mail icon to a spot on your
screen and release it.

Step 4: After moving your mail file icon, lets
move your Calendar icon. Click on the launcher
icon to get to the list of applications.

move your Lookup icon. Click on the launcher
icon to get to the list of applications.

Step 10: Finally, after moving your Lookup
icon, lets move the icon for Notes Traveler.
Having this icon on your home screen might
help you troubleshoot issues in the future.
So, simply click on the launcher icon to get to
the list of applications.

for the Notes Traveler application and press
and hold it for 2 or 3 seconds.

Step 14: To access your emails, simply click
on the Mail icon on your home screen.

Step 15: After opening the Mail application, you
will be taken to your Inbox automatically.
To open an email, you simply click on it. In this
example, I have clicked on the email of
Jennifer Isola-Mayes.
Note: I have doctored this image so that
you dont see all my emails. For example, the
unread counter indicates that I have a total
of 16 unread emails (i.e. more emails than this
picture).

Step 16: Now that the email is opened, I can
see that she just did a quick reply to a very
long email.
The Download button downloads all the
contents of the email.
We will see in Part 3 how to setup your phone
to automatically download the entire
contents of each email instead of doing a
partial download.

Step 17: After reading the email, you can use
the buttons at the bottom of the screen
The Next button opens the next email in the
inbox.
The Folder icon allows you to file this email
in a folder.
The Trashcan icon deletes the email.
The Reply button creates a reply.
The Previous button opens the previous email
in the inbox.

Step 18: If you want to close that email and
go back to the Inbox, you will need to click the
back button on your phone.

Step 19: If you want to view other folders you
again need to click on the back button on
your Android phone.

to open your drafts or other folders in your
mail file by picking the Personal folders
option.
To go back to your Inbox, simply click on it

Android device, you have to open your Inbox
in the Mail application and then you have to
click the Options button on your phone.

the Compose button.

a few letters of the name of the person.
If the person is in your personal address
book, you will get a pop-up and you will be
able to select that name.
Otherwise, to perform a look up, simply click
on the Options button of you phone and
click the Look up recipient option.

names that matches the letters you typed,
you can pick a name from the list.
In this example, I clicked on the Dev-Tester
user name.

Step 25: As you can see, the email address of
the person I selected appeared on the To:
field.

clicking in the Subject field and typing
the subject of the email.

simply click in the Body and start typing
Note: the body goes into full screen mode
after you click on it. You can simply click and
scroll down to see the To: and Subject: fields.

Options button of the phone and click on
Send.

Simply click on the Home button on your
Android phone to get out of your Mail.

on the Calendar application icon on your
home screen.

calendar, youll see a list of meetings and
appointments.

meeting that you have already accepted.
If you click on the Options button on your
phone, youll see that you can simply set an
alarm or decline the meeting.

you can click on the Back button on your

calendar to Daily and Weekly by clicking the
Options button on your phone.
You can also create a New Event from that
same screen.
Note: Meetings cannot be created from an
Android phone in this current version.

Step 36: To close your Calendar, simply click
on the Home button of your phone.

Step 37: The Lookup application is very
useful, for example you can use it to find the
phone number of another employee.
Simply click on the Lookup icon to open it.

opened, simply type a few letters of the name

magnifying glass icon or the go button to
start the search.

matched my search. To view the details
of an employee, you simply click on his/her

is stored in the Corporate Directory, you will
be able to simply click the phone number to

application.
You can click on it to check the status of your
connection when you suspect problems.

do in the Notes Traveler application.
Its simply the application youll go into to set
some preferences and to help you when
troubleshooting certain problems.
To go back to your Home screen, simply
click on the button on your phone.

wondering wheres your personal address
book on your phone?
Its actually the phonebook of the devices
and not a separate application with a
yellow icon.
Simply click on the person icon at the
bottom of your screen to open your personal
address book.
Note: the icon might be different on your
phone (it depends on the manufacturer).

To view more details about a person, simply
click on their name.

Settings

Settings - Introduction
Overview
Your Android phone is your mobile device and you can customize
some things on it. Your email and calendar is just one of those
items that you can customize to suit your needs.
In the next few slides, you will see where to go to update your
password on your Android phone when you change your Lotus
Notes password and, while we are there, the location of the option
to configure your Lotus Traveler connection to keep more than 3
days of emails on your device.

Step 1: Since we are going to play with the
Notes Traveler settings, we need to click on
the Notes Traveler icon on your Home
screen.

Step 2: Once you are in the Notes Traveler
application, click on your phone Options button
and then click on Settings.

that is stored on your Android device, click
on Account.

5 days of emails on the device. You can
change that by clicking on Remove mail

that your Android phone has a smaller
memory capacity than your mail file

phone by clicking on Truncate mail to.

