Presently the unfortunate truth is that the income gap has broadened between Sri lankan
families. Educational results are one of the main factor impacted by incomes of family.
Some children from low-income families regularly begin school officially behind their
friends who come from more prosperous families, as appeared in measures of school status
The incidence , profundity, duration and timing of poverty all impact the educational
attainment of children, alongside characteristics of family and interpersonal organizations.

Funds may not discuss how and what they are going to manage without discussing how to
get the enough money for it. They additionally cannot get money without showcasing their
problems. This is a very difficult problem, yet it likewise is the premise for fundraising by
effective way. Each new effective programs is another opportunity that exhibits the
Environmental Funds. ability, viability, and capacity to go up against always ambitious .
There is a successful approaches to approach issues and viable preservation of both project
group and the other side people who are under poverty . much heightened interest for tying
conversation programs straightforwardly by going to the relevant places . some methods that
group could use to devise a realistic solution for a identified community issue are all
energized by expanding familiarity with the significance with missions of environmental
funds.

Our project team have identified a school which is currently under poverty,
K/Am/ Dambawela Junior college is located in haragama-ampitiya road, surrounded by the
rural landscape and community. The financial and the social background of the students who
are attending the to the school has been in very down steamed for quite some time. Not only
they lack the resources to continue their studies, but also it is vitally declared that the most of
the students are attending to the school so they can be fed, because the paternities are unable
to provide. These School is in verge of abandonment, and would have so if not the most
admirable effort by the school Principle and the Staff. Since this is the only thread between
the village children and the society, it is prudent that to save this school and continue its
existence. Some of them are fulfilled by government and we plan to donate a sizable both
materials and the needed resources.

Previous paragraphs contains the problems in brief way. Once our team decided to visit their
school to know more details on their problem areas by talking with the children and also to
see the school and their resources to identify and conform their problems in proper
way.hence, we visited their school and had a nice time with the principle , staff and children
by having some different kind of conversations. Below some fact finding methods and
evidences attached to show that the way how our team used to communicate with them.

Investigate above information and photos : we can identify what are the situation of this
school education background and children background and their families . This school have
no lots of children. But personally we talk about one by one children they have little bit
dreams such as become a music teacher, and became an art teachers etc. then, they have no
idea become a doctor ,engineers , IT worker, businessmen, etc. . Because main problem is
they have no opportunities and have a poor technological knowledge. Then their parents are
no sufficient educational background. These are mainly affecting their children life style.

Task 1.2

Education is the path to the middle class for those struggling to escape the grip of poverty.
However, the education that poor students in Dambawela Junior college receive is
demonstrably insufficient to make them competitive due to the lack of resources. This school
is in verge of abandonment, and would have so if not the most admirable effort by the school
Principle and the Staff. Dambawela Junior college surrounded by the rural landscape and
community but it has low facilities, students have only one class room to do their studies,
with this conditions they cannot continue to study without proper resources. The main
problem with students who studying at Dambawela Junior college is their low financial
background. All the students who studying at this schools are comes from middle class
families with low income. Some of the parents couldn‟t even provide stationery items for
their children because of low family income, also it is vitally declared that the most of the
students are attending to the school so they can be fed. Increase in family income
substantially reduce differences in schooling outcomes and improve wider aspects of child‟s
well-being but these children‟s are facing so much troubles with studying day by day because
of their financial difficulties.
The education level of parent is a significant predictor of a child‟s educational achievements
but in this case most of the parents are uneducated and involved with menial labor, because
of that they are struggling to provide resources for their children‟s education. Parents without
educational background doesn‟t have stronger confidence in their child‟s academic abilities,
forcing them to drop out from the college and join with menial labor in young age. It is like a
tradition next generation also follow path of their parents and they will also end up without a
permanent job or job with less salary. So it runs the risk of them never finding their true life‟s
passion.

