Request for approval of initiation of MUNINP Society at PNEC


For the purpose of inculcating a talent for public speaking amongst the students at PNECNUST and honing the communication skills of the students which are a vital part of
curriculum. We wish to establish an MUN society at PNEC.
The MUNINP society in NUST PNEC attempts to foster a talent for public speaking
and debating skills amongst the students at PNEC-NUST. This it shall partly achieve
by holding an MUN (model united nations) at least once in a year, and frequently
holding other public speaking activities at the campus. This initiative was taken by
considering the other MUN societies at other institutions in the country and the
absence of one at PNEC.
The following five people will constitute the executive board of the MUN society which
is the highest level of hierarchy.

Preamble:
The MUNINP society in NUST PNEC attempts to foster a talent for public speaking
and debating skills amongst the students at PNEC-NUST. This it shall partly achieve
by holding an MUN (model united nations) at least once in a year, and frequently
holding other public speaking activities at the campus. This initiative was taken by
considering the other MUN societies at other institutions in the country and the
absence of one at PNEC.

ARTICLE 1

Name of the Society


Model united nations in PNEC-NUST
The name of the society shall be model united nations in NUST PNEC, in line with
the fact that the society shall be responsible for looking after all MUN related
activities at PNEC. For the ease of use, it shall be abbreviated as MUNINP.

ARTICLE 2

Aims of the society


Section 1:
The primary aim of the society shall be to hold an MUN at least one major MUN in an
year. The society shall also hold one Intra MUN in an year, provided that it has
sufficient funds. The society shall also be responsible for raising delegations from
PNEC to take part in different MUN in the city as well as globally. Aside from these
primary tasks, the society shall also be responsible for training and grooming
students in the field of MUNs, to help them establish a place at debating circuit
within the city.
Section 2:
MUNINP Society is willing to abide by all PNEC policies and guidelines relating to on
or off campus activities which our society may sponsor or in which we may
participate.

ARTICLE 3

The aims and objectives of the MUNINP Society are as follows:


1. Ensure that at least one Major MUN takes place at PNEC in an academic year.
2. Consider the feasibility of holding an Intra MUN at PNEC and go ahead with
the suggestion if it is possible.
3. Hold at least one training session in a semester chaired by a renowned
external Public speaker if possible.
4. Maintain liaison with other MUN societies in different institutions and raise
delegations to take part in their events.
5. Encourage and ensure sufficient representation of PNEC students in the
secretariat of other MUNS.
6. Carry out trials to raise delegations as well as arrange finance for delegates
to take part in international MUNs.
7. To ensure that sufficient funds are available to send delegates for
international MUNs.
8. To hold other MUN related activities ( like parliamentary debating) given
sufficient funds and energy.
9. To raise funds throughout academic year to ensure the possibility of holding
yearly activities.
10. To encourage and publicize MUNINP events by use of social media.

ARTICLE 4
Membership

Membership:
The hierarchy of MUNINP shall consist of three distinct categories which are
discussed below:
The Executive Board
The Executive Council
The Organizing Committee

The Executive Board:


The executive council shall consist of the following members and would be highest
up in hierarchy:
President
Secretary General
Deputy Secretary General
Director General
Deputy Director General
Treasurer

The President shall:


a) Serve as the chief executive officer of the Society and oversee the organization of
events and Society affairs for the full academic year;
b) Liaise with Other societies
c) Serve as the first point of contact for the Society, dealing with all the Societys
Correspondence.
d) Oversee the fulfillment of the portfolios of the other Committee members;
e) Liaise and maintain the Society's affiliation with the any External MUN society
f) Preside at all meetings of the members of the Society,
g) Delegate tasks to other members of the committee;
h) Delegate the Presidency of the Committee or of a General Meeting to any other
senior officer for specific duration,
i) Serve as Head Delegate at all external conferences or delegate this task to the
Society Secretary,
j) Inspect and deal with all external sponsorship requests;
k) Assign task to Executive board and to the Executive Council
l) Be in charge of societys Bank Account

The Secretary General shall:


a) Should the President be absent, or decline to take the chair, the secretary shall
chair the meeting.
b) During the MUN conference Sec-gen shall have powers over the secretariat.
c) Sec-Gen shall acts as an Academic curator for the conference or delegate this task
to any other member of the society.
d) Acts as an arbitrator in case of any conflict within the executive board
e) Reserves the right to call Executive Board Meeting to discuss the progress of
society and preside over this particular agenda without approval of the president. In
case of different agenda, approval has to be taken from the president.
f) Serve as Head Delegate at all external conferences or delegate this task to other
society member,
g) Liaise with the Administration and relevant academic departments where
necessary

