• Codes for absences, tardiness,
etc. are done manually or by hand
• Summaries are not automatically
generated sometimes resulting to
inaccuracies in data

Advantages of Automated SF2

• Automated Codes for Checking Attendance (half shaded
upper for tardy, lower for cutting classes, x for absent)
• Automated Date Placement whenever month and/or year
is changed
• Automated summaries:
 Totals attendance per day
 Totals absences and tardiness per student
 Totals number of school days
 Adjusts number of Registered Learners as of End of
the month when a student transfers out or drops out
 Computes Percentage of Enrolment as of the End of
the Month, Average Daily Attendance, Percentage of
Attendance for the Month
 Counts number of students with 5 Consecutive Days
of Absences, Dropout, Transferred Out, Transferred

Guided Filling Out of SF2
• Fill out School ID, Name of School, Grade
Level, Section
• Add or delete rows depending on the
number of your students.
• To add more rows, click any cell under
LEARNERS’ NAME, then press “CTRL i”
• To delete rows, click any cell under
LEARNERS’ NAME, then press “CTRL d”
• Do not add or delete rows at the beginning
or end of the students’ list 16

1. Click a row just above the last row


2. Press “ctrl I” to insert or “ctrl d” to delete rows
*Note that automatic code generation will not work after you
have inserted or deleted rows, you need to save your work 17
and close all Excel files.

3. Name the tab by typing the name of the month.

1. Select the cell next to Report for the Month.


2. Click the down arrow next to the cell, then select the
appropriate month.
*Note that the days of the month are automatically filled out.

explaining the different choices that can be entered to
mark attendance details.
