Combining the portfolio into one document:

There are two ways to combine the portfolio into a single PDF document. The first entails combining the
files into one document and then saving as a PDF file. The second is accomplished by creating 4PDF
documents and then combining them into a single file.

1. Method 1: Combine all files into one Word document and then save to
PDF format.
a. Before combining the documents, the PowerPoint presentation must be converted to a
Word document. To do this:
i. Open the presentation.
ii. Go to “File” and “Export” and select “Create Handouts”

iii. Click the “Create Handouts” button.

iv. In the “Send To Microsoft Word” window, select “Notes below slides”.
v. Click “OK” to create the Word document.
vi. Edit the document to have the heading “Portfolio Section C” and remove
unnecessary spaces to limit the number of pages used.
vii. Save the document as Portfolio Section C.
b. Now that you have 4 Word documents, close all files except Portfolio Section A.
c. Start a new page at the end of the document.
d. Insert all of the text from Portfolio Section B.
e. Start a new page again.
f. Insert all of the text from Portfolio Section C – the Word document.
g. Repeat the process one more time for section D.
h. Save the file with all 4 sections in it as a Word document; suggested name is Portfolio
Complete.
i. Edit the document to make sure that each section of the portfolio starts on a new page.
Also make sure that there are no unnecessary blank spaces except for those caused by
separating the different sections.
j. Save the file to PDF format.
i. Click “File” and “Save As”.

ii. In the “Save as Type” bar use the drop down option to select PDF.
iii. Save and open the PDF document.
k. Check the PDF document for correctness, then close both documents.
l. You are now ready to submit your portfolio in PDF format.

2. Method 2: Create 4 PDF files and then combine them into 1 (requires
software to merge PDF files).
a. First step is to save all files to PDF format as in 1.j. above.
i. Word documents can be saved to PDF as they are.
ii. Remember to select the “Notes Pages” option to save the PowerPoint
presentation to PDF with slides at the top and notes below.
iii. Save all PDF files to the same folder.
b. You will now need a PDF merger to be able to combine the 4 files into one. Information
about the various options available can be found at http://www.wikihow.com/Merge-
PDF-Files
c. You may use an online merge application (App) or download and install an application to
your computer. Best advice is to use one of the free Apps that are available; there is a
list below in Appendix A.
d. When you merge the files, please make sure that each section begins on a new page.
Note: the page numbering may not be correct.
e. When you have checked you file for correctness, save it as the complete portfolio.
f. You are now ready to upload your file on myUNISA and submit it for marking.
NOTE: Instruction how to merge a document using the free merge software are contained in Appendix B
of this document.

Appendix A: List of free PDF merge Apps (as seen on Wikipedia).

1. pdf_split_and_merge from icecreamapps.com


a. Recommended but merges only 3 files at a time. Needs two merge operations to
complete the portfolio.
2. pdfadvancedSB672 from Dysprosium (messiahpsychoanalyst.org)
a. Produces a complete file in one merge but more difficult to use than the Icecream Apps
program. Requires extraction from the zip folder download but no installation.
3. Soda PDF 7 from sodapdf.com
a. Attempts to download and use this software were unsuccessful.
4. BatchPDFMerger from pdfsam.org
a. Not recommended. This software downloads a trial version that creates your document
with an unwanted ‘batchpdf’ watermark. Proper use of the program is then available on
payment of a license only.
Appendix B: Merge PDF documents (NOTE: This method uses the free PDF split and merge application
from Icecream Apps. Other applications may work differently, but all will have instructions to follow)

1. Create the PDF files from each of the portfolio sections and save them to a single folder.
2. Open the merge software.

3. Select the “Merge” option.


4. Add the files to be merged.

5. Choose the folder to save to and the file name.

6. Complete the merge. NOTE: With this free program the merge will only allow three documents
to be merged at a time. You will need to complete the merge twice in order to include all four
sections of the portfolio.
7. Check the completed document to make sure that all files have been added.
8. You are now ready to submit the portfolio.