The Director General shall:


a) Be responsible to look after administration of the society, i.e. allocating tasks to
the members with approval of the Executive board.
b) Keep a good record of the minutes of the meetings of the Society, including the
communication with the directors
c) Maintain a register of the members of the Society, Association on request
d) Use the email facility for official communication and enable all committee
members needing access to it to be able to do so,
e) Notify the Students Union following the appointment and resignation or removal
of any committee members;
f) Advise the Students Union of any changes in this Constitution;
g) Provide a written yearly report about the activities of the Society to the
Administration;
h) Inform the Administration if the Society ceases to operate, or is to be dissolved,
i) Act as a mediator in case of conflict between the departments.
j) Arrange or act as a substitute in case a Director fails to meet his Allocated Task;

The Treasurer shall:


a) Be responsible for the overall finances of the society and deal with all financial
matters of the Society;
b) Be in charge of keeping clear records of the Societys accounts,
c) Advise the Society on any financial matters;
d) Keep proper records of the Societys financial transactions;
e) Prepare a semester budget for the Society and regularly inform the Executive
Board of progress against that budget;
f) Liaise with the Executive Board for budget proposals which are to be handed to
the executive Council;
g) Reimburse all members of the Society for prior agreed expenses with approval of
Executive Board;
h) Make all records, procedures and accounts available on request to the PNEC
Administration.
i) Inspect the expenses for transparency and ask the Executive Board to carry out
Market Survey;
j) Utilize Director General with regards to imbursement or financial issues faced by
the Executive Council as per his/her own wish.

The Executive Council:


The Executive Board shall consist of the following members and their tasks would
be as follows:

Director Marketing
As a director marketing, following tasks will be allocated,
a) Exploring corporate donors throughout the tenure through sponsorships,
contributions, grants, donations etc.;
b) Maintaining personal contacts and developing cordial relationship with different
marketing executives and corporate program officers;
c) Drafting corporate sponsorship invitations, including but not limited to proposals,
presentations, and letters;
d) Determining various sponsorship benefits for corporate sponsors;
e) Ensuring corporate meetings with different companies to secure sponsorships;
f) Devising and submitting a proper marketing strategy to Executive Board.

Director Social Events


As the director social events, following tasks will be allocated,
a) Designing 3 social events for MUNIP;
b) Maintaining contacts with celebrities for the social events;
c) Promoting and building hype about social events via different medium of mass
media;
d) Working closely with director sales for ensuring the proper sale of social events
tickets;
e) Decorating and exploring the venues, as per the nature of the social events.

Director Human Resources and Legal


As a director HR and Legal, following tasks will be allocated
a) Observing performance of each and every member of the society and reporting on
weekly basis
to EXECUTIVE BOARD of MUNINP;
b) Resolving conflicts and issues with regard to any sort of matter between
members of the
society;
c) Ensuring all activities to be carried out within the terms of constitution;
d) Drafting different types of letters, applications and proposals as per the
requirement;
e) Maintaining liaison between members and EB of the society right after the
recruitment drive;
f) Keeping his/her personal issues with any of the member aside with respect to any
decision or
circumstances which might occur.

NOTE: Director HR & Legal shall not have right to cancel the tenure of any of the
member, however, he/she should provide the report to EB for further action.

Director Web and Information Technology


As a director IT, following tasks will be allocated,
a) Managing and updating the website;
b) Managing and updating the android application;

Director Publications
As director publications, following tasks will be allocated,
a) Publication of MUNIP Magazine/Gazette right after the conference;
b) Publication of different articles, research materials with respect to Model United
Nations on MUNIP blog.

Director Media
As a director media, following tasks will be allocated,
a) Gathering media sponsors and partners for MUNINP;
b) Serving as social media officer by managing Facebook, Twitter, Wordpress and
Instagram accounts of MUNIP.

Director Photography
As the director photography, following tasks will be allocated,
a) Managing photography throughout MUNINP II including but not limited to
meetings, social events, recruitment drives, and trainings;
b) Managing videography and designing corporate videos for opening ceremony,
closing ceremony, and social events.

Director Logistics
As a director logistics, following tasks will be allocated,
a) Handling the printing of promotional items, as well as other required material of
MUNINP II;
b) Ensuring proper arrangement during the conference;
c) Working closely with chair coordinator and director delegate affairs for the
accommodation of chairs and out stationed delegates;
d) Working closely with director security to prevent any untoward incident during
the social events.

Director MUNINP Training Program


As a director MUNINP training program, following tasks will be allocated,
a) Conducting pre event training sessions of MUNINP training program;
b) Working closely with Director Public Relations for the communication
campaigns;

Director Security
As a director Security, following tasks will be allocated,
a) Managing security issues and conflicts at social events;
b) Providing a constant updated report to Director Logistics with respect to security
plans and measures;
c) Assistance with accommodation facilities.