As our EPD project we decided to something meaning full we needed to add something to
their lives that could change their future. We decided to donate a sizable both material and
immaterial resources in order to use it in their operational and humanitarian needs, so we
followed systematic approach to solve this problem.
After defining the problem (above) we used different methods to analyze the community
problem and identify requirements of the school, we used fact finding methods and
researches has been carried out to gain a better understanding of these problem.

 We conducted interviews with the school staff


 We created questionnaires to extract information from number of student and also
from school staff.
 Brain storming as a team we held a brain storming session this also helped us to
highlight the common problems.

After identifying the problem and requirements we decided to come up with alternative
solutions to solve this community problem, as a team we held a brain storming session to
select best alternative solutions from team members.

Alternative solutions

Provide each student stationary items & accessories for a 1 year including uniforms and
shoes.

 Organize IT seminar to improve their information technology knowledge


 Design a computer lab with 5 computers for the school
 Provide food items for the students for 1 year
 Build a swing sets for their play ground
 Provide sport items
 Conduct one day workshop for the students to motivate “why should they study”,
benefits from studying and how working hard on studying will change their future.
 Inform parents importance of their child‟s education by organizing a meeting

After considering all the alternatives we were able to find the best solutions by using Multi-
Voting method, then we selected below mentioned alternatives as best solutions and divided
them in to 4 objectives .

 Design a computer lab with 5 computers for the school
 Build a swing sets for their play ground
 Conduct one day workshop for the students to motivate “why should they study”,
benefits from studying and how working hard on studying will change their future.

Our next challenge is to plan and implement selected solutions. To do that we organized fund
raising events to successfully reach our objectives.

We held another brain storming session with team members and selected best events for raise
funds to solve community problem. After selecting we organized below mentioned events
and operations.

To improve the information technology literacy we organized an IT seminar. And hold at


Hindu hall Kandy.

We invited all the speakers as above from the industry rather than normal lectures.

The event is a full day event and we provided a certificate to confirm the participants'

All the interested participators have to buy a 1000rs ticket for participating. Successfully we
sold 100 tickets.

We‟re organized a sponsor hunt and printed a Souvenir book to cover part of financial
expectations.

Advertising costs are,

 LKR 1000 for a full inside page (Black and white)

we have sold loom bands and book marks in class rooms and to the public

The main goal of our project is successfully complete sponsor hunt, seminar and
souvenirs campaign to muster the requirements which are eminent for the school.
After the all researches we realized we have to complete souvenirs and sponsor hunt
first. Because to carry out first objective (Seminar) we need to have some amount of
funds. By solving the second objective were able to raise funds to organize the
Seminar.

The initial financing was acquired through membership found (1000 per each)
secondary found was earned by the souvenirs, seminar (tickets) and donations.
After the IT seminar the profit we made was contributed toward our 4 objectives
.

It was expected that through these tasks that we would be able to bring a smile and a help
these students to shape their lives and overcome the current poverty crisis that they are
facing. In order for us to make this project a success we required a sum of money that needed
to be collected by organizing several charity events. We had to organize these events such
that they raised the necessary funds that were required for carrying out the project
successfully. The events that were organized and the income received from each one of them
are mentioned below in the appendix. We also had to look for alternative means of collecting
funds in order to meet the requirements of our proposed budget. Hence for this reason we
also decided to measure the required amount to contact various philanthropic foundations
and donors to support us to make this project a success.

The first event organized was the making of the Loom Band key tags. These key tags were
designed and made by our team members and were distributed among the Esoft students. It
was expected to collect a sum from this event in order for us to initialize certain other events
that we have planned to implement. As expected the results from this event were very
promising and overall the event was a great success.

