7.0 add-on and its most relevant applications.

and Gas industry.

But before we start I want to introduce you briefly to the openSAP learning concept. If you
have worked with openSAP previously, you will find everything very familiar.

If this is your first course on openSAP there are a few things worth mentioning:

First of all, this course should be fun. The openSAP concept lets you learn at your own pace.

The individual units are usually not longer than 20 minutes and can be consumed in easy
chunks.

This is a four-weeks course and each week will contain up to 6 units.

In this week you will learn about the general system prerequisites for OGSD 7.0 and how the
add-on can be obtained and installed to your system.

Sales Logistics Cockpit.

Week 2 introduces you to one of the key elements of OGSD: the logistics automation with Data
Collation.

You will see the new Process Automation Toolset that comes with OGSD 7.0 and finally you
will see the LPG application for Liquid Petroleum Bottled Gas.

In week 3 the first topic is an introduction to the new solution for service stations: Retail Fuel
Network Operations.

After that we will cover the OGSD interfaces and how they interoperate with other OGSD

OGSD is on the market for more than ten years now and has been installed in companies
ranging from only a dozen users up to industry giants with thousands of users.

OGSD is today available in three releases:

version 6.0 was the first release for SAP ECC 6.0 and had all the major applications like
Telesales, Data Collation and Interfaces.

Version 6.1 is available for SAP ECC 6.0 Enhancement Pack 4 and above and introduced the
consumption prognosis application Continuous Product Replenishment.

This release also came with the complete new interface module and a redesigned notes
processing.

The new release OGSD 7.0 is the most comprehensive release for Oil and Gas Downstream
business ever.

Now, what are the business benefits that you can gain from the OGSD solution and its various
applications?

First of all, OGSD helps you to automate the typical logistics processes in the downstream
business.

OGSD makes the managing of downstream logistics processes much easier and faster so that
you can shorten the sales to cash process and it gives you better control over your inventory.

for service stations.

With the truck dispatching solution that comes with OGSD you can make better usage of your
truck fleet and it helps you to reduce external transportation costs.

There are several applications that help you to improve the order management process:

First, there is the OGSD Telesales, a very powerful tool that is particularly useful for sales

sales.

With comprehensive customer information and powerful tools it makes order taking easy and

Continuous Product Replenishment can be used to automate the order generation based on
monitored customer tanks

and it is capable of handling 10th of thousands of customers and generate sales orders at the

Notes Processing and Sales Actions give you further options to run sales campaigns and
manage customer contacts.

A key capability of OGSD is logistics automation. With the Data Collation application and the
optional integration of OGSD interfaces

business processes around the Oil and Gas logistics processes simple and reliable.

In unit 1 we have spoken briefly about the main applications that are available with OGSD 7.0.

In this unit I want to give you further information about the software installation.

We start this unit with where you can get information about the installation of OGSD and about
the availability for your release.

Then we will cover where you can get the OGSD software and how it can be installed to your
system.

We will then have a closer look at the installation tools that you need for the add-ons.

We continue with a detailed look into the activation of business functions and some application
specific settings that may be required.

There are several sources of information for the installation of OGSD.

First of all, you need to understand that the OGSD product version 7.0 contains two separately
installable software components.

The add-ons Oil and Gas Secondary Distribution, OGSD for short, and the add-on Bulk
Secondary Logistics Management, BSLM for short.

Depending on the scenario that you want to install, you will have to install either one or both of
the two add-on components.

The Master Guide tells you which software component you will need for which scenario.

The OGSD 7.0 Master Guide can be found in your installation package or can be accessed
from the Software Download Center.

The Master Guide also tells you about prerequisites that are only relevant for specific
scenarios

and may not be relevant for the general add-on installation. For the technical installation of
each component there is a separate installation note

that provides all information for an SAP Basis Administrator how the component can be
installed.

This includes technical prerequisites, the installation procedure, and post installation steps if
necessary.

Always make sure that you download and read the latest version of the installation note as
they may contain up-to-date information.

After a successful installation some scenarios may require additional components

such as a quantity conversion server or a geographical software to run.

