Although it is not a good practice to have meetings without hosts, WebEx sites can be configured to allow
attendees to join meetings before the host. To prevent any unauthorized access, WebEx automatically ends
meetings at a predefined time if the host does not join.
A new parameter is available through a provisioning request that can adjust the end time for unhosted meetings.
Contact your account manager to request changes to this parameter.
Enhanced Reports
The following report pages have been enhanced with a new look and feel:
Access Anywhere
Remote Access
WebACD
All Cisco WebEx Centers
Internal Phone Number Configuration
For Cloud Connected Audio (CCA) customers with internal callback capability, meeting hosts can now
configure their internal phone numbers in the Preferences section of the My WebEx page, and site administrators
can configure internal phone numbers in the Cisco WebEx Administration Tool.
Manual Installation of Cisco WebEx for Google Chrome Users
For Chrome users who cannot access the Chrome Web Store, the Cisco WebEx extension file does not
automatically install when the users join a meeting. Now these users are directed to a help page with instructions
to manually download and install the extension file.
Streamlined Mobile Sign-In for Common Identity Enabled Users
If the site youre logging into is enabled for common identity, the mobile sign-in process is streamlined by
prepopulating your email address so that you no longer have to enter it twice.
Mobile Streamed Recording Playback
Streamed MP4 meeting recordings are now available for playback on Apple iPhones and iPads and on Android
devices.
Better Participant List Default View
The WebEx in-meeting experience for users who connect to audio and video by selecting the Call My Video
System option is now enhanced so that the participant list defaults to list view.
Recover Deleted Recordings
Meeting recording owners can now recover deleted recordings up to 30 days after deletion. After 30 days,
the recordings are purged from the recycle bin and no longer occupy storage.
BlackBerry OS End of Life Statement
Dear valued customers:
We appreciate and support the diversity of mobile platforms in the enterprise, and our strategy has been to
enable all mobile users with WebEx meetings. However, our strategy going forward is to focus our efforts
on mobile platforms that represent most of the market.
Due to the decline of BlackBerrys market share to less than 1 percent, we are announcing end-of-support and
sales of the WebEx Meetings for BlackBerry app, effective January 4th, 2017. This includes BlackBerry 10
OS.
WBS31.4
Cisco WebEx Meeting Center
Cisco WebEx Meeting Center with Collaboration Meeting Rooms (CMR Cloud)
Available immediately, it is now possible to join Collaboration Meeting Rooms (CMR Cloud) meetings using
Microsoft Skype for Business and Lync applications. With this new capability, you will now be able to
collaborate with a wider group of users.
Refer to instructions in the WebEx Meeting Center with Collaboration Meeting Rooms (CMR Cloud) User
Guide at https://help.webex.com/docs/DOC-6348 for help on how to start and join meetings using Skype for
Business and Lync applications. Also, see test results for various application and server configurations posted
at http://www.cisco.com/go/cmr-cloud-compatibility.

Collaboration Meeting Rooms Cloud Included in Subscriptions
Starting May 2, 2016, eligible Cisco WebEx Meeting Center subscriptions will include the Collaboration
Meeting Rooms (CMR) Cloud video conferencing feature at no additional cost. CMR Cloud allows people
to meet, collaborate, and stay productive with anyone from any mobile device or standards-based video system,
including Microsoft Lync or Microsoft Skype for Business.
CMR Cloud has the following restrictions and requirements:
This offer is only available in countries in which both Cisco WebEx and software as a service (SaaS)
subscription platforms are available.
New and renewal customers are eligible. Existing, mid-contract customers are also eligible. However,
mid-contract customers must migrate their current contract to SaaS subscription platform to receive this
offer. Terms and Conditions of the SaaS subscription platform will apply. If WebEx was purchased
through a partner, the partner is responsible to migrate the customer contract to the new SaaS subscription
platform
WebEx Meeting Center and Enterprise Edition with either Named User, Active User, or Employee Count
offers are eligible. The CMR Cloud feature is compatible with Meeting Center only, but is not compatible
with WebEx Event Center, Training Center or Support Center.
The site must be on WebEx WBS31.1 release or later.
For additional questions about this offer enhancement, please contact your WebEx Customer Success Manager
or your WebEx sales partner.
Simplified Default Meeting Invitation Email Templates
The default meeting invitation email templates for Meeting Center were simplified to reduce redundant meeting
information and to separate different methods of joining (joining from WebEx, from video systems, and by
phone) into clear sections.
Attendees Name in Personal Room Notification Email Message
Hosts no longer see a generic message in the notification email message when someone tries to join their
Personal Room while the host. Now, the name of the person who is trying to join appears in the subject line
of the notification email message.
WBS31.2
Cisco WebEx Meeting Center
Simplified Meeting Invitation Email Templates
Cisco WebEx Meeting Center default meeting invitation email templates now provide a link to a comprehensive
Join a WebEx Meeting support page for participants who are having difficulty joining a meeting. Redundant
meeting information has been removed from the default meeting invitation email templates. In addition,
different methods for joining meetings (WebEx, audio, video) have been separated into clear sections.
Preference Option Improvement for Collaboration Meeting Rooms Cloud Users
When scheduling a meeting, Collaboration Meeting Rooms (CMR) Cloud users will see a disabled checked
view of Delete from My Meetings when completed, independent of their settings in Preferences > Scheduling
Options. This is to clarify that CMR users are unable to alter this setting, when scheduling their meetings.
Cisco WebEx Productivity Tools
End of Support
WebEx Productivity Tools will end support for the following in WBS30.8:
Instant messenger Integrations
Yahoo Messenger
AOL Instant Messenger (AIM)
Windows Live Messenger/MSN Messenger
Google Talk

IBM Sametime 7.0, 7.5, and 8.0
IBM Domino 6.5, 7.0, and 8.0
IBM Lotus Notes 6.5, 7.0, and 8.0
Microsoft Office Communicator 2003 and 2005
Browsers
Mozilla Firefox version 42 and later (integration only)
Safari 6.x and 7.x (single sign-on only)
Microsoft Internet Explorer 7.0 and 8.0 (integration and single sign-on)
Cisco WebEx Site Administration
Comprehensive Join Before Host Settings
Site administrators can now specify whether or not meeting participants can join an audio conference before
the host for each of the three centers (Meeting Center, Event Center, and Training Center). The order they are
presented has been changed to better reflect function.
Improved Report Pages
Common reports and Training Center reports now have updated look and feel.
All Cisco WebEx Centers
Join a WebEx Meeting Support Page
Cisco WebEx Meeting Center default meeting invitation email templates now provide a link to a comprehensive
Join a WebEx Meeting support page for participants who are having difficulty joining a meeting.
End of Support
Cisco WebEx will end support for the following operating system and browser combinations in WBS30.8:
Microsoft Windows 8 and Microsoft Internet Explorer 10
Microsoft Windows 7 and Microsoft Internet Explorer 8, 9, and 10
Microsoft Windows Vista and Microsoft Internet Explorer 8
Browse Meetings in Pages
When browsing meetings from the Attend a Meeting page, the list of meetings is now divided into separate
pages limiting the number of meetings displayed. All your meetings are still viewable and available as you
move through the pages of the meeting list.
The number of meetings available per page defaults to 20, and can be configured by site administration.
WBS31.1
Cisco WebEx Meeting Center
User Interface Improvements for the In-Meeting Experience
Enhancements made to the WebEx Meeting Center meeting application provide a cleaner, more modern user
interface. Improvements include updated iconography, new button and menu treatment, and a brighter and
cleaner color scheme. The functionality remains the same.
The device and audio icons are now merged into one column, and the status and tooltip text have been updated.
Avatars
New avatars provide a more personalized and interactive meeting experience, supporting the video-centric
experience, even when not all users are on video. Avatars are created from the users profile picture. For users
who do not have a profile picture or who are not signed in to a WebEx account, a generic avatar displays with
an icon showing the users first and last initials. Site administrators can enable or disable the display of avatars
in meetings.
Automatically Close Cisco Spark Room Creation Page after a Meeting
After ending a meeting, users currently see a page that allows them to either exit or create a Cisco Spark room
for their meeting. In previous versions of WebEx, this window would remain open if the user took no action.
Now a countdown timer appears after 10 seconds of inaction on the Cisco Spark room creation page. If the
user does not take any action after an additional 15 seconds, the page closes automatically.
Screen Reader Improvements for Meeting Application Accessibility
Vision-impaired users can now navigate better within a meeting. The meeting application now has improved
support for screen readers, including accessibility improvements for the Meeting Info tab controls, meeting
panel controls, and Participants list controls.
Customizable Personal Room Page
You can now customize the Personal Room page to make it feel like your own space, including uploading a
different image for your avatar and adding other images to your wall. There is also a new chair image. The
new design also makes it easier to join recently visited Personal Rooms, or see who is waiting in your Personal
Room lobby.
