ABSTRACT
This organizational study, undertaken as a part of the curriculum, was done at VIJAYA HOSPITAL, KOTTARAKKARA. The organizational study was done with the aim of getting acquainted with the functions and activities of VIJAYA HOSPITAL. The study also looks into different departments in the organization and their functions. One of the major objectives of the study was to get an exposure into the working environment of the organization. The study helped me to correlate theory with practice.

INTRODUCTION

1. INTRODUCTION
The study was done at VIJAYA Hospital. This study was conducted to know the overall performance of the hospital and how they work. This is a detailed study about the organizational structure of the hospital and social responsibility that maintained by the organization. Organizational studies involve careful study about how people inside the organization interact with one another and how they can be made better to communicate their concerns. Basically it involves the study of individual as well as group interaction inside an organization. There are many factors that come into play when people interact with each other not just as individuals but as a team as well. The VIJAYA HOSPITAL was established in the year 1998. VIJAYA HOSPITAL is a healthcare powerhouse you can trust with your life. At VIJAYA HOSPITAL they unite exceptional clinical success rates and superior technology. With latest technology, multi-disciplinary capability, state of the art facilities, good infrastructure and excellent patient care ambience and processes, VIJAYA HOSPITAL is poised to become the advanced and progressive healthcare institution. VIJAYA HOSPITAL is one among the largest hospitals in KOLLAM dist, KERALA. It is a 300 bedded Super Specialty Hospital, with the provision for expansion to 500 beds in future. The hospital is at the forefront of medical technology and expertise. It provides a complete range of latest diagnostic, medical and surgical facilities for the care of its patients.

The hospital is sponsored and funded by a private body and is managed by the Board of Directors. They are active in Service Education Program including VIJAYA college of nursing and VIJAYA school of nursing.

1.1 OBJECTIVES OF THE STUDY

To study the functions of each department To study the social responsibility of the organization. To identify strength, weakness, opportunities & threats (SWOT analysis) of organization. To familiarize the student with a business organization. To enable the student understand how the key business process are carried out in an organization. Understand how information is used in organization for decision making at various levels.

1.2 LIMITATIONS OF THE STUDY.


Critical analysis was not possible due to the non-availability of certain information like financial details, procedure etc. The detailed study is not possible as most of the employees in different departments were busy with their works. Organizational environment was very busy which limits the data collection, learning.

VIJAYA Hospital offers better relationships through better care. VIJAYA Hospital boasts of high standards in medical facilities and consultants. VIJAYA Hospital is conceived and designed to be one of the very best hospitals in Kollam in terms of facilities. VIJAYA Hospital is situated at Kottarakkara. It has an extend of two acres of land, clothed with modern building and facilities. VIJAYA Hospital nests 16 specialty departments headed by eminent doctors from the respective fields. Cardiology, Neurology, Gynecology, Pediatric, ENT, General medicine, Orthopedic, General Surgery, Physiotherapy are some of the main departments. VIJAYA College of nursing The development of a country is measured in terms of the health of the people and the services, rendered to the sick and needy. VIJAYA College of Nursing, started in the year 2005, believes in training professional Nurses from all over the country to meet the great challenges of services in the field of Nursing. The college is recognized by INC, K.NC and affiliated to University OF KERALA, It offers B.Sc. Nursing program of four year duration with one year compulsory internship. The annual intake is 50.The college prepares the students to develop ability to handle situation and problems critically and take responsibilities for the higher education for maximum professional effectiveness

VIJAYA School of nursing The School of Nursing is to offer a full service nursing department to give the highest possible quality of nursing care in terms of total patient needs. The function of the division of nursing is patient oriented service taking care of both psychological and physical needs of the patient in In-patient & Outpatient areas. VIJAYA School of Nursing Offers 3 1/2 years diploma course in General Nursing & Midwifery (recognized by Indian Nursing Council & Kerala Nursing Council). Students are trained with adequate theoretical knowledge and wide clinical exposure to care state of the art equipment to mould them in VIJAYA culture.

