1. The Importance of Data Quality in
PeopleSoft 9.0

Many custom error and warning messages, fields and pages have been retired or moved to
other pages in PeopleSoft 9.0. Therefore, there is a need for system users to be extremely
careful when following Quick Reference Sheets (QRSs)/process documentation and entering
information in PeopleSoft 9.0
These system modifications have meant that global/local work instructions and QRS
documentation have been updated to ensure system users continue to enter information
accurately in PeopleSoft
Some examples have been provided on the following slides of where fields, error messages
and page tabs have been retired in PeopleSoft 9.0. These include the following:

Tabs Removed in PS9.0 (with
field/sections from removed
tabs being moved to other
tabs/pages)

Key take-away item
Many fields, sections and pages have been
retired or moved to different sections and
pages in PeopleSoft 9.0. In addition, some
error and warning messages have been
replaced by effective work instructions.
Therefore, it is imperative that work
instructions (i.e. QRS documentation) are
followed carefully to ensure you enter
information correctly in PeopleSoft 9.0

1. What is the Person Model ?

What is the Person Model ?
The Person Model has been introduced by PeopleSoft in Version 9.0 and provides
a framework for storing and tracking all types of individuals (known as person
types) within one central place
PeopleSoft delivers 3 person types (Employee, Contingent Worker and Person of
Interest) but Unilever will only be using the Employee person type and in
exceptional circumstances, the Contingent Worker person type

Benefit of the Person Model
Personal data is entered once with one ID that is retained for the duration of a
persons tenure with the organisation, regardless of changes to that persons
working status
For example, if a person joins Unilever as a contractor and was later to become an
actual employee they would be able to utilise the same Employee ID and
associated attributes (such as name, address and bank details). This was not the
Case with PeopleSoft 8.3, where a separate employee record was required. The
employee would therefore have two employee records

52
Click on icon to return to the
section contents page
You should always select the Employee person type unless in exceptional cases where the
Contingent worker person type should be selected. The Contingent worker person type
should ONLY be selected when you are adding a Manager/HRBP in the system who is
classified as a contractor. This is because they need access to PLOL and/or PMOL and as
such they need to be represented in the system. POI should never be selected under any
circumstances.

2. Person Model- 3 Person Types
Person
Model
Employee
Person
of
Interest
(POI)
Contingent
Worker
PeopleSoft 9.0 delivers 3 person
types:
Employee: A person hired to provide
services for your organization on an
ongoing basis (same as PeopleSoft 8.3)
POI: A person who is not an
employee or contingent worker
but is of interest to the
organization and requires a
personal data record (may not
always have a Job record). For
example, a Job applicant or an
employees spouse

This will not be used at
Unilever
Contingent Worker:
A person who provides
services to your organization
under terms specified in a
contract on a non-permanent
basis or who does not have a
legal employee relationship

53
3. Adding/Updating a Person in
PeopleSoft 9.0
The same pages are used to enter personal data and assign an identification
number when adding an employee or a contingent worker
There are four pages in the Personal Data component you use when you add
a person in PeopleSoft 9.0
Biographical Details
Contact Information
Regional
Organizational Relationships

54
When adding a Person in PeopleSoft 9.0, navigate to Workforce Administration >
Personal Information > Add a Person and click on the Add the Person link
3. Personal Data Add a Person
55
3. Personal Data Biographical Details
When adding a Person in PeopleSoft 9.0, enter biographical information such as name,
education level and marital status
56
3. Personal Data Contact Information
Enter the Persons addresses, phone numbers, and email addresses
57
3. Personal Data Regional
Track information required for effective person-management in a variety of countries
using the Regional Tab

58
3. Personal Data Organizational Relationships
Select whether the person is an:
Employee
OR
Contingent Worker

When you click the Add the Relationship button, the system saves the Personal Data
component and moves you to the component you need to use to enter relationship
information. For example, if you choose an Employee relationship, the system creates a
Job Data record for this person, using the ID created on the Personal Data component
and the organizational relationship of EMP (Employee). This is shown on the next slide.