One Button to Join a Collaboration Meeting Room Cloud Meeting
Joining a Collaboration Meeting Rooms (CMR) Cloud meeting from a Cisco TelePresence system is even
easier when scheduling your meetings with Productivity Tools. This functionality requires Cisco TelePresence
Management Suite (TMS) version 15.2 or later, and Cisco TelePresence Management Suite Extension for
Microsoft Exchange (TMSXE) version 5.2 or later. The TelePresence room must appear in Outlook as a room
resource when you schedule the meeting using WebEx Productivity Tools. When its time to join, you can
now select the Join button from a Cisco TelePresence device.
Video Call-Back for TSP Audio Customers
The video call-back feature is now supported for telephony service provider (TSP) audio. This feature is
similar to the standard Meeting Center call-back (or Call Me) feature, but it allows attendees to receive a
call from the meeting to their Session Initiation Protocol (SIP)-based video conferencing systems to join a
Collaborations Meeting Rooms (CMR) Cloud meeting easily. Participants can manage a list of their preferred
video addresses so they dont have to enter the address each time.
Video System Information Merged into Participant Entries
When a participant requests video call-back in a CMR Cloud meeting, the video conferencing system
information is merged into the existing participant entry in the meeting. A video system icon appears next to
the participants name in the Participants list.
CMR Cloud without an Audio Package
To reduce the total cost of ownership for video-oriented users, customers can now order CMR Cloud without
adding a public switched telephone network (PSTN) audio package. Audio will be delivered through Voice
over IP (VoIP).
Collaboration Meeting Rooms Cloud Support for Skype for Business and Microsoft Lync
Users who are enabled for Collaboration Meeting Rooms (CMR) Cloud can now join CMR Cloud meetings
using the Skype for Business and Microsoft Lync applications that are registered to either on-premises Skype
for Business Server (or Lync) or Office 365 service. Users need to dial into the meeting using the format
<meetingnumber>.<sitename>@lync.webex.com for a scheduled meeting or
<hostID>.<sitename>@lync.webex.com for a Personal Room meeting.
Cisco WebEx Meeting Center, Event Center, and Training Center
Share Web Content Option Removed
Starting with WBS31.0, you no longer have the option to share web content from Share menu.
Single Sign-On Add-Ons
New single sign-on (SSO) add-ons allow hosts of meetings, events, and training sessions to identify which
attendees in the Participants list are users who have signed in using single sign-on authentication and which
attendees are guests. When scheduling meetings, events, or training sessions, hosts now have the option to
require all participants to sign in using single sign-on authentication. Hosts can also restrict attendees to those
who were invited directly by the host, preventing other people joining from a forwarded invitation.
When single sign-on add-ons are enabled in Meeting Center, Training Center, and Event Center, participant
tagging is available. This feature supersedes a previous participant tagging feature that was available only for
Meeting Center. When this feature is disabled, the Meeting Center-only participant tagging feature is still
used.
The new option that requires attendees to sign in with single sign-on authentication replaces the Meeting
Center-only requirement for attendees to have a WebEx account on the site.
Administrators can use the option Attendees Authenticated from Email Domains to define which domains
are considered to be company domains. When an attendee who is signing in enters an email address with a
domain that matches one of the listed company domains, that attendee is automatically redirected to the single
sign-on server to sign in.
Enforceable Passwords on Recordings
Site administrators can now enforce passwords for network-based recordings to protect against unauthorized
access. When passwords are enforced, passwords are automatically created for all new recordings, while
existing recordings require a password when the host edits recording information. Recording password criteria
can be added as well.
Automatic Encryption of Recordings
Any new network-based recording will now be encrypted automatically and stored in the Cisco Data Center.
Screen Sharing on Android Devices
Meeting participants using Android mobile devices can now share their screens with the Share Screen button.
This feature is available only for devices with the Android operating system 5.0 or later and the Cisco WebEx
Meetings app version 9.0 or later.
Generate Problem Report
Both Mac and Microsoft Windows users can now generate a problem report from within the WebEx meeting,
event, or training application. The problem report is a log file that can be used to make troubleshooting with
Technical Support easier.
Users see a dialog box where they can choose to save the report locally as a ZIP file or send the report as an
email attachment.
Meeting, Event, and Training Session Topic in Italics for Alternate Host in List and Calendar Views
In this release, we have added back the ability for users who are logged in to verify that they are an alternate
host for a meeting when viewing their meeting, event, or training session lists and calendars on their WebEx
sites. In these views, users who are alternate hosts will see the meeting, event, or training session topic listed
in italic.
Cisco WebEx Event Center
User Interface Improvements for the In-Meeting Experience
Enhancements made to the WebEx Event Center meeting application provide a cleaner, more modern user
interface. Improvements include updated iconography, new button and menu treatment, and a brighter and
cleaner color scheme. The functionality remains the same.
The device and audio icons are now merged into one column, and the status and tooltip text have been updated.
Event Center E-Commerce
Hosts can now generate revenue for events by requiring credit card payments for access to events, programs,
and published event recordings.
The following payment methods are supported:
PayPal payment processing services:
PayPal Payflow Pro
PayPal Website Payments Pro (UK)
For improved security, the timeout for the change user password reset URL has been reduced from 72 hours
to 24 hours.
Improved Error Messages
System error messages for WebEx site pages are now easier to understand.

Starting with Mac OS X 10.7, Apple no longer offers Java as part of the Mac operating system. Since WebEx had previously
relied on the Java browser plugin to automatically download the meeting application for first-time users, those who did
not have Java installed found it difficult to join a meeting. The dependency on Java has been removed. Instead, the user
is asked to install a small plugin that, once installed, handles the rest of the meeting application installation and then
starts the meeting.
When you start or join an event using Event Center for the first time on Safari 6.X and Safari 7, a problem occurs. After
you have installed WebEx, Safari requires you to trust the plugin for the site you are attempting to join or start the event
from. The page will refresh after that, but you will not join the event. In order to join, go back to the link you originally
selected and you will be able to join successfully.
Because Chrome will be removing support for NPAPI, a new joining method using a Chrome extension has been provided
for using WebEx starting with Chrome 38. When using WebEx for the first time on Chrome, users will be guided through
a one-time process to add the extension and update the WebEx application. After the first time, users can join without the
extra steps.

You cannot share password-protected PowerPoint 2013 files using the file sharing feature. Use the
application sharing or desktop sharing features instead.
You cannot share Excel 2013 files on Windows 8 and 8.1 using the file sharing feature. Use the application
sharing or desktop sharing features instead.
You cannot share Word 2013 (64-bit) documents on Windows 8 and 8.1 (64-bit) using the file sharing
feature. Use the application sharing or desktop sharing features instead.
Microsoft Office 2016 Support
Microsoft Office 2016 is supported in WebEx for Windows or Mac. However, file sharing PowerPoint
presentations sometimes causes an error. Also, file sharing multiple PowerPoint presentations at one time
may cause the application to stop responding.
Windows 2000
Windows 2000 is no longer supported starting in this release. Users of Windows 2000 may still be able to
join meetings, but performance is not guaranteed.
Mac OS
Users of Mac OS X 10.5 or earlier are no longer able to connect to a WebEx meeting.
Users of the Mac PowerPC platform are no longer able to connect to a WebEx meeting.
The WebEx Network Recording Player does not support converting recordings to MP4 format on Mac
systems.
Firefox 4.0 or later
WebEx supports only the 32-bit version of Firefox in Windows.
Firefox 43 or later
The WebEx Productivity Tools add-on for Firefox is not currently supported for Firefox version 43 or later.
We recommend that you use Internet Explorer instead.
Citrix XenDesktop and XenApp
Due to an architectural limitation of the virtual desktop environment, sending video in the WebEx
meeting application may not work smoothly. In addition, when sending video in a meeting, the frame
rate may be low. This results in a less-than-optimal user experience when sending video.
Some video files cannot be shared in a virtual desktop environment in the WebEx meeting application.
If the host operating system is Mac OS, webcam and microphone (either external or integrated) may not
be recognized and cannot be used in the WebEx meeting application.
Remote Access and Access Anywhere are not supported because the Remote Access and Access
Anywhere agents are automatically removed by the underlying Citrix platform after the operating system
restarts.
WebEx Productivity Tools do not currently support XenApp. Support is planned for a future release.
XenApp is not currently supported for any meetings that support TelePresence systems, such as CMR
Hybrid or CMR Cloud meetings.
Mac OS X 10.8 Mountain Lion
When starting or joining a meeting using PAC proxy on Mac OS X 10.8 Mountain Lion, the meeting application
crashes. This is an operating system bug that was reported to Apple (Apple bug report # 11844696). The issue
was resolved in the Mac OS X 10.8.2 build.
Internet Explorer 10 and 11
The "Enhanced Protected Mode" in Internet Explorer 10 and 11 on the desktop is not supported. Since this
mode offers plugin-free browsing experience, the WebEx add-ons are disabled and ActiveX or Java download
methods can be used. Users can still use the temporary folder solution (TFS) to join a meeting. Alternatively,
users can choose to turn off Enhanced Protected Mode in order to join the meeting normally.
