CHAPTER I: PLANNING PHASE


ABSTRACT
Fingerprint verification is one of the most reliable personal
identification methods in biometrics. This system based biometrics and
serial port communication technique solves the problem of spurious
attendance and trouble of maintaining the register. It can make the
employees/teachers attendance more easily and effectively.
Based on the proponents observation and through an interview with
the employees of Subic elementary school, the proponents were able to
identify some things that need improvements. The said school is having
some problems with the existing process such as having only a manual
listed attendance on a logbook, all the files were only stored in one cabinet,
and having a low security which can cause loss of employees records.
The proponents came up with the idea to develop a system for the
School of Subic. The proposed Employee Biometric Attendance Monitoring
System helps to improve the manual monitoring, updating of records inside
the school Subic. Specifically, it will improve the manual listing of reports.
The use of this system is to help the teachers/employees to easily log in by
using this biometric system. As the result of improving the manual process

that the school is using, storing and searching of employees information
will be even faster. All of the employees (teachers and employees) records
will be secured without a need of only one cabinet. The transactions that
are done inside the school gate will be much easier because it is a
computerized program.
The use of the system will be of benefit of the teachers and school
employees.

INTRODUCTION
While the move towards the digital era is being accelerated every
hour, biometrics technologies have begun to affect peoples daily life more
and more. Biometrics technologies verify identity through characteristics
such as fingerprints, faces, irises, retinal patterns, palm prints, voice,
hand-written signatures and so on. These techniques, which use physical
data, are receiving attention as a personal authentication method that is
more convenient than conventional methods such as a password or ID
cards.

throughout ones life.

This technology has been applied for controlling access to highsecurity facilities, but it is now being widespread developed in information
system such as network, e-commerce, and retail applications. In these
technologies, fingerprint becomes the most mature and popular biometric
technology used in automatic personal identification. In the beginning,
fingerprint verifying used in the military affairs and in the criminal
identification. But now, this technology is also being used in several other
applications such as access control for high security installations, credit
card verifications and employee identification.
This system is an application for fingerprint verifying and serial port
communication

techniques

and

it

is

mainly

used

for

employee

identification. Throughout practices, this system is proved to be easy-to-use


and effectively.

STATEMENT OF THE PROBLEM


General Problems:
The process of attendance monitoring is time consuming because it is
done manually.
There is no other secured copy of employees attendance aside from
the manual records.

Specific Problems:
The school employees attendances are hand-written on a logbook.
All the school employees records are only locked up inside a cabinet
therefore there is a big risk of the files being flushed away by floods
or being burnt down by school fire.
The employees/teachers records are being monitored manually.

OBJECTIVES:
General Objectives:
To be able to develop an attendance computer based system that will
improve the performance of the school.
To develop a system that will back up all the attendance records in a
database.

Specific Objectives:
To help the users to enter the school faster via fingerprint attendance
instead of writing on a logbook.
To improve security and avoid a complete damage of all the files in
case of unfortunate events by using the proposed system.
To generate attendance reports quicker.

SIGNIFICANCE OF THE STUDY


The proposal is a computer-based system that will upgrade the
existing system which is manually stored in a logbook and locked up in a
storage cabinet. The current system will improve in a way that all the
records of the school employees will be monitor, update, retrieve and
report faster and easier. Through this new process, the problems regarding
the possibility of losing all the files through the manual process of storing
will eliminate. The target users of this proposal are:

SCOPE AND LIMITATIONS


This proposal aimed on how the proponents can improve the
efficiency of the services. It is design for the Subic Central Elementary
School to upgrade the manual process they are using inside. This will help
the user to easily track and update the daily attendance of the school
employees.. Retrieving of records will be much easier. The records will be
organized and provided on time. In proposed system most of the work is done by this
software man power is reduced and data is stored in database. With these features total
performance of employee attendance monitoring system is increased.

Almost all the things developed here in this world have limitations.
The system is only design inside the school of Subic Central. This proposal
is a stand-alone information system which cannot be access through a web.

CONCEPTUAL FRAMEWORK
The study's area of concentration is at Lyceum of Subic Bay and its
design will be used by the Elementary School of Subic Zambales.

DEFINITION OF TERMS
1. Input: The act of entering data into a computer for processing.
2. Process: It is a systematic way of transforming data to produce an
output
3. Output: The process of transferring data from an internal storage to
an external medium such as paper documents.
4. Computer-Based Information System: Is a complementary
network of computer-based hardware or software used to collect,
filter and process data or other relevant information.
5. Stand-Alone System: Is a self-sufficient system and has no
connection to other computer or access to the internet.
6. Retrieving: To bring back something to a former or better state.
7. Database: A collection of information organized in such a way
thata computer program can quickly select desired pieces of data.

Data Gathering Methodologies


Observation

The proponents have observed how the employees/teachers manually


write their names on the attendance log book.

Interview
-

The proponents had gathered information through an interview with


the school teachers. Through this method, the proponents identified
the current process they have that needs improvement.

Online Research

The proponents have used online resources for them to gathered


more ideas about how the proposal will turn out to be more
interesting and effective for the users.

Field Research
-

The proponents have a field study on Lyceum of Subic Bay and have
collected ideas through reading other system proposals and related
books about information system.