The next main event that was organized to collect funds for our project was the organizing of
an IT Seminar for the IT Professionals within Kandy and the in the cities around it. The
Seminar was based on “Modern Threats to Computer and Communication Networks”. In
order to provide our participants of this event the best of contents and experience we were
able to contact one of Sri Lanka‟s finest IT Professional to conduct this event. Due to the
organizing skills of our team members and the un paralleled communication and skills that
our team members had we were able to turn this event into a total success. We were able to
promote this event through several means, mainly through social media networks and gather
a crowd of nearly hundred and fifty participants for this event. The implementation of the
event was a great success while the turnover of the event too was far beyond expectations.
As in any event since we needed funds to carry out this project we had to organize a side
event in order to cover up the initial costs of the seminar. For this purpose, our team decided
to print a souvenir to gather funds for this event. All our members took a great deal of effort
to put all these events together amidst the numerous challenges they had to face. All these
events turned out to be very successful and finally we were able to collect the necessary funds
we required for our final project

Outcomes of the Project:

As the main purpose of organizing the above mentioned events was to initialize the project
that we had organized to carry out at the Dambawela Kandy, we were able to do so and carry
out the following tasks as planned. We were able to implement each and every task that was
planned to be carried out during the planning phase of the project. Our team as promised
managed to provide the best to this school in terms of quality and quantity. We were able to
provide this school with many facilities that would benefit the students of this college for
several years.

Budget of the final project is mentioned in the appendix section in order to show the evidence
for the successfulness of cost benefit analysis. Hence while comparing the profits that has
been gained by each event with the required number of funds needed for the main project, we
have been able to achieve our target flawlessly. Finally, by looking at the cost analysis, that
gives the proof for total success for the project. Cost analysis gave the main oath to continue
this project without money risk. So after this analysis as well as the completion of the events
are carried on the project as we planned.

Beneficiaries of the Project:

Upon the successful completion of the project the members of the staff and students of the
K/Am/ Dambawela Junior college Kandy were very pleased with the results of the outcomes
of our project. The staff appreciated our commitment and dedication contributed towards
making this project successful. The implementation of this project is sure to have created
impact on the respective society. Our team members were not able to implement the project
successfully but we were also able to change the mind-set and attitudes of the students of this
school towards betterment. Within a short period of time we as great team were able to share
a lot of skills and knowledge with these students. Hence we are confident that these students
have learned to be think about it positively and be pessimistic in all their day to day
activities. The main reason to carry out this project is that not to provide the students of this
school with provisions, stationaries or other perishable materials but to provide to these
students with something that would benefit them in their future.

The students appreciated the installation of the computer lab which our members were able
implement with great effort and planning. It was solely for this purpose that we planned to
install a small scale computer lab within the school for the students to have an idea on what
the future may be like. Currently, students can have good knowledge of using computers as
well as day by day they will realize the merits of using computers. After sometime by using
this computers, they would know about the current technologies. Because all current
technology devices are based on computers. By these improvements they would have good
knowledge of using computers in order to access the World Wide Web. The students are able
to access the internet and learn and gather a wide range of knowledge. As mentioned above
initiatives were also taken to carry out small periodical workshop for these students at the
Esoft Metro Campus Colombo facility.

One of the areas in which modern technology has revolutionized the world is correspondence.
Teachers of this college bring students and living specialists together through virtual
connections. Virtual field trips are excellent learning apparatus and would be impossible
without the utilization of computers. Presently, children can associate with specialists in any
field through computers.
.
Even though the stationaries and materials provided were not expected to change the life style
of these families of the students, our main motive was to help these poor families and provide
some relief for them so that would make them to concentrate in studies well. Children in
K/Am/ Dambawela Junior college are in need of school supplies. The average classroom
lacks the basic essential school supplies that make for a meaningful educational experience
for children. The parents are unfortunately not in a position to provide the quality and
quantity of supplies needed. The lack of school supplies negatively affects the quality of the
education that the children receive. By giving these stationeries gives the children to make
their study in simple way. These little facilities, would consistently attempt further to amass
in studies. On the other hand, that a student would be moved in studies side to build up their
educational strategy of /Am/ Dambawela Junior college to go further for good results. Interest
makes the future of students. So arranging this kind of a task will increase their interstress in
order to perform well in their studies.

