OO.3 Case group work, gathering together work of the last three days for a presentation

O.3 O. Theme meeting, presenting own work, discussing with case group 


 
 
   

Three teams of 5 people. Everybody got a role based on stakeholder categories for the teamwork
(citizen, business organisatiom, public organization, academic). They did SWOT analysis individually
on their role, then presented them within the groups. Then they started to generate ideas how to
transform the current space into something new.

Summary: value flow and expert chairs. Change a cafeteria into an innovative and collaborative
platform. Need to know what people are representing ʹ make it visible through different colour of
chairs around tables! You can go to sit with a person you would like to have a chat with.

comments on the presentation:

- ½ould elderly people dare to sit on such expert chairs alone with other experts or
would they feel intimidated?
- Probably elderly would not feel uncomfortable but the chairs give people the
possibility for different experts to exchange knowledge.
- Main group opinion: chair idea is great.
- ½ould it be actually possible to create these chairs?
- This needs a practical, technical solution.
- chairs are not painted already before people enter, but the chairs take the colour
of the appropriate expert once the expert sits down.
- ½ould each expert always have a chip that activates the colour or would s/he push
a colour button on the chair?!
- Let s see what is possible. Laurea itself however cannot produce such technique.
- Should we use ´flash cardsµ?
- ½ould elderly feel stigmatized if they are marked as elderly?
- Probably not, isn·t it an honour to be treated as elderly expert?!

Summary: plan of the actual space, small but important equipment to make platform
effective. Dance hall can be used for multiple purposes ʹ exercise, dancing, for students, external
people etc. Create a set of movable furniture, that can be easily put on aside or used to create
different settings for the people and stakeholders who want to have their activity there.

comments on the presentation:

- Îow is the value flow chart related to the dance hall plan?
- Group members were all in the own role, keeping in mind which value is expected
from the other experts and then in the hall thought about what each of us would
need.
- ½ould the sound be appropriate in the dance hall?
- Group thought about that and decided on dumping of the walls.
- The dancehall could also be used for showing movies or organising a concert with
for or by elderly people. And space can be used for workshops in which elderly for
instance teach students how to do something.

   

Summary: the idea is to collaborate with Philips and to use the InnoÎub space in order to
create the platform! (Details see flip charts). Now the SME residing inside Active Life Village is
not visible, accessible for students or citizens to know what happens there. They would change the
entrance to another wall with big doors to increase accessibility for citizens, and change non
transparent walls to transparent ones towards the Laurea students and employees to encourage
them.

Discussion after the presentation:

- lue team: One thing which was missing during the presentation is the original idea
why to use the InnoÎub space: Right now this space is called Philips InnoÎub even
though it is owned also by VTT and also Laurea.
- can you explain me how would attract students to your platform?
- Students have to do their thesis process, and there will be researchers to support
them, the students will gain work experience, the companies will fund the theses.
- Group has clearly in mind how to get the revenues in order
- Once again, how do you attract students to be active on the platform?
- Students are already now working on projects, so they would also join this
platform.
- ut how should your precise changes attract students?
- LbD model will guarantee that there is a constant flow between educational issues
and the curriculum and the businesses. Students would be interested due to
learning and networking opportunities.
- This group has great ideas, but since they lacked a designer and therefore did not
visualise the ideas, it is hard for the rest of the group to completely get the idea.
This we have to keep in mind for the future group works.

Notes of group discussion:

 discussion about how to describe to group  what they have done, the groups decides to
prepare a presentation
 pointed out : they don͛t have all the material from the case visit today with them, they
cannot show materials for others
 it is suggested that maybe they could summarise something anyway?
 This has been a marvelous day, let͛s not loose the point
 We don͛t want to be boring for group  , let͛s just give a general picture.
 We can͛t assume that they remember our case, need to start by describing it . Brief
description of the task:
p ´@esign a innovation and collaboration platform where companies, students &
users can work together in order to create innovative concepts for future elderly
care/products/services. Needs to consist from Show room and a Living Lab

p Create a value which makes this area unique & interesting
 Nonaka͛s term ͚ba͛ describes a space that is peaceful and innovating. He has worked how
tacit knowledge changes into explicit and the other way. Today in this group we have had a
great ͚ba͛.
 We should also describe our process in the presentation, it might be useful for other groups

