Which databases can be converted?


The following sheet lists the databases which can be converted to a STAR
1.1 database.

Before starting the conversion


To avoid errors during conversion, please pay close attention to this chapter.
For example, you can only optimally use the new STAR database if you se-
lect an appropriate organizational ID.

Creating a backup copy


We strongly recommend that you create a backup copy of your Archive da-
tabase before beginning the conversion. Save the system files with the fol-
lowing file name extensions: *.mdb, *.mtb, and *.tnb.
Volumes, which are contained in the Archive database's images and docu-
ments will not be altered during conversion.

Preconsiderations regarding the database structure


The structure of a STAR database differs from that of an Archive database.
The consequences which these differences have on the conversion will be
dealt with in this chapter.
Organizational ID The Archive database contains user-defined database fields which are all
treated equally the same, whereas the STAR database contains a central
field - the organizational ID.
In a STAR database, all data is entered into a database folder within the da-
tabase. Its name is also designated by the organizational ID. You define the
organizational ID when creating your new STAR database during conver-
sion and cannot change it for existing databases. In an order database, for
example, the order number is the organizational ID. In a patient database,
the patient’s name may be the organizational ID.
Organizational field Based on the organizational ID concept, there are two types of user-defined
database fields in a STAR database: a normal database field which can
have various entries for each inserted record, and organizational fields.
An organizational field belongs to the higher ranking database folder. The
organizational field contains data which are related to all the documents
within the database folder. This may be, for example, "customer" and "profit
center". All other database fields can be different for every single record.
However, the organizational fields have the same value for each record
stored in a database folder.

Preconsiderations regarding the database structure

During the conversion, the software proposes fields which are to be used as
the organizational fields. You can try the various database structures in a
preview before deciding on the most appropriate field arrangement. Existing
field entries will remain, independent of whether or not you define a field as
an organizational field.

An example for the meaning of the database structure


As an example, the conversion of an Archive database which is to contain
the following user-defined database fields will be discussed in this chapter:

You can also convert the same Archive database to a STAR database
whose records are sorted by another criteria, for example "specimen num-
ber". You will then also change other database fields to organizational fields,
since the "specimen number" is characterized by other fields, such as the
"customer".

What happens during conversion?


The course of the conversion is described by three cases. Please pay atten-
tion to the information provided in this chapter to help you decide which case
applies to your database.

What happens to the system files?


Both the Archive database as well as the STAR database consist of the sys-
tem files and external files such as images and other documents. The sys-
tem files contain the database structure, the entries in the database fields,
and the thumbnail files. The images and other documents are saved in the
Archive database in one or more volumes.
The system files of both of the databases vary. Thus, the system files must
be created anew when converting. The Archive database's MDB file be-
comes the STAR database's APL file.

What happens to the image and document files?


External image and document files can be saved to various directories or
CDs in an Archive database. Each of these volumes is clearly characterized
by the file "archive.vol". When converting, you can either continue using the
existing Archive volumes or import them into the new STAR database. This
is also especially true for CDs with externally stored images and documents.
Continued use of the The Archive volumes does not have to be altered when converting. This also
image and document holds true for databases whose images and documents are dispersed on
files many different CDs. Thus, you do not need to recopy large amounts of data
when converting.

of the STAR database are not visible by default in Windows-Explorer. There-


fore, in the illustration above, it is shown in gray. The old files remain un-
changed in the existing Archive volumes.
Copying the image and It is possible to import all the files from the Archive database to the new
document files STAR database. In doing so, all of the files are duplicated. This is recom-
mendable if you would like to organize your file storage with the STAR da-
tabase differently. For example, you can archive an Archive database with
a single large volume after conversion to various storage mediums such as,
CDs or DVDs.
If you would like to import the existing Archive volumes into the STAR data-
base during conversion, follow the step-by-step "How to..." on page 16.

AFTER Conversion: The Archive database's image and document directories are copied to the STAR database's di-
rectory during conversion.

What happens to the attached documents?


This chapter is only relevant if you want to continue using the existing Ar-
chive volumes. This also holds true for CDs with externally stored images
and documents.
Documents can be attached to a record in an Archive database. You will no-
tice attached documents by a paper clip in the gallery view. In the STAR da-
tabase, attached documents are inserted one level below the corresponding
record folder. In contrast to the Archive database, documents in STAR are
"real" records which you can, for example, search for.
If you import the image and document files during conversion, all of the at-
tached documents are also automatically imported. If you continue using the
existing Archive volumes, you can decide whether or not you want to collect
the attached documents during conversion or at a later time.
Collecting attached Attached documents which have not been collected exist in the STAR data-
documents later base, however, cannot be viewed in the user interface. The STAR data-
base's functionality will not, by all means, be restricted. You can collect the
attached documents in the new STAR database any time.

You should select this possibility if your Archive database is dispersed on


many different storage mediums. You then do not have to insert all of the
storage mediums when converting, but rather can first collect the documents
if you really want to load them.

