Executive Summary
The National Aquarium is the non-profit public aquarium having aim to provide the educating

facility to visitor about aquarium aquatic life and encourage their conversation effort. The

aquarium facility can hold about 2M Gallons water and have more that 17K different types of

animals which include birds, reptiles, fishes, and mammals etc. around the globe. The company

main aim is to educating visitor about the animals and provide them opportunity to learn and get

knowledge about animals from different species. The project will be about the “Smart Table” in

which tablets are purchased or procured for National Aquarium which can provided to the visitor

and they can take the digital tour of aquarium as well as provide them the exceptional customer

experience. Tablet can answer the question about the animal details as well as all answer about the

facilities related to the aquarium. The main purpose of the tablets is to provide the complete guide

to visitor throughout several exhibits along with providing the information specifically about the

aquatic life in different zones. Table used in our project contains the interactive guide and

information for visitor to enhance and improve the experience of visiting. The main hardware

required in this project is table and its protection because of the daily use and software application

for the Aquarium to be run on the tablet. So, RFP is issued to acquire the tablet and software.

Process of selection will be chosen by the project manager to chose the contractor to fulfills the

business needs. Team can also update the database of aquarium along with networking capabilities

which can ensure that all requirements are meet. The project deadline is six months and total cost

for the project assigned by top management of National Aquarium is $1,000,000.

enhance their experience during visit.

 Table, Tables cases and stands will be procured.

Approach:
Approach follow in the project is to procure the tablet for aquarium. As aquarium also has the
capability of Wi-Fi network so tablet can be place only in the aquarium so there is no need to
improve and enhance the network facility. Project manager has the main responsibility to chose
the contractor. Contract can handle tablet installation along with cases and stands as well as internet
connection with aquarium network. The project is tested in 3 phases in 1st tablets are installed and
tested and then in next phases tablets are connected with the network and validate and verified
according to the requirements. The National aquarium can acquire approx. 3000 tablets.

Team Skills
Team skills required to achieve the project goals and objectives is Project Manager, Project
Coordinator, Database Administrator, Technical Engineer and HR Manager. These skills are
assigned to our project team and IT Dept can update the existing database and servers. The current
network has the capacity to handle all tablets and visitors’ smart devices. Team can work together
on each task of project to accomplish project goals and objectives.

Project Manager: Manage the overall project and main aim is to meet the project scope, cost and
schedule.

Project Coordinator: Responsible to manage and monitor the project overall schedule. Gather
information about the project performance progress from team member and track all things will
be on the schedule and make the corrective decisions.

Database Administrator: Update and manage the database of the company and responsible to
add missing information i.e. facts related to additional environment.

Technical Engineer: Assist and manage the overall IT operations of the company and all
hardware and network connections issues.

Technical Support: Assist and manage the all hardware operation regarding the tablets and server
of the application.

HR Manager: Sign and approve the budget and expenses required for the budget.

Software Engineer: Manage the bugs, issues and errors of the application which is installed on
the tabled.

The main aim of this RFP will be to have the firms, company and organization which can address

the service required at the considerate price specifically. Our company will be looking for the firm

or organization which can provide the tablets. Hence, we are accepting the proposal with the

response to this RFP (Request for Proposal) for finding the quality source or firm which can

provide the high-quality services. On other hand prices will be the significant factor and other

criteria can form the basis of decision awarded by us and fully described below in the section of

evaluation factors.

Guidelines which are applied for the proposed proposal are:

 The proposal about prices should be provided which can indicate the project overall fixed

 Tables Requirements: Display 7.0 Inches, Ports and jacks, Retina Display, 4GB RAM,

256GB ROM.

 Tablet Case Requirements: Metallic Case should prevent all kind of damages.

 Table Stand Requirements: Metallic Case compatible with table and contains the protector

guard in order to prevent damage as well as the lock that no one can steal the tablet. Rotator

can also be installed to change the view of tablet.

 Submitted propose must be signed by the authority or authority representative.

Project Summary
The National Aquarium of Baltimore is attempting to make its experience for visitors immersive

and interactive. They plan on achieving this by allowing visitors the option to enhance their

experience by using tablets. These tablets will allow users to get a more in depth look at specific

things throughout their visit to the Aquarium. This will enhance their experience and give them a

memory to remember for the rest of their lives.

sign-off the contract with. Then we can also ensure that all IPAD implemented by us can be

monitored and use by Wi-Fi network by National Aquarium IT Department.