59
3. Job Data Relationship Created
Once you have selected the relationship (in this example Employee), the job record has
been created with an organizational instance of EMP. The employee has now been
assigned an ID by the system

60
3. Warning message in PeopleSoft 9.0
In PeopleSoft 9.0, if you reach the job data page and for some reason stop the process, log off,
transfer to another page, return to the home page etc the system has still captured the person
and the persons employee ID
If you then later try to add the person (remembering that you have never finished the process
so begin to start the process again), you will receive an error that you have already added that
person in the system
This issue will be most often discovered when the hire is attempted again. If you know that
you left the hire process after transferring to the job data page, you should take note of the
Employee ID and follow the same steps. If you are not aware of the issue and attempt to
perform the hire and add the relationship again, you will receive the following error:

61
3. Troubleshooting
If this error is encountered or if the Employee ID is already known, take note of the
Employee ID and access:

Main Menu >Workforce Administration >Personal Information >Organizational
Relationships >Add Employment Instance

Enter the Employee ID and click the Add Relationship hyperlink

62
3. Troubleshooting
You will be directed to the Job Data page where you can continue to complete the hire
process

63
The Person Model in
PeopleSoft 9.0

64
Key take-away item
You will always select the employee
person Type when adding a person via the
'Add a Person' page unless in exceptional
cases when a Manager/HRBP (who is a
contractor) is added in the system. This is
because they need access to Peoplelink
Online (therefore they need to be
represented in PeopleSoft accordingly)

PeopleSoft 9.0 has reorganized rate table functionality. There is now one rate
structure that replaces the previous Age-Graded Rate, Service Rate, Flat Rate and
Salary Rate tables. The architecture standardizes rate table definition.
The Benefit Rate Types page will be used to define benefit rate types. The following
Benefit Rate Types are delivered and maintained by PeopleSoft:
Age-Graded (By Gender, Smoker)
Flat Rate
Percent of Base
Length of Service (Months)
Compensation Bands
Covered Person Type
Benefit Plan and Coverage Code

A Standard Job is a globally standard description for a work requirement that shares
the same Global Work Level, Manager Level, Job Function and Job Sub Function.
For example, Vice President Brand Building, Trademarks Specialist, Vice President
Audit etc
In PeopleSoft version 9.0, Standard Job has been moved from the Job Code record
to the Position Data record
The main reasons why Standard Job is being moved from the Job Code to the
Position record are:
To minimize new Job code creation. Fewer Job codes in the system allows for
more effective control over the process
To ensure reduced data entry. HRBPs and Data Operators will not need to
create as many new job codes in the system
To consolidate existing Job codes. Consolidation ensures more effective
control over the process

PeopleSoft 8.3 Reporting Process

In PeopleSoft 8.3, a Line Manager or HRBP can request an ad-hoc report by completing the Ad-
Hoc Request Form and submitting to Peoplelink. Peoplelink submits the form to the Central
Reporting Team. Provided the requestor has sufficient PeopleSoft access to view the
information requested, the reporting team will generate the report

PeopleSoft 9.0 Reporting Process

With the deployment of Peoplelink Online (PLOL) in Q4 2010, the main reports required
by Line Managers will be available via the Reporting menu in PLOL. Line Managers (with a
Unilever email address) will be able to view pre-defined reports in the Reporting menu without
needing to request a report
There will be an exception process for those Line Managers who do not have a Unilever email
address- they will still be permitted to request the report via the form
Line Managers will always be directed to PLOL when they require a report. Where a Line
Manager needs access to data not available in the PLOL reports they should contact their HRBP
with details of their requirements. The HRBP can submit a request for an ad-hoc report if
required

3. New Ad-Hoc Report Request Form in
PeopleSoft 9.0

A new ad-hoc report request form has been introduced in PeopleSoft 9.0 which is
more dynamic than the previous form
The key differences are as follows:
Format- The form will be in an MS-Excel format instead of MS-Word. This will
allow for a more intuitive form
Content- To assist the reporting agents to process the requests, the form will
have a fixed selection of fields with local language translations. This will
ensure the HRBP selects the correct field and will ensure reporting agents
provide the correct fields in the report. This is very useful where the agent
producing the report does not speak the local language
The form will continue to be available to HRBPs via the UL portal

145
Ad-Hoc Report Request form in
PeopleSoft 9.0
4. Best Practices when requesting
an Ad Hoc Report

Best Practices when requesting an Ad Hoc report:
A Line Manager who requires an ad hoc report needs to check whether the data they
are requesting is found in a current scheduled report (i.e. one that is on the
reporting calendar and distributed to a set recipient list on a fixed date).
The HRBP needs to ensure that the requirement is clear in the form and that all
fields are populated (nearly all fields are mandatory). This will ensure forms are
processed efficiently and will prevent forms being returned to the requestor or
emails requiring additional clarification from the requestor

146
Q1) Is the following statement TRUE or FALSE ?
