Learnships Expectations regarding

Course and Lesson Conduct Online 1

Teacher is expected to duly prepare for a Course and its individual Lessons based on
the information supplied by Learnship and the student(s). If applicable, Teacher is
expected to use the teaching material provided by Learnship. Teacher acknowledges
that the preparation for Courses may not in any case be based solely on the provided
course material (if such material is necessary at all). In such cases, Teacher is expected
to prepare independently. The time and effort for preparation is part of the remuneration
and will not be remunerated separately by Learnship. Teacher warrants that he/she will
not infringe any third party rights while using teaching material for the Course (e.g. by
scanning and uploading entire books).

Teacher will always act in the best interest of Learnship. The following points below
outline Learnships expectations for language trainers ONLINE:

1. Teacher uses the infrastructure as per Technology Infrastructure (p. 6). Both
the infrastructure and the location from which Teacher teaches must have been
approved by Learnship at least 5 business days before Lesson start. Any
changes to technological set-up/provider/residence/location must be tested &
approved by IT for quality control purposes.

2. Approval is granted after a successful tech check carried out by Learnship staff.

3. For audio connection in Learnships virtual classroom, Teacher always uses a


landline phone (not Skype) in combination with a telephone headset, unless
agreed upon otherwise with Learnship and the student.

4. Teacher dials into the Learnship system (internet and phone) at least 15 minutes
prior to the start of a Lesson. Teachers should always connect to the classroom
and be prepared to start the lesson on-time (if not 5-10 minutes early).

5. Teacher carries out a connection and system test before each Lesson to ensure
that all audio, video and browser tools are working properly.

6. Teacher upholds a high standard of professionalism at all times, including:

a. Teacher respects dress code of smart business casual (T-shirts,
sweatshirts/hoodies and hats not allowed)
b. Teachers hair and facial hair should be neat and tidy.
c. Eating, smoking, chewing gum or drinking alcoholic beverages is not
acceptable in the classroom under any circumstances. Drinking water,
coffee or juice from an unbranded cup or glass is acceptable.
d. Parents must have adequate childcare for their children and pets while
teaching. Family members or pets may not be present and must not be
talked to off-screen while teaching.
e. Teacher does not leave the classroom or answer the telephone during
Lesson unless there is an emergency.
f. Teacher uses professional language and discretion when speaking with
students and refrains from off-colour comments or jokes.
g. Teacher maintains client confidentiality and will not discuss any student,
customer or a students performance with other students.

7. Teacher uses his webcam and headset for the entire duration of a Lesson, unless
requested otherwise by students. In the event that not using the webcam will yield
a better result due to a slow internet connection, the teacher should opt to do so.
Teacher appears for students in front of a neutral background in a quiet and
undisturbed atmosphere. Teacher carries out a mini tech check at the beginning
of each lesson to ensure that the Client(s) is able to see/hear Teacher
accordingly. Tech problems should be communicated to IT Support via Skype
(learnship.it.support) during the session, or immediately afterwards
(it.support@learnship.de).

8. Teacher does not behave in any way that is unlawful or inappropriate. He/she
respects the students personal, religious and ideological views and values at all
times. Teacher will use his/her best efforts to settle arguments between students.
In the case that Learnship provides technical features to switch students to quiet
mode or to remove students from the classroom, Teacher will use these features
only in extreme cases and will not abuse these functions. Teacher will inform
Learnship if the use of such features has become necessary.

9. Teacher starts all Lessons at the agreed upon time. Unless explicitly requested by
students, pauses in between or finishing before the scheduled end of Lesson/the
lesson is supposed/scheduled to end is not permitted.

10. Teacher teaches Lessons based on the Course Proposal or modifications thereof
to the extent necessary. He or she regularly checks in with students concerning
the Course goals and notifies Learnship on all modifications. Teacher distributes

homework, a vocabulary list and personal feedback after each Lesson through
the LearnShip platform to students within 24 hours.

11. Teacher notifies Learnship on all problems with Courses or individual Lessons
(e.g. technology, chemistry with students, difficulties with individuals).

12. In the case that Learnship provides a pedagogical card online, Teacher will
complete it after each Lesson within 24 hours.

13. For Sample Lessons, Teacher will provide written feedback about the prospective
client and send this to Learnship Support within 12 hours.

