All, Please read the e-mail below from the Data Archiving team and be sure to let them know if you have any questions or concerns prior to March 8th. Regards, Global ERP Integration Managers -----------------------------------------------------------------------------------------------------------------------------------The Data Archiving team, in conjunction with the Transportation and Warehouse System team, will archive a subset of material documents, shipment cost documents, and shipment documents from the Q08 system prior to the Q08 refresh, which is scheduled on begin March 23rd. Since most of the data retention policies surrounding this type of data suggest of length of 7 years, the target data of this exercise will be limited to documents that are from the years 1999-2004 and have a source country of US (See Below). Archive Object MM_MATBEL (Material Documents) SD_VFKK (Shipment Costs) SD_VTTK (Shipment Documents) Time Range 1999 2004 (inclusive) 2004 1999 2004 Geographical Scope US Plants Amount of Data Targeted Header documents that will include a total ~14 million line item records ~3100 shipment costs documents ~589,000 shipment documents

*The current configuration of archive object SD_VFKK will not allow us to archive based on country/world region. The documents in scope will be archived in their entirety, which means the header records and all of the associated line items will be removed. The links below are data distributions of some of the primary tables associated with these archive objects. The reason the US region is being used during this process is because US contributes about 50-60% of the data that is currently maintained in the primary tables in scope. This archiving will be a small step in becoming more proactive in controlling the data growth in these areas. In order to do future archiving for deliveries, billing documents, and sales documents, we must begin with the three document areas in scope for this exercise. If this archiving is successful in Q08, we will develop a strategy for archiving this same subset of data from our P08 environment. This archiving should not present a large number of issues for the following reasons: 1.) According to our corporate retention policies, this data should be removed from our system and should not be used in current business processes, which means re-accessing this data should not be required. 2.) If there are issues found during this exercise, the data will be restored to the Q08 environment during the Q08 refresh.

BAs, please let the Data Archiving team (#DL-1000-SAP Data Archiving team) or the Transportation and Warehouse Systems team (SEED MFG, SAP DISTRIBUTION [AG/1000]) know if you have any questions, concerns, or input regarding this task by Thursday, March 8th.
