APPLICATION PROCEDURE FOR PAVILION PROMOTIONS

1. Please read the guidelines carefully. 2. Send us a full proposal regarding the promotion. This may be faxed to Nobuhle Ngubane on 086 6873949 or emailed to nobuhle@thepav.co.za Your proposal must include: i. ii. iii. iv. a floor plan product description photos of previous exhibitions what activities will take place at the stand

3. Complete the Application booking form in full. 4. Once your application has been processed, you will receive a letter informing you of the outcome of your application. Please do not begin any preparations without written confirmation. 5. A promotion is only confirmed on receipt of the full payment required, as well as the signed and completed Promotions application form. 6. The promotional court will only be regarded as paid for once the exhibitor provides proof of payment, which must be faxed to Nobuhle Ngubane on 086 687 3949 7. All courts need to be carpeted during a promotion.Please contact Carpet Flair for this on 031 708 1106 8. Please note that The Pavilion will not be obligated to refund clients should they cancel. A cancellation fee shall apply to exhibitions cancelled two weeks prior to the scheduled date. 9. Payment for promotions Promotion bookings are only confirmed upon receipt of the 50% deposit, which is due within the first week of the invoice date. Failure to pay the 50% deposit will result in the cancellation of the booking. Full payment is required before promotion start date. 10. Cancellation Policy Cancellations within 14 days of the promotion date are subject to 50% of the invoiced amount. Any cancellations after receipt of an invoice are subject to 10% of the invoiced amount.

If The Pavilion is not satisfied with the setting of your promotion at any stage, The Pavilion reserves the right to inform you to reconstruct it, failing which to cancel the promotion without payment being reimbursed. Centre promotions enjoy preference - other exhibitions will be re-scheduled, should it be required. Please note the promotion vehicle requirements on page 7. Please bring your own tools to disconnect batteries etc.

USEFUL GUIDELINES

No verbal requests or pencil bookings will be entertained and no provisional bookings will be confirmed.
Centre Promotions enjoy a preference - other exhibitions and promotions will be re-scheduled; should it be required. Applications should be submitted well in advance due to demand for the areas. A photograph/drawing of the exhibition has to be submitted for approval, together with an exhibitor and a product profile. Should a promoter not comply with their original proposal, The Pavilion reserves the right to cancel the promotion with no reimbursement. No promotion of product or service will be permitted if it is in opposition to existing tenants in the Centre, unless approval from the applicable tenant(s) has been received in writing. All exhibitions must comply with the Occupational Health and Safety Act and regulations as well as those that may be required by Centre Management. All claims by the public for loss or injury will have to be borne by the exhibitor. Therefore a Public Liability Certificate is required for all exhibitions/promotions. All exhibitors are required to complete the Safety Health and Environmental Standards Agreement form, once off.

The fittings or furnishings of the Centre, e.g. pot plants, lampposts, walls, shop fronts etc., may not be used by exhibitors as display or support structures. Banners, posters, bunting etc may only be erected in the specified areas. No helium balloons are allowed. No point of sale material may be placed on the pillars or on the ceiling. In the case of Audio appliances or equipment that cause auditory interference, exhibitors must consider the interests of surrounding tenants and the public, i.e. volume levels are to be kept within reasonable limits. These limits will be set by the Centre Management who reserves the right to restrict or prevent audio broadcasting if it considers this necessary. The exhibitor will be called upon to effect certain improvements, should the exhibitor fail to do so the exhibition will be cancelled. The Centre shall not be responsible for any loss, theft or damage sustained by the exhibitor while on the premises. To uphold the image of the Centre, displays and exhibitions are required to be of a high standard. If we feel that our standards have not been met, the display will be removed without reimbursement. The Pavilion Centre Management reserves the right to terminate or relocate any exhibition or promotion and to change or remove any exhibition material at its entire discretion. All exhibitions are subject to spot checks and inspections. If an exhibition is found not to meet the standards of the centre, and cannot be improved, it will be terminated immediately and removed from the centre. All Exhibitors are responsible for any parking costs incurred during the duration of the promotion. The Pavilion will not be responsible for any costs therein. The exhibitor must ensure that their display is set up by 08h30, and removed at 19h00 (on the last day of the promotion) to avoid any inconvenience to tenants and shoppers. The promotion should be manned during The Pavilions normal trading hours (09h00 19h00). A fine of R200 (excl vat) per hour will be charged to exhibitors that fail to comply with Centre trading hours, or any rules and regulations stated on this agreement.