Also, while some applications are technically shipped and installed with OGSD and BSLM,
they need to be activated separately after installation.

We will talk about this activation process later in this unit.

So in short this means: The installation note explains how you install a software component.

The Master Guide tells you what software component and maybe additional components you
need for a specific scenario.

As you already know from unit 1 of this week, OGSD comes in various releases.

While OGSD 6.0 can be installed on an SAP ECC 6.0 system, higher releases require certain
Enhancement Pack levels.

If you want to find out which platform you need for a specific OGSD release there is the
Product Availability Matrix that gives you all relevant information.

The PAM as it is called for short, tells you about possible upgrade paths from previous
releases,

required product versions for each OGSD release, gives details about release dates and about
the maintenance for each release.

You also find all available support package stacks for your release in the PAM.

component.

OGSD 7.0 consists of two separately installable software components that can be used
independently or in combination.

The software can be received as a physical shipment if required. Both software components
can be found in your installation package

or can be downloaded from the Software Download Center on SAP Service Marketplace.

Typically, you would download the add-on software from the Software Download Center.

You need a valid license in order to download the software. During the ramp-up period of a
new release access to the software may be limited.

In this case you have to join the ramp-up program for the new release.

The two software components of OGSD 7.0 are add-ons and they require that an ECC 6.0
system

with correct Enhancement Pack and Support Package Stack is already installed.

After downloading the add-ons from the Software Download Center they can be installed to the
system using the add-on installation tool.

This tool can be started in the system using transaction SAINT. The installation note explains
where to put the installation file.

It is important to know that an add-on cannot be removed after the installation.

With transaction SAINT you can install or upgrade the OGSD or BSLM software components
individually.

You can also use the Software Update Manager to include the installation or upgrade of OGSD

or BSLM in an Enhancement Pack upgrade.

If you upgrade from a previous R/3 release it is recommended that you complete the upgrade
first and install the add-ons later.

Now, what are the prerequisites for the software components coming with OGSD 7.0 and what
scenarios can be used after installing the components?

To install the software component OGSD you will have first to make sure that at least the
Business Functions Business Function Basis (COM)

and Commodity Management and Bulk Logistics from the Business Function set IS-OIL are
active.

You find this activity in the Implementation Guide IMG of your system or you can access it with
transaction SFW5 directly.

Be careful before activating any business functions as this activity cannot be reversed!

After you have activated Oil and Gas in your system as described above you may now install
the software component OGSD using transaction SAINT.

To install BSLM all you need is an ECC 6.0 system with Enhancement Pack 6 or above.

It is not required that the Business Function Set IS-OIL is active in that system. You can also
install BSLM on an IS-OIL system.

Please note that BSLM is not released for any other Business Function Set than IS-OIL.

After you have installed BSLM, you can configure and use the truck dispatch solution
Integrated Dispatch Management.

In order to work properly, you will need a map server that provides geo information, maps and
support the routing of trips.

Both software components have switches that activate additional scenarios.

Again please note that the activation of a Business Function cannot be reversed.

In OGSD you can activate the Enterprise Business Functions for Retail Fuel Network
Operations

if you want to use OGSD to manage service stations. Please note that separate licensing may
apply for RFNO.

In BSLM you can activate additional Business Functions if you are running BSLM and OGSD
on an IS-OIL system

and the software component OGSD is installed. After you have installed one of the software

onto an existing system it may be necessary to copy delivery customizing into existing clients.

The reason for this is that entries for certain customizing tables are only copied into client zero
during installation.

If other clients already exist in that system prior to the add-on installation you need to copy

the customizing to the clients where you want to use the add-on. For both software
components piece lists exist

Some applications require specific settings to run properly. Besides the standard customizing
that is required for each application

there are some things that are worth mentioning: OGSD Telesales is an enhancement to
standard SD transactions.

In order to work properly you have to copy a GUI status from an OGSD object to the SD
application.

This can be done with the Copy Status activity in the OGSD customizing. Please read the IMG
documentation for this activity for detailed information.

