Outlining the job: current duties, roles and responsibilities

Towards obtaining the excellent professional experience in the domain of both technical as well as
techno-managerial, Manoj has gone through the rigorous process of development with committed
hard work & dedication. He has been evolved all around both in his technical expertise and
managerial capabilities domains. All through this process one factor was constant, which was
hunger to learn and adopt with complete flexibility. Innovative approach to enhance the systems as
whole, creative solutions to the issues and an edge over efficiency is a key factor for successful
delivery of all his past projects.

The information included herein is intended to explain the spectrum the core duties and
responsibilities he delivering under his current employment position in Sidra Medical & Research
Centre (SMRC) project. The project is Design & Built Project, highly ambitious high end 7-star
category and very sophisticated. Under various head of KRA (Key Performance Area) domain of
knowledge & expertise this document also outlines day to day challenges he face-off with in order
to move forward with clarity. The team Manoj is leading is composed of 4-Architects, 2-Junior
Architects, 1-Interior Designer and about a 10-floating population of CAD draftsman (please refer to
Organization chart), all in all Manoj is leading a team of about 20-22 people at peak work
assignments as direct report.

Overall activities for Manoj‘s current position may be basically divided into following basic
categories:

1. Technical Working
2. Management & Planning
3. Administration & Implementation
More details about tasks being performed may be appreciated as detailed below

1. Technical Working

A. Review
Incoming Design & Drawings from various external consultants and sub contractors for
example lead architects (Ellerbe Becket), Structural designers (GES), MEP sub contractor
(Kentz-Voltas Consortium) are being reviewed for sufficiency & correctness keeping in
mind clients interest & intent. The most critical part of this job is to arrive at a commonly
acceptable unified system which is adoptable for the project. This is specially to be
appreciated as the project under consideration is a world class – 7-Star healthcare &
research project & the details & specifics are subjected to change dynamically with the
technology and time. The incoming is also being reviewed with tender documentation
for contractual implications.

Here the various agencies are coordinated through meetings, presentation, technical
interactions at various stages back at office and also at site. Usually these are high level
decision making platform where, everyone involved is responsibly taking forward things
in their domain expertise. Manoj at the pivotal position towards overall construction
responsibility has to keep things on track in the interest of parties and the project as
prime. Right from material selection to the execution at site everything involves a
serious concern about Time, Cost and Resources. Manoj Lead the meeting from an
architect’s point of perspective.

B. Quality
Responsible for Implementation of Quality System Procedure (within Hospital-
Architectural Team), evolution of checklists for working & review is part of the prime
responsibility. Also quality of CAD working (review only) is part of the job and the
feedback is forwarded to CAD manager for rectification. I am also part of technical team
which manages CAD standards for the SIDRA project to maintain and ensure the
documentation standard all across the project. In this, aspect Manoj is working with
central CAD standardization team which has a direct link with client’s core department
responsible for the same across the various projects within Education city.

C. Inter-disciplinary coordination
Multi-organization scenario & their multi-location working system for input information
make it little more challenging. Design team manly comprises of Lead Architects (Ellerbe
Becket, USA, Structural Designers (GES, India) MEP Designers & Contractors (Kentz,
Germany-Voltas, India) In order to achieve desired result I have to really work hard on
clarity of information. The project has been awarded as Design & Built to OHL-Contrack
which means they own the project right through its conception to execution. Following
the context, Manoj as a lead architect responsible for Hospital from OHL-Contrack; act
an owner of the project as he has to find solutions for each issue pops in. He has to
coordinate with external agencies and internal team/s to arrive at concluding solution
with options. Manoj is also responsible for communicating coordinated
observations/remarks/instruction to all concerned technical parties. All in all it can be
appreciated that he is an active player leading a highly technically scenario where
multiple resources are being guided towards quantifiable results within the defined time
scale.