Cost Section
For this project as a team we have decided to divide the project according to our skills and expertise
so, managing project will be made very easy to accomplish project goals and objectives. We
decided to increase the prices of tickets as well as fee for membership. The increase will be minor
and it doesn’t have any effect on the customer because this increase in cost also provide the extra
facility to customer or client. We decided to increase 5usd on the ticket and 10usd on member ship.
Additionally, 5usd will be charge who want to feel the mobile experience by renting the tablets.
Children below 5 years doesn’t charge any ticket and for all visitor ticket prices will be 40usd.
Member ship for 1 years per person is 150usd. For the table chosen is IPAD Air 2 and its price is
good and this is latest model and we have chosen this because of latest technology and 3000 tablets
will be purchase at price of $400,000.

Technical Section
The objective of this section is to provide the application support to the customer where the can
connect their own devices and install app on their smart phones and also installed on the tablets
purchase by the Apple. This app can enhance the user experience and provide the facility to the
visitor to learn about the animals and aquarium other famous things. So, application have the
database in which all answer to the questions are stores and application is installed on the tablets
by company. Tablet will be connected over the network of national aquarium and users can also
connect their smart phones over the network.

Management Section
The management provide the opportunity to achieve the goals of the project. The purpose of this
project plan to understand the different aspects of project. It shows the planning, designing and
management of the project. The documentation of the project is very important. Project Plan can
help top management to get the clear vision and understanding about project. It can also facilitate
project manager to do feasibility analysis along with each stage as well as to get idea about that
how much project is important for the market, and what will be the project scope. When the proper

As team, we decided that proposal which is chosen can effectively and efficiently meet our
company goals. We believe their proposal can increase the prices of ticker slightly to earn money
for our project will be effective solution and it doesn’t require additional time and work. We also

Aquarium. These resources are most important to complete project on time. Without human
resources project not able to complete.

We will be providing training to staff and tell how to update tablets time to time. Give training to whole
staff so they familiar with operation system and done changes with time if any needed.

The priority of our project is search for tablet. We search different tablets in the market and compare
specifications of these tablets and choose best one which under budget and meets our requirements. we
need 3000 tablets for this project. After purchasing tablets, next step is to connect these tablets with
database of aquarium so these tablets able to answer different question of users.

Maintenance

when project come to final stage there is need to maintain the services of tablets that provide by
national Aquarium. Tablet will be set after each use. If tablet is break by any users, then there is
need to buy new tablet or may repair this tablet.

Closing out project can involve to gain the final product and services acceptance from visitors and
project stakeholders. Project output include lessons learned and project charter. Project stakeholder
needs to be involved in the meeting to discuss the acceptance of project and successful project
completion depend upon the scope, time and budget evaluation. Once project is accepted, then
project deliverables is transferred to the National Aquarium.

Conclusion
The recommendations made to avoid and overcome the problems of the project and to recover the

project. First things to recovery the project will be to perform the evaluation for the project overall

which include the project review or an audit by using the series of standard questions to identify

the severity and key problems in the project. This can allow to priories the recovery activity and

planning of project so that the most serious problems will be tackled first, and rest of the problem

will be solved in series. While reviewing there are some area finds where the bleeding would be

stop for an instance if the scope will be unstable and changing forever, an introduction of the

change control process which is strict must help to stabiles as well as firm up the scope. This

project is completed by following proper estimation plans. The main purpose is to underrated

project different aspect. Documentation is important for every project it help the stakeholder to

understand system.

Person 1
During the whole project development lifecycle, I learned that project scheduling is most

important for the success of project. The schedule of project must be realistic. Its biggest challenge

to meet the deadlines of project and develop project according to estimated time. If the schedule is

not realistic then it’s not possible that team meets the deadlines.

I leaned that communication is most important during the project. The team communication is

more important in project. The daily progress report is generated and discus it with another team

member. All the team members work on the same place, so coordination of team member is

necessary. The manager of the project is must be responsible person. They manage the whole

project and manage the whole team members. They take decision about the project. Every team

member done its own work and share detail with other team member. The communication plays

vital role in project, but extra communication between team members diverts the attention of team

member from work. The communication also done in level those not divert the attention of team

members form project. The benefit of communication between team members is they share

information with each other. The meeting between team also done they give feedback to each other

and resolve defects. The team members also interact with each other via email. Send important

documents to each other through email. The announcement is also done through emails.

I have leaned many things because of this project, the main thing I focus is that management is

most important for project success. So, project manager must be skilled person who have

experience how to control and managed project resources, risk and other factors. I learned how to

build WBS, Gantt chart. I also learned many communication techniques.

I have done many projects before this project. The most important thing I learned from this project

is how to identify, managed and control risk. The mitigation plan is developing to decide how to

overcome these risks that occurs during project. The risk is control by the project manager. If the

functionality of the project is effect, then some delay will be acceptable. Component delay can

also be minimizing if the project schedule is properly design and the team of the project is

following these schedules. If the proper plan is following, then there is a chance we minimize this

risk and achieve our milestone in time frame. When the plan is followed, and we achieve our

milestones then the cost of project remains in control, so we also minimize the risk of our budget.