LearnShips Expectations on Attendance

Scheduling

1. Learnship may schedule Lessons with Teacher by way of sending requests and
awaiting binding responses. Requests are expressed to Teacher via email or
telephone. Teachers response is considered binding, unless agreed otherwise.
Teacher is expected to be consistently responsive to scheduling requests. Teacher is
expected to use best efforts to respond within 24 hours to email requests from
Learnship.

2. Learnship may schedule Lessons with Teacher based on his/her availability as


expressed by him/herself in his/her personal availability calendar on the Learnship
platform. Teacher is strongly expected to update Learnship with his/her availability at
least every two weeks, and is asked to provide foreseeable availability for a whole
month in advance. Bookings made by Learnship that are based on those time slots
that the Teacher marked as available in his/her own availability calendar are
considered binding.

3. When accepting to teach a Course, Teacher confirms his/her commitment to teach


for the entire duration of the Course, regardless of the number of individual Lessons,
unless otherwise agreed upon.

4. Learnship always has the right to cancel binding bookings and to replace Teacher as
language trainer for the Course. Teacher is not entitled to demand teaching the
entire duration of a Course or parts of it.

Cancellations

1. a. Online Lessons can/may be cancelled by students or by Learnship up to 6 hours


before start of a Lesson. Teacher will not receive payment if more than 6 hours
notice is given.

2. If necessary, Teacher will use the class cancellation function on Learnship online
platform to cancel a class.

3. Teacher must email Learnship Support (Germany/France) with any and all changes
to scheduled Courses and Lessons which have been agreed upon between both
Client and student.

4. Barring an emergency or sickness, Teacher is expected not to cancel classes less
than 48 hours before a scheduled Lesson. If an emergency or sickness occurs,
Teacher is asked to email support@learnship (Germany/France) as soon as
possible. Learnship will handle all communication with students in these cases.

5. If student(s) does not appear on time to a scheduled class, Teacher must wait at
least 20 minutes before considering the class cancelled. He/she must attempt to
telephone, email or skype the student with the information provided by Learnship
Support or via the Learnship internet platform.

6. If the student is late, Teacher is under no obligation to extend the length of the
Lesson.

7. When teachers agree to take on a student who has paid for ongoing Courses, they
shall commit to teach for the entire duration of that Course. Only under extreme
circumstances shall a teacher abandon a Course that he or she has agreed to teach.

Holidays

1. Teacher will give Learnship Teacher & Customer Support and his/her students as
much notice as possible. A minimum four weeks notice is mandatory.

2. Teacher will follow the below process regarding holiday plans:

a. Email Customer Support and Teacher Support about upcoming holiday plans
at least four weeks prior

b. Contact all ongoing students about upcoming holiday plans at least four
weeks prior

c. Ask the student if he/she/they would prefer to add the missed Lessons to the
end of the Course OR have a replacement teacher

d. Teacher must get the response from the student in an email and forward this
confirmation to both Learnship Support and teacher.support@learnship.de
with instructions to hold the Course until after the holiday or find a
replacement teacher

e. If any changes occur to the Teachers holiday scheduling or the decision of


the student, Teacher must alert Customer Support and Teacher Support
immediately.

Substitute Teacher and Lesson Handover

1. If Teacher will take holidays lasting three weeks or longer, a substitute teacher for an
ongoing Course will be assigned by Learnship.

2. A substitute teacher can be assigned if Learnship deems necessary; for example, in


the case of sickness of Teacher or if requested by student.

3. If a substitute teacher is assigned to a course for any reason, Teacher is obliged to


prepare a handover and update of what has been taught in the Course so far and
what should be taught in the following lesson(s) of the Course. This must be emailed
to support@learnship.de and teacher.support@learnship.de at least one week
before the next upcoming session, barring emergencies and sickness.

Technology Infrastructure

Learnship will provide a Tech Bundle consisting of a telephone, headset, webcam and
telephone adapters. As a general rule, a 100 deposit will be deducted from your third months
pay, to be fully refunded upon return of the Tech Bundle equipment in excellent working
condition.

Any changes to the Tech Bundle setup or equipment must be explicitly approved by IT and
human resources before you use it to teach.

Please note: If you plan to relocate to a new apartment/city/country, get a new telephone or
internet service provider, etc. please let Learnship know beforehand. Human Resources and IT
can advise you on how this change may affect your ability to continue teaching for Learnship.

the information supplied by Learnship and the student(s). If applicable, Teacher is
expected to use the teaching material provided by Learnship. Teacher acknowledges

communication is part of the remuneration and will not be remunerated separately by
Learnship. Teacher warrants that he/she will not infringe any third party rights while
using teaching material for the Course (e.g. by photocopying entire books).