All storage or packing material for example cardboard boxes, must be removed from the exhibition site, or concealed from view. Exhibitors are not allowed to approach our shoppers in a direct manner (not physically, nor verbally). If shoppers are being approached or shouted at, the promotion will be discontinued immediately. Promoters placed in the Centre must be professional. They must be well-groomed, friendly, courteous and well spoken. No smoking, drinking or eating on stands is allowed. It is the exhibitors responsibility to ensure that the display adheres to all fire regulations. Handwritten signage will not be allowed. Any signage used in the Centre must be professionally printed and approved by Management beforehand. Banners and posters must be on stands and may not block shop windows. No signage is allowed to be stuck on the floor, against walls or pillars in the Centre. No outside security company can be used by exhibitors. Security can be arranged with the Centre Security contractors, Enforce Security, at a nominal charge. Bookings must be made at least 7 days in advance. Please contact the Pavilion Security Manager Paul Smith, on 031-2759810/083 703 5211. The hiring of extra security is for the account of the exhibitor. All courts have height restrictions of 1.5m. Gazebos are not allowed in the centre. An exhibitor may hire out a court for a maximum of 2 weeks. No pamphlets or any other promotional material may be distributed in the centre or parking lots. Only tenants are allowed to leave pamphlets at the Information Desk. NO SELLING IS PERMITTED IN THE PROMOTIONAL AREAS If there is damage to any of the courts resulting from your promotion, you will be held responsible for the costs. The courts are thoroughly checked before and after promotions to ensure that no damage has been caused. Promoters may be required to attend a meeting to discuss their application No surveys may be done inside or outside the centre without prior arrangement with Centre Management. All tables used during exhibitions must be covered with neat tablecloths which must reach floor level. Tablecloths must be provided by the exhibitor. ALL CAR DEALERSHIPS ARE TO OBTAIN THE PERMISSION CONTRACT FOR THE DISPLAYING OF MOTOR VEHICLES AT THE CENTRE. CAR DEALERSHIPS ARE ALSO REQUIRED TO COMPLETE THE VEHICLE PROMOTIONS AGREEMENT FORM The wheelchair access to the Fountain Court is to be kept closed for the duration of the promotion, Should the chains be opened, the exhibitor will be liable for any injury to customers occurring in that area. All access to the fountain court, which is created by exhibitors, needs to have clear signage, advising customers to mind the steps in that area. Failure to comply with this will result in liability for any injuries occurring in that area.

VEHICLE PROMOTIONS

Vehicles must arrive promptly at 08h00 at The Pavilion on the day of the promotion and exit at the same time on the day after the promotion. Vehicles arriving late will not be allowed in the centre and payment for that day will be forfeited. Vehicles must arrive with the petrol tank on reserve. The battery must be disconnected on parking of the vehicle for a promotion. The keys must be left at the Security Control Room. ADVERTISING AROUND YOUR PROMOTION

Please include details of where you will be advertising your promotion and the cost of your advertising campaign.

POST PROMO MEASUREMENT

We require tenants and outside agents alike to complete a post-promotion form for performance measurement and success assessment.

MANNING OF PROMOTION

The promotion must be manned for the whole day (09:00-19:00). Should you require longer time periods please inform us.

SECURITY ARRANGEMENTS

The Pavilion is not responsible for and will not be held liable for any damage to or theft from the promotion area. If there are items of value, please ensure that the necessary precautions are taken.