The following shows you the extensive step-by-step "How to..." for the most important conversion cases.

Case 1
A backedup Archive database is to be converted to a STAR database. Images and documents from the
Archive database should be continued to be used by the STAR database. Due to the amount of time re-
quired, it is advisable to collect attached documents only when you want to load the document.
This conversion should be the rule, especially if very large amounts of data are to be converted.
How to... 1) Before beginning a conversion, check to see if current backup copies
of the Archive database exist.
2) Decide which user-defined database field is to be the organizational ID
for the new STAR database.
3) Make sure that the Archive database is no longer open on any work
stations in the network.
4) Start the image-analysis software.
5) Check to see if the STAR-Add-In has been activated. Select the
Special > Add-In Manager... command. The check box in front of the
STAR STructured ARchive entry must be selected. The entry is not al-
lowed to be marked with an asterisk.
6) Select the Database > Administration > Convert Image Database
(mdb)... command to start the wizard for the database conversion.

7) Follow the directions of the conversion wizard:

Note In the place of an already existing database field, you can also define a new
field which is to be used as the organizational ID. In this case, all the Archive
database records are saved to a single database folder. The name for this

zational ID and number 1.
Warning It is not recommendable to newly define an organizational ID. By doing so,
you are giving away an essential advantage of the STAR database; the
structured data storage.

It is absolutely necessary to check the structure of your new database.
To do this, click on the tree view of the individual folders. Expand the
folders and click on the individual records.
If you are not satisfied with the appearance of your database, go back
a step with the wizard.

Warning Only if your image database is located in a network drive:


The existing Archive volumes are strictly necessary for the operation of the
new STAR database. Therefore, you cannot remove it from your hard disk.
You should, however, archive the (*.mdb, *.tnb, and *.mtb) system files of
the converted database and remove it from your hard disk so that the
Archive database can no longer be changed after conversion.
All of the converted records are marked with a CD-symbol as 'archived',
should you continue using the existing file and document folders. This
means that you cannot use the Database > Administration > File Storage...
STAR command to backup. The software, as given at the beginning of con-
version, presumes that a current backup copy of this data exists.
Loading images When first loading an image from an Archive volume, you must give the da-
tabase the volume pathname once.
How to... This is how you load an image from the converted database:
1) Select the image in the STAR database. Open the context menu using
the right mouse key and select the Load Document command.

sought-after volume are shown in the dialog box's header.

If you have already converted your database using the first step-by-step in-
struction, the converted STAR database can possibly contain the attached
documents which have not yet been collected.
How to... This is how you collect attached documents:
1) Before you collect the documents which are attached to the active
record; keep the storage medium containing the individual archive vol-
umes ready.
2) Open the converted STAR database.
3) Click the ’+’ symbol of the current record located in the tree view.
4) Answer Yes to the question about whether or not you would like to col-
lect the document now.
" The Browse for volume ... dialog box opens. The name and the
sought-after volume are shown in the dialog box's header.

Case 3
An Archive database is to be converted to a STAR database. Images and documents from the Archive
database should be imported into the new STAR database. In doing so, all images and documents from
the Archive database are copied to the destination drive. For the conversion, therefore, you need twice
the amount of storage capacity as needed for the Archive database being converted.
We recommend this conversion if no backup copy of the Archive database exists. You can also use this
possibility to alter the ways of storage with the new Database. For example, you can archive an Archive
database with a single large volume after conversion to various storage mediums.

Warning You can only then import an Archive database if the destination drive has
enough storage capacity for all the documents of the Archive database.
Please note, that copying larger amounts of data equally requires a longer
amount of time.
How to... 1) Before beginning with the conversion, make sure that the destination
drive has enough storage capacity for the entire Archive database.
2) Keep all your storage mediums containing Archive volumes ready.
3) Decide which user-defined database field is to be the organizational ID
for the new STAR database.
4) Start the image-analysis software.

Working with a converted STAR database


After conversion, you can work with the converted database as you would
with any other STAR database.
The "Converted from You can always check to see if a STAR database has been converted or not.

Inserting new records Use the commands in the Database > Insert submenu to insert new data into
a converted database. Be sure that the data is never inserted into still exist-
ing file and document directories. All current data are written to the new da-
tabase directory. To view the database directory, select the upper most en-
try in the tree view and the name of the database. The Path field contains
the current database directory.

Predefined database fields
Each database contains predefined fields. Predefined fields are set by the
system and automatically saved with each record. They contain, e.g., the
image attributes and data supplied by the system upon database insertion.
They cannot be edited or deleted.
Some predefined database fields from the Archive database have different
names in the STAR database. The old field names are replaced in this case
by a new field name. The data in the database fields remain unchanged.
The STAR database contains some predefined database fields which were
not in the Archive database. These fields can lead to problems during con-
version if you have used the same field names as user defined fields in your
Archive database. In this case you must rename the fields prior to conver-
sion.
The following sheet lists the predefined database fields which are different
in the STAR database and the Archive database.

