Roles and Duties of a Supervisor.

1. To Be Up To Date With All The Ambience, Safety And Equipment Requirements Of All The Schools 2. To Check Whether They Are Being Maintained And Followed 3. To Help The Schools Maintain An Equipment Master File (Stock Book) 4. To Be Up To Date With The Educational Training (Workshops, Seminars And Curriculum) Of The Preschool And The Club 5. To Maintain Proper Notes, Files And References Of The Same At The Main Office 6. To Be Able To Impart Training Regarding All Of The Above To The Teachers, And School Facilitators, As And When Required 7. To Be Able To Solve All Queries And Questions Regarding The Same As And When Required By The Teachers, Parents Or The Franchisee 8. To Be Up To Date With The Philosophy And Uniqueness Of Preschool and To Be Able To Convey This As And When Required To Parents Etc 9. To Be Up To Date With The Fee Structure, Admission Policy And Procedure Of Preschool And Be Able To Train The School Administrators, And Franchisee And Others Regarding The Same 10. To Conduct Quality Checks On The Schools- Checking The Ambience, Equipment, Neatness, Maintenance As Given In The Safety Manual 11. To Conduct Checks On The Performance Of The Teachers, Stressing On Dress And Decorum, Classroom Maintenance, Maintenance Of Daily Logs, Curriculum Files, Flannel Boards, Observations, Report cards Etc 12. To Check Whether The Teachers Have Maintained Workshop And Seminar Notes And Filed Them In The School Office 13. To Understand The Curriculum And All The Activities Related To It 14. To Make The Required Samples And Lists Of Teaching Aids Or Other Requirements For The Teachers 15. To Be Able To Train The Teachers Regarding The Implementation Of The Curriculum And To See That They Have All The Requirements 16. To Check Whether The Teachers Are Following The Curriculum 17. To Check Whether Teaching Aids Have Been Made As Per The Requirements 18. To Check Whether They Are Being Used As Per The Training 19. To Check Whether Admissions Are Being Conducted As Per The Training Given 20. To Conduct The Parent Orientation As Per The Standards Of Preschool 21. To See That All The Schools Have Received All Equipment, Admission Requirements Like Admission Kits, Etc

22. To Be Up To Date With The Name Of Each Equipment And Its Use And Requirement And To Be Able To Explain The Same To Others As And When Required 23. To Report About The Teachers, Curriculum And Other School And Club Related Details To The Main Office Every Week 24. To Be Up to date With All The Training Required, Equipment Used And Curriculum Of The Clubs 25. To Make The Required Samples Of All The Activities And Maintain A Record Of The Same In The Main Office 26. To Be Able To Train The Club Coordinators And/Or Others In The Same 27. To Be Up To Date With The Curriculum Of THE SUMMER CAMP Both Junior And Senior Group Activities 28. To Make The Required Samples Of All The Activities Of Both Junior And Senior Group 29. To Abe Able To Train The Teachers On All The Summer Camp Activities 30. To Make All The Stationary Requirements Lists For The Schools Per Month And Give It To The Schools 31. To Know The Exact Number Of Admissions In Each School 32. To Make A Weekly Visit To Each School 33. To File Every Letter Regarding The Franchisees 34. To Send Everything To Them In Writing Only And Take Their Signature On A Copy And File It 35. To Take All Matters From Them In Writing Only And File Them

Why Is There A Need Of A Supervisor?


A Question Very Often Asked Is Why Is A Supervisor Required? Is It Essential To Have One? In A Franchise Module And Especially One That Involves Education, It Is Extremely Important That Quality Is Maintained. But Whats More Important Is That How Is It Being Implemented At The Centre And How The Children And The Parents Who Are The Ultimate Clients, Their Reactions To The Activities. Also Another Important Reason Why Supervisors Are Essential Are That The Franchise, Centre Head And The Teachers May Not Have The Know-How Or The Knowledge Of Handling Things In The Right Manner, And Thats Where The

Supervisor Comes In- She Trains Them , Guides Them And Ultimately Supervises Them.

Some Of The Things That A Supervisor Needs To Maintain To Make Her Duties Role Smoothly Are As Follows: 1. A Diary. 2. Email Id- Mail Box. 3. Files. 4. Computer. A Little More In Details Of How To Maintain Them And More Importantly What To Maintain: 1. A Diary: A Diary Is Something That Every Supervisor Must Have With Her At All Times. The Best Thing To Do Is Staple Important Circulars, At A Glances, The Latest Admission Status And Event Details In The Diary. Also Staple A Copy Of All Addresses, Telephone Numbers And Email Ids Of All Centres In An At A Glance Format Like This:

The Supervisor Must Everyday On A Fresh Page Write The Date On The Top And Make Her Agenda- Tasks That She Wants To Complete In The Day. As She Finishes The Task She Should Cancel It Out. At The End Of The Day That Entire She Has Not Completed She Should Circle Out. Then She Should Open The Next Page First Carry Forward The Tasks That She Has Not Completed On This Day And Then Fill In What She Wants To Do On The Next Day. When That Particular Diary Gets Over She Should First Copy Down All The Tasks That She Has Not Done In This Diary And Then Move Ahead.

2. Email Id/ Mail Box: The Supervisor Must Have Her Email Id. Kindly Ensure That It Is An Official Email Id And That You Are Not Using Your Own Personal Email Id. All The Centres Under You Should Have This Email Id. You Should Check Your Mails 3ce A Day- First When You Come In In The Morning, Then Again At12 Noon And Then At 4pm. She Should Ensure That All Mails Are Answered At The Centre Of The Day. All Mails With Replies Are Printed And Filed In Their Respective Files. In The Mail Box The Supervisor Should Maintain Folders So That Important Mails Can Be Stored In Their Respective Folder In The Mail. 3. Files: The Files To Be Maintained By The Supervisor Are As Follows: a) About The Centre : The Supervisor Should Have One File With Sections Per Centre And Here Maintain The Per Centre At A Glances Which Is Given In The Next Section And The Fee Structure. b) Bi Monthly Reports: Here She Should Maintain Per Centre Sections In The File For Each Centres Bi Monthly Reports With The Replies Sent. c) Incoming File: She Should Have One Incoming File Per Centre Where She Maintains All That Comes In From That Centre- Mails, Reports, Letters, and Feedbacks Etc. d) Outgoing File: She Should Maintain One Outgoing File Per Centre Where She Maintains All That She Sends Or Goes Out To That Centre Be It Mails, Reports, Letters, Feedbacks Etc. e) Important Mails Sent To Centres: Here The Supervisor Should File All The Important Mails That She Sends The Centres, Any Quality Tips, Or Any Other Points Which Goes Out To All Which Is He Copy-Supervisors Copy. f) Filing In These Should Be Done Everyday And They Should Be Up To Date With All Mails And Other Details. 4- Computer: As You Are A Supervisor You Will Have To Type All Your Reports And Mails Etc And Hence You Will Have Your Own Computer. See To It That It Is Neatly Maintain. Open A Folder With Your Name In The D Drive Of Your Computer. And Open Proper Folders For All Your Documents Name Your Files-Words, And Excel Documents Correctly If Using Anothers Computer Within The Department Then Ensure That It Is Done Through Networking And Not That You Are Opening Another File In Their Computer. See To It That There Are No Files Or Folders Floating Around; They Should Be In Their Respective Folders. See That You Shut The Computer And The Main Light At The End Of The Day Print Your Mails And Other Details In The Fast Draft Mode To Save On Ink.