Turning on Compatibility View in Internet Explorer on the desktop might cause some WebEx pages to render
incorrectly. We recommend that you turn off Compatibility View for your WebEx site.
Google Chrome
Some Google Chrome users cannot access the Chrome Web Store. In this case the Cisco WebEx extension
file does not automatically install when the users join a meeting. These users are directed to a help page with
instructions to manually download and install the extension file.
Windows 8, 8.1, and 10
When you share your application or desktop in Windows 8, 8.1, or 10, other participants see windows with
a crosshatch pattern on top of the shared content in places where any panels are open. This occurs with all
panels, including the meeting control panel, Participants panel, Chat panel, and sharing indicators. We
recommend you keep panels closed as much as possible to provide a better viewing experience for other
participants. You can quickly hide or show all meeting panels by pressing Ctrl+Alt+Shift+H.
Windows 8 and 8.1
For file sharing, you must have Adobe Acrobat Reader to share PDFs.
When sharing Microsoft PowerPoint files in Print Driver mode, some content may not appear. We
recommend that you use our standard Universal Communications Format (UCF) mode or use application
sharing screen sharing instead.
When connecting to a remote computer with Windows 10, the local screen is not blacked out.
Application sharing is not supported for Windows apps.
Windows 10
Microsoft Edge browser limitations
The Edge browser is supported using the WebEx Temporary Folder Solution (TFS) by downloading
and installing an executable file (.exe).
The Edge browser is supported only for starting and joining meetings, events, training sessions,
or support sessions in Meeting Center, Event Center, Training Center, and Support Center. It is
not supported for Access Anywhere, Remote Access, Hands-On Labs, the WebEx Player for
WebEx Recording Format Files (WRF), or the WebEx Network Recording Player for Advanced
Recording Format Files (ARF).
Users cannot share the Edge browser in a WebEx meeting using the web browser sharing or
application sharing features. We recommend using screen sharing instead.
We recommend that you use Internet Explorer or another browser for WebEx until the Edge browser is
fully supported.
Firefox 64-bit browser limitations
The Firefox 64-bit browser is supported using the WebEx Temporary Folder Solution (TFS) by
downloading and installing an executable file (.exe).
The Firefox 64-bit browser is supported only for starting and joining meetings, events, training
sessions, or support sessions in Meeting Center, Event Center, Training Center, and Support Center.
It is not supported for Access Anywhere, Remote Access, Hands-On Labs, the WebEx Player for
WebEx Recording Format Files (WRF), or the WebEx Network Recording Player for Advanced
Recording Format Files (ARF).
We recommend that you use the 32-bit version of the Firefox browser until the 64-bit version is fully
supported.
Limitations for sharing content
When connecting to a remote computer with Windows 10, the local screen is not blacked out.
The Windows applications are not listed in the Add Application dialog box in Access Anywhere
or Remote Access.
If Meeting Center attendees try to save Universal Communications Format (UCF) files to their
local computers and have opened the Save Document dialog box, and then the host turns off the
option that allows users to save files, the attendees are still able to save the UCF files.

Important
Customers using Productivity Tools with Outlook 2016 should install the latest version of Productivity
Tools; otherwise, the changes in Outlook 2016 will cause the older version of Productivity Tools to send
the host email invitation template to attendees.
If a host who is using Microsoft Outlook 2016 version edits meetings that were created with other supported
Windows versions of Microsoft Outlook in WebEx Productivity Tools version WBS29.13.10 or later, because
Microsoft Outlook 2016 is limited to only one email template, a new email template will be generated with
new content based on the single unified email template for both host and attendees
If a user schedules a meeting in Microsoft Outlook 2016, and then later, that user or a user who is scheduling
meetings on behalf of the first user edits that meeting using Microsoft Outlook 2013, the meeting email
invitation will show the WebEx information for both the original meeting and the edited meeting.
If a user schedules a meeting in Microsoft Outlook 2016, and then later, that user or a user who is scheduling
meetings on behalf of the first user edits that meeting using Microsoft Outlook 2013 to change the meeting
topic, date, or time, the user will see a message indicating that Microsoft Integration to Outlook cannot locate
the WebEx meeting information because the meeting is being edited, and selecting either OK or Cancel will
update the meeting with incorrect information.
If a user schedules a meeting in Microsoft Outlook 2016, and then later, that user or a user who is scheduling
meetings on behalf of the first user edits that meeting using Microsoft Outlook 2007, the user will see a
message indicating that he or she does not have appropriate permissions to edit the meeting and will not be
able to save the change.
Windows 10
If a Windows user has installed a version of WebEx Productivity Tools that is earlier than version WBS30.1
and then upgrades to the Windows 10 operating system, the start menu command for WebEx Productivity
Tools will still appear in the "WebEx" folder on the start menu, rather than in the "WebEx Productivity Tools"
folder. To show the command correctly in the "WebEx Productivity Tools" folder, the user should uninstall
WebEx Productivity Tools and then install version WBS30.1 or later.
EMC SourceOne
EMC SourceOne is not supported by WebEx Productivity Tools. Users of EMC SourceOne might experience
performance issues.
Default meeting templates
If the First attendee to join will be presenter option is enabled in Site Administration, this option will be
enabled by default in the meeting scheduler on your WebEx site. It will also be enabled in the default meeting
template that you use in WebEx Productivity Tools for scheduling WebEx meetings with Microsoft Outlook.
Custom meeting templates that have been created by users will not be impacted. If a host schedules meetings
using custom templates and wants to have the first attendee to join the meetings automatically become the
presenter, the host will need to manually enable the setting in the custom templates.
Email invitation templates
Changes have been made to the email invitation templates for Productivity Tools between WBS28.12.2 and
WBS29.13:
WBS28.9 toWBS28.12.27If CMR Hybrid was not enabled on the site, there were two email invitation
templates in the Windows version of WebEx Productivity Tools for WebEx-only, Personal Conference,
and Audio-only meetings-one for hosts, which included the host key and host access code, and one for
attendees, which did not include host key or host access code information. If CMR Hybrid was enabled
on the site, only one email invitation template was available for CMR Hybrid meetings, WebEx-only,
Personal Conference, and Audio-only meetings, and it was the attendee version that does not contain
the host key and host access code.
WBS29.11 toWBS29.13.2In the Windows version of WebEx Productivity Tools, only one email
invitation template was available for CMR Hybrid meetings, WebEx-only, Personal Conference, and
Audio-only meetings, and it was the attendee version that does not contain the host key and host access
code.
WBS29.13.10For WebEx-only, Personal Conference, and Audio-only meetings, two email invitation
templates are available in the Windows version of WebEx Productivity Tools again-one for attendees,
and one for hosts, which include the host key and host access codes. CMR Hybrid meetings still only
support one email invitation template, which is the attendee version that does not contain the host key
and host access code.
WBS29.8 toWBS29.13.10In the Mac version of WebEx Productivity Tools, only one email invitation
template is available for CMR Hybrid meetings, WebEx-only, Personal Conference, and Audio-only
meetings, and the attendee version that does not contain the host key and host access code.
The Mac version of WebEx Productivity Tools still uses a single email template, so if a host edits older
meetings with the Mac version of Productivity Tools that were created from the version WBS29.13 or later
Windows version of WebEx Productivity Tools, due to the Mac version limitation to one single email template,
a new email template will be generated with new content based on the single unified email template for both
host and attendees.
In addition, if a host forwards a WebEx meeting by using the Forward command in Microsoft Outlook,
Windows Productivity Tools will not be able to identify host's forwarding behavior and will send an email
for attendee's view in the email invitation instead of host's own email invitation.
In some complex circumstances, if a host cancels an individual meeting that is an exception to a meeting
series and then edits a meeting series, the cancellation notice for the meeting that is sent to attendees, which
is not supposed to contain WebEx meeting information because the meeting was canceled, would actually
contain updated information for the update meeting series.
Customized email templates
If a site administrator customizes both the host and attendee email templates to have the same content, the
attendee version of the email template is sent to both host and attendees.
Email invitations that require registration
If a meeting host updates a meeting that requires registration, all attendees receive an updated invitation that
includes a link to register for the meeting, including the attendees who have already registered.
Meetings with no invitees
WebEx meetings that do not have any invitees are not supported in WebEx Productivity Tools for Windows.
Recurring meeting support
Users cannot add a WebEx meeting to a single occurrence of a recurring meeting series if the recurring meeting
series does not have a WebEx meeting added to it. In addition, changes to a single occurrence of a recurring
CMR Hybrid (WebEx-enabled TelePresence) meeting series are not supported. See "CMR Hybrid
(WebEx-enabled TelePresence) integration issues" below for additional information about recurring meeting
limitations for CMR Hybrid meetings.