Director Protocol
As a director protocol, following tasks will be allocated,
a) Assistance with accommodation facilities;
b) Catering Out of station delegates;
c) Resolving issues of delegates
d) Giving protocol to naval personnel and the secretariat

Director Sales
As a director Sales, following tasks will be allocated,
a) Assisting Social Events team with the selling of tickets for all social events
organized by with respect to a certain quota
b) Use of personal contacts and networks with different Educational institutes and
societies.

Director Creative
As a director Creative, following tasks will be allocated,
a) Being proficient in the use of Adobe Creative Suite; MODEL UNITED NATIONS IN
NUST PNEC
b) Designing posters, banners, tickets, ID cards, and other promotional merchandise
for the society and the annual conference;
c) Pitching ideas for Artwork and Decoration for all social events organized by
MUNINP;
d) Providing creative and quality control over concepts and projects;

Director Public Relations


As a director PR, following tasks will be allocated,
a) Building awareness and interest, serving as a spokesperson and managing the
flow of information to both national and international schools and universities;
b) Employing the role of an effective communicator in print, person and on the
phone; c) Establishing a liaison between MUNINP and schools and universities;
d) Maintaining both internal and external communications;
e) Working closely with the Marketing Director to promote the annual conference
through different mediums of mass media.

Director Registrations
As a director Registrations, following tasks will be allocated,
a) Regularly maintaining and updating registration records and information;
b) Updating delegates regarding registration process via phone and email;
c) Ensuring that country allotments and delegate packages including but not limited
to ID cards, placards, sticky notes and files are received by the delegations on time;
d) Ensuring that committee groups of the respective committees are made on time;
e) Writing and distributing various certificates to delegates at the end of the
conference;

Director Accommodation (Male):


As Director Accommodation (Male), following tasks will be assigned:
a) Deal with the accommodation of male delegates in their respective facilities
(i.e military personnel and civilians)
b) Look after the any particular requirements or the problems faced by the
delegates during their stay or before that with regards to accommodation.

Director Accommodation (Female):


As Director Accommodation (Female), following tasks will be assigned:
a) Deal with the accommodation of male delegates in their respective facilities
(i.e military personnel and civilians)
b) Look after the any particular requirements or the problems faced by the
delegates during their stay or before that with regards to accommodation.

Director Communications:
As Director Communication, following tasks will be allocated:
a) Update all member of society regarding the meetings.
b) Serve as a liaison head between EB, EC and OC.

The Organizing Committee


The organizing committee shall function under the respective director. Their job
description and duties shall be decided on the discretion of the Department
Director.
The organizing committee shall be elected only be before the event on the basis of
interview conducted by respective directors.

ARTICLE 5
Finances
The Society may collect from its members and affiliates an annual assessment or fee,
in accordance with the bylaws and applicable rules and regulations, if the Executive
Committee necessitate. The amount of the fee shall be established by the Executive
Committee.
The society may raise revenues by other means, such as advertising, shows, sponsor,
and requests for contributions; provided such means are consistent with applicable
rules and regulations of Society and College.
The society may collect money from the college fund of the d=students for any event
it organizes at the college

ARTICLE 6
Recruitments and Expulsions
The society shall decides its positions on the basis of interview, the positions of the
executive board shall be decided by the vote of all the current members of the
executive board, whereas the slots in executive council shall be on the basis of
interview conducted by the Executive Board. The organizing committee will be
elected via the Respective Directors of different Sections.
Any member of society accused of malpractice or negligence of his duties will be
accountable to be assessed by the Executive council. 2/3rd vote of Executive council
is required to expel any such member from the society.
Any action effecting the working of the society as a whole would require 2/3rd vote
of both Executive Board and Executive Council.

ARTICLE 7
Alteration to the constitution
The constitution can only be amended by the simple majority by the executive
board. The amended can only be done on the wish of the faculty advisor, if the
president decides to agree with the decision of faculty advisor.

Organogram

Future and Past Events


Past History:
The MUNINP society, though in its nascent stage, is very firmly rooted in PNEC. The
individuals belonging to the society were the members of organizing committee of
MUNINP 2014, an event very well-received by the MUN circuit in the city. This was
followed by many students winning several prestigious MUNS in the city, including
ZABMUN, DSUMUN, KUMUN, Cabinet Wards, CBMUN, QUESTMUN and
NEDMUN. Furthermore, the president of MUNINP society also happens to be the
president of major MUN society of Hyderabad - Hyderabad Model United Nations
(HYDMUN). Also, a training session was conducted by MUNINP for its Executive
council to enlighten them with the rules and procedures of an MUN.
Future:
The society aims to host an MUN in PNEC for 4 days in the month of November. The
MUN will include about 7 committees and the committee directors will include both
external members as well as MUNINP members. The event shall also include social
events to enhance the experience of the delegates. Other than this, the society shall also
hold regular training sessions for the students of PNEC to hone their diplomatic skills. It
shall also be responsible for sending students abroad for MUNs using the fund of the
society.