 The group goes through the things they did yesterday to explain it to the leader who was not
here yesterday. Many flipcharts were developed which were not yet transcribed to the
discussion notes of the day. They will be written down later. Now we will make photos of
them to include some flipcharts in the presentation. The recorder helps in taking and
utilizing the pictures of flipcharts.
p Yesterday they made a model of the case. They defined the problem, elaborated
who are the included parties
p Yesterday they also defined expertise of people, getting to know each other
 There were many good ideas in the workshop today, they should try to describe some of it in
their presentation as well, reflecting how it went etc.
 group member reflections of today:
p Yesterday was confusing, but today * have learned something, * feel like * am heading
to somewhere
p Today should have been the first day, it was very motivating. Even if in the morning
you were not necessarily motivated, you quickly got empowered
p we are as (little!) patient as the students, we want to start to learn and have action:
today was completely different than Monday or yesterday
p The days are much too long, we cannot be productive, there needs to be thinking
time and not all the time should be scheduled. Both action time and fun time is
needed in all days.
 But how do we summarise the outcome today?
p groups should start to visualize their outcomes, in half an hour. They will continue
working in the same subgroups they had before today.
p One person starts to prepare presentation slides
p Leader takes care of capturing and inserting photos to the presentation

͙ groups prepare their visualizations ͙ the whole room is filled with creativity and innovation in
practice!

The work is active, all are engaged. At the same time group members keep discussing, learning to
know each other better and what kind of differences they have or had had in their education ..
informal learning discussions everywhere.

Other group representative comes in to ask what will they receive and what they are expected to do
in the joint meeting in O minutes

 they will receive a 5 minutes presentation about everything this group has done this far
 it would be good if they would provide comments

The group prepares their visualizations, cleans the room, and almost get the presentation finished as
well before first people from the other group arrive.

 Group  came invited., the theme leader of the overall theme explains the idea of crosspollution
between cases in the themes

Group 5 starts their presentation for the joint group ʹ they have created a summary reporting all of
their work this far, putting in into a structure and illustrating with photos. They emphasise the
achievements of today: cocreative and coreflective sessions, first case site visits and then a series
of workshops

People from the group  didn͛t have questions after the presentation, just applauds.

Group member  asks: Was the visualization with practical tools energizing? Yes, and the overall day
was energizing and this kind of approach should be used on the first day.

Who decided the methodology for today? The leader, who is working on how design can benefit
development. @esigners should participate already in the first phase, initiation.

When did you adopt this method? This morning, and from now on they will work like this. The first
two days were confusing but now people were creating many new ideas quickly and even more are
still remaining. But the first days were important for the overall case group work.

Their approach aims at cocreation and coreflection with stakeholders in the design process, which
usually only aims at users. Now the stakeholders can be making value propositions during the
initiation process.

Case owner points out that Laurea wants to have an environment which integrates different users
and stakeholders. Actually today was about applying usercentred methods in practice, as all the
stakeholders are users as well. Everybody learned today through practice what it is to use a user
driven method.

Has the group leader had a strong, active, even dominating role? The case owner is Laurea, and the
group leader is Ehsan. They have used a lot of Laurea people who prepared very much the visit.
Leader and Case owner are closely collaborating. Leader doesn͛t think he has been dominant, he has
been trying to facilitate people to get ideas and go further. As a design expert he has been planning
types of possible outcomes and in that way tried to help people to go towards. But his method is co
creation and coreflection. All the team members are cocreating and coreflecting with him.

Group 5 member said that they felt guided and selfdirected at the same time. *t is important to
notice that this has not been done in O hour but it has been prepared well in advance by the leader
and case owner with relevant people. The leader was leading the day and the work but involving the
whole group very much.

A group member from group  comments that this presentation was felt very encouraging, as an
example that there is light on the other side, and it is possible to progress so well in the case work.

Another round of applauds to group 5 finishes the joint session.