CMR Cloud issues
If a user is enabled for Collaboration Meeting Rooms (CMR) Cloud meetings, when the user adds a
TelePresence room as a room resource to a meeting series that has one or more exceptions, the meeting times
for the exception meetings will be the same as the meeting time for other meetings in the series.
Silent installation or mass deployment of Productivity Tools
If the administrator performs a silent installation or mass deployment of Productivity Tools for users at your
site, those users will not be able to edit any of the settings on the Tools panel of the WebEx Settings dialog
box. In addition, performing a silent installation may cause some settings on the Productivity Tools page of
the Site Administration tool to be ignored.
For the customers who have performed a mass-installation of WebEx Productivity Tools and try to upgrade
to a new version, we recommend that you perform a silent uninstallation first before performing a mass
installation of the new version.
In some silent upgrade cases, the version of Productivity Tools on the control panel will be reflected incorrectly.
This problem does not impact any Productivity Tools features and should be fixed in a future release.
For more information about silent installation or mass deployment of Productivity Tools, see IT Administrator
Guide for Mass Deployment of WebEx Productivity Tools.
If the Outlook software has different time zone settings as compared to the WebEx site, a WebEx meeting
that is scheduled using the Outlook integration will not show up correctly on WebEx site. On the host
and attendee's Outlook calendars, however, the time zone for the meeting schedule still appears correctly.
A Training Center meeting that is scheduled using Outlook integration has the following limitations:
It is not possible to specify "Listed for authorized users only."
It is not possible to reserve Hands-on Lab computers.
It is not possible to specify a registration close date and a maximum number of registrations.
It is not possible to invite attendees as presenters into the training session.
It is not possible to assign attendee privileges.
It is not possible to edit the type of email messages you want to send when different events happen.
It is not possible to add tests and course material.
The option to join a meeting before the host is not available for recurring Training Center sessions.
An Event Center meeting that is scheduled using Outlook integration has the following limitations:
It is not possible to assign a program.
It is not possible to assign multiple time zones to an event.
It is not possible to add event options such as uploading a host or presenter's image, uploading
event material, UCF auto play options, and so forth.
It is not possible to add presenters and panelists.
It is not possible to edit email template options for an event.
The option to join a meeting before the host is not available for recurring Event Center sessions.
If you schedule a meeting using Microsoft Outlook and then change the meeting information on the
WebEx service site, your changes will not appear in Outlook.
If you select multiple meetings in Outlook and delete or move them at the same time, those changes will
not appear on your WebEx service site.
If you schedule a new meeting in Outlook by copying an existing meeting, a new meeting is not created
on the WebEx service site. Instead, the same WebEx meeting link is shown on both the original and the
copied meeting.
The Attendee access code (Listen only) is not displayed for Audio-only meetings scheduled using
Outlook integration.
Importing your company address book into your WebEx contacts is not supported with Microsoft Outlook
2010 64-bit.
You cannot edit a meeting that is in progress.
The settings in the Scheduled Meetings tab of the WebEx Settings dialog box are not honored. The
default settings from the WebEx site meeting template are used instead. Users will still be able to leverage
the settings that are set while scheduling the meeting in Outlook.
Sometimes scheduled meeting information is not included in the body of the email. This may be due to
Microsoft Word settings that prevent web pages from being displayed in Microsoft Outlook for Windows.
A suggested workaround is to unblock web pages in Microsoft Word:
1 In Microsoft Word, open the File menu.
2 Select Options, then select the Trust Center.
3 Select the Trust Center Setting button.
4 Select File Block Settings.
5 In the Open column, uncheck Web Pages.
occurring weekly rather than recurring on alternate weeks. In the host and attendee's Lotus Notes
calendars, however, the recurring meeting still appears correctly.
Attendee registration can not be enabled for recurring WebEx meetings scheduled using Lotus Notes
Integration.
If a template used during Lotus Notes Integration has "Mute on Entry" option enabled, you will still
hear a sound as attendees join the session.
If the Lotus Notes client has different time zone settings as compared to the WebEx service site, a WebEx
meeting that is scheduled using Lotus Notes Integration will not show up correctly on WebEx service
site. On the host and attendee's Lotus Notes calendars, however, the time zone for the meeting schedule
still appears correctly.
Since Lotus Notes Integration does not use an email template, it is not possible to configure the content
of the host's and attendee's email invitations for WebEx meetings that are scheduled using Lotus Notes
Integration.
A Training Center meeting that is scheduled using Lotus Notes Integration has the following limitations:
It is not possible to specify "Listed for authorized users only"
It is not possible to reserve Hands-on Lab computers.
The option to join a meeting before the start time is not available for recurring Training Center
sessions.
An Event Center meeting that is scheduled using Lotus Notes Integration has the following limitations:
It is not possible to assign Program.
It is not possible to assign multiple time zones to an Event.
It is not possible to add event options such as uploading a host or presenter's image, uploading
event material, UCF auto play options, and so forth.
It is not possible to add presenters and panelists.
It is not possible to edit email template options for an event.
The option to join a meeting before the start time is not available for recurring Event Center sessions.
If you schedule a meeting using Lotus Notes and then change the meeting on your WebEx service site,
your changes will not appear in Lotus Notes.
If you select multiple meetings in Lotus Notes and then delete or move them at the same time, those
changes will not appear on your WebEx service site.
If you schedule a new meeting in Lotus Notes by copying an existing meeting, a new meeting is not
created on WebEx site. Instead, the same WebEx meeting link is shown on the original and is copied
with the meeting.
The Attendee access code (Listen only) is not displayed for Audio-only meetings scheduled using
Outlook integration.
If host edits an already-scheduled Lotus Notes integration meeting and adds an attendee, the attendee
information is not posted to WebEx service site. As a result, for such attendees, this meeting will not
appear in the My WebEx My Meetings list of meetings to which you are invited.
Personal Room issues
If a host schedules a meeting in Microsoft Outlook using WebEx Productivity Tools for Windows and enters
the subject, and then selects Add Personal Room while the cursor is still in the subject field, the Personal
Room URL will overwrite the subject. However, if the host moves the cursor away from the subject field
before selecting Add Personal Room, the subject is not overwritten by the Personal Room URL.
WebEx One-Click/Instant messenger integrations/Microsoft Office integrations
If you use personalized joinlinks to automatically populate attendee names and email addresses on the
JoinMeeting page, some email gateways may truncate the links. Attendees can still click the links, but
the links do not automatically allow them to join the meeting; they will have to enter their name and
email address before joining the meeting. There is no known workaround at this time.
Using the One-Click user interface, it is not possible to invite an attendee as sales team member or as a
panelist.
If the instant messenger integration was installed using a silent installer, the user will need to log out
and log back in to their instant messenger to see the WebEx Productivity Tools integration features.
XenApp Support
WebEx Productivity Tools do not support XenApp.
template that you use in WebEx Productivity Tools for scheduling WebEx meetings with Microsoft Outlook.
Custom meeting templates that have been created by users will not be impacted. If a host schedules meetings
using custom templates and wants to have the first attendee to join the meetings automatically become the
presenter, the host will need to manually enable the setting in the custom templates.
Email invitation templates
In the Mac version of WebEx Productivity Tools, only one email invitation template is available for CMR
Hybrid meetings, WebEx-only, Personal Conference, and Audio-only meetings, and the attendee version that
does not contain the host key and host access code. However, the host can select a link in the email invitation
to view host information on the meeting information page after logging in to their host accounts. Hosts can
also select Preferences within the WebEx Productivity Tools menu to view their audio information, if required.
This information is also available on the WebEx site in the Audio section of the Preferences page.
In WBS29.13, the Windows version of WebEx Productivity Tools regained the ability to have two separate
email templates, but The Mac version of WebEx Productivity Tools still uses a single email template, so if a
host edits older meetings with the Mac version of Productivity Tools that were created from the version
WBS29.13 or later Windows version of WebEx Productivity Tools, due to Mac version's limitation to one
single email template, a new email template will be generated with new content based on the single unified
email template for both host and attendees. In addition, if a host forwards a WebEx meeting through the
Forward command in Microsoft Outlook, Windows Productivity Tools will not be able to identify host's
forwarding behavior and will send an email invitation with the attendee view instead of the host's own email
invitation.
Email invitations that require registration
If a meeting host updates a meeting that requires registration, all attendees receive an updated invitation that
includes a link to register for the meeting, including the attendees who have already registered.
WebEx site URL change
If a user signs in to WebEx Productivity Tools with a new WebEx site URL after the WebEx site has been
renamed, he or she is not able to edit the meetings that were scheduled with the previous WebEx site URL.
CMR Hybrid meeting change
If a host using the Mac version of Productivity Tools schedules a CMR Hybrid meeting and schedules a
TelePresence room, and then the host drags the meeting to a new start time on the calendar or add a new
Telepresence room there may be a problem if the TelePresence room is already booked for the time. As a
result, the Cisco TelePresence Management Suite (Cisco TMS) server is not able to update the meeting because
of the conflict. In addition, the WebEx meeting cannot be moved back to the original start time.