The truck dispatching solution IDM requires a geographical map server to run.

In this unit we want to take a closer look on how you can access OGSD transactions and
reports.

After the installation of the OGSD or BSLM add-on it might be a little difficult to find any
differences in the system.

In this unit we will cover where you find OGSD applications and reports.

To access OGSD, you can change your user menu.

This is the fastest and easiest way to access OGSD functions.

You can also add one of the OGSD roles to your user. With that you have access to specific
OGSD functions relevant for this role.

Or you can call OGSD transactions directly. For some OGSD applications you need to activate
the associated Business Function first.

You can call any OGSD transaction by simply entering the transaction code for this application

applications required to perform the OGSD tasks for this role.

The recommended procedure is to copy one of the delivered roles into customer name space

The OGSD Customizing can be found as part of the IMG branch for the industry solution Oil

Now, as we have said earlier, there are some specific settings that are required for certain
OGSD applications.

These settings are required additionally to the regular customizing. To use OGSD Telesales
you first have to copy a GUI status to the SD applications,

where you want to use that. For this you find a copy program as the topmost entry in the
OGSD IMG branch.

This is a system wide setting and must be done once in the development system of your
landscape.

The changes should then be transported to your quality and production system.

Once the status has been copied you can start the order entry transaction with the sales order
type OTA.

OGSD Telesales is not a new application, it just adds a new view to your standard applications
for sales documents.

You can make the telesales screen available by assigning the proper function code that you
see here on the slide to your sales document type.

You can then always move back and forth to the standard view and you can use the standard
view and the telesales view in parallel.

The application is divided into four main sections:

The customer detailed information, the notes section, the customer order history, and the order
items.

The screen design can be configured to display just the information that you need in your

In the top section you can add or remove fields, you can customize the information in the

You do not need to know at the beginning of your sales call if your customer wants to place an
order or just asks for a quotation.

and this Order Type is connected with the Telesales view.

In the top section we have the detailed customer information which is grouped into three
different sections.

Then we have the note section, we have the customer order history, and we have the item
lines.

Now, once we call up a customer, the information is filled

and now if you do not need the order history you can simply close this section.

You can also close the notes section or you can easily open these sections again.

Now, if we want to place an order then it is quite simple:

You start with the material and order quantity and you give the information about the delivery
plant and, of course, the price that you want to sell this product for.

Now, if you are in discussion with your customer and youre not quite sure if this will go into a
sales order or a quotation.

If you save this will be a sales order. In this case your customer says, could you send me a
quotation first.

And you click on the save as quotation button and then there is a validation period and you can
order a purchase order number from your customer and youre done.

So, from this screen you had the options to save this either as a sales order or a quotation, you
could also use a contract or an inquiry for this.

The first two blocks show you details about the sold-to and ship-to party.

It is possible to enter information about the customer equipment such as the heating system or
the tank type.

In OGSD Telesales you can work with two types of notes: Manual notes and automatic notes.

Notes are grouped in different classes by their purpose. One example is the popup warning
that is automatically shown when the customer is selected.

Notes can have short and long texts and you can manually add a note to any customer by
simply clicking the Add button.

Existing notes will be displayed in the note section whenever you select a customer in

A note can have flags to indicate that they should be printed on the invoice or on the delivery
note and you can configure your print program accordingly.

Using the resubmission date and time you can select notes when they are due in a separate

Telesales to support the sellers

better use of a better of the available transport resources

The support is in the form of visual indicators and referred to the following points.

Daily limit exceeded: Pre-scheduling verifies for the specified delivery time:

Whether the maximum transport capacity has been reached or not and also whether the
maximum sales orders limit has been reached or not.

In either of the cases, if the limit is exceeded then the indicator is set to red

inferring that the delivery may be planned for the specified time but it is not recommended.

Preferred period: This displays the trader's preferred delivery time interval for specific delivery
zone and materials planning group indicator

and helps the trader to reduce the costs of the business run.

Item is in the proximity: In that case the application provides the track of already existing

at the nearby delivery regions and give us the possibility to associate the new order
appropriately with the existing deliveries.