How to... This is how you rename field names in your Archive database:
1) Should you have overwritten your old software version during installa-
tion, activate the Image Database Add-In. To do so, use the Add-In
Manager ("How to..." below).
2) Exclusively open the Archive databank which is to be converted. To do
so, select the Database > Open... command. Select the mdb-file in the
Open Database dialog box and select the Exclusive check box.
3) Select the Database > Define Fields... command.
4) Select the disruptive field, e.g. "Date" in the Field list.
5) You can now rename the field to e.g. "entry date" in the Current field.
6) Exit the Define Fields dialog box by clicking OK.
" The entries in the renamed fields remain unchanged. Therefore,
there is now data loss from renaming fields.
" Now, you can convert the Archive database without any hassle.
How to... This is how to load the Archive database with a STAR software version:
1) Select the Special > Add-In Manager... command.
2) Unselect the check box in front of the STAR STructured ARchive Add-
In.
3) Should you not find the Image Database entry in the Available add-ins
list, click the Add...button. Select the archive.dlx file and close the dia-
log box by clicking OK.
4) Select the check box in front of the Image Database add-in to be able
to load Archive databases.
5) Close the Add-In Manager dialog box.
6) Close your image-analysis software and restart it anew.

What happens to passwords?


An Archive database can only be protected by one password. You can only
then convert a database protected by a password if you know the password.
Directly after selecting the database file to be converted, you will be asked
to enter the password.
Adopting the password If the database to be converted is protected by a password, the check box
in front of Use the archive database password located in the last dialog box
of the conversion wizard is active. Select the check box to adopt the old
password for the STAR database.
Warning If the Use the archive database password check box is NOT marked, the
converted database is not protected by a password, and thus accessible to
all users.

Fields which are not suited for organizational ID


Many fields are not appropriate for the organizational ID. One such example
would be a field which shows a status, e.g. "test result" field for which only
the entries "OK" and "NOK" are possible. When using such an organization-
al ID, the STAR database would only have two database folders in which the
structured storage of data would not be possible.
The Organizational ID's The organizational ID is always of a Text file type. When designating a field
file type together with another file type as the organizational ID, the file type of this
field is changed to the file type Text during conversion.
The single exception are fields which are of the file type Memo. These fields
cannot be selected as organizational IDs because a lengthier text is not ap-
propriate for the identification of a folder.

What happens to already existing reports?


Reports which you created with the integrated report generator, can contain
attached images which were inserted as links into the report. In this case,
only the image paths are saved in the report and not the images themselves.
After a conversion, the existing SRC / SRD reports with all attached images
can still be opened.
Case 1: When working with a STAR database, you cannot simultaneously open an

Should the Archive database have been moved in the meantime, the system
will not be able to find the files. In this case, you can select the current path
of the Archive (File type Database Files (*.mdb)) located in the Load Data-
base dialog box.
Should single database volumes have been exported to CDs in the mean
time, the system will not be able to find the files. In this case, you can select
the volume's current path in the Browse for volume ... dialog box.

of the converted STAR database only once. When loading the next report
which contains images from the same database, you do not have to provide
the database path names again.

What happens to the order of the fields?


In the many database views, not all of the database fields always appear,
but rather only a small selection per view. The software, in addition, allows
various possibilities of positioning the fields on each work station individual-
ly.

The way in which fields are positioned in the STAR database after conver-
sion depends on whether or not the software was updated during installation
or newly installed:

6) Click the Set Default button to determine the current field arrangement
for all users anew.
7) Exit the Arrange Fields dialog box by clicking OK.

8) If necessary, you may now deactivate the Archive database in the Add-
In Manager. Close the software and activate the STAR database after
restarting.
Case 3: The software arranges the fields as logically as possible, should you have
no default arrangement reinstalled the entire image-analysis software and the Archive database had
exists no saved default field arrangements in the Archive database. Select the
Database > View > Arrange Fields... command to alter the preset field ar-
rangement.

4) Start the image-analysis software.
5) Open the About dialog box using the ? > About... command.
" The About dialog box tells you what expansion version you have
(Docu, Auto, Pro), the build number and the serial number of your
version of your software, as well as the operating system being
used.
Please be sure and have all this information available when you con-
tact our customer service.
6) Now all you need to do is to write us an E-mail describing the problem
you are having as precisely as possible (incl. snapshots if applicable).
Include the information of the About dialog box as well. The E-mail ad-
dresses can be found in the ? menu.
Certainly the easiest and most convenient way to contact our customer
service is by using the software's automatic E-mail generation function:
Simply select the ? > About... > System Info... > Send button. This will
generate an E-mail form for you automatically. All you need to do is add
the relevant detail(s) describing the problem you are experiencing. Be-
fore sending it off to us, please read through the brief comment in the
E-mail form. This concerns the information on your system sent to us
via this E-mail.
If E-mails cannot be sent via your PC, then select the ? > About... >
System Info... > Save Info button. This will save all system information
to a file. You can then use another PC to send this file.