Microsoft Office 365 support
The Microsoft Office 365 application is not yet supported for the Mac version of WebEx Productivity Tools.
However, the Mac version of WebEx Productivity Tools does support Microsoft Outlook 2011 with the
Microsoft Office 365 Exchange server.
Productivity Tools for Mac supports enterprise single sign-on users; however, because there is no single
sign-out service from the enterprise site, the user can only switch his or her account when the single
sign-on token has expired.
Before single sign-on users first log in to WebEx Productivity Tools for the Mac, they must go to the
WebEx site to accept the site certification manually with Safari.
CMR Hybrid (WebEx-enabled TelePresence) integration issues
For CMR Hybrid meetings, email templates are supported in English only on both Windows and Mac.
The same issues that exist for the WebEx-enabled TelePresence integration (CMR Hybrid) for the Windows
version of WebEx Productivity Tools also apply to the Mac version. For more information about these issues,
see CMR Hybrid (WebEx-enabled TelePresence) integration issues in Known Issues/Limitations for Windows.
Hosts who are enabled for CMR Hybrid but do not have the WebEx setting in their Cisco TelePresence
Management Suite (Cisco TMS) will not be able to schedule TelePresence-only meetings using WebEx
Productivity Tools.
Although recurring meeting exceptions for CMR Hybrid meetings are now supported in WebEx Productivity
Tools. Orphan meetings are not yet supported. For example, you cannot add a WebEx meeting and TelePresence
rooms to a single occurrence of an Outlook-only meeting series. If you want to make these features available
for a single occurrence, you must make the whole series a WebEx and TelePresence meeting.
In the Mac version of WebEx Productivity Tools, if the host has scheduled a CMR Hybrid meeting and has
saved it and sent invitations to all attendees, and then later edits that meeting to add or delete one TelePresence
room from the email address field, all original attendees will automatically receive an update. This is unexpected
behavior, because usually Microsoft Outlook asks if you want to send an update only to the changed attendees
or to all attendees.
If the host removes an invitee or TelePresence room from a single occurrence of a recurring meeting series,
they will be removed from the whole meeting series. This issue occurs due to standard Microsoft Outlook
behavior for the Mac.
Active Directory Federation Services (ADFS) Single Sign-On 2.0 Support for Safari
Due to a known issue with Apple, Mac Productivity Tools users cannot sign in using single sign-on based on
Active Directory Federation Services (ADFS) 2.0 for Mac OS 10.10 to Mac OS 10.10.3 from either the Safari
browser or WebEx Productivity Tools for the Mac; however, this problem is resolved with Mac OS 10.10.4
and later.
Known Interoperability Issues between Windows and Mac
The following issues occur with the interoperability between the Windows and Mac versions of WebEx
Productivity Tools:
If a meeting series has exceptions that were scheduled with the Windows version of WebEx Productivity
Tools, or if a meeting series and its exceptions were updated with the Windows version of WebEx
Productivity Tools, Mac Productivity Tools Users will not be update the meeting series.
Any meeting that is scheduled or updated with the Windows version of Productivity Tools cannot be
canceled with the Mac version of Productivity Tools, whether it is a meeting series with no exceptions,
a meeting series with exceptions, a single exception to a meeting, a single occurrence of a meeting series,
or a single meeting.
Lotus Notes
Lotus Notes is not supported in the Mac version of WebEx Productivity Tools.
XenApp Support
WebEx Productivity Tools do not support XenApp.
In-meeting experience
Keyboard navigation and screen reader support:
Video thumbnail items in the Participant panel do not support navigation using the Tab key.
Some items in file sharing and in the Polling panel don't support navigation using the Tab key.
Items within the video full-screen view don't support navigation using the Tab key.
Elements inside the video user interface don't support screen readers.
Video thumbnail items don't support screen readers.
The participant list within the Participant panel doesn't support screen readers.
Some elements for file sharing and in the Polling panel don't support screen readers.
The Pan tool is not available when viewing a file that is shared using file sharing.
The new interface is not available for Linux users.
On Mac, when the presenter annotates during application sharing or screen sharing (formerly called
desktop sharing) and takes notes or creates a poll, the Notes and Poll information cannot be saved.
On Mac, when using annotation during sharing, if user moves from tab view to full-screen view, the
annotation option that as last used is not remembered.
On some Windows machines as well as on Linux machines, if attendee screen saver comes on and then
the presenter starts file sharing, the screen saver automatically quits.
Some custom Quick Start templates, created using older releases of Meeting Center, may not work after
upgrading to this release.
In a few cases, uploading a very large Microsoft PowerPoint file to share in the meeting may cause the
meeting to get disconnected for the presenter.
Anyone Can Share feature
The Anyone Can Share feature is not available on the Linux platform. It is also not available for mobile
users who are using earlier versions of the Cisco WebEx Meetings mobile app. This feature will be
supported in the Cisco WebEx Meetings app version 6.6 or later for iPhone and iPad, version 3.6 or
later for BlackBerry 10 devices, and version 6.5 or later for Android devices. Mobile users who have
earlier versions of the application can still be made presenters by passing the presenter role to them only
if the mobile app has presenter capabilities.
If a host starts a meeting on a desktop and then disables the Anyone Can Share feature while in a meeting,
participants in that meeting who are using earlier versions of the Cisco WebEx Meetings app for iPhone,
iPad, BlackBerry 10 devices, and Android devices will still be able to share.
Users of the Cisco WebEx Meetings mobile app will not be able to disable the Anyone Can Share feature
within a meeting, but will follow the site administration settings for that feature.
Leave meeting command
The Leave Meeting command is disabled for sites that use third-party telephony service provider (TSP) audio.
You cannot share Word 2013 (64-bit) documents on Windows 8 (64-bit) using the file sharing feature.
Use the application sharing or screen sharing features instead.
Tagging internal participants
Tags for internal participants do not appear in the following cases:
When the participant joins from the Cisco WebEx Connect application
When the participant joins from mobile device
When a participant using One Touch TelePresence Plus is not using SAML single sign-on
In Personal Conference meetings
File sharing
If you are a host using Windows and do not have a universal printer driver installed on your system, you will
not be able to share any file types except Microsoft PowerPoint files during file sharing. In this case, the
system will provide an option to move to application sharing instead of file sharing or to install a universal
printer driver before you proceed. (Windows 7 systems come pre-installed with a universal printer driver.)
File sharing is not supported for CMR Hybrid (WebEx-enabled TelePresence) meetings.
Streaming media sharing
Attendee video resolution is optimized to 480p. Video files with higher resolution are resized to fit (640 X
480) resolution. The following media file formats are currently supported: WMV, WMA, WAV, MP3, ASF,
AVI, MPG, MPEG, MOV, FLV, F4V, QT, and MP4.
MP4 and MOV video files cannot be shared in a WebEx Meeting if they cannot be played by the installed
QuickTime player
Recommended System requirements for video file sharing on Presenter side:
Core2-Duo E6750 @ 2.66GHz for VGA file is required
AMD 9650 2.3GHz (4 core) 8GB is preferred
Intel Core 2 Duo -E7400 2.8GHz 2.79GHz is preferred
File sharing is not supported for CMR Hybrid (WebEx-enabled TelePresence) meetings.
Streaming video files that are shared from the desktop version of WebEx can only be viewed on Android
devices.
Unable to join meeting
Linux/Unix users might not able to join the meeting if NTLM authentication is enabled with ISA proxy.
Viewing Office 2007 documents
Attendees who join a meeting from Linux/Unix may have display issues when the presenter shares a Microsoft
Office 2007 document. For example, some animations and pictures may not be displayed or become distorted.
A CMR Cloud or CMR Hybrid meeting always starts at the best video resolution between TelePresence
(or other video conferencing systems or applications) and WebEx. If high-definition video is available,
it is available to all participants. If any participant on the WebEx side experiences poor network conditions,
the resolution between TelePresence and WebEx downgrades to accommodate that participant. As a
result, video resolution will also be poor for all other participants. The minimum bit rate a WebEx
application must process from the WebEx Cloud to be able to receive both video and application or
screen sharing (formerly called "desktop sharing") content is 1.2 Mbps. Less than that results in the
WebEx application showing only the shared application or screen.
Starting with WBS29.11, if, for reasons of low network bandwidth or conditions (such as CPU or RAM
use) that are local to the WebEx application, the WebEx application is not able to maintain the 1.2 Mbps
bit rate per the preceding, users see a "low-bandwidth" warning message instead of receiving TelePresence
video. In WBS29.11 and later, WebEx application users will automatically periodically retest their
connection to the WebEx Cloud to assess whether any network or local conditions have been remedied.
If they are able to send and receive video at a bit rate of 1.2 Mbps or greater, they are able to resume
sending and receiving video.