In order to work with pre-scheduling, we need to define sub-settings.

We need to create a delivery zone that represents the geographical planning area. We
distinguish between top and sub-delivery zones.

Sub-delivery zones are the smallest geographic planning areas and Ill group together to a topdelivery zone.

As you can see on the slide the top-delivery zone can be a country as is composed of one ore
most sub-delivery zones.

In this example the sub-delivery zones are regions. Your planning area may also be a bit
granular.

For example, you may also define the regions as the top-delivery zones and the districts and
sub-delivery zones

or even districts as a top-delivery zone and the cities as sub-delivery zones.

You can also define at the structure as this completely separated for existing, organizational

Then we need to link the customer with the sub-delivery zones. For that we have two options:

You may assign the sub-delivery zone directly to the customer. This solution is only suitable if
you do not have many customers.

The second solution is to assign the sub-delivery zones to a specific postal codes or a postal
code range of a particular area

and since for as customers in the system, the postal code is already maintained, the
relationship is automatically established.

Advantage of this solution is, that the assignment of new customer to a delivery zone is no
longer necessary

And of course theres also the possibility to create a customer specific determination via
customer enhancements.

Next we have to create a time profile which is composed of preferred period that applied for a
certain time for one or more weekdays .

Then we need a material planning group indicator which is a grouping of materials that are
rescheduling together.

And then assign the time profile to a material planning group indicator and to the delivery zone.

This gives you the possibility to make individual designs for different delivery zones.

And lastly, we have to set limit values for pre-scheduling based on the time profile.

Here we specify the maximum transport capacity and the maximal sales order number for a
specific day as a default value

or a specific day of the year. Now, let me show you the sales feature on the system.

and Best Buy.

In this unit, I'm going to give you an introduction to sales logistics cockpit and best buy, built
and designed to support the sales process of an oil and gas company.

First, we'll look at the sales logistics cockpit. It's one screen where you find a lot of contact
information about the customer.

You have the, the central point is the customer. And then you have all the contact data that
you need.

You have the sales contact, if you want them. You have the payment status, and you get the
history of the last orders and deliveries.

I'm going to show you afterwards in the system. This is just to get an overview.

And then we have the shortcuts to all kinds of sales activities.

We have notes, we have price offers, we have quotations, we have sales orders, and best buy.

One really important feature about the sales logistics cockpit is that it can be really easily
modified or enhanced.

So if you're an oil company, and you need, well, this looks fine, but I need this kind of
transaction, then you can just enter it.

We have this one button called new transaction, and there you could easily put in the kind of
transaction that you need in your sales processes.

Or you could put in two transactions if you want, it's very easy to modify.

I've listed someone here that you can put a shortcut to the customer master data. Maybe you
need the current market rate or the service notification.

Maybe you need tracking and scheduling, and whatever kind of information you need.

Let's go to the system, and then I show you about it.

So we find the sales logistics cockpit in the SAP Menu > OGSD > Sales > Sales Logistics
Cockpit, and then this /ICO/MO_3C.

And first, we need to call up the customer, the one here. OK.

So now we have the name of the customer, the address, partner, the ship-to point.

And we have some information about the financial status. We have the credit limit here, and
we have a red flag,

which means he has a bill that he hasn't paid. But this is a test system, so we don't need to be
concerned.

These two can be modified into any other kind of value that you want. If you don't want to see
the credit limit, but you want to see

Down here, we have four buttons. And they are the ones that concern the customer.

The next button is History. There we have a lot of different options.

has he ordered? What has he gotten delivered? What kind of materials?

We can go up here, go to the ship-to party. So maybe if one customer has more ship-to's, then
you would find them here, you can list them after ship-to party.

And the orders maybe the most important thing because there you can find the status on

information that you want.

customer.

We get into this fast entry screen.

We don't have to go into the real transaction, but you can here, if you're on the phone or
someone, you can easily just enter the data,

And then here we have this New Transaction. That's what I mentioned that you can put in all
kinds of shortcuts.