Step 10: Selecting 10K is a good compromise
between the number of emails your phone
can store vs. how much space each email
take on your phone.
For emails that are larger than 10 kilobytes,
you will see a Download button at the top
of the email to fetch the rest of the email.

pasting images in their emails, it might not be
a bad idea to click on Auto download images
and attachments up to.

kilobytes of attachments and images to

I think that 25k is a good compromise again
but you can come back here to adjust it later
if you wish.

events to change how many past events it

Security Considerations & Requirements

Security - Introduction
Overview
Your Android phone contains data that is owned by the company.
You are therefore obligated to follow certain protocols and basic
security measures after activating it with our Lotus Traveler
server.
In the next few slides, we will go over certain basic security rules
and the steps that you should take if your device is lost or stolen.

Basic Security Dos & Donts
You are required to set a security password on your Android phone.
Do not share your Android phone password and/or Lotus Notes
password with anybody.
Do not leave your Android phone unattended in a public place.
Do not lend your Android phone to business associates, friends or
family members.
Do not jailbreak your Android phone or otherwise install any
application or software that comes from an non-legitimate source.

Security Lost or Stolen Phone


If your Android Phone is LOST or STOLEN
IMMEDIATELY report the LOSS or THEFT of your Android phone
to the Regional Lotus Notes Administrator AND to the PC LAN
Administration team of your site. The Lotus Notes Administrator
will then remotely wipe the Lotus Traveler data from the device
and lock it. The thief, or whoever has the device, will still be able
to use the device but he wont be able to access your emails,
calendar and address book data on the device IF you inform us
QUICKLY enough.
IMMEDIATELY contact your cell phone carrier to report the LOSS
or THEFT of your Android phone so that they can prevent the thief
from using your SIM card (if your phone has one) in another
phone and sticks you with a huge phone bill.

Security - Password
How to set a password on your device?
You can set and change the screen lock password on your device
by going into the Settings screen.
In the next few slides, well explain step-by-step where to go to set
a screen lock password.
Unfortunately, there is no option on Android phones to set the
device to wipe itself after 10 failed screen lock attempts.

Step 1: The first step to secure your Android
phone is to go to the Applications screen by
clicking on the Launcher icon.

Step 2: Scroll in the list of icons until you find
the Settings application. When ready, click
on it.

click on Location & security.

I suggest using a PIN. You can, however, if
you wish, use the Pattern or Password
options.

phones are a bit extreme but then again,
its just like our normal password policy (8
characters). So simply click on OK.

twice to set it go ahead and click on OK
when done.

You can see that the default Security lock
timer is set to 20 minutes. Click on that option
to change it.

What if you forget your passcode lock?
The Passcode Lock on devices linked to Lotus Traveler
CANNOT be reset remotely by the Regional Lotus Notes
Administrator AND to the PC LAN Administration team.
For Android devices, you will need to follow the procedure of the
manufacturer to reset your device if you forget your passcode
lock.
Once your device is reset to the factory default settings, you will
be able to use it again. Unfortunately, you will need to re-install
the apps you had downloaded and re-activate your Lotus Traveler
account.

Part 5
Keeping your Contacts in Sync

Introduction
Keeping your Lotus Notes Contacts in Sync with your Lotus
Android Phone Contacts
There are a few ways to keep your address books in sync.
If you use Lotus Notes version 7, you have to synchronize your
contacts via an action button.
If you use Lotus Notes version 8 and higher, you have to enable
the Synchronize Contacts feature and schedule it.
And lastly, you can automate the process by asking your regional
Lotus Notes Administrator to turn you into a Roaming user.

If you use Lotus Notes version 7
To keep your Lotus Notes personal address book in sync with
your Android phone (and vice-versa), open your inbox in Lotus
Notes and then click on the Actions menu and then click on the
Synchronize Address Book option and let it do the sync.

If you use Lotus Notes version 7 (continued)
If you have done this in the past (but more than 1 year ago), you
might end up with duplicates in your address book. Take a
moment to review the results and to remove the duplicate entries
after the sync.
In version 7, since this is a manual process, you need to repeat
the step from time-to-time to keep both address books in sync.

To keep your Lotus Notes personal address book in sync with

Becoming a Roaming User
To automate the synchronization of your Lotus Notes Address
book and your Android phone, you can also ask your Regional
Lotus Notes Administrator to enable Roaming for your Lotus
Notes user profile.
Once the Roaming process is completed, your Lotus Notes
Address Book will be replicated to the server automatically and
scheduled replication will keep both address books in sync.
An added benefit of this is that, if you use http://mail.uu.com to
check your emails, you will also have access to your address
book.

How to Un-Install Lotus Traveler from your Android Phone
If for any reason you feel that you do not wish or do not want
Lotus Traveler on your Android Phone anymore, you can follow
the steps in the next few slides.
Keep in mind that if you are trying to delete your work-related
items from your phone, to be able to give it to someone else for
example, you should follow the manufacturers instructions on
how to perform a factory reset.

99.99% of the calls we receive for help with Lotus Traveler not
working is because the employee has changed his Lotus Notes
password but did not update the password on his Android
phone. Is it your case?
For more specific error messages, we recommend simply
Googling the error to see what the manufacturer has documented
in regards to this particular error.
Dont forget that an Android phone is just a very specialized
computer. Turning it off and back on might help you. Most Android
phones can be fully turned off by pressing and holding the
Power button at the top for 5 seconds.