For information about recommended bandwidth configuration settings for CMR Cloud meetings, see
"Prerequisites" in Cisco WebEx Meeting Center with Collaboration Meeting Rooms Enterprise
Deployment Guide on the Cisco WebEx Meeting Center Configuration Guides page.
For information about recommended bandwidth configuration settings for CMR Hybrid meetings, see
"Prerequisites" in the " Cisco WebEx Features and Important Notes" chapter and "Tips for Troubleshooting
Low Bandwidth with the WebEx Meeting Center Client on Windows or Mac" in the "Troubleshooting"
chapter of the Cisco Collaboration Meeting Rooms (CMR) Hybrid Configuration Guide on the Cisco
TelePresence Management Suite (TMS) Configuration Guides page. For additional information, refer
to the Cisco WebEx Network Bandwidth White Paper.
Presentation and data sharing quality
If you do not have adequate bandwidth, your presentation and data sharing in CMR Cloud and CMR
Hybrid meetings can degrade to XGA (1024 x 768 resolution) and 5 fps. On TelePresence systems,
users see a "letterbox" format. As of WBS29.8, up to 720 p resolution is supported as long as all WebEx
participants have at least 2 Mbps, and the data sharing can cover the whole TelePresence system screen
on both 4:3 and 16:9 TelePresence systems without cropping. Starting with WBS29.11, with TelePresence
Server 4.1 and Conductor XC 3.0, 1080 p resolution is supported as long as all WebEx participants have
at least 3 Mbps. If any participants in the meeting do not have the minimum bandwidth, all participants
drop to the next lowest data sharing resolution level. For example, if 720 p resolution was used, but one
participant has bandwidth that is below the threshold, the meeting resolution drops to 720 p for all
participants. Or, if TelePresence Server 4.1 and Conductor XC 3.0 are used, 1080 p would normally be
supported, but if one participant does not have least 3 Mbps, the data sharing resolution drops to 720 p
for all participants. The presentation and data sharing quality from TelePresence system to TelePresence
system does not change, and the resolution is based on TelePresence Server or Cisco TelePresence MCU
series settings. The presentation and data sharing quality from WebEx application to WebEx application
is good quality. These presentation and data sharing quality limitations do not apply to WebEx-only
meetings, which use a proprietary data rendering format.
In-meeting video experience
WebEx users can only see the active speaker or the most recently active speaker's video endpoint in the
WebEx application. Video endpoint users who are not talking don't show up in the WebEx application.
TelePresence video doesn't appear in WebEx thumbnails.
Video endpoint users can only see the active speaker or the most recently active speaker from WebEx
on their screens. WebEx users who are not talking don't show up on their screens.
If there is background noise in a TelePresence room, it can cause the video for that TelePresence room
to appear as the active speaker in the WebEx meeting. If needed, the host can use the Lock Video
command to lock the video display on another participant's video.
In a CMR Cloud or CMR Hybrid meeting, the participant videos of participants who have joined from
Apple iPads or iPhones over a mobile network are not visible on TelePresence systems, although audio
is still available. The participant videos would still be visible within WebEx applications. This problem
occurs because 180 p video is required to send video to TelePresence systems, but sending 180 p video
over mobile networks is not supported due to the Apple iTunes developer guidelines for applications.
This issue occurs only with mobile networks, and does not occur when participants using iPads and
iPhones are using Wi-Fi. In addition, iPad and iPhone users may also see a low-bandwidth warning
when trying to view the video of TelePresence participants, depending on the quality and data rate of
the connection, whether they are on a mobile network or on Wi-Fi.
Standard features
Some standard features, such as annotation and whiteboard sharing, are not supported in CMR Cloud
or CMR Hybrid meetings.
Full-screen video view
When presenters switch to full-screen video view while sharing their screen, application, or document,
sharing is paused on the attendee side (the last-shared screen freezes). When the presenter exits full-screen
video view, sharing automatically resumes.
Attendees stay in full-screen video view when the presenter stops sharing and automatically exit full-screen
video view when the presenter starts sharing again.
If the Mac or PC WebEx application has two monitors, users can display a full-screen view on one
monitor and full-screen or application sharing on the other monitor by dragging the video window to
the other monitor and selecting the "View all participants in full-screen view" icon.
Presenter may unintentionally disable video for all participants
If a WebEx user who is the presenter in the meeting unchecks the Video option in the Meeting Options
dialog box, video is disabled for all meeting participants, whether they joined from a WebEx meeting
application or from a video conferencing system. To restore video for all participants, the meeting host
or current presenter should check the Video option in the Meeting Options dialog box.
Welcome screen
By default, the WebEx welcome screen is not displayed on TelePresence devices, and we recommend
that it be turned off in site administration settings for both CMR Cloud and CMR Hybrid meetings.
Other teleconference audio
The audio connection option Other teleconference audio is not supported for CMR Hybrid and CMR
Cloud meetings.
Telephony service provider (TSP) audio accounts
For some telephony service provider (TSP) audio accounts, if a host with a TSP account schedules two
adjacent CMR Hybrid or CMR Cloud meetings, with the second one scheduled to start immediately
after the first one ends, and if the TelePresence scheduling system automatically extends the first meeting
past the scheduled end, the second meeting will end automatically because the same TSP audio account
and host access code cannot be used for both meetings at the same time.
To work around this problem, hosts can set up two different TSP audio accounts with different host
access codes, and use one account for the first meeting and the other account for the second meeting.
Another option is for the administrator to turn off the option for the TelePresence system that automatically
extends the meeting.
WebEx meeting features
If you are hosting a meeting that includes TelePresence systems (CMR Cloud or CMR Hybrid), the
following WebEx features are unavailable:
Polling
File Transfer
Chat (with TelePresence room participants)
For a list of compatible video systems and applications see Collaboration Meeting Rooms Cloud Compatibility
and Support
If a WebEx user shares a file or a whiteboard in a CMR Cloud meeting, the file or whiteboard is not
visible to users who have joined from a video conferencing system or application. If the host is attempting
this kind of sharing from a desktop application, both the host and video conferencing system or application
users see a warning informing them about this limitation. We recommend that the host use application
sharing or screen sharing (formerly called "desktop sharing") instead.
Starting a Personal Room meeting from the mobile application
If the site administrator has specified that meeting passwords are required for a WebEx site, and hosts
try to start a meeting in a Personal Room using the Cisco WebEx Meetings mobile app, they see an error
message that the meeting cannot be started. If this happens, the host can follow these steps to correct
the situation:
1 Log in to the WebEx site.
2 Select My WebEx.
3 Select Preferences.
4 Select "Meet Now" Settings.
5 Uncheck the Use Personal Room for all my instant meetings option.
6 Enter a temporary meeting topic for Topic.
7 Enter a temporary meeting password for Meeting Password.
8 Scroll down and select Save.
9 Select the Preferences link on the left navigation bar again.
10 Select "Meet Now" Settings.
11 Check the Use Personal Room for all my instant meetings option so that it is now selected.
12 Scroll down and select Save.
Personal Room lobby
Participants who are waiting in a Personal Room lobby may become disconnected after a while if the
host does not start the meeting within 30 minutes of the time the first person joined from a video device
or application. Participants who are disconnected can always rejoin the host's Personal Room again.
Leaving and reentering a Personal Room
Sometimes, when hosts end a CMR Cloud meeting by leaving their Personal Room and then reentering
their Personal Room within a few seconds, they may hear an audio prompt about an invalid meeting. If
this happens, the host should hang up and wait a few seconds before redialing the Personal Room.
12-hour limit
A scheduled CMR Cloud meeting cannot last for more than 12 hours. Hosts and participants can reenter
the meeting, or can schedule a new one.
Telephony service provider (TSP) audio
For some WebEx sites that use third-party telephony service providers (TSP), TelePresence users may
not be able to join CMR meetings until they have configured the toll phone number for the teleconference
provider. To avoid this problem in a meeting, we recommend that hosts specify the toll number of the
TSP audio service when setting up their Personal Rooms.
Due to some dial-out sequences having multiple steps and longer prompt durations that cannot be
interrupted, it may take a while before the audio portion of a Personal Room meeting can be merged
into the TSP audio bridge. During this time, users who have joined from video devices or applications
have no indication that their audio is not being heard by users who have joined using WebEx. To avoid
this problem, all participants should wait until the TSP audio dial-out sequence is complete, which is
indicated by telephone handset icons appearing next to participants' names in the participants list.
Incorrect configurations
If a user is trying to join a meeting using a stand-alone video device or application or through a call
control and firewall traversal solution, and if they have not configured their systems correctly, they may
not be able to join meetings successfully. Site administrators should follow the guidelines in Cisco
WebEx Meeting Center with Collaboration Meeting Rooms Enterprise Deployment Guide on the
Configuration Guides page. Users should follow the guidelines in WebEx Meeting Center with
Collaboration Meeting Rooms (CMR Cloud) User Guide on the User Guides page.
Network problems
Due to network impairments or packet loss, the display names of participants who have joined a Personal
Room meeting from a video device or application may appear truncated in the video endpoint active
presence view for those users who have joined a CMR Cloud meeting from a video device or application.
