You are on page 1of 8

1) Click on the Calendar Tab on the email page (on the top left corner pointed out).

. The following page will come up.

2) Click on the Other calendars drop down menu tab as shown below to get the following options:
3) Click on the option Add by URL and you will get the below shown page:
4) In the URL, Paste the link (separately shown on the google site page) of the room in the URL and click Add Calendar
[Please note: Copying of the link can be done by right clicking on the link and copying the link location from there]
5) The Calendar of the room for which the link has been pasted will appear in the Other Calendars list as shown below: As you can
see below, I have pasted the address for the Auditorium in the URL. Hence, it has appeared in the Other Calendars list (Look
at the arrow below). You can see all the reservations done in that particular room. You can reserve the room, without disturbing
the already reserved slots for that room.
6) You can add all the calendars to the calendar list and can create events for any room you wish to.
7) Follow the simple steps given below to reserve a room.
8) First click on the Create Tab. (Please see the arrow).
9) On clicking Create, the following page will open. Click on the date and the time you wish to occupy the room. Then in the
Guests field (marked with an arrow in the screenshot), you have to simply write the name of the room which you wish to
reservee.g. if you want to book an event in Auditorium, then you will have to write in the guest field Auditorium.(The names of
each room can be seen in the links given in the email). After entering the details, click on Save. Your room will be reserved as per
details entered.
10) Please note that once you make your event and send the invitation to the resource calendar, then (assuming there were no
conflicting reservations) there will be an event scheduled on your own calendar and a corresponding event scheduled on the
resource calendar. If your invitation has been declined, then if you click on the event on the calendar to bring up the dialog box
with the short description of the event, then under Who the resource calendar name will be crossed out and a mail stating that
your event has been declined will be automatically mailed to you. It is therefore advisable to check your inbox immediately after
booking an event to see whether it has been reserved or declined. The reservations which have been already made can be changed
only by the person who has reserved the room.

11) If you delete or modify the event on your own calendar from which the invitation to the resource calendar came, this will also
automatically modify/delete the corresponding event created on the resource calendar.