Play is crucially vital to a good childhood and one of children essential human rights.
Children should be allowed to run around, utilize their creative energy, have adventures,
make new friends and just have a lot of fun. Play supports physical and enthusiastic
prosperity, giving chances to positive social communication, learning, wellbeing and
freedom. Play is the way children and investigate their general surroundings and create
commonsense abilities, permitting them to learn through interest, invention and persistence.
According to the most advantages of the playing would make out project team to arrange
them for a swing set initially. Our project member‟s trust on buying the swing set would
make them to get interest to play a lot during their off times. Playing did not need lots of
tools. A single or group of children can get lot of merits which mentioned previously by a
small playing tools. So we trust this swing playing set makes the children to spend their off
times with smiles and happiness. This happiness makes them bright futures as well as lots of
merits to their communication skills. This initial tool would give good backing for future
activities in playing activities.

Likewise, the number of factors are considered by our project team in order to provide
facilities for K/Am/ Dambawela Junior college to give up the good backing for the future to
provide good children to that poor society. We believe that our basic facilities would give
prior knowledge on concentrate the children to studies, technology knowledge as well as
good abilities. Childhood is the most important time to get these by schools. Lack of facilities
would make them to give up their future aims which happened to their families.

After all, the importance of business communication is what normally comes to mind first
when we consider soft skill definitions. A skill of soft skill includes more than
communication. But good communication skills are typically connected to all of soft skills
training, such as providing good customer service.

Understanding the fundamentals

From initial intent, though composition and delivery to interpretation and feedback, your message will
follow a process called the communication cycle. Your message needs to succeed at each stage of
cycle ,so structure it carefully to address your audience‟s needs and expectations, and to be
appropriate in order to the channel that you‟re using.

Planning your communication

The purpose of good communication planning is to get the right message to the right people in the
right way. The first step is toward an effective communication plan which is to create a framework
the sets out your understanding of your audience and how to reach it.

Communication powerful in writing

At work, no one has time to waste decoding badly written email, rambling report, or dry, over the
complicated message. Then, the written communication is competing with so much other information
that they need to grab the audience attention to be successful.

Communication impressively face to face

sensitivity and the ability to respond positively and constructively to what they have to say. The face

Many people loathe meeting .poor communication skill can be a significant cause of this, md badly
meeting can leave you feeling frustrated and confused what to do next.

Giving great presentation

Presentations are a core part of many well-run meeting. The you‟ll find delivery a great presentation
much easier if you„ve taken the time to craft what you‟re going to say, and picked the right structure
and style to make sure that your message has maximum clarity and visual impact.

Effective communication

These skills are fundamental to success in many aspects of life; many jobs require strong and
people with good communication skills. There are two ways information sharing process which

The most people want to avoid conflict and potentially stressful situation this is human nature.
People often find it easier to avoid communicating something that they think is going to be
controversial or bad, putting off the communication and lettering situation fester

Time Management
It is the process of organizing and planning how to divide your time between specific
activities. Good time management enables you to work smarter not harder so that you get
more done in less time, even when time is tight and pressures are high. Failing to manage
your time damages your effectiveness and causes stress.

Eliminate waste

The first step in group time is to examine time log critically. We identified those periods
of time that could have been better spent. For instance we may have spent half an hour
conversing with a friend over tea or we may have dropped into a colleague‟s cabin to
casually converse about something. All these activities are obvious time wasters. This is
not to say that they should be avoided altogether. After all one can‟t be expected to work
8 hours a day without a break. However as an efficient team we much cared about the
amount of time we spend on these activities. We also ensured that we do not allow these
time wasters to prevent us from meeting our deadlines.