D. Work Planning
As a prime responsibility Manoj is responsible for delivering the coordinated Shop
Drawings for implementation & execution. In order to do so, he not only has to
coordinate with specialist agencies where these are company by themselves; like
specialists for kitchen, laundry, central supply, medical gases, IT, security, building
management and so on. The scope involves huge integration amongst the team and
realistic plan and most dynamic schedule. Manoj is part of the overall system of planning

as an active member and so far he has been found one of the very good performers. This
is being delivered through a dedicated, highly competent & resourceful technical team.
Everything his team does is planned for the week and fire fighting work assignment also
being taken care of utilizing the best possible float-time within the schedule. This can be
appreciated the work is dynamically assigned to the team members and has huge
quantum of work and that’s where his polished knowledge and proficiency in
management software like Microsoft Project for an example give him edge over rest of
peer group.

E. Work Monitoring
Manoj is responsible to plan and as well as monitor the team’s working and eventually
performance efficiency. For that he uses a basic reporting & recording system for his
team. The system has three levels of reporting Daily, Weekly and Monthly. The report
has been designed by him in order to appreciate the time utilization by individual
resource against their assignments. The target time is always given to them before they
initiate with anything.
This continuous system works well in both ways, for the sake of record as well as
appreciation for performers. Here I am not discussing the whole system but just
outlining the features; the monitoring system helps all interest in common platform, its
works on a principal of Simple Flow : Think > Plan > Work > Review > Update > Deliver>
Feedback > Think………….

F. On-Site Coordination
At a peak time when more the 5000 people working with full load of machine and
materials, Manoj is in full command to ensure things are coordinated from an Architect’s
perspective. Still there are things misses out or overlooked by construction for which
Manoj has to go to site to review the situation and find alternative solution. The SMRC is
a fast track project and expects that issues to be resolved as and when they occur. The
queries raised from site are being discussed with superiors / lead architects/ MEP
contractors & designers towards resolution & implementation, keeping the future in
mind that specialists are going to take over for their part. This is also to be highlighted
that there is a presence of Central Project Management Agency (KEO International).
New requirements are also being analyzed through a system called FFD (future feedback
form), which is being generated by construction team for weekly, fortnightly & monthly
basis. Architecture department plans are to be adjusted to meet the FFD as construction
plays more important once execution is started at site.

G. Design & Design Development Stages


Manoj is also involved with the design process & its development which happens
through a weekly coordination meetings when; developments, updates, changes
proposals are being discussed in detail. All concerned external consultants, contractors,
specialist and managers are part of it. Most remarkably to be noticed that there are

about 20+ Design & built agencies involved in the project). Outcome of these meetings
are being briefed to superiors along with the options to act on and its effect on our
current work management within the team and across the technical department.

H. Verification
There are multiple sources of incoming information, Manoj is responsible to filter them
as per the requirements and urgency, and these are verified with original tender
documentation in order to minimize the variation and assisting procurement for
finalizing material & its specifications. Necessary variations and changes are being
documented for securing the “reserve rights” in company’s interest

I. Building Permits
There is a separate agency assigned for building permits, CEG, they work with Manoj
towards statuary approvals & requirements for hospital building. The requirements
arising from them are then coordinated with lead architects for incorporation, in case of
conflict of conceptual intention, the change is coordinated back with CEG.

2. Administration & other activities

A. Management Information System


Manoj is part of MIS, where he is responsible to prepare & submit the weekly report to
Manager –Technical which eventually is part of Technical’s report to project Manager.
This MIS outlines the resource utilization, time management, work assignments /
distribution, performance matrix, work status, future program and specifics about
related development issues.

B. Training
Based on the performance evaluation system, time sheet, personal interaction and
discussion with each individual team member, Manoj develops a comprehensive training
program customized & suited to project objectives and resource developments. Upon
identification of the specific training requirements the same is finalized & recommended
to Head office HRM department for further arrangements. These trainings are mainly
technical in nature and ongoing on a certain interval in order to have a continuous and
evolving objective and dynamic enough to accommodate changes in core vision of the
project.

C. Human Resource
Manoj is assisting main HRM in order to identify right technically competent resource by
having providing technical feedback on resumes and technical interview.