It's easily doing the Customizing, and then you can go to what kind of contact information that
you need for your sales order business.

And that leaves us to the last one, which is the Best Buy.

I show you first on the PowerPoint, and then we go back to the system.

Best buy. Of course, if you're running an oil company, and if you're selling oil to the customer,
then, of course, you want to do it with the highest margin,

highest profit margin. You want to earn money, of course.

And best buy is designed for this to optimize the sales. It takes the combination of the lowest
procurement price and the lowest delivery costs, and gives the highest profit margin.

And the procurement price can be, of course, your own material, if you have stock. Or it could
be from your purchasing contracts if you have 3rd party deliveries.

And then you have the delivery costs that are determined from the carrier freight costs. And
there, you can have more than one carrier.

So there's a lot of combinations, and best buy gives you the option to find the most profitable
combination on one screen.

You don't have to count all of them.

So the process goes that you have the customer that orders an amount of oil at a certain price.

In the best buy process, we combine, we look at the vendor, where can we get it from?

Or we can take it from our own plant, take the price of those two. And we'll take a forwarding
agent, and look at the price.

And then, we find the best price for this.

I'll go into the system, I show you that as well. That's easy if you see it in the system.

So we have the customer already. We're in the sales logistics cockpit, and then we go to Best
Buy.

At first, we need to choose the process ID. And here we choose the one, that's BP01, which
means that the truck is going to deliver.

We could also choose the pickup, which will mean that the customer will come and pick up the
thing. In that case, we don't need to do the freight.

Or it could be some other kind of transport means, or other kind of business process.

We take this one, and then we press Enter. Then, we need to take the material that we want.

We need the quantity, that's, we'll take a 1,000 liter.

Then, we need to fill in the movement type and the handling type.

And then, of course, we need the price. We'll take in this case 250 euro for a 100 liter.

And then you see here Selection Data, Selection Criteria. These are the options that we have
of getting this material, of selling it.

Then we have the amount, and this is our plant.

And GP02 is a third party plant. So there we have the vendor, and we have two contracts that
are valid.

And these are the amount of oil that are still on these contracts.

And then we have these, another plant. And we have two options for freight, for delivering the
oil to the customer.

If I don't want to look at all of them, I can just choose some them. But in this case, unlike in
most cases, we want to see all options because we want to find the best one.

So I'll go to Select All, and then I press Copy.

OK. This might look a bit confusing at first, but the important things to look at this.

We have the material. We haven't allocated any of this yet.

We have the plant, let me just that you see where you take it from. And we have here the
carrier, need to make this one a bit bigger.

But the most important one is this one: Margin.

Here is a list that these combinations, so if we take the oil from this plant with this carrier, then
we'll have a cost price of 66.

And that will give us a margin of 177.

So here we have, this is a test team. We only have three places and two carriers.

And then it's really helpful to have this overview.

This is really easy: You take the highest one, and you know, okay, that is the most profitable
one.

I could actually say: Okay, I'll take 600 from here, and then I'll take 400 from this one, if I have
some reason for it, whatever that might be.

The order quantity of a 1,000, the net value, the net price, the date from, purchase value...

And if I think this looks okay, this is just the only order that the vehicle has free space left.

Then I'll take this one. And then comes the important part: If I'm on the phone with the
customer,

I can tell him: OK, this is the sales order. Do you want it? And then if he says yes, I press

But sometimes, the customer says: Well, it looks fine, but I need to think about it for a moment,

then you can press Quotation. And then, it is saved as a quotation, and if the customer calls

and, yes, it looks fine and I want it, then you can take the quotation and make an order of it.

Or if you have a large issued amount, then maybe it makes sense to save it as contract.

In this case, we'll save it as an order. And that takes a bit of time because it's doing it in the
background.

But there we have it already. We are using the Data Collation. In the next week, you will learn

It's really, really a great tool. And this one creates the order via the best buy function.

And here we have the sales order. And these are all the other things, this too is interesting, the
material reservation. In this case, it also makes sense,

is made at the plant (if the plant is set up for it, it wasn't in the system),