Teacher will always act in the best interest of Learnship. The following points below

3. Teacher will arrive 30 minutes early for the first session of an on-site, face-to-face
course to situate & familiarize themselves with the surrounding area, facilities,
any special company procedures, and to meet relevant contact people.

4. Teachers should come prepared with all photocopies, books & necessary
materials on-hand, and allow ample time to get these things ready on-site.

5. Teachers must always have all relevant contact information of Learnship Teacher
Support, Customer Support Germany, as well as Learnships contact number
programmed into their phone. If you are lost or think you may be even a few
minutes late, contact Learnship and we will contact the customer for you and/or
help you with directions.

6. Teacher should appoint a course speaker on the first day of a new course. This
person will be responsible for communicating with Learnship about any changes
in the class day or time, holiday requests, and also providing Learnship with
feedback about the course if desired. Please make sure this person has all
relevant contact numbers for Learnship. Please email teacher support &
customer support the name and contact information of the class speaker.

7. Teacher starts all lessons at the agreed upon time. Unless explicitly requested by
students, pauses in between or finishing before the scheduled end of Lesson/the
lesson is supposed/scheduled to end is not permitted.

8. Teacher teaches lessons based on the Course Proposal or modifications thereof


to the extent necessary. Teacher has debriefing from the Academy each time he
or she begins teaching a new face to face course. He or she regularly checks in
with students concerning the course goals and notifies Learnship on all
modifications.

9. Teacher assigns homework after each Lesson. Teacher is in constant


communication with Learnship by providing Learnship with a pedagogical card &
relevant attendance sheets. Teacher will provide this information either in digital
or hard copy form. In the event that Learnship carries out these administrative
steps on their online platform, teachers will be trained in the usage and are

obliged to provide Learnship with this communication via the platform on a regular
basis.

10. Teachers must fill out a material receipt agreement in order to procure teaching
material from Learnship.

11. Teacher notifies Learnship of all problems with courses or individual lessons (e.g.
technology, chemistry with students, difficulties with individuals).

Cancellations

a) Onsite Lessons can/may be cancelled by student(s) or by Learnship up to 24


hours before start of a Lesson, or before Friday 15:00 (local time) for a Lesson
scheduled to take place on the following Monday. Teacher will not receive
payment if more than the required notice is given.

b) Teacher must email Learnship Support Germany with any and all changes to
scheduled Courses and Lessons which have been agreed upon between both
Client and student(s).

c) Barring an emergency or sickness, Teacher is expected not to cancel classes


less than 48 hours before a scheduled Lesson. If an emergency or sickness
occurs, Teacher is asked to email support@learnship.de or call Learnship as

soon as possible. Learnship will handle all communication with student(s) in these
cases.

d) If student(s) does not appear on time to a scheduled class, Teacher must wait at
least 20 minutes before considering the class cancelled. He/she must contact
Learnship HQ in Germany to try to call the student(s) before leaving.

e) If the student(s) is late, Teacher is under no obligation to extend the length of the
Lesson.

f) Teachers are under obligation to carry out a scheduled group class as long as
one student is present, even if all other participants have cancelled.

g) When teachers agree to take on a student who has paid for ongoing Courses,
they shall commit to teach for the entire duration of that Course. Only under
extreme circumstances shall a teacher abandon a Course that he or she has
agreed to teach.

Holidays

1. Teacher will give Learnship Teacher & Customer Support and his/her students as
much notice as possible. We strongly prefer a minimum of 4 weeks notice when
possible.

2. Teacher will follow the below process regarding holiday plans:

a. Email Customer Support and Teacher Support about upcoming holiday


plans at least four weeks prior

b. Customer support will contact the class speaker to see if he/she/they


would prefer to add the missed Lessons to the end of the Course OR have
a substitute teacher. Please encourage your students to have a substitute,
so that they can experience a new style of teaching/accent/culture, and so
they dont lose out of any part of the learning process.

c. If students wish to go on holiday, they should contact customer support.

Substitute Teacher and Lesson Handover

Invoicing

1. Though Learnship uses electronic invoicing for most purposes, face-to-face


teachers are still obliged to manually create their teaching invoices using
Learnship approved templates that are sent with contract documents. Teachers
should refer to the invoicing instructions to make sure payroll has the necessary
information to pay the teacher & to abide by relevant guidelines and deadlines.
