iPad Cart Deployment Notes

There is a cart with 20 iPads awaiting deployment at Park Center Senior High School.
This document was originally a wiki designed to act as a place in which District 279
technology and media specialists can help develop systems and policies for deployment
of this type of device, with the goal of having the Park Center cart in operation as soon
as possible. Park Center Media Specialist Dhaivyd Hilgendorf attended a number of
sessions at the TIES Conference, Dec. 6 & 7, 2010 about deployment and educational
uses of these devices in schools. These notes begin with his observations.

Creating iTunes Accounts


Create a free ITunes account, a single account for each cart because the apps can't
otherwise be shared
Each account can be used for up to 5 computers and as many devices as you want,
from a technical perspective.
Recommendation: create dummy accounts for each Cart, and include a personal
account that can also access it, say, for the LMS.
You can authorize and deauthorize computers to stay with five machines
Have only one account active on the iOS device at one time.
Technically, you can use multiple accounts, but they will be wiped out when you sync, so
it is not wise.

Volume Purchasing Program


Have a designated purchaser who buys voucher cards and sets up the VPP account for
the district. ($100, $200, $500, $1000...) For our district, this is Ben Clifton.
Program facilitators can make the purchases through the App Store. They then get a list
of activation codes.
Tues & Thursdays, Apple does webinars on the volume purchasing programs. Use
Safari to access it.
You can only use this program to buy apps (no music, hardware, etc).
Whichever Apple account redeems the code is the owner of the app.
You can also purchase free apps through the license codes
Whoever manages the devices enters the codes.
Price break is at 20+ devices, and can be substantial.

We have established an Authorized Purchaser and have sent a list of Program


Facilitators to Apple, including an entry for PCSH.
We are using “generic” email addresses because we need to separate this from other
Apple accounts and it gives us more control of email communications in this program. .

Deployment Process
1. Set up one iOS device the way you want it to be. Create a full package,
including
Video, apps, books, websites, programs, etc.
2. Check the radio button:: “Open iTunes when I connect the device”
3. Tell it what to sync
4. Include parental controls, such as disabling Facebook, can't add friends, can't add
game apps, etc. The policy here must conform to district policies.
OR you can use the iPhone Configuration utility - this is necessary for Management
software
5. Create a backup by right clicking on the icon for the device in the iTunes app &
selecting backup.
6. Restore new machines from backup. Then it will sync it.

Administrators can also restore devices to factory settings through ITunes
Set up configurations on the Mac, then install profiles, one machine at a time
OR you can email the settings
Mobile Device Management Server - Doesn't work for apps.
To use this, a system administrator needs to become a member of the Enterprise
Development Program. This costs $300

Syncing
The first time syncing is time consuming. After that, it's just a matter of plugging in the
iPad.
It takes about 5 minutes per machine to sync
Sync requires yes/no manual entry for each machine.
To upgrade OS, it has to be done one machine at a time. Update doesn't wipe out data.
Syncing, updating, charging, etc. Is the responsibility of a paraprofessional
Can sync 20 machines on a Mac, but only 7 on a PC

Hubs:
Look for the "Made for iPad" logo when searching for apps or buying hardware
Some hubs do not charge, but sync only. Make sure they are powered hubs.
The machines can be daisy-chained for the setup and syncing process.
At Park Center, 4 D-Link hubs were purchased for this purpose. They are 7-port USB 2.0
hubs, Model #DUB-H7. They cost about $40.00 each from CDW-G, and 4 of them will
sync a cart of 20 devices.

Policies
A system for vetting apps must be in place.
To upgrade OS, it has to be done one machine at a time. Update doesn't wipe out data
Policy development -School Board approval(?)

Security
IPad protection plan:
Insure it through the school, or show us a copy of the rider $ 50 insurance policy
Apple won't insure against accidental breakage
Basic Mobile Me accounts are free, and allow for GPS location of devices, locking
devices, sending messages to devices, and sounding alarms on devices.

Training:
Quick staff training sessions, followed by more intensive trainings for 2 days in August
plus sharing sessions
For one successful iPad district, 1/2 of tech budget goes into training

There are many more apps to add to this list, but this is a starting point.

Keynote, Pages, and Numbers are generally used rather than Word, though they’re
expensive.

Other notes
Send MyFi devices with kids through Superior Wireless if they don't have wireless
access from home.
Use Cloud Browse ($.99) when Flash Player is required
Use Email accounts that are device-specific rather than student-specific
OR Gmail plus: you can add additional users to your account or use Gaggle
Doc camera - Ipevo camera works well for iPads because there's no light creating
backlight interference
Apple offers free engraving
Each student uses the same machine each time they use it.
Formative assessment: can be used as clickers graphing calculators, e-response
principal walk-through: An easy way to submit reports right away
