PRELIMINARIES

ICT manual Grade III is to test the competences of persons engaged in ICT field as well as other
trades to enhance skills in their operations due to the fact that computerised systems are
becoming more and more popular to ease the operations. The skill area takes into consideration
knowledge requirements, practical competence and attitudes necessary in the job performance.
The manual strives to show the procedure of performing key tasks and activities in computer
system. The trainee using the manual should be able to create documents in word processing,
spreadsheets, database and presentation program.

PREFACE

Since August 2014, Save the Children has implemented Enterprise Based Technical vocational
Education and Training (EBTVET) in Mandera county of Kenya. In the program a number of
youth aged between 16 and 25 years have been involved in a 4 to 6 months training period in 12
different technical skill areas.

This program (EBTVET), is an apprenticeship based training where trainees are trained by
relevant host enterprise trainers through practical apprenticeship methods in their respective
vocational skill area. In the course of training different cohorts, quality of training has been
improving. Some of the notable milestones in the improvement of quality include, linking to
National Industrial Training Authority (NITA) Grade III proficiency certification. This has
bought about standardization in certification.

This then calls for standardizing the content for each of the 12 trade areas. This manual has been
made to cater for that standardization. It focuses on Competency in skills and at the same time
prepares the trainees to compete nationally in the job market after acquiring the NITA
proficiency certification.

To the host trainer, it provides reference materials for use during the training, enables the trainers
to set performance targets for the trainees and monitor progress.

This manual models training activities in a progressive sequential manner enabling the trainers to
adhere to a consistent process of imparting skills.

This manual prepares a trainee to acquire skills and pass an examination leading to the award of
a

BACKGROUND

The ICT manual is developed for trainees who want to have basic skills in computer operation to
integrate the skills in their enterprises and businesses through Enterprise Based Technical
Vocational Education and Training (EBTVET) program. This will broaden the scope and have a
global linkages to the trainee due to the technology use and skills obtained.

ICT is an acronym that stands for Information Communications Technology. ICT covers any
product that will store, retrieve, manipulate, transmit or receive information electronically in a
digital form. For example, personal computers, digital television, email, robots, radio, television,
cellular phones, satellite systems and so on, as well as the various services and applications
associated with them, such as videoconferencing and distance learning.

A computer is really a system of many parts working together.

The central processing unit (CPU) is


sometimes referred to simply as the
central processor or the processor.

Memory (RAM). This is primary


memory or the volatile memory

The primary storage devices are those


which hold data and instructions that
are required by processor to perform
an operation.

A touchpad or trackpad is a flat


surface that can detect finger contact

Mouse A mouse is the common


pointing device and is designed to fit
comfortably under the palm.

Mechanical: This is a type of


computer mouse that has a rubber or
metal ball on its underside and it can
roll in every direction.

Optomechanical mouse The optical-


mechanical or Optomechanical mouse
consists of a ball that rolls one of two
wheels inside the mouse

Optical mouse

This type uses a laser for detecting the


mouse's movement.

Scanning Devices
A scanner is an electronic device that scans text documents, images, or objects to convert them
into a digital format

This type of scanner uses mark-

Magnetic ink character


recognition (MICR)

It is a type of a scanner that is able to


detect character written in special
magnetic ink.

Speech recognition

Voice input is the process of entering


data by speaking into a microphone
that is attached to the sound card on a
computer.
Digital Camera A digital camera is
used to take pictures and store the
photographed images digitally instead
of on traditional film.

Webcam

A webcam is a video camera that


feeds its images in real time to a
computer or computer network, often
via USB, Ithernet, or Wi-Fi.

Follow the directions below to create an Address Database. Remember that there is usually more
than one way to do something. If you think of a different way to do a task, try it! If it doesn't
work, you can always use the Undo button. Please read through each direction before
performing the action.

5.3. Starting Access

1. Launch the Access program by double clicking on the Access icon on the desktop. A
Microsoft Access window will appear.

2. Click New on the file menu or click the new file icon on the toolbar.

3. In the pane on the right side, click Blank database.

4. The File New Database Window will appear.

5. Type the file name Address Book.

6. Click the little triangle to the right of the Save in: text box.

7. Click 3 Floppy (A:) on the drop-down menu (or Desktop if you do not have a floppy
disk).

8. Click Create.

5.4. Creating a Table

1. Click the Tables tab in the database window.

2. Click New.

3. The New Table Wizard appears.

4. Select Table Wizard and click OK.

6. Select FirstName from the Sample Fields column (click once to highlight the selection.)
Click the right pointing arrow button or double click the selection to add it to the Fields in
My New Table column.

7. Repeat step #6 with LastName, Address, City, State, Postal Code, and Home Phone
Number from the Sample Fields column.

8. Click Next.

9. The Table Wizard offers the name Addresses for your table; well keep that name. (On this
same screen, there is a "YES" default for setting a Primary Key). Click Next.

10. Click Finish and view your new table.

11. Close the Addresses table (Click the X in the top right corner of the table window.)

Entering Table Data

1. Click the Tables tab in the database window.

2. Double click Addresses to open the table we have created. In the table fields, ignore the one
labeled Addresses ID for now.

3. Press the right arrow key or tab key and enter these field values, pressing enter after each
value:

5.5. Creating a Form

1. Click the Forms tab in the database window.

2. Click New.

3. The New Form Window appears.

4. Select Form Wizard and click OK.

5. Click the two right pointing arrows button to move all the fields over to the right side of the
window.

6. Select Address ID and click the left pointing arrow button to move it back over to the
Available Field side of the window.

7. Click Next.

8. Select Columnar; Click Next. Select Standard style; Click Next.

9. The wizard offers Addresses for the form title, which is fine.

10. Click Finish and view the form.

11. Click the right pointing arrow button at the bottom of the form window (next to the Record:
box). Click this arrow two more times and notice the entries. The form should be empty on
the fourth record.

12. Click Save and close the form.

Entering Data into a Form


In Access, you can enter data into Tables or Forms. Some find it easier to enter and view
data in forms rather than tables. Lets use the form we just created to enter more data.

4. Betty Bop is spelled incorrectly. Click the left arrow with a line button at the bottom of the

5. Click the Last Name text box with the word Bop. Click before the p and enter o. It
should now read Boop.

6. Click Save and close the form.

7. Access should automatically update the table with the new form data. Click the Tables tab
and double click Addresses to open the table

8. You should see the Sponge Bob record and the spelling correction of Boop in the table.

9. Click Save.

10. Close the table (click the X in the top right hand corner of the window.)