Delegate Tasks

Delegation of work is a very important time management technique that can really help to
save time. Our lecture taught our team members how to break their job into small steps
that are easy to manage. When we were working alone, we did less work but when we
delegated our assignment to other staff, the work did not only be done faster but also be
done better. Every team member of our group has his/her own unique abilities and when
we shared the work we came to realize that work is done in a better way within shortest
time possible thus increasing the productivity of the our team.

Avoiding Procrastination

Procrastination is usually as a result of fear of failure or even success or believing that we


cannot do things perfectly. Indecisive and disorganized personalities tend to procrastinate.
For effective time management, President of our team taught us the danger of
procrastinating and why we should not even think of procrastinating our work.
Procrastinating will not only consume a lot of time, but will also lower the productivity of
our team. Procrastination is actually not solving particular problem, but is avoiding it. The
sad thing is that even if we run away from our problems today, we will wake up with
more problems tomorrow. Our team members never considered procrastinating as an
option. We thrived to tackle every problem that we had on no matter how tough the task
may be. This was greatly saving our time.

Scheduling Tasks

Once we have set goals to achieve something, we need to begin properly managing our
time in order to work towards these goals. After we have created a To-Do list, we created
a schedule which allowed us to complete all the important tasks within a given period of
time.

No matter who you are, we will only have a certain amount of time do get something
done. Setting up a schedule allowed us to develop a systematic time frame which allowed
us to complete the project on time.

Prioritize work

Our lecture taught our team members how to make a do list and also how to categorize
each job and prioritize according to their urgency or importance. Most team members
take a lot of time doing things that are not priority at that particular moment thus lowering
the productivity of the our team . When we prioritized each assignment, we ensured that
clients get their issues solved on time. When our lecture taught our team members how to
prioritize our work, we greatly saved the time that we would have otherwise used to do
tasks that are not important.

Keep a log

When we first begin to do our tasks, we have kept a log for a week of everything we have
done throughout the day, then we have them analyse the log that we have kept and look
for any time that was wasted each day .then our president help then to keep that wasted
time to a minimal level, then it was greatly help us to use that time to do something
useful.

Set up Deadlines

All goals that are set should be timely, meaning that there is a set deadline attached to the
goal. This gives our time members motivation to meet the goal within a certain time
period. It also provides the information needed to develop an action plan so that the goal
can be met within the stated timeframe. Team members managed their time better during
the day as they have an action plan for each goal that have been guided their tasks
throughout the work day.

to soar. Good Project Coordinators are trained, not born. They develop skills through
experience and education. They become better Project Coordinators each time they
successfully deliver a project. They learn new techniques and apply them on their
projects. They learn lessons. Sometimes the hard way to be better managers in the future.

Project Coordinators must be able to motivate and sustain people. Project team members
will look to the Project Coordinator to solve problems and help with removing obstacles.
Project Coordinators must be able to address and solve problems within the team, as well
as those that occur outside the team. There are numerous ways, both subtle and direct, in
which Project Coordinators can help team members. So as a project coordinator I gained
lots of skills and possible knowledge areas in my college life. It gave me a good basic
backup to come to this kind of a position. As a project coordinator, he or she must learn to
know lots of things as well as to train for good skills. I got both from HND EPD group
project for a charity purpose. Those days I made many mistakes. As a human, it is nature.
But after completing that project by hard working very successfully, I got to know that
my knowledge and skills are increased than earlier. But as a current Project Coordinator, I
am not a perfect manager, as a human I have both sides as strength as well as weaknesses.
Hence, to know my current position and skills, I used to handle some approaches which
are very good methodologies to search for my weak points as well to correct them with
proper methods. Some of the approaches are mentioned here which is my current skills as
well as weaknesses.

summarizing the current state of a firm or organization as well as helping to devise a

Own Development with Realistic Improvements some are the improvements have been
made in order to achieve planned objectives according to S.M.A.R.T. objectives. While
working under new theory as a project coordinator, I faced some new aims and objectives
which are crossed in side some project time to time against planned objectives. Hence,