Unencrypted TelePresence devices
If you set up a CMR Cloud meeting and attendees join through unencrypted TelePresence devices, this
WebEx meeting cannot be considered fully secured, since there are other devices whose connections
cannot be secured.
Known Issues for Using CMR Cloud with Lync or Skype for Business
Users need to dial into the meeting using the format <meetingnumber>.<sitename>@lync.webex.com
for a scheduled meeting or <hostID>.<sitename>@lync.webex.com for a Personal Room meeting.
Video addresses in this formation are not included in meeting invitations.
Content that is shared in a CMR Cloud meeting is transcoded into the main video channel in the
Skype for Business application.
The RTV video codec is not supported when using CMR Cloud with Lync or Skype for Business.
Users of the Mac OX version of Microsoft Lync 2011 can join only by audio.
To ensure 2-way video in a meeting users must select Video and then select Start Video.
After joining the meeting, users may need to select Start Video one more time.
The latest version of Skype for Business for Apple iPhone or iPad devices is 6.2.0.24
Known Issues for Using CMR Cloud with Spark and Firefox
When Spark users in Firefox share their screen, Webex users see a black screen, instead of the shared
content. When Webex users share their screen, Spark users in Firefox can see the shared content.
The WebEx host in a joint CMR Hybrid meeting with WebEx and TelePresence is not able to see
a complete list of all WebEx and TelePresence participants.
TelePresence participants are listed as "TelePresence Systems" in the WebEx Participants list of
a CMR Hybrid meeting.
Exceptions to a recurring meeting series using WebEx Productivity Tools
Although recurring meeting exceptions for CMR Hybrid meetings are now supported in WebEx
Productivity Tools. "Orphan" meetings are not yet supported. For example, you cannot add a WebEx
meeting and TelePresence rooms to a single occurrence of an Outlook-only meeting series. If you want
to make these features available for a single occurrence, make the whole series a WebEx and TelePresence
meeting.
Edits to a meeting series with exceptions that were changed before version WBS30 follow Microsoft
Outlook's rules, where possible, regarding treatment of the exceptions' properties.
If a host edits the subject or changes the meeting time of a single occurrence of a recurring CMR Hybrid
meeting series by editing it directly in the Microsoft Outlook calendar, and then removes WebEx from
the entire series, the WebEx meeting information still appears in the exception meeting.
If the host scheduled a recurring CMR Hybrid meeting series, and the date of the first occurrence has
passed without that meeting being started, the host cannot update the date of that individual occurrence.
However, the host can change the date for the entire meeting series.
If you remove the WebEx meeting from an individual occurrence of a CMR Hybrid meeting series, you
change it to a TelePresence-only meeting. However, the Cisco TelePresence Management Suite (Cisco
TMS) still shows WebEx information for that exception meeting.
If you change all the individual meeting occurrences within a meeting series into exceptions, and you
then attempt to add a TelePresence meeting to the entire series, Cisco TelePresence Management Suite
for Microsoft Exchange (Cisco TMSXE) assumes the series in the past and does not give adequate
warning messages to the meeting scheduler or host. Users can work around this issue by deleting the
current series and creating a new series that has TelePresence added, and then editing the exceptions to
that series individually, as exceptions, or deleting all the exceptions and creating individual meetings.
Sharing web content
The Share > Web Content command is not supported for a CMR Hybrid meeting.
Exceptions to a recurring meeting series using WebEx Productivity Tools
Although exceptions to a recurring meeting series are supported for WebEx-only meetings on CMR
Hybrid sites and on CMR Cloud sites in WBS29.11, exceptions to recurring series are not supported in
WBS29.11 for CMR Hybrid meetings. Creating an exception meeting in a meeting series either using
Cisco TelePresence Management Suite (TMS)-based scheduling methods (Cisco TelePresence
Management Suite Administrator, Cisco Smart Scheduler, and so on.), or using mobile calendars synced
to Microsoft Exchange that connect to TMS may result in meetings where the WebEx portion of the
meeting cannot be joined through WebEx applications if the exception falls beyond the last regular
meeting occurrence in the meeting series.
The following issues exist for exceptions to a recurring meeting series using CMR Hybrid meetings and
Productivity Tools:
Exceptions to a recurring meeting series for CMR Hybrid meetings are still NOT supported as of
WBS29.13, and users are warned accordingly (for example, unsupported editing options are
disabled, and error messages are included in email invitations) when they attempt to schedule them
using Productivity Tools.
WebEx meeting applications and TelePresence devices can join the same CMR Hybrid meeting,
even if a normal exception to a meeting series has been created. WebEx does not support creating
orphan meeting exceptions, such as adding WebEx to a single occurrence of a meeting series.
Hosts can still edit the following items for a CMR meeting series that does not have exceptions:
WebEx special properties, such as alternate hosts, audio options, and the WebEx meeting password;
Microsoft Outlook common properties, such as subject and attendees; and TelePresence properties.
Once an exception has been made to a CMR Hybrid recurring meeting series, the following
conditions exist:
The Outlook common properties can still be edited for both the exception and the meeting
series.
The TelePresence properties cannot be edited for either the exception or the meeting series
(the panel for editing TelePresence settings is disabled).
The WebEx special properties cannot be edited for either the exception or the meeting series.
If a WebEx-only meeting series has exceptions, TelePresence cannot be added to it.
Unlike prior releases, in WBS 29.11.3 and later, the following features are not available for CMR
Hybrid users:
CMR Hybrid users cannot edit the TelePresence properties or WebEx special properties in
a CMR Hybrid series that has exceptions.
CMR Hybrid users cannot add or remove TelePresence or WebEx entirely from a series if it
has exceptions.
The Mac version of Productivity Tools, which is new in WBS29.13, is expected to have similar
limitations for exceptions to a meeting series.
Making someone presenter
A TelePresence system becomes the presenter when a VGA cable is connected to the laptop. In a standard
WebEx meeting, a user has to ask the host to make him or her the presenter. By default, the ability for
anyone in the meeting to "grab the ball" or request to be the presenter is enabled for CMR Hybrid users.
Starting in WBS29.11, the Anyone Can Share feature allows anyone to share without requesting to be
the presenter. This option is also enabled by default for CMR Hybrid users. If you are connected to both
Cisco Jabber and WebEx on the same computer and try to share content from Jabber, you get repeating
share windows. We recommend that you always share from WebEx if you have both Jabber and WebEx
on your computer.
Time zone
The time zone for the WebEx site must match the time zone for the Cisco TelePresence Management
Suite; otherwise the meeting time is not synchronized.
Leaving a meeting
Unlike WebEx-only meetings, which have an option to automatically extend if attended by audio-only
callers, when all TelePresence endpoints leave a CMR Hybrid meeting, if there are no users of WebEx
applications to pass the host role to (or if audio-only endpoints are the only other attendees of a CMR
Hybrid meeting), and capacity constraints on the TelePresence Management Suite do not allow the
TelePresence side of the meeting to automatically extend beyond the scheduled end time of the meeting,
the meeting ends.
Attendee invitations
Starting in WBS29.6, if a host removes any attendees for an event, the link to the event from the invitation
will no longer be valid for those removed attendees. If you are planning to invite people for a mass-mailing
list, we recommend that you use a third-party mailing service, and then link to the event address for attendees.
Links generated by WebEx centers and WebEx recording services
As part of our continuing updates to improve security, Cisco is making changes to improve the management
of cryptographic keys used to generate URLs used in WebEx Meeting Center, Training Center, Support Center,
Event Center, and WebEx recording services. As a result, existing links that were generated by those services
have been updated, and in some cases, users may need to request new links.
Joining a WebEx meeting on Chrome and Firefox
Because of Google and Mozilla policy changes, users must manually enable the WebEx plug-in when using
Chrome and Firefox.
When connecting to a remote computer with Windows 10, the local screen will not be able to be blacked
out.
Meeting Center attendees are able to save Universal Communications Format Files (UCF) to their
computers, even when the host has canceled the save privilege for them.
Windows apps do not appear in the Access Anywhere or Remote Access Add Application dialog box.
When a Mac participant of a Meeting Center meeting is sharing and annotating the whiteboard, the
annotation color is incorrect when the square or oval shape is selected.
Microsoft Office 2013 Support
If you have Microsoft Office 2013 installed, the following features are not supported when sharing
PowerPoint 2013 files:
Animations and transitions
Embedded video or audio files
PowerPoint notes in a dedicated panel
UCF Toolkit
If you have customized your Info Tab, some custom elements may not be supported. We recommend
that you validate it to make sure it continues to display properly in a WebEx meeting.
In a few cases, the following problems may occur:
Text and fill colors may be slightly different from the actual colors in a slide.
Some graphic elements may be missing from a slide.
Fonts may appear blurry on a slide or may be different from the original.
The size of shapes may be different from the original.