VIJAYA COLLEGE OF PARAMEDICAL SCIENCES is recognized by Kerala state Paramedical Council & D. M. E. We offer DMLT & DRT courses with the duration of Two years. Upper sealing of number of students per batch is 30. VIJAYA Hospital established on 1998.The growth Of the organization is in high rate and it has grown as the biggest Hospital in Kollam. Almost all insurance schemes from different companies are accepted by VIJAYA. Super specialty hospital 24 hrs casualty, Pharmacy, Lab. Different departments like Nursing, HR, Public Relation, OPDs, Utility services, Security, Housekeeping, Canteen Accounts and administration etc. Excellent hi-tech three operation theatres with 100% hygienic. The infection rate reported in VIJAYA Hospital is 0% since many years.

The functional department of VIJAYA may be divided into two category they are clinical and non clinical.

3.1 Finance department


The mission of the finance department is to effect without error, authorized financial transactions with the public and with employees in a courteous manner in accordance with an agreed time schedule and prepare interpret and present accurately and promptly and comprehensible information to management in order to assist in providing a cost effective and administrative service to clients. Around 60% of their expenditure comes under doctors expenditure. It is of two ways either monthly basis or consultation basis. Other categories which include staff, cleaners, security, Attenders are paid in monthly basis. Mode of payments for doctors and PRO are by cheque and others by cash. The left 40% accounts for repairs, printing and stationary, miscellaneous. Excess of income over expenditure is about 5-10% of turnover. Department Structure

3.2 Human resource department:


Recruitment, selection and Induction Training. At Vijaya Hospital the employee turnover is very less. The HR and Management joins together to provide them extra ordinary atmosphere to perform duties perfectly and accurately. Ensure that professional staff with a patient interface is appropriately qualified as required for a Super Specialty hospital. Lease with recruitment agencies as required. HR in co-ordination with Personal and Accounts Department ensures timely payment to staff. Maintain a close relationship with the Concerned Departmental Heads to fulfill all recruitment needs. Preparation of documents required for all statutory norms. Maintain confidentiality all times. Preparation of job description. Yearly/six monthly performance Appraisal (self and by HOD) The HR department mainly deals with staffing, approval of leaves, recruitment, on the job training and class room training, induction training, motivation, promotion etc.

3.3 Marketing activities


There is no such special department for marketing. Mouth to Mouth marketing is one of the popular ways of marketing of VIJAYA hospital. VIJAYA hospital conducts various types of medical camps by expert doctors for the general public and thereby provides health awareness. It is a part of both marketing and social responsibility.

3.4 Pharmacy department: The pharmacy in the VIJAYA hospital had most
of the medicines that are necessary for the patients admitted there and patients who are under treatment. It is really useful because people can get medicines demanded by the doctors on time rather than going outside and getting the same. The department is well defined

3.5 Laboratory:
VIJAYA laboratory are well equipped with most modern equipments and experienced technicians are available .The management give more importance for laboratories. For the emergency causes the result will get from the laboratory within few seconds. In laboratory there is four senior technicians, four junior assistants and two trainees.

4.2 Social responsibility analysis


VIJAYA hospital, as in the field of health services, is an unavoidable presence in other activities regarding social welfare. This include Various types of medical camps by expert doctors for the general public and thereby providing health awareness. Free BP checkup for general public. Free medical checkups and advices. Counseling. Continious rounds in patient area by PROs and Nursing Superintendent for ensure extra nursing care and excellent house keeping services

4.3 Future developments


Future developments of the organization include various activities to improve the overall effectiveness of the organization. They are planning to include Response sheets for improving their effectiveness by collecting feedbacks from the customers. More efficient doctors will also be in service for the public. Planning to built territory care hi tech super specialty hospital under the brand VIJAYA.

5.1 CONCLUSION

An overall study of organization has been done. This study includes the study about various departments under each functional division. It has been a great experience for me to do the organizational study in VIJAYA hospital. The changes and introduction of new strategies and policies and implementation of new schemes and projects will enable the efficient working of VIJAYA and this in turn will compensate the present problems that are prevailing in the organization. VIJAYA ventured into the service sector in the year 1998 with just a handful of doctors and employees. Backed by a team of dedicated professionals, they made VIJAYAS as a highly reputed organization. Customer satisfaction and goodwill enhancement has always been at the heart of everything we do, providing core values to sustain a well balanced relationship and meet all client requirements and expectations.