If an object in a PowerPoint presentation does not display correctly in edit mode, it is automatically
removed in Slide Show view; however, the object may continue to display when the file is shared in a
WebEx meeting.
You cannot share password-protected PowerPoint 2013 files using the file sharing feature. Use the
application sharing or desktop sharing features instead.
You cannot share Excel 2013 files on Windows 8 using the file sharing feature. Use the application
sharing or screen sharing (formerly called "desktop sharing") features instead.
You cannot share Word 2013 (64-bit) documents on Windows 8 (64-bit) using the file sharing feature.
Use the application sharing or screen sharing features instead.
Mobile device support
Event Center is not currently supported on multiple devices.
Attention indicator
When Web content is shared during an event, the attention indicator will stop tracking and will consider
everyone as paying attention.
Play button in Flash files
When a presenter is sharing a Flash (.swf) file, clicking the Play button will "pause" the file instead of playing
it. The Presenter needs to press the Play button twice in order to play the file. [289318]
Deleting meetings from My Meetings list
When the Delete from My Meetings when completed option is selected, an event will still appear on the My
WebEx My Meetings list if the host completes the event before the end time of event. The event will be deleted
from the My Meetings list after the schedule end time has elapsed. For example, if an event is scheduled for
10:00 to 11:00 a.m. and the host ends the event at 10.45 a.m., the event will still display under My Meetings
and the Event Center Calendar until 11.01 a.m., after the scheduled end of the meeting. The event will always
display when you turn on Show past events
Participants Panel on Solaris
Some non-English characters do not display correctly in the Participants Panel on Solaris machines. [276651]
Flash client
The Event Center Flash client has the following known issues:
The total number of attendees is not displayed to a Flash attendee
A Flash attendee cannot automatically view in full screen when Presenter is performing Desktop or
Application sharing
The mouse scroll button does not work in the Country and Region list of Global Call-in number
A Flash attendee cannot view the laser pen used during Presentation sharing
Flash Attendees are not included in Attendee Statistics when the Presenter shares an Audio or Video
file
Panelist names are listed chronologically and not alphabetically
No tool tip appears for the recording indicator
In full screen mode, the Global Call-in number is not displayed
The Feedback page will not be displayed if a pop-up blocker is enabled
In the Attendance report, a Flash attendee's real IP address will not be displayed; instead "127.0.0.1"
will be displayed
Switching poll coordinator role
During polling, if you switch the polling coordinator role, the Save Polling Result window will display.
Adding attendees to address book
From the event scheduler, if you select the option to add an attendee to your address book, an error message
displays when you click Add Attendee
iCalendar attachment
When WebEx sends the first and second event reminder to attendees, the iCalendar attachment that attendees
use to automatically add the event to their calendar application is missing.
Email messages with iCalendar content
Due to an .ics limitation (iCalendar attachment), HTML email messages can not display content of .ics calendars
properly. As a result, for HTML email messages, we will pull in the content from plain text email messages.
This means if a user has customized an HTML email message, the customization can not be reflected in the
iCalendar attachment.
Importing a CSV file when Creating an invitation list
When creating an invitation list, the option to import a CSV file is not supported for MAC. As a result, the
Import CSV files button is unavailable for MAC and Safari.
Past events
The past event identification criteria is not consistent between the Event Center page and Welcome pages.
According to Event Center logic, an event belongs to past events after the scheduled start time is passed.
However, if the scheduled start time has passed, the event is still listed on the Welcome page, even when
Show past meetings is not selected. [244342]
Past events status shows on the Event Center calendar for attendee's view. When an attendee looks the Event
Center calendar and selects Show past events, all past events are displayed with Register and/or Not started
status; however, no status should appear for past events on an attendee's view. [244153]
Event templates
When a host saves the event as a template, the list of attendees and panelists is not saved; however, the panelist
information and the panelist password are saved. [180534]
Money symbol
The money symbol is missing for the budget field on the program information page. [183019]
Panelist information as search criteria
Panelist information can not be used as a search criteria on the Event Center search page. However, the search
can be done from the Welcome page [177716]
Saving user information when using Firefox
If a user is using Firefox, user information always is saved, regardless of whether Remember me on this
computer is selected. [228112]
Calendar display of daily audio-only events
Since Event Center does not have a concept of a recurring event, if a daily audio-only event is scheduled, the
Event Center calendar can not display it properly [161351]
Sharing Office 2010 documents
Some features newly introduced in PowerPoint 2010 such as 3D graphics, animations and transitions are not
supported and may be rendered as static objects when sharing presentations using those features.
High-definition video
High-definition video is available for the main session only. There is no support for breakout sessions at this
time.
High-quality video
High-quality video is available for the main session only. There is no support for breakout sessions at this
time.
Operating system limitations
If you use Solaris or Linux you cannot:
Display UCF PowerPoint animations and transitions
Share UCF files
Cache course material before the session starts
See the attendee-ready indicator
WebEx Advanced Recording Format (.ARF) files are supported in the UCF Viewer.
Disabling Quick Start
If your site administrator disables the Quick Start page in the session type and you save a scheduling template
for this session type, Quick Start still appears in the template's options. However, the Quick Start page does
not appear in the session.
Closing dialog windows in the Firefox browser
When using Firefox, some dialog windows may not close when clicking the Close or OK button due to a
technical limitation with Firefox.
Site administrators should also make sure that the Meeting Center PRO TelePresence session type is
enabled for your site:
The Meeting Center PRO TelePresence session type will give users a different user interface in
the WebEx Productivity Tools integration to Microsoft Outlook than the standard WebEx integration
with Outlook.
If you want existing users on your site to use CMR Hybrid, you need to batch-enable them for the
Meeting Center Pro TelePresence session type-it is not enabled for them automatically.
When your site is enabled for CMR Hybrid, the Default for New Users checkbox is automatically
checked next to the Meeting Center PRO TelePresence session type site administration option. If
you do not want new users to be enabled for CMR Hybrid automatically, you should uncheck the
Default for New Users checkbox.
You can also create additional custom session types based on the Meeting Center TelePresence
session type.
Site administrators cannot make any changes to CMR Hybrid user interface for WebEx Productivity
Tools. For example, administrators cannot change the branding for the CMR Hybrid Meeting Options
panel within the Outlook integration, cannot hide information in the Meeting Options panel or in the
TelePresence or WebEx Advanced Settings dialog boxes, and cannot limit the number of video call-in
participants the user can enter.
Although screen sharing (formerly called "desktop sharing" and application sharing are supported in
CMR Hybrid meetings, some standard sharing features, such as file sharing, annotation, and whiteboard
sharing, are not supported in CMR Hybrid meetings.
Starting with WBS29, recording is supported for CMR Hybrid meetings; however, it has the following
known issues and limitations:
CMR Hybrid meeting recordings will be in MP4 format. Video will be recorded at 360 p.
When users play back the recording, they can see screen sharing, application sharing, active speaker
video camera feeds, the participant, list, chat, and polling. However, if users download the
recordings, the screen sharing, application sharing, and audio portion is in one MP4 file, and does
not contain active speaker video camera feeds, the participant list, chat, and polling.
For more information about recording CMR Hybrid meetings, see Recording and Playback FAQs in
the WebEx Meeting Center Frequently Asked Questions found at http://www.cisco.com/c/en/us/support/
conferencing/webex-meeting-center/products-user-guide-list.html.
If any participants in the meeting do not have the minimum bandwidth, all participants
will drop to the next lowest data sharing resolution level. For example, if 720 p resolution was used, but
one participant has bandwidth that is below the threshold, the meeting resolution drops to 720 p for all
participants.
For a list of compatible video systems and applications see Collaboration Meeting Rooms Cloud
Compatibility and Support
Screen sharing (formerly called "desktop sharing") and application sharing are supported in CMR Hybrid
meetings, but some standard content sharing features, such as file sharing, annotation, and whiteboard
sharing, are not supported.
Starting with Cisco TelePresence Management Suite (Cisco TMS) version 14.4, administrators can
configure Cisco TMS to allow TelePresence participants to join a CMR Hybrid meeting up to 5 minutes
before the scheduled start time. TelePresence doesn't join the meeting until the first TelePresence
participant dials in to the meeting. Cisco TMS does not dial out to WebEx until the scheduled start time
of the meeting. For more information, see "Configuring Allow Early Join" in the "Configuring Conference
Settings in Cisco TMS" section of the Cisco Collaboration Meeting Rooms (CMR) Hybrid Configuration
Guide on the Cisco TelePresence Management Suite (TMS) Configuration Guides page.
CMR Hybrid meetings do not support "VoIP Only" audio.
Scheduling large CMR Hybrid meetings requires that administrators set capacity limits. To mute everyone
except the speaker, participants need to be muted in both WebEx and TelePresence:
From the WebEx application, the host can mute WebEx participants.
On some TelePresence systems, the host can mute other TelePresence participants; otherwise, the
administrator can mute TelePresence participants through TelePresence Server.
